Agenda • Automatic Index Management
• Data Loss Prevention • Durable Links • Hybrid Capabilities
• MinRole
Automatic Index Management • Automatic creation of indexes on List Fields
• Controlled by a daily Timer Job • One for each Web Application
Automatic Index Management • Targets lists with >2500 items – if using the default list throttling configuration • List must have a View with a Filter configured
• Can be disabled on a per list basis, to check if it is enabled:
Automatic Index Management • It will ignore Lists with >20,000 items (by default)
• This figure is based on the List View Threshold (LVT) setting on the Web Application
LVT x 4 = Maximum List Size …..therefore 5,000 (LVT) x 4 = 20,000
Data Loss Prevention • Previously available in Office 365, now available in SharePoint 2016 • DLP provides the ability to identify content that contains sensitive information • Credit Card Numbers • Passport Numbers • Drive License Details • …
Data Loss Prevention • 11 DLP templates are available out of the box
• Each template looks for specific types of information
Data Loss Prevention • Requires a Site Collection that has been created using the Compliance Policy Center template • Create a policy using one of the OOTB templates • Assign to a Site Collection
Data Loss Prevention • Is it possible to see which items contravene a policy before enforcing??? • Yes! But you will need an eDiscovery Center
Data Loss Prevention • …and there’s more!
• The Compliance Policy Center also allows Deletion Policies to be created • Automatically deletes content based upon rules within the policy • Created/Last Modified Data + “x” Days, Months or Years
Data Loss Prevention • Each policy can have multiple rules
Data Loss Prevention • Policies can be assigned to a specific Site Collection or a Template • Site Collection Administrator can: • Opt out of the Policy – Can be overridden centrally by configuring the policy as mandatory
• Select a specific policy and rule combination – If they want to override the default that has been assigned
Data Loss Prevention Select Policy….and then chose a Rule within the to apply
Data Loss Prevention
Durable Links • Provides a static URL for Office documents
• URL remains the same if a document is moved or renamed! • Scoped to a Site Collection • Requires Office Online Server (Office Web Apps)
Durable Links • The Durable Link for a file can be found in the document preview
• This link is also sent when a document is shared
Durable Links • URL format is https://intranet.brendg.co.uk/Shared%20Documents/SharePoint%202 013%20-%20Upgrade.pptx?d=w7e22dfcb8e5447a6b416d5eec2f673f3 • Document URL followed by a query string that includes the unique ID of the document
• A new property is available on each file – “LinkingURL” • The URL will not work with the Office Client, this is for Office Online Server ONLY

Hybrid • SharePoint 2016 includes a number of Hybrid capabilities • OneDrive for Business • Extensible App Launcher • Followed Sites • Profile
• Search
• Let’s take a look at each of these in action…
Hybrid – OneDrive for Business • User can have a OneDrive hosted in Office 365 that can be accessed directly via On-Premises SharePoint • Reduce On-Premises storage costs by moving OD4B to the Cloud
• Can be enabled for all users or a selection using a SharePoint Audience • Let’s take a look at two different users • Lewis who has his OneDrive hosted in Office 365 • Matthew who has his OneDrive hosted in SharePoint 2016 On-Premises
Hybrid – Followed Sites • Maintains a single list of followed Sites for both On-Premises and Office 365 • When a user follows a Site (On-Premises or Office 365), this is added to their followed Sites list in Office 365
Hybrid – Followed Sites • On-Premises users are redirected to Office 365 when clicking the Sites tile • Setting up Hybrid Team Sites also configures Profile redirection and the Extensible App Launcher
Hybrid – Extensible App Launcher • Apps that are pinned to the App Launcher in Office 365 will automatically appear in SharePoint 2016 On-Premises
Hybrid – Cloud Search Service Application • A single search index that spans Office 365 and On-Premises
• Requires a Cloud Search Service Application to be provisioned On-Premises • Cloud SSA crawls On-Premises content and sends the metadata to the search index in Office 365
Hybrid – Cloud Search Service Application • Unified search results, search relevance ranking and refiners even if your organization has content in both On-Premises and Office 365. • You no longer have to worry about the size of your search index, because your search index is stored in Office 365. • Less hardware required On-Premises.
• Upgrading to a later version of SharePoint On-Premises is simpler as you don’t need to worry about Search.
MinRole • A pre-defined role can be associated with a server
• Dictates the services that can run on the server • Associated service instances are auto-provisioned (if the Service App is present within the farm)
MinRole
Why MinRole? • Sharing the best practice of managing SharePoint Online farms with On-Premises IT Admins • Simplify On-Premises farm deployment
• Reduce unit of scale and simplifies capacity planning • Predictable performance characteristics • Simplify farm manageability for IT Admin
MinRole • Health Analyzer reviews the services running on each server and generates an alert should this contravene the role definition • Will automatically re-configure the server to match it’s role
MinRole • Requires a minimum of 8 servers (excluding SQL) for HA
• The “Custom” role can be used to use the SharePoint 2010/2013 mix and match approach for Service Applications • Don’t have to use MinRole – can pick and choose or simply use Custom throughout the farm • Full documentation on roles and services – https://technet.microsoft.com/enus/library/mt667910(v=office.16).aspx
