Adding a printer to your printer list in Mac OS X Learn how to add a printer to the printer list. You may need to install additional software before you can use your printer. About the print dialog and printer list When you choose the print command in any Mac OS X application, a print dialog appears as a sheet attached to the window. The Printer pop-up menu lists the printers you can print to. Mac OS X has builtin software for many printers, so it may automatically add your printer to this list when you connected it to your computer's USB port. Network printers are added separately. How to add a USB printer If your printer does not appear in the Printer pop-up menu, find and install the appropriate driver. Check any CD-ROM discs included with the printer, or the website of your printer's manufacturer. Only users with an administrator account can install software. Tip: You can also open the Printer List window from Printer Center (Mac OS X 10.2.8 or earlier) or the Printer Setup Utility (Mac OS X 10.3 Panther, or later). Check the Printer menu again after installing the software. If the printer does not appear, you may need to do this: 1. Make sure the printer is connected to your computer, plugged in, and turned on. 2. For Mac OS X 10.2.8 or earlier, from the Printer menu in the print dialog choose Edit Printer List. The Printer List window appears. 3. For Mac OS X 10.3 or later, choose Show Printer List from the View menu. The Printer List window appears. 4. Click the Add Printer button. 5. Choose USB from the first pop-up menu. 6. Select your printer from the list. 7. Click Add. 8. Close the Printer List window. How to add a network printer (AppleTalk or LPR) Adding an AppleTalk or LPR network printer is very similar to adding a USB printer. In Step 4 above, you would choose AppleTalk or "LPR Printers using IP" from the pop-up menu. From there, the setup differs slightly. AppleTalk printer • • •
AppleTalk must be enabled in Network preferences. If your network uses AppleTalk zones, choose one from a second pop-up menu that appears. Make sure to avoid potential issues with AppleTalk multi-homing.
LPR printer

You must enter the printer's IP address or DNS name. If you're printing to a queue, deselect the checkbox for "Use Default Queue on Server", then type the queue's name. If not, leave the checkbox selected. You can select your printer from the Printer Model menu or leave it at Generic. In essence, are selecting a PPD file.
Question mark appears, or trouble finding a printer? If you can't find the printer you want to add in the list of connection methods, make sure you're choosing the right connection type for your printer. Some printers may use custom input-output modules, such as "Epson AppleTalk". You may need to select one of these custom options in order to add your printer. If there's a question mark on the printer's icon, or Print Center or Print Setup Utility lists it as unsupported, check for an updated software version at the manufacturer's website, or the Mac OS X downloads page. Tip for software installation Your printer may appear in the printer list before manufacturer-required software is installed. If you have such a printer, remove the printer from your printer list before installing the software. Add the printer back to the list after you've installed the software.
Mac OS X 10.2: How to Hide or Remove Printers in the Printer List The Print and Page Setup dialogs lists any USB printers connected to your computer, any network printers you have added, and all the printers that are shared by other computers on your local network. To hide all the printers that are shared by other computers (which appear in the Printer List with a pinkshaded background), open Print Center preferences and deselect "Show printers connected to other computers." To hide printers you don't want to use, open Print Center and deselect the checkbox in the Favorite column next to the printers in the Printer List. All the printers still appear in Print Center, but only your favorites appear in the dialogs. To see if a printer is shared, open Print Center and look in the Host column of the Printer List. You cannot delete shared printers from the Printer List in Print Center (but you can hide them, as described above). The paper-handling capabilities of a printer The number of paper trays and their capacity Available paper sizes they handle
PPD files are created by printer manufacturers. Mac OS X 10.2 includes PPD files from Apple, HewlettPackard, Lexmark, Tektronix, and Xerox. A list of these printers can be found below. For information on ink jet printers, see "Mac OS X 10.2: Included Ink Jet Printer Drivers". Choosing a PPD File Mac OS X may automatically select the proper PPD for USB- and AppleTalk-connected printers. Print Center can usually determine the model name of a connected printer, and a matching PPD. An advantage of automatic PPD selection is that when a PPD file is not found in the Mac OS X system, it then searches in the Classic (Mac OS 9) System Folder, provided the Classic environment has been used at least once, or that the Classic System Folder has been selected at least once in Startup Disk preferences. For these and other reasons, you should allow Mac OS X to use its automatic selection capabilities when the proper PPD is available. When adding a printer that is connected to a computer via AppleTalk, the PPD will be selected automatically for you, unless you choose one specifically from the Printer Model pop-up menu. When USB PostScript printers that use TBCP (tagged binary control protocol) are connected to your computer for the first time, a printer queue is created automatically, and the proper PPD is associated with that printer. If that printer's PPD is not available, the Generic PPD will be automatically associated with that printer and queue. Check your printer's specifications to see if it uses TBCP. To work with Mac OS X, a USB PostScript printer must use TBCP. Those that do not may not print. If necessary, contact the printer manufacturer for Mac OS X compatibility information. In contrast to the automatic selection of PPDs for USB and AppleTalk connected printers, you must manually select the printer's PPD file when adding "LPR Printers using IP". For best results, choose the PPD file that is provided specifically for that printer from the Printer Model pop-up menu. When the specific PPD file for your printer is not available, consider choosing the Printer Model that most closely resembles your printer. Selecting the PPD intended for a model of printer similar to yours will often provide you access to more of your printer's capabilities than merely selecting the Generic PPD, which is designed for maximum compatibility with a wide range of PostScript printers. Printer not listed? If your printer is not listed below, try choosing the PPD of a printer that has a feature set similar to your printer. Using a PPD that is not designed specifically for your printer may not provide access to all of your printer's features, and unforeseen problems may be encountered. Before choosing this workaround,

Sharing your printer with Mac OS X users You can let other computers on your local network that use Mac OS X version 10.2 or later use any printer connected to your computer. 1. Open System Preferences and click Sharing. 2. Click Services. 3. Select the Printer Sharing checkbox. Tip: To help others discover where to pick up their printed documents, open System Preferences, click Print & Fax, click Printing, and then click the Set Up Printers button. Select a printer, choose Printers > Show Info, and type a clear description of the printer's location in the Location field. Your shared printer automatically appears in Print dialogs on other computers connected to your local network (your IP subnet). Documents waiting to print on printers you are sharing are stored on your hard disk. (That is, your computer hosts the queue for the printer.)
Troubleshooting printing issues in Mac OS X Learn how to troubleshoot printing issues in Mac OS X. Print Center troubleshooting If the printing issue occurs in Print Center (Mac OS X 10.2 through 10.2.8), see "Mac OS X: Print Center Troubleshooting". Print a test page If your printer has a test page feature, try to print one. If the test page does not print, turn the printer off and on then try again. Verify the connection between the power cord and the power source. For more information on how to print a test page, review the documentation that came with your printer or look at the manufacturer's website. If printing a test page is unsuccessful, review the documentation that came with the printer for further troubleshooting steps specific to the printer. Check cables and connections 1. Can the issue be isolated to one application? If the issue occurs when you try to print from a Classic application, then try printing from other Classic applications, then from a Mac OS X-native application. Can the issue be isolated to one application or to the Classic environment? Any time that an issue proves to be application-specific or environment-specific (Classic versus Mac OS X native), the issue could be related to either the application software or the printer drivers. As such, you should check the website of both the application developer and the printer manufacturer, contacting them if necessary. Isolate the printer and computer USB printers 1. Disconnect all USB devices except the printer, Apple keyboard, and Apple mouse. Make sure the printer is connected directly to the computer, and that any hubs or extender cables are disconnected. 2. Be sure that the printer appears in Apple System Profiler (/Applications/Utilities/). Look for the printer in the Devices and Volumes tab of Apple System Profiler.

Network printers 1. Verify that other network services, such as file sharing and Web browsing, are available and work. 2. If there is another node on the network that can successfully print to this printer, move the computer to this node. It may be necessary to change network settings at this point. 4. If another printer is available, try printing to it. Verify that the connections work, that network preferences are correct, and that the any required software for the additional printer is installed.
