Weddings at Biltmore Frequently Asked Wedding Questions I want to come and view the property and wedding sites do I need to make an appointment? An appointment is required to ensure that you are able to gain access to the property and to meet with a Catering Sales Manager to discuss all the details necessary to make your special day run flawlessly as well as answer any questions that you may have. How do I schedule an appointment? We invite you to meet with a Catering Sales Manager. Please call us at 1-800-211-9804 to arrange a meeting. Appointments are taken Tuesday-Saturday and are on a first come first serve basis. We are also looking to host a Rehearsal Dinner and post-wedding brunch, can you handle these. If so, where? We have many different venues that can accommodate your wedding events. The size of your party will help to determine which locations would be the best fit. Once you have determined your wedding reception location a Catering Sales Manager will be able to assist you in finding the perfect locations for all your other events. What ceremony locations do you have? If I choose to have an outdoor ceremony what happens if it rains the day of the wedding? Each of our reception locations has its own ceremony location. We reserve inclement weather plans for all outdoor ceremony locations. How long do we have the reception room for? All timing is based upon your specific event. What is a wedding package per person cost? A per person cost is actually your menu cost which includes the open bar, menu specified selection (i.e. Buffet Reception, Seated Dinner, Station Reception), wedding cake, and a champagne toast. See sample menus for an example of traditional wedding packages. What is a facility fee? A facility fee is the cost for the use of a location - facility fee is in addition to the food and beverage minimum. What is included in my facility fee? A facility fee includes the necessary equipment for that location (i.e. tent, chairs, tables, basic linens, china, flatware, glassware etc). The facility fee includes both the ceremony and reception locations. What is not included in the wedding package per person price? The facility fee, state sales tax, a 22% taxable service charge, and vendors (i.e. photographer, florist, entertainment, officiate etc). October 2013

Are Children and Youth meals the same price as Adult meals? Youth (10-20 years old) is the same menu as adult, without the alcohol. We are pleased to offer a child friendly meal (9 years and under). Pricing varies based on menu selection. What is a Food and Beverage minimum? Every location has a food and beverage minimum that must be met. A food and beverage minimum is met exclusively through food and beverage prior to taxes and the taxable service charge. This is not an additional charge. It is made up of the menu selections cost multiplied by the number of guests (for example, 100 guests multiplied by $175.00 per person menu equals $17,500.00). The food and beverage minimum varies per location and day of the week. How do I hold a date? To begin, you must first contact us with a location and date in mind. From that point the Catering Sales Manager will send a Catering Sales Agreement, which you will have 10 days to sign and return with your initial deposit. What types of payments do you take? Biltmore accepts all major credit cards, checks and wire transfer. Do I need a wedding planner or coordinator? Biltmore requires a Professional Wedding Planner to assist with the ceremony rehearsal and/or the direction of the wedding ceremony for all locations except intimate weddings and Champagne Cellar. Biltmore does not provide this service. What is the schedule of payments? There are multiple deposits customized based on individual needs. The deposits will make up the total amount of the Facility Fee and the Food and Beverage Minimum. The initial deposit is due when you sign the contract. The deposit schedule will be outlined in the contract. The final deposit is due 14 days prior to your event date and is based on 100% of estimated total charges, less previous deposits. What is the cancellation policy? If the party cancels the contracted event, such decision would constitute a breach of its obligation to Biltmore, and Biltmore would be harmed. Should the event not be held at Biltmore, the party will pay to Biltmore, as liquidated damages, and not as a penalty, cancellation charges of 100% of all deposits on account. If I am out of state and worried about planning long distance, are you able to help me? Absolutely! Our catering managers will work with you through email, phone conversations and mail to make sure that all the details are covered. I have a specific theme that I would like to implement; can I customize my own wedding event? Our Catering Sales Managers can work with you to ensure that your wedding is customized to reflect your vision.

Do I have to use your vendors or can I bring in my own? We do have a recommended vendor list; however you are welcome to utilize vendors of your choice. We do strongly recommend using vendors that are familiar with all Biltmore policies and locations. Your Catering Sales Manager can elaborate. When do I get a vendor list? After you have signed a Catering Sales Manager contract and returned it with your deposit we will provide you with a list of preferred vendors that we would welcome you to contact and make arrangements with directly. You are not required to use a vendor from our vendor list; they are simply vendors we know and trust and would recommend to you. I have a lot of out of town guest, what is available on property to keep them busy? Biltmore offers many activities for your guests. We offer tours of Biltmore House, tours of the winery, walking and hiking trails, guided fly-fishing, swimming pool located at Inn on Biltmore, both selfguided and guided biking trails, rafting, horseback and carriage rides and Land Rover Experience Driving School. Food and Beverage Policies All food and beverage items purchased or consumed by attendees on the Estate must be supplied and prepared by the Estate. At least 7 business days before your event, you will need to inform your catering sales manager of the guaranteed attendance for all food and beverage functions. Do my guests need a ticket to get on property the day of my event? No, your guests will just need to reference your party name to gain access to the Estate. If I want to visit after booking my event, how do I get on Property? Please contact your Catering Sales Manager to have your name placed on the Gate List.
