Preparing your Content for Submission • These steps outline the content requirements for the Moment collections 1. Start with the best quality version of your image. You should start out with the highest resolution version of your image that you have available (the original) without upsizing. Your original should be at least 3 megapixels in size. *NOTE: If you are submitting an image that is part of Creative Commons (CC), you MUST indicate this in the description of the image. CC images are not eligible for RM collections. 2. Tech-Check your images. All images must be tech-checked at 100% to ensure that (1) the main subject is crisp and sharp and (2) no technical flaws exist such as unnatural color separation, excessive grain or digital noise, dust, scratches, or fringing. If the image is a portrait, the model's eyes must be in focus at the very least in order to be functional for widespread commercial usages. Please rescan, reprocess or reshoot as needed. 3. Retouch your images to remove trademarks and logos. All images must be retouched to remove isolated visible trademarks / logos. *NOTE: Best rule of thumb would be, "When in doubt, take it out." 4. Save file as JPG or JPEG. Save your final image as a JPG or JPEG with no sizing changes and the highest JPG setting. Please embed your chosen color profile. 5. Prepare model and property releases. • Make sure to use a Getty Images approved model or property releases that is properly filled out. • Content submitted for commercial use which contains a recognizable person must be accompanied by a model release. • Property releases are required when a property (this can be a building or object, such as artwork) is the principal subject of the image. • Release files should be saved as either JPG, PDF or PNG. For more detailed information please read our Legal Guidelines here. 6. After completing the above steps you are ready to login to ESP (https://www.espaws.com/sign-in).

Supported Browsers ESP can be used on the following browsers: • New versions of Chrome and Firefox • IE 10 and above • Safari 6 and above • Mobile browsers (BETA): We have significant support of the site on mobile browser (e.g. Safari on iOS); however, you should expect some bugs in navigating the tool on these browsers.

ESP Login • After preparing your content, login to ESP (https://www.espaws.com/sign-in) and create your submission.

Creating a Submission • A submission is a batch of related images that can be uploaded at one time to be reviewed together. Bulk metadata can also be applied. • Series of images, either from a single shoot or general topic, should all be grouped together. • Tightly edit you group of images to the most relevant and successful options. Include all the variations you want considered for Getty collections in your submission batch. • You will be able to apply metadata and releases for the images after they are uploaded. 1. After logging in, click ‘Getty Creative Image’ from the top left drop-down 2. You will see an option to enter a 'Brief Code,' if applicable - use this if you're submitting images you created following a Creative Brief, Client Need, Competition, or any other specific request from the Contributor Community. Otherwise, please leave this blank. 3. Add a Submission Name. A Submission Name is the title of your submission. This is for your reference only. For example, Panama and Colombia – September 2015 4. Click ‘+ New Submission’ to create the submission:

Uploading Images • You can add up to 50 images to any submission. • Please submit all images from a shoot, or any related topic together in one submission. Even miscellaneous pictures that connect to a single theme – i.e. 'Various Dog pics' - should be grouped accordingly. Our editors are able to do the best review when they can see all of the images together. Images from the same shoot submitted in a later submission will not be considered. 1. Upload images by dragging one or multiple files into the ‘+’ box or clicking ‘+’ and browsing for your files. Alternatively, map to your ‘Dropbox’ service and select files for upload:

2. If your file uploads are slower than expected, you can improve the upload speed up by choosing the closest location to you under the ‘region’ drop down menu:

3. Once images are uploaded a thumbnail of the file(s) will appear:

4. You can enlarge the size of the thumbnails by moving the lever to the right:

5. My upload failed. What do I do? • If it failed once, please attempt to upload the file(s) again. • If it failed multiple times, please email [email protected] 6. It says my file is invalid. What’s next? • Click ‘control i’ or ‘apple i’ on your file and make sure it meets an acceptable jpeg file format.

Adding Metadata • You can begin adding metadata to the image(s) before the files have finished uploading. • You can apply metadata to individual images by clicking on the image thumbnail and filling in the required fields. • Or you can apply metadata to multiple images at once by clicking select all, shift-clicking, or control/command clicking multiple files, then filling in the required fields. A yellow highlight on a metadata field will indicate that there is different metadata on the same field of the files. • You can add metadata from a template (See Appendix A for Creating a Custom Template and Appendix B for Applying a Template) • Metadata will be applied to the image(s) that have been selected (indicated by a black border around the thumbnail)

Metadata fields (* indicates required field):

Icon-based keywords – To help you keyword your images, we’ve provided visual icons. These will automatically generate keywords based on the selected icon(s), so you won’t need to add these specific terms to the keyword field below. The icons are not all encompassing and if they do not specifically define what is visible in an image, you should add the specific term to the keyword field below (e.g. Four People). Iconbased keywords are: 5. Number of People: Select the icon that represents the number of people for each image 6. Person Composition(s): Select the icon that represents the composition, if applicable, to the people in each image. 7. Facial Expression(s): Select the icon(s) that represents the facial expressions, if applicable, to whomever appears in your shot. Only choose an icon that strongly represents what is visible in the image. If there is a crowd and only a small portion of the people are smiling, etc., it does not benefit search to have ‘smiling’ applied to the image. We realize that this is a limited range or emotions, and may not include relevant options for your picture. Add additional concept or emotion keywords in the Keywords field below as needed.

8. Keywords*: Please add a minimum of five additional keywords (2000 character maximum) to describe what is taking place in your photo:

The quality of the keywords you add is more important than the total number; focus on the most relevant, accurate, and descriptive terms to make sure customers can find your pictures. Read our Keyword Guide for more details.

A dotted line surrounding a keyword means that you need to be more specific. If you do not use a more specific keyword option, the term might not be searchable. Click on the keyword to select a better match:

9. Color: Select the color property of the image:

10. Copyright: Type your copyright (optional). This is typically your first and last name, and may be different from your credit line. Please do not put any other information in the copyright field. For specifics about copyright please read this article.

11. Red highlights will indicate a field that are missing information:

12. Click ‘Save’ (either at the bottom or top of page) to save the metadata that you have entered for the image(s):

13. Repeat step 1-12 of Applying Metadata for each of the remaining images in the submission.

Adding Releases • You will need to upload model and/or property releases for any images with recognizable people or property. See our Legal Resources page for more details. • Release files should be saved as either JPG, PDF or PNG. The maximum size is 10MB per release. First, you will upload all of the releases for your submission. Then, you will associate them to the matching images after they are uploaded. *indicates a required field. 1. Below the Keywords file, click ‘+ Upload new release’

2. Browse to locate the release file on your computer:

3. Select the Release Type*:

4. Select the Gender of the model: • If the release does not specify male or female and your model has filled out the ‘I identify as’ option, you can leave this field blank. • The gender you choose will have no impact--this data will not be attached to the asset or drive search, this is simply a workaround until our tools can support this new feature. You can add specific gender terminology to the keywords field in Step 8 of the ‘Adding Metadata’ section. Available gender terms for keywords are: Female, Male, Transgender, Transsexual, Intersex, Gender Fluid and Non-Binary Gender.

• Please note that model ethnicity is very valuable information on a model release that ESP does not capture at this time. This is a change from what you are used to seeing in the previous upload portal. Please make sure that models complete the ethnicity portion of the model release so that you can add the ethnicity to the keywords field. 5. Enter the Date of Birth* of the model (MM/DD/YYYY format). This data will not be attached to the asset or drive search. Model age(s) should be added to the keywords field.

6. Click ‘Add’ to complete the upload:

Now there will be a preview of the release file on the left side of the page. Repeat this process for any additional releases in your submission. 7. When you are done uploading releases click on the ‘Submission Batch: Getty Creative Image’ tab to return to the submission:

Associating Releases to Images • After your release files are uploaded, you will need to associate them to the corresponding image(s). 1. Click on an image that needs a release to select it (indicated by the black border):

2. Scroll down on the page to locate a list of all uploaded releases for the submission:

3. Check the box next to the release name to associate it to the selected image(s):

4. The release(s) with the check mark are now associated to the selected image(s). Repeat this process for any other images that need a release associated.

Submitting images • After adding metadata and releases to your image(s) you can submit them for review. • A green ‘go forward’ arrow

below the image thumbnail indicates that the image has all the necessary information and is ready to submit.

1. Select some or all of the images that are ready and click ‘Submit’ to send them to Getty Images editors for review:

2. A message window will open asking if you are ready to submit. Click ‘Yes’ or ‘No’:

3. There will now be a grey ‘tick’ check mark for editor review:

below the image thumbnail. This indicates that the image has successfully been submitted

4. When your images and metadata are ready, click control or shift-click to select them all and then click ‘Submit’. You will be able to submit individual images as you complete them, while still finishing others, or you can wait and submit all at once. Editors will be able to see the status of images within the batch, and will be able to access any that are ready for review. Please note that submissions will not be reviewed until all of the uploaded images are submitted. Unfinished submissions may be deleted after 90 days so plan to complete your submission within that time frame.

Image Status Key •

A green ‘go forward’ arrow indicates that the image has all the necessary information.



A red exclamation point indicates that the image file does not match the formats accepted by Getty Images. If you are unsure about accepted formats, contact us.



A grey checkmark indicates that the image has been successfully submitted for editor review.



A red ‘no sign’ indicates that the image is not ready for submission.



A green checkmark indicates that the image has been reviewed, accepted and successfully published to www.gettyimages.com.



A blue circular arrow symbol means that the image has been returned for revisions.



A red ‘x’ indicates that the image has been rejected.

Add a Note to a Submission • You can add a note to your submission that editors will see then they review your images. 1. Click ‘+ View/Edit note’ to expand the notes field.

2. Type the notes about your submission and click ‘Save note’:

Edit the Submission Name • You can change the Submission Name for your submission even after it has been created. 1. Click on the pencil icon next the current Submission Name:

2. A text box will open with the existing Submission Name. Delete the text and type the new Submission Name.

3. Once you click outside of the text box the change will be applied:

Using the Submission Dashboard • The submission dashboard (located under the +New Submission button) lets you see details about your current and past submissions. • ESP will not send you notifications about your submission, so you’ll need to check back on your submission to see accepts, rejects and if revisions are needed.

Locating a Submission • In the submission dashboard you can filter by the date a submission was created and sort by various other methods:

Navigating a Submission • Once you find the submission you are looking for, the blue status bar will show you how many images are reviewed, uploaded and submitted. If you click on the number of uploaded images, you can see details about the individual files in the submission:

Submission Status Key Your submission status can be in one of three states: • …………………….

- Submission is active in the edit queue. Changes can be made to images as long as the image remains in 'Awaiting Review' status. Editors will typically wait until all uploaded images are complete and submitted within a submission batch before doing their review.Submissions will remain active for 90 days after images were last submitted.

• •

- After 90 days, submissions are closed and you cannot edit or add any additional files to them. - There is an image(s) in your submission that needs to be revised. Editors have returned images suggesting image, metadata or release changes are required (see next step below)

Revision Status: If your submission status indicates ‘Needs Revision,’ click on the ‘Needs Revision’ icon to open the submission details:

Any image with a ‘Revise’ status means that an editor has requested corrections:

Click the blue Submission Name to open the submission and view notes about the image:

You’ll need to apply the requested changes and click ‘Submit’ to send the image(s) back to the editors for review. Submissions with images that are not revised after 90 days from the submit date will be changed to a status of ‘Closed’ and no further revisions can be made.

Other Image File Status Files can have the following Status: • Not Submitted: File is uploaded, but has not been submitted. Check that all the required metadata and/or releases are added and then submit.

• Awaiting Review: The file has been submitted and is in the queue to be reviewed by an editor.

• Accepted/Published: The file has been accepted by reviewer and successfully sent to Getty Images’ asset management system. It will be ooavailable on the website generally within 24-48 hours.

• Rejected: The file has been rejected by a reviewer. Open the submission to see reject notes

Find Images Online - File ID The File ID is the ESP reference ID for the image before it has been approved and the final asset number on Getty Images after it is approved. After your image(s) have been reviewed and accepted, the File ID becomes the Getty Images ID. You can click on this number to view the published image online. If you are having trouble with an image, please reference the File ID; this will help us troubleshoot the issue much faster.

Account Management During the interim transition period to ESP, users will STILL have to log into the previous Moment Upload Portal (https://contribute.gettyimages.com/producer/login) to access their account manager information.

Appendix A – Create Custom Metadata Templates • You can save the metadata from any image as a template and apply that to other images in the same submission OR later submissions. For example, if you commonly submit images of one location or subject you can save a template with key fields (title, country, keywords, copyright, etc.) pre-prepared. To create a template: 1. Fill in the desired metadata fields that you would like to apply to future images and click ‘Save as a Template’:

2. Name your template and click ‘Save’:

3. You can also check the box to set this template as the default metadata for future submissions. Then click ‘Save’:

Appendix B – Adding Metadata from a Template • You can apply metadata from a custom template (see Appendix A). This will apply previously saved metadata to selected image(s). 1. To apply a template, select the image(s) which you would like to apply the template to (Indicated by a black border around the thumbnail):

2. Click ‘Apply Template’:

3. A new tab will open. Select the template you would like to use:

4. A message box will open and give you the option to ‘Apply only to selected files’ or ‘Apply to all files.’ Choose one and click ‘Apply template’ or ‘Cancel’ to exit the templates:

5. The template has now been applied. Repeat steps 1-5 to apply any additional templates to other images in your submission.
