Dear Friends and Partners, On behalf of the Commissioner of the Kentucky Department of Corrections, we are extremely honored for Kentucky to be the host state for the Women Working in Corrections and Juvenile Justice 16th National Conference, “Setting the Pace for Success.” We are pleased to bring the conference to the Downtown Marriott in Louisville, Kentucky. We are expecting over 500 enthusiastic corrections professionals from across the United States to attend and share in the WWICJJ experience. We would greatly appreciate your participation and support of the WWICJJ conference. We have many activities planned to support vendor/conference participant interaction and are anticipating an exciting event. You can participate in the conference by: • Exhibiting products and services your company provides • Becoming a Triple Crown, Kentucky Derby or Photo Finish Sponsor to receive special recognition • Sponsoring or co-sponsoring a planned event • Advertising in our conference program or website The attached Conference Events and participation forms will provide detailed information on size and cost for exhibit/ad space, levels of sponsorships, etc. Exhibit space will be assigned on a first-come, first-serve basis and, since the exhibitor space is limited to 40 vendors, we encourage you to return the form quickly. EXHIBITOR INFORMATION Application for Space and Deadlines: The deadline for receiving the Agreement and full payment is August 1, 2016. All space assignments will be made on a first-come, first-serve basis. Vendor space is limited to 40 vendors. Applications for exhibit space and program advertisements are subject to approval by the WWICJJ Exhibit Committee. The exhibit costs are outlined in this packet. Special request(s) should be sent via email to [email protected]. Advertising: If your company has elected to advertise in the program booklet, please send your print ready ad to [email protected]. All ad copies should be provided in color or black and white, camera ready with 120-line screen to be published in the conference program or on the website. Ads may be submitted in Illustrator or JPG, gray format. Registration and Hotel: Each exhibiting company receives one complimentary registration package per exhibit. There will not be an additional charge for other representatives in each exhibit of the same company; however, participation in meal functions does require tickets for non-registered attendees. Extra tickets may be purchased at Vendor Registration. To make hotel reservations at the $139 conference rate for single/double occupancy, plus tax, call the Louisville Marriott Downtown at 1-800-2669432 before August 29, 2016 and be sure to mention you’re with Women Working in Corrections and Juvenile Justice. You may also make reservations by visiting www.WWICJJ.com. Door Prizes: Exhibitors are encouraged to provide door prizes, but must comply with all local, state, and national laws. Exhibitors are responsible for drawing mechanisms (tickets). This event will allot times to draw prizes. Event Sponsorship/Co-Sponsorship: Several events are listed in the packet to sponsor or cosponsor. These include, but are not limited to Keynote & Conference Speakers, meals, host committee shirts, etc. The sponsor will receive recognition for their sponsorship, as well as tickets to the sponsored event.

Exhibitor Space: Exhibits will be equipped with a 6’ x 30” skirted table and two chairs. Any other items must be ordered directly from the hotel (see www.WWICJJ.com). Shipment of Exhibits: The Louisville Marriott Downtown will hold your exhibits 3 business days prior to set up beginning Wednesday, September 28, 2016 through Saturday, October 1, 2016. The hotel requires a form if you chose to ship your exhibit. The form can be found on our website (www.WWICJJ.com). Space Cancellations: In the event the conference is postponed or cancelled, due to any occurrence not occasioned by the conduct of WWICJJ, such as an Act of God or uncommon event, the performance of the parties under this agreement shall be excused from all debts and obligations. A refund by WWICJJ will occur, less a prorated share of expenses actually incurred by the WWICJJ. Should the exhibitor cancel space prior to August 29, 2016, 30 days prior to the opening of the exhibits, WWICJJ shall retain 50% of the exhibit fee. If the exhibitor cancels after August 29, 2016, within 30 days of the opening of the exhibit, WWICJJ will retain 100% of the exhibit fee. Liability: Exhibitors agree that WWICJJ and its respective agents shall not be responsible in any way for damages, loss, or destruction of any property of exhibitors, injury to exhibitor, or exhibitor’s representative(s), agency, employee(s), licensee(s) or guest(s). Exhibitor is responsible for maintaining appropriate property and liability insurance.
