Practical information 

Read the “IB Conduct of examinations 2015”. Clarify any questions about this notice with the Examinations Officer or the IB coordinator.



Arrive 20 to 30 minutes prior to the scheduled start time.



Leave valuable items at home. Switch your mobile phone off and store together with other valuables in the secure cabinets outside the scheduled examination hall(s). Place bags clearly visible on the benches outside the hall(s). We aim to keep your bags safe but no supervision is available during the exams.



Memorize your IB session number.



Check your seat on the seating plan posted outside the hall. Your seat is indicated by the last 4 digits of your IB candidate number. Candidates are seated by subject level in “snake” pattern.



Place and keep your WIS student card or HKID card for identification purposes on your desk throughout the examination.



Enter and leave the exam hall as quietly as possible. Do not disturb other candidates who are still taking the exam.



Switch off your wristwatch alarm. Leave your watch at home if you do not know how.



If you are scheduled to take 2 consecutive papers, you will be given a 10 to 15 minutes break in between the two examinations. No access to mobile phone or internet is allowed during this break.



WIS imposed restriction on Rule 18 of the “IB Conduct of examinations 2015”: due to the limitation of our facilities/resources, nobody will be allowed to leave an exam prior to the officially published finish time.



Nobody is allowed to leave the exam hall during the first hour and last 15 minutes of an exam. Alert an invigilator if you require the use of the toilet.

Bring your own stationery according to the examination requirements. WIS may not have the spare stationery for lending purpose and we have no responsibility to provide the stationery during the exams.



Pencil cases are not allowed. Stationery such as black or blue pens, pencils, eraser, ruler, etc. should be stored in a clear see-through Ziploc bag.



Spare glasses should be put in a clear see-through plastic box if required.



The use of correction fluid and gel pens is not allowed. Do not bring them into the hall.



The use of highlighters is not allowed in answer booklets.



No soft drinks, coffee or tea are allowed. Drinking water in a clear see-through plastic bottle can be placed underneath the table. Coloured bottles or bottles with text on will be banned from the hall.



Medication or medical equipment is only allowed in the exam hall upon written notification from a medical doctor. Medical notification should be submitted to the Examination Officer prior to the examination.



Calculators are only allowed in the examinations mentioned in the following chart. You are solely responsible for your GDC. Ensure you have sufficient battery power. You are allowed to bring spare batteries. Show “RAM memory cleared” and “APPS” prior to entering the hall.

While all questions requiring a calculator can be answered fully using a four function (plus, minus, multiply, divide) calculator, GDCs are allowed during examination. The graphing functions on these calculators may assist students and it is recommended that all students are familiar with the use of GDCs.

Inside the hall 

Remain silent at all times. Listen carefully to the instructions of the invigilators.



Raise your hand if you have the wrong exam paper, have any questions or are in need of assistance.



If you fall ill during an examination and must consult the nurse, the IB coordinator will decide if you can resume your examination and are compensated for the lost time.

Late arrival 

Less than 30 minutes: Proceed to the exam hall and report to an invigilator or the Examinations Officer. Your arrival time will be noted. No extra time will be given to compensate for the lost time.



Between 30 to 60 minutes: You will only be allowed to sit the exam if you have a valid reason and can provide evidence for your late arrival. Oversleeping, misreading your exam timetable, missing a ferry, getting stuck in traffic are not valid reasons for late arrival. The IB Coordinator will have the final decision. Your arrival time will be noted. No extra time will be given to compensate for the lost time.



Over 60 minutes: You are not allowed to enter the exam hall and will not be permitted to take the exam. Only under extreme and special circumstances and with the explicit approval of the IB Coordinator can exceptions be made.

Illness 

In the event you come down with a severe illness preventing you from taking scheduled examinations, as soon as possible you must hand in a written notification issued by a medical doctor stating the nature and start date of your condition. We will report your illness to IB and request for special consideration. We can however not guarantee that you will get a grade for the missed examination(s) and are allowed to graduate.

IB stationery - Rules and Conventions 

Structured exam papers: ex. science papers. Answers are written in the question booklet. These are named “Question/Answers booklets”.



Unstructured exam papers: ex. English papers. Answers are written in “4 page Answers Booklets”. These booklets do not contain any questions.



Candidates will not be provided with rough/scratch paper on which to write a draft for an answer or for working out or planning an answer. For unstructured exam papers, the working out must be written in the Answer booklet. For structured examination paper the working out can be written on the examination paper, supplemented with an extra Answer booklet (if necessary). If a candidate does not want any draft work to be marked, a line must be drawn through that work.



Graph paper can only be used for drawing graphs and should not be used for text and drafting responses.

IB stationery - 4 page answer booklets 

Answer booklets are designed in a special format for easy scanning, OCR and e-marking. From summer 2013 onwards, the majority of the exam papers are scanned and marked online. It is imperative to only

Year 13 Leavers Booklet Exams Office use black or blue pen for writing your answers and a soft pencil for drawing graphs. Colour pencils are only allowed in geography examinations. Highlighters are forbidden in answer booklets. 

Special format for recording question numbers on 4 page answer booklets: You must ensure your session number and names are entered on the first page. Indicate the question number in the pair boxes on the left before you start writing your answer. Write your answers on the lines and keep within the large pink box on each page. If you write the answer outside the pink box, that part of the answer may not be scanned or marked.



If you make a mistake, completely fill in the question number box and draw a line through the text already written. Use the next available pair of boxes. Always leave 1 blank line between two answers. This might mean you may have to skip one pair of boxes and subsequent 8 lines. Examiners will no longer mark a full subject paper but concentrate on one particular question only. This ensures consistent marking across groups of candidates. It is therefore of the utmost importance that the scanners can clearly identify where your answer starts and ends. If in doubt, start each question on a new page. Samples are given in the “IB Answer booklet guide 2015” stored in the Google doc folder “IB M15 General Exam Info”. All IB candidates have access to this folder via the personalized google folder shared with the exams office.

Time notifications and exam end 

5 minutes reading time is given for all papers with the exception of multiple choice papers.



Start and stop times are announced by the invigilator and posted on notices around the exam hall.



Time notifications are given 30 minutes and 5 minutes to the end of your exam.



Once the exam time is over, stop writing. Organize your papers and complete your cover sheet. Draw a line through rough draft pages that do not require marking. Refrain from writing on the actual answer booklets. Any page numbering on your answer booklet(s) or sheet(s) must be done during the official exam time. Bind all together with the provided string tag.

Special Access Arrangements 

You will be notified in writing if you are entitled to extra time or the use of a word processor during the examinations.



When using a word processor, you have to save your work regularly on the provided memory stick.



Type the question number before you start your answer.



The invigilator will place a post-it note on your desk with your start and finish time.

Malpractice

Year 13 Leavers Booklet Exams Office Any behavior leading to a possible unfair advantage over other candidates will be documented and reported to the IB examination board for investigation. You will be notified in due course of the outcome of this investigation.

Confidentiality Clause By participating in IB examinations, you have automatically agreed to the confidentiality clause mentioned under Rule 22 of the “IB Conduct of the examinations 2015”. Do not discuss or disclose the content of an examination paper with anyone within 24 hours of the ending of the examination. This includes discussing the questions with your subject teachers. Evidence showing the breaching of this clause may result in the disqualification of the IB diploma.

Bad Weather All public examinations will proceed as scheduled with the exception of: 

Tropical Cyclone Number 8 signal or higher Examinations will be postponed. Announcements are made on TV and on our school website. Check the school website for news on the cancellation and possible rescheduled day and time. Rescheduled exams can fall on a Saturday or a public holiday.



Black Rainstorm signal Examinations will be postponed until later in the day. Check the school website for an announcement.

On days with adverse weather conditions, always check the school website and listen to the public announcements on TV and radio before leaving home. Such Announcements are made: 

Morning examination sessions: between 6 a.m. and 8 a.m.



Afternoon examination sessions: between 11 a.m. and 2 p.m.



Evening examination sessions: between 4 p.m. and 6 p.m. If an exam is delayed because of bad weather DO NOT USE SOCIAL MEDIA NETWORKS, EMAIL OR PHONE

Have a family member to assist you. To prevent exam paper security leaks, you must be supervised by an adult from the normal start time of the exam and refrain from talking or communicating with other exam candidates. We will reschedule the missed exam(s) as soon as it is safe to travel. All ESF secondary schools coordinate the new start time of the exams once the HK Observatory has lowered the signals. Request a family member to monitor the HK Observatory notifications and WIS school website. New exam times will be published on our school website (www.wis.edu.hk). Proceed to school if travel is safe. Generally speaking, all missed exams will be taken on the affected day as much as possible. If the signal is lowered late afternoon, exams might be postponed to the next day (including public holiday or Saturday).

Important Note – Careers Office Leaving Procedure: We will lock your access to your IB Student Result Webpage if you did not complete the Leaving Procedure requested by the Careers Office. Ensure you have completed the “Request for Results Form” and have updated the Gateway Info HE/FE before your study leave starts.

You have been issued your personal username and PIN prior to uploading your TOK coursework. The e-copy of this document is available in your personal folder shared with the Exam Office. Keep this document confidential at all times. To access your results: 

enter the web address http://results.ibo.org in your browser



enter your alphanumeric personal code (ex. cbh768) – case sensitive



enter your PIN (ex. TH34MPC4) – not case sensitive

Contact the university or college of your choice to find out if they will accept you with the grade you obtained. If you are not satisfied with the grade for a specific subject and your university or college admission is dependent upon a better grade, you can request for a remark of a specific subject or register for retaking the examination in the November session.

If a college or university has not received your IB results transcript by mail or electronic download 10-14 business days after the results release day, you can contact IB by email [email protected] or give them a call at UK: + 44 29 2054 7740. Mention your candidate session number or transcript order number if applicable. Or you

may contact the Career Office for further assistance no later than 24 July. Please note that the Careers Office will be closed after 24 July and normal service will not be provided unless otherwise specified.

Enquiry Upon Results (EuR) (also known as “remark request”) Your grade may go up or go down as a result of an Enquiry Upon Results.

A EuR or remark request will automatically result in the review of all written components (excluding multiple choice papers and internal assessment) within the subject. Please note that your grade may go up or go down as a result of an Enquiry Upon Results.

Procedure 

IB announced that you will obtain access to your component grades from 9/10 July onwards. If you encounter problems accessing your component grade breakdown in the secure IB website, send an email to the Exams Officer ([email protected]) and the Post 16 Curriculum Administrator ([email protected]).



Get advice from your teachers before proceeding with a remark request. Contact your subject teacher on or after 9/10 July 2015.



Complete a EuR form. Copies can be downloaded from the Google Doc folder “IB M15 – General Exam Info”.



Submit 1 cheque for each subject you are processing, i.e. if you wish to process a remark for 2 subjects, please issue 2 individual cheques. Cheques are made payable to “West Island School”. Cash payment is equally accepted. Exact amount will be released in June.



Submit your signed EuR form and payment in person to Ms Annick Vermeulen at B303 or Ms Maria Chow at A503.

2015 BTEC Results Preliminary results are available from your teacher mid-June. BTEC Certificates are estimated to arrive from mid-July onwards. Make sure the Exams Office has your updated email to inform you of its arrival.

BTEC – UCAS – your college application On condition you processed the correct application, BTEC results are notified to your prospective college/university via UCAS on 4 July and on subsequent Monday’s (only applicable to colleges subscribing to this service). If you require additional proof, you can request for a “Qualification Confirmation Service” on the following website:

You must obtain an official approval from the IB coordinator, Ms Jane Fisher, if you are considering a retake.

A retake registration consists of a registration fee and an individual subject fee that you are planning to retake. 

If your decision to retake a subject in November is dependent on the result of a pending EuR outcome, th

you are advised to register your retake request before 27 July 2015. If the change in grade makes you decide to withdraw your registration before 15 October, you will get a refund of the fees. 

If you withdraw your November retake registration for reasons other than mentioned above, you will have to pay the registration and subject(s) examination fees. No refund will be possible.

A retake registration includes all components within the specific subject. Internal Assessment marks however, if applicable, will be carried forward from the May session.

Procedure and Fees The IB Retake form can be obtained from the Exam Office. Cheque is made payable to “West Island School” and cash payment is equally accepted. Completed Retake Form and payment should be submitted in person on or before 27 July 2015. Below fees are given as guideline only, exact amount to be determined in June. The fees for retake registration processed before 27 July 2015 

May 2015 IB Examinations – Certificates Collection The IB certificates arrive usually in October after the EuR period has been closed and updates to grades have been processed. The Exam Officer will inform you via your personal email address. The collection will take place at the Examinations Office at Room B303 during weekdays between 8am to 430pm (330pm on Fridays).

Collection Method Certificates are the property of the examinee and can only: 

be handed to the examinee in person, or



be handed to his/her appointed representative, or



posted in a secure and traceable manner to an address indicated by the examinee.

WIS must keep your certificates for 12 months. After this, the exam boards allow us to safely dispose of them if deemed necessary. Certificates are usually required for job application or with further studies applications.

Collection Procedure 

Collect in person with identification document carrying your photograph., e.g. HKID or passport



By Authorising a third party – plan ahead and complete this form before you leave school: -

Complete “Certificate Collection - Authorisation or Mailing Instruction Form”

Ensure to include the HKID or passport number of the authorised representative; and

Personally sign the form.

Pass this form to the Exams Officer or request your appointee to bring it along when collecting your certificate.

Results  Results released on Sunday 6 July from 8 pm HK

time onwards.  Download a copy of your IB Pin Code document before start of exams (stored in google).  Access to your google drive might get terminated in June. Ensure you have a back-up of all important information.

Remark – Enquiry upon Results  Be realistic – only ¼ is successful.  Check your component grades (released on 9/10 July)

and get advice from your subject teacher.  Complete EUR form + submit form & cheque to Ms Chow (A503) or Ms Vermeulen (B303). Drop this document off in person to clarify possible issues.  Excluded from EuR are MCQ and Coursework.  EuR results might only arrive 6 weeks later. You can check the result in your personal webpage.

BTEC Results  Result verification is done on a weekly basis once we

report your grades. Your certificate – normally – arrives 2-3 weeks later.  BTEC results are reported in UCAS system.  You need to notify your non-UK college of your result? Collect your original asap OR apply for ‘Qualification Confirmation Service’ (paid for service – WIS will not assist you with this).

Retake  Register before 27 July 2015  Obtain approval from the IB coordinator first  If your decision to retake depends on a successful EuR

result, register first. If not required, we can withdraw you with full refund.  Only written exam components can be retaken in November

Certificates  All certificates should have arrived us by October

2015. IB only prints certificates once all EuR results are available.  Collect:   

by collecting in person by authorizing a friend (complete form) by authorizing mailing upon payment of HK Speedpost / Local Courier service (complete form and issue cheque payment).

Emergency  Emergency definition: serious illness – bereavement of

close family member – extreme weather  Taifoon / black rainstorm signal hosted   

Keep checking the weather report and our WIS website. Once the time has reached the scheduled start time, stop using the internet or mobile phone. Request a family member to assist you. Once we announced the new start time, proceed to school asap if safe. Rescheduled exam might fall on evening, public holiday or Saturday/Sunday.

 Not an emergency: arriving late, stuck in traffic,

misreading timetable.  If you arrive 60 min late, you will not be allowed in the hall.

GDC’s  Read the calculator requirements (download from     

google folder). You are at a disadvantage if you do not use a GDC with math exams. Exam Office has no spare GDC’s or batteries. Ensure your GDC is in good working order and has sufficient battery power. You cannot borrow a GDC from a friend once you entered the hall. You may bring multiple GDC’s in the hall.

Confidentiality Clause  By participating in IB exams, you automatically agree

not talk/blog/write about the content of the exams for 24 hours.  You DO NOT DISCUSS the exam questions after you have left the hall. This includes your teachers.  Teachers are warned not to check with you. They will receive copies of the exam paper 24 hours later.

Exam Stationery  4-page answer booklets, graph paper and Chinese character  

paper only available. Format has simplified. Everything you receive on your desk must be returned to IB. No draft paper will be issued. Draw a line through that what does not require marking. If it is really necessary, request for a spare 4 page answer booklet. Structured paper: you put your answer in the question booklet. Unstructured paper: you put your answer in the 4 page answer booklets. Do not use highlighter in answer booklet/sheets. Bring your own stationery in a see-through plastic bag with no text on it. Borrowing from friends is not allowed once inside the hall. Remember, exam office has only limited spares of rulers, erasers ...

Food – Drinks – Early Leaving  No food allowed  Diabetics or asthmatics can carry emergency food /

inhaler once they have handed a doctor certificate to the exams officer. Store food/medication under your table.  Only pure water in clear, non-coloured plastic bottle allowed in hall.  Early leaving is NOT allowed. Extra timers can leave with normal time students or once their full time is finished.

Wearable Technology etc.  Strictly forbidden in the exam hall  Google watch + glasses  Mobile phone  Electronic communication devices  Laptop – ipod – mp4 player – ebook reader ….  Calligraphy on arms / legs / hands  … as well as old fashioned paper

Be smart:  Take care of your health and go to bed on time  Arrive school in time  Ensure you always have stationery + ID card with you  Check your location on seating plan  Don’t risk cheating, you will get burned!  Black hole … close your eyes and take a deep breath,

skip the problem question and proceed to the next one  Relax… it’s just a test !
