Bonus Point Booklet 2013-2014

Welcome to the AYA Bonus Point Program! What is the Bonus Point Program? Bonus Points can be redeemed for airline tickets, electronics, office equipment, and other incentives outlined in this brochure. Some Local Coordinators will use their points for useful items, such as a scanner, fax machine or printer. Others will save Bonus Points from year to year to take themselves (and even a companion) abroad – to Europe, South America or even Asia! The choice is yours. Bonus Points are awarded to placing LCs for their placements according to the schedule outlined in the LC contract. Generally, LCs earn more points for early placements than for late ones. AYA is proud to offer this wonderful incentive program. We encourage you to take advantage of it today!

What are the membership rules?

All Local Coordinators are automatically enrolled into the Bonus Point program when hired.

•

If a Local Coordinator voluntarily resigns or is terminated, Bonus Points become invalid upon the effective date of resignation/termination.

•

Bonus Points are non-transferable, not redeemable for cash and void if sold for cash or other consideration.

•

Bonus Points do not expire, unless Local Coordinator has been inactive for one or more years.

How are Bonus Points earned? Bonus Points are earned when a student is placed with a host family (please refer to current LC contract for details). Points are only acquired for placements for which all paperwork has been received by the AYA National Office within 30 days. Additional Bonus Points may be offered throughout the placement season at the discretion of AYA.

When do my Bonus Points become available? Will I receive Bonus Point statements? Bonus Points are typically posted in the AYA database within one month of the close of each placement season, i.e. January and October. Local Coordinators will receive Bonus Point statements twice a year following these posting dates. Contact the Field Staff Administrator, Erin Sesil to access your Bonus Point total as of the latest Bonus Point posting date. How can Bonus Points be used? This booklet lists dozens of exciting incentives a Local Coordinator can earn with Bonus Points! They include office equipment, electronics, recreational items, airline tickets, AYA’s annual National Meeting, the AYA Extension trip, and other trips and incentives offered throughout the year! To receive any of the above, a Local Coordinator must have the corresponding number of Bonus Points in his/her account. Points not yet posted cannot be used until the posting date and cannot be combined with cash for any travel or merchandise.

How do I redeem Bonus Points? Send your completed Bonus Point Redemption Form (see insert or download the form at www.academicyear.org) to Erin Sesil via fax: 203 399-5285 or email: [email protected]. We prefer these methods for faster processing. Please allow 4 to 6 weeks from receipt of request for items to be shipped. All items are non-refundable once shipped. When claiming a travel award, you must send your completed Bonus Point Redemption Form to AYA 60 days prior to your requested departure date.

Bonus Point Items: Terms and Conditions •

Allow up to six weeks from date AYA receives your request for all items to be received.

Local Coordinators can redeem a maximum of 250 Bonus Points in a calendar year.

All items are non-refundable once shipped.

AYA reserves the right to change brand names on all items at any time.

Items may be subject to price change at any time. If so, AYA will notify you of the difference in price before completing your order or deducting from your Bonus Point account.

Bonus Point Travel Airline Tickets If you have accrued the minimum number of Points, please review the Bonus Point Travel: Terms and Conditions and the Travel Redemption Procedures on page 7. Then, complete the Bonus Point Travel Request Form and return to the Field Staff Administrator for exact pricing. The form must be submitted a minimum of 60 days prior to desired date of departure. Ticket prices vary according to travel dates, availability and lead time for booking. Bonus Points are redeemable for coach/economy-class travel only. For domestic travel, we suggest the following major Departure/Arrival gateways. Other gateways are available for additional Bonus Points. Bonus Point Travel: Terms and Conditions •

The Local Coordinator may only redeem Bonus Points for travel for him or herself and immediate family members.

•

Reservations must be made by AYA. Travel requests must be submitted at least 60 days prior to requested departure date.

•

Upgrades are not allowed. Seat assignments and frequent flyer requests cannot be guaranteed by AYA.

•

There are no travel black-out dates, however, space is subject to availability and is limited during peak seasons.

•

Cancellation policies and penalty fees for Bonus Point trips vary. Please check with AYA office when booking.

•

It is the responsibility of the passenger to report lost or stolen tickets directly to the airline and to AYA.

•

Passengers should reconfirm flights by contacting the airline at least 72 hours prior to departure for international travel, 24 hours for domestic.

Travel Redemption Procedures •

After finalizing your travel plans, complete the enclosed Bonus Point Travel Redemption Form. This form must be completed accurately and entirely or your travel request will not be processed. AYA must have your travel requirements prior to booking.

Passenger names must be written as they appear on the travel document to be presented at the airport (passport, driver’s license, etc).

•

When booking international travel, passport numbers are required.

•

Include first and second choices for time and date of departure and arrival on your request form. If no time-of-day preference is indicated, we will choose the most cost-effective option.

•

Please allow 3 to 4 weeks for your request to process.

•

You will receive an email with itinerary prior to ticketing. The email will include an estimated cost in Bonus Points. No fare is guaranteed until ticketed.

•

When you receive an email with itinerary, please review and confirm within 24 hours to avoid unnecessary changes and cancellation fees. AYA will not issue any tickets until you confirm. Failure to confirm within 24 hours may result in fare increases due to re-booking fees. Please contact the Field Staff Administrator Erin Sesil if you have any questions regarding these policies.
