2014 Disney Travel Planner Manual Welcome and congratulations on qualifying for the 2014 Pop Warner National Championships! The Disney Travel Planner Manual consists of two (2) separate packets:

1) Package Information – This is the packet you are currently reading. It contains the majority of the information you need to know in preparation for your trip. It is extremely important that you read this packet first. You will be asked to acknowledge that you have read the packet by signing the Team Information Page. Any Rooming List received with a Team Information Page that has not been signed, will not be accepted. Once you have read this section, access the following forms on the Forms tab of the 2014 Pop Warner National Championships Website. Then, please submit your reservation request through the email [email protected].  Team Information Page  Team Rooming List  Modification Form  Credit Card Payment Form (Credit card payments must be faxed or called in. Sports Travel cannot accept emailed credit card information)  Check Payment Distribution Form (Must accompany the check being sent to Sports Travel)

2) Disney’s Magical Express® Transportation Information – DME packet is a separate packet that contains the information and forms needed if you plan on utilizing Disney’s Magical Express Transportation from the Orlando International Airport. Reservations are required.

Please read the following information carefully. It contains important information about preparing for your trip to the Walt Disney World® Resort and ESPN Wide World of Sports Complex.

2014 Package Information Specially priced packages have been created for the 2014 Pop Warner National Championship Week. In order to compete, all football teams and cheer/dance squads must purchase the package and stay at a select Walt Disney World® Resort hotel for the duration of their trip. The following highlights important notes and helpful hints about the package and the booking process:  This package is only available through Disney Sports Travel.  Disney Sports Travel Operating Hours Monday – Friday, 8:30 a.m. to 6:00 p.m. EST Saturday – Sunday, 8:30 a.m. to 5:00 p.m. EST Office Number: (407) 939-7810 Fax Numbers: (407) 363-7000 or (407) 939-5077 Email: [email protected] (Team Information Page, Rooming Lists, and Modification Form)  Prices indicated in this packet are per person, based on selected occupancy, and valid for participants and spectators.  Teams must designate up to three (3) individuals to serve as on-site Team Contacts during the registration process at the Walt Disney World® Resort hotels. These contacts will be the only authorized individuals allowed to pick up package components for the entire team. You will be asked to identify the Team Contacts during the Disney Sports Travel booking process. Some suggestions for selecting Team Contacts:  One Team Contact should be amongst the first arrivals from your team.  The other two Team Contacts should be individuals whose arrival schedules mirror the various arrival dates/times of your group. This will prevent one person from having to go to the registration center multiple times to check in group members.  At least one Team Contact must be a rostered coach on your team.  Participants are required to book the specially-priced packages offered. Spectators may book the specially-priced packages offered for Pop Warner National Championship Week with their team by having their names listed on the team’s rooming list. If not listed on the team’s rooming list, they will not be booked as a part of the team nor will they be guaranteed a room in proximity to their team’s rooms.  Every attempt will be made to block each team’s rooms together; however, there is no guarantee that rooms will be blocked together. There are no refunds or room assignment changes in cases where teams are not blocked together.  If you would like to be near a sister cheer/dance squad or brother football team, it is important that you still book your team’s packages in accordance with the schedule later in this manual. Please indicate the related/companion team you would like to be near on the Team Information Page. Every attempt will be made to honor these requests; however there is no guarantee that your squad/team will be booked near a companion cheer/dance squad or football team. There are no refunds or room assignment changes in cases where squad/teams are not booked near each other.  Check in time is after 4:00 p.m. (all rooms may not be ready until after 5:00 p.m.).  Disney's Magical Express Transportation is available to eligible Walt Disney World® Resort hotel guests, offering complimentary roundtrip motor coach transportation and luggage delivery services between Orlando International Airport and select Walt Disney World® Resort hotels. It requires an advance reservation. Please refer to the Disney’s Magical Express Transportation section of the manual for more information about this complimentary service and to make your reservation.

2014 Package Components 2014 PACKAGE COMPONENTS  A three (3) night minimum stay is required and includes a standard room at Disney’s All-Star Resorts, Disney’s Caribbean Beach Resort or Disney’s Coronado Springs Resort. All participants/coaches must book a package through Disney Sports Travel and stay at these select Walt Disney World® Resort hotels*. *The number of rooms available at this rate is limited. Advance reservations required. No more than 4-persons per room. Specially priced packages are non-transferrable.

 One 4-Day Sports Magic Your Way® Ticket with Park Hopper® Option* per person, which entitles you to come and go as you please through all four Walt Disney World® Theme Parks on the same day for each day of your ticket. *Tickets are valid 7 days before and 7 days after the Event Dates. Each day this ticket is used at any Theme Park constitutes one full day of use. Ticket type and entitlements are subject to change without notice. Some activities/events may be separately priced. Advance purchase is required for all special ticket offers listed. Tickets are non-transferable and non-refundable. Tickets are not available for use until you are checked into the hotel on your package.

 One (1) admission per person to the private Pop Warner National Championship Week Celebration Party held at Disney’s Hollywood Studios® on Wednesday, December 10th. Scheduled motor coach transportation to and from the party will be provided. The Celebration Party ticket is non-transferable and non-refundable. If you plan to visit Disney’s Hollywood Studios® on Wednesday, December 10th prior to the party with your Sports Magic Your Way® Ticket, please remember you’ll need to leave and reenter the park via the main turnstiles to be granted admission into the party. Pop Warner National Championship Week Celebration Party elements, including but not limited to food and beverages offered, attractions, and entertainment are subject to availability, and may be changed, closed or canceled without notice.

 Luggage handling to hotel room upon arrival. In order to expedite the delivery of your luggage, all bags will be delivered to only one room in the group. The specific room will be communicated to the Team Contacts during check-in. Please contact your Team Contacts to collect your luggage.

 Scheduled motor coach transportation. Service will be provided between ESPN Wide World of Sports Complex and Disney’s All-Star Resort, Disney’s Caribbean Beach Resort or Disney’s Coronado Springs Resort on competition days. Outside of this schedule, normal Walt Disney World® Resort motor coach transportation will be available subject to normal schedules and routes. Please check with the guest service desk at your resort when you arrive for specific times and locations.

2014 Package Options

 WATER PARK FUN AND MORE OPTION - The package prices listed include a Sports Magic Your Way ®Ticket with Park Hopper® Option. You can upgrade your package to include the Water Park Fun & More Option for less than $18.50 per person. This option provides a certain number of extra visits based on the length of ticket purchased. For each visit, you can choose one of the following: Disney’s Typhoon Lagoon Water Park, Disney’s Blizzard Beach Water Park, DisneyQuest® Indoor Interactive Theme Park, ESPN Wide World of Sports Complex or Disney’s Oak Trail Golf Course.  SPECTATOR COMPLEX ADMISSION  Length of Event (LOE) Spectator admission tickets: The LOE ticket is recommended for spectators who are visiting ESPN Wide World of Sports Complex for 3 or more days. LOE tickets are available for purchase at the ESPN Wide World of Sports Complex Box Office. These are not available as part of your package.  One Day Spectator admission tickets are only available for purchase directly at ESPN Wide World of Sports Complex Box Office. These are not available as part of your package. Adult (ages 10+): $16.50

 DISNEY QUICK SERVICE DINING PLAN – The Disney Quick Service Dining Plan offers a convenient and affordable way to enjoy snacks and Quick-Service meals at over 50 select restaurants throughout Walt Disney World Resort. The Disney Quick Service Dining plan can be added to your package. Click Here to Learn More About the Disney Quick Service Dine Plan. Some additional notes:  Please note that one adult Quick Service Dining Plan must be charged per room.  Quick Service Dine Plan pricing on page 4 is based on adults in the room. Children’s (ages 3-9) Quick Service Dine Plan will be less. Pricing will be provided with the completed rooming list.  If adding the Quick Service Dine Plan, all guests in the room must purchase the same plan.  The Disney Quick-Service Dining Plan includes two (2) Quick-Service Meals and one (1) Snack per person, per night of your package stay for everyone in the party ages 3 and over. The plan also includes one (1) Rapid Fill Resort refillable drink mug per person that is valid for the length of your stay (eligible for refills at self-service beverage islands at Quick-Service locations at any Disney Resort Hotel). Note: ESPN Wide World of Sports Complex does not offer a refillable beverage island for the Rapid Fill Resort refillable mugs.  It is suggested that coaches and chaperones be responsible for making sure each person in their group uses the correct number of Dine Plan entitlements per day.  All unused meals and snacks and the ability to use your Rapid Fill Resort refillable mug expire at midnight on your package reservation checkout date.  If adding the Quick Service Dine Plan, you or your team contact will be asked at check in to create a unique pin number to use when redeeming your entitlements.

Booking Policies and Process RESERVATION BOOKING POLICIES  Disney Sports Travel will not accept rooming lists prior to the team’s qualification date. Rooming Lists received prior to this date will not be accepted and will be discarded.  Final rooming lists and payments are due to Disney Sports Travel in accordance with the below schedule.  Be sure to take advantage of the specially priced packages that have been created for 2014 Pop Warner National Championship Week listed in this manual by submitting your Final Rooming List by the applicable dates above. Final Rooming Lists and reservations made after these due dates will be assessed a $50 processing fee per room. PACKAGE BOOKING PROCESS  Identify a team coordinator that will be responsible for all team communication with Disney Sports Travel prior to, during, and after the event. This individual can and should be one of the onsite team contacts mentioned on Page 1 of this manual. Please make sure the team coordinator has access to a computer and is easily reachable to answer any questions during the booking period.  Download the Team Information Page, Team Rooming List, and appropriate payment form (Check Distribution or Credit Card Payment Form) that are on the Forms tab of the 2014 Pop Warner National Championships Website.  Complete the Team Information Page (must list a day/evening/cell/email address/fax number) and Rooming List forms. Rooming lists received without a completed and SIGNED Team Information Page will not be accepted.  All room blocks should be used before starting a new page. Rooming Lists received with only one room per page will not be accepted as this greatly increases the number of pages to send back and forth.  Email the Rooming List and Team Information Page to Disney Sports Travel in accordance with the schedule outlined above to [email protected].  Due to the high number of Rooming Lists received, please allow processing time. Do not repeatedly send as this will cause further delays.  Once booked, the Rooming List will be emailed back to the team coordinator with confirmation numbers and package totals. Please review for accuracy.  Complete the Credit Card Payment Form and Check Distribution Form as appropriate. Make as many copies of these forms as necessary. Payments can also be made over the phone by calling (407) 939-7810.  Forward payment forms to Disney Sports Travel in accordance with the payment schedule outlined above. Booking Policies and Process MODIFICATION PROCESS AND POLICIES  The Modification Form can be downloaded and printed from the forms tab of the 2014 Pop Warner National Championships Website.  Modifications can be faxed or emailed with the Modification Form and Team Information Page. Modifications will not be accepted without the Modification Form. Please only fax or email the applicable pages of the original rooming list where modifications are being requested with the modification clearly indicated.  Reservation modifications made after the final rooming list due date will be assessed a $50 per room fee. Any modifications made within 5 days of arrival must be brought directly to the Check-in area at Celebrity Hall or the Pop Warner Check-in area at either Disney’s Caribbean Beach Resort or Disney’s Coronado Springs Resort. These changes will not be accepted in our office within 5 days of arrival. A change fee of $100.00 per change will be applied accordingly for all changes made upon arrival. Modifications include but are not limited to adjustments to the number of total rooms, change of arrival and/or departure dates, name and/or party size changes, or modifications to tickets. Any modifications may decrease the chance of your team’s rooms being blocked together at the resort. PAYMENT AND CANCELLATION POLICIES  The $500.00 deposit your team paid to Pop Warner at the regional competition will be applied to the first reservation on your rooming list. No exceptions. Due to the timing of bookings, Sports Travel cannot accommodate requests to have money dispersed among multiple team reservations.  Forward payment forms to Disney Sports Travel in accordance with the payment schedule outlined previously.  The only accepted payment methods are credit card, cashier check, certified bank check or money order. Complete the Credit Card Payment Form and Check Distribution Form as appropriate. Both forms can be found on the forms tab of the 2014 Pop Warner National Championships Website. Make as many copies of these forms as necessary.  For Certified Check/Money Order Payments:  No personal or team/league checks will be accepted for any bookings.  Cashier or certified bank checks or money orders must be made payable to Walt Disney Travel Co.  The team should send one check for the entire group. Please use the Check Distribution Form provided to ensure payments will be applied correctly.  Overnight delivery service must be used when mailing cashier/certified bank checks or money orders. All-Star Cast Services Building ATTN: Disney Sports Travel-Group Reservations Office 1601 West Buena Vista Drive Lake Buena Vista, FL 32830 (Use 407-354-2841 for Tracking)  For Credit/Debit Card Payments:  We will accept American Express, MasterCard, Visa, Discover, and Diners Club.  Please use the Credit Card Charge form provided. Please make copies of this form as necessary. Fax in this form. Incomplete forms will delay the process. Payments can also be made by calling (407) 939-7810  IMPORTANT: Most debit cards/credit cards have a pre-determined daily spending limit. If using a debit card; please call your bank to verify and increase this limit if necessary prior to submitting payment.  Cancellations: Reservations must be canceled at least 5 days prior to arrival in order to avoid penalty. Cancellations made within 5 days of arrival will be assessed a $100 per room cancellation fee.

Disney’s All-Star Resort Check-in / MagicBand Information  Check in time is after 4:00 p.m. (some rooms may not be ready until after 5:00 p.m.).  Standard rooms sleep up to parties of four.  Each group will provide Disney’s All-Star Resort with an on-site contact person or group leader who is ultimately responsible for each group member, including charges made from or on behalf of rooms.  The group leader should register the entire group and make any necessary payments.  MagicBands will be issued only to the group leader.  Lost MagicBands will only be re-issued to the group leader.  Rooms are listed by primary Guest name. Roommates are additional names.  Please refrain from switching rooms. This will ensure phone calls and information are forwarded timely and properly. While in your Guest Room / Resort  Please be respectful of those around you, not every Guest is on your schedule.  Quiet hours are from 10:00 p.m. to 8:00 a.m.  Resort Duty Manager and Security walk the grounds during quiet hours.  Please note that banners, posters, decorations, and signs cannot be hung from the handrails, walls or in windows.  Use of adhesives and window decorating with paints, soap, lipstick, markers, etc. is prohibited.  Damage to room, paint, or excessive cleaning will be charged to the group or group leader.  For any room where the above decorations are seen a warning voicemail will be left. If the items are not removed or taken care of a charge will be incurred the following day and the items will be removed by our Housekeeping Staff. Once the initial charge has occurred, an additional charge will be incurred each time the items have to be removed by our Housekeeping Staff.  The use of cleats, spiked shoes, or heels is prohibited on the courtyards.  Please do not place trash bags/boxes outside of room door.  In support of our ongoing commitment to help the environment, we request that shower curtains remain inside the bathroom tub in an effort to conserve water resources.  All rooms include complimentary small refrigerator. While at the Pool  In accordance with the Pop Warner curfew, please be in your room no later than 10:00 p.m.  Towels for the pool are available at the Front Desk. Additional towels are available by pressing the housekeeping button on the room phone. Towels will be exchanged one-for-one. Phone Calls / Pay Phones  To assist with connecting outside calls to your room, callers from home should be advised of the primary Guest name, or sometimes the group name, room number, and the names of any additional persons staying in the room. The operator will ask for this information.  Payphones are located in some guest room buildings, at the Front Desk, and at Celebrity Hall.  Phone cards may be purchased in the lobby next to the payphones.  Direct dialed long distance calls from the room are assessed a 55% surcharge.  Long distance calling can be restricted at the Front Desk.  Please do not unplug room telephones.  Complimentary Wi-Fi is offered throughout the Resort.

Disney’s All-Star Resort All-Star Resort Main Telephone Numbers  Disney’s All-Star Sports Resort: (407) 939-7000, Fax: (407) 939-7111  Disney’s All-Star Music Resort: (407) 939-6000, Fax: (407) 939-7222  Disney’s All-Star Movies Resort: (407) 939-5000, Fax: (407) 939-7333 Arcade Information  The Arcades are open beginning at 8:00 a.m. In accordance with the Pop Warner curfew, please be in your room no later than 10:00 p.m.  Please note: the Note‘able Arcade at Disney’s All Star Music Resort will not offer arcade games during the event dates. Instead, it will serve as a temporary grab-and-go meals location due to the refurbishment of Intermission Food Court. Guests staying at Disney’s All-Star Music Resort may use the Game Point Arcade at Disney's All-Star Sports Resort and/or Reel Fun Arcade at Disney's All-Star Movies Resort. Transportation between Disney’s All-Star Music and the other two themes will be provided during select times. Walt Disney World Resort Bus Transportation (Non Event Specific Transportation)  Bus transportation leaves approximately every 30 minutes from the main buildings (lobby area).  Please be advised, bus transportation is public and not reserved solely for event participants.  Complimentary Walt Disney World® Resort bus transportation is provided to our theme parks, water parks and Downtown Disney. Direct transportation between resort hotels is not provided. Vending Machines / Merchandise Locations  Vending and Ice Machines are located on every floor of the room buildings behind the elevators.  The merchandise locations in the main buildings sell snacks, drinks, sundries and gifts. Food Court / Pizza Delivery Information  The food courts open at 6:00 a.m. In accordance with the Pop Warner curfew, please be in your room no later than 10 p.m.  Please note: the Intermission Food Court will be under refurbishment during your stay at Disney’s All Star Music Resort. During this time, the Note ‘able Arcade will serve as a temporary location for grab-and-go meals (i.e. pastries, salads, sandwiches). Calypso Pool Deck, Singing Spirits Pool Bar and Pizza Delivery will also have expanded offerings and/or hours of operation. Guests staying at Disney’s All-Star Music Resort may also visit the End Zone Food Court at Disney's All-Star Sports Resort and World Premier Food Court at Disney's All-Star Movies Resort. Transportation between Disney’s All-Star Music Resort and the other two themes will be provided during select times.  Pizza delivery is available from 12 noon to 1:00 a.m., by pressing the pizza button on your room phone. ATM / Personal Checks / Travelers Checks  Travelers checks can be cashed at the Front Desk with proper identification. Travelers Checks may be cashed in the amount of $200 a day.  Personal Checks are not accepted at Food and Beverage locations.  An ATM is located in the lobby of Sports, Music and Movies. Celebrity Hall  The group pavilion – CELEBRITY HALL – is located in the parking area between Sports (Center Court) and Music (Rock Inn). Check-Out Information  Checkout time is before 11:00 a.m. Rooms occupied after 11:00 a.m. are subject to late charges. Smoke-Free Policy  All Disney-owned and operated hotels at the Walt Disney World® Resort became smoke-free on June 1, 2007.

Disney’s Coronado Springs Resort Check-in / MagicBand Information  Check in time is after 4:00 p.m. (some rooms may not be ready until after 5:00 p.m.).  Each group will provide Disney’s Coronado Springs Resort with an on-site contact person or group leader who is ultimately responsible for each group member.  The group leader should register the entire group and make any necessary payments.  Individual check in is also offered.  MagicBands will be issued only to the group leader.  Lost MagicBands will only be re-issued to the group leader.  Rooms are listed by primary Guest name. Roommates are additional names.  Please refrain from switching rooms. This will ensure phone calls and information are forwarded timely and properly. While in your Guest Room / Resort  Please be respectful of those around you, not every Guest is on your schedule.  Quiet hours are from 10:00 p.m. to 8:00 a.m.  Resort Duty Manager and Security walk the grounds during quiet hours.  Please note that banners, posters, decorations, and signs cannot be hung from the doors, handrails, walls or in windows.  Adhesives may not be used in the rooms to affix signs, posters, etc to the walls, doors and windows.  Damage to room or paint will be charged to the group or group leader.  For any room where the above decorations are seen a warning voicemail will be left.
