We appreciate the work involved with organising camps and hope that this information booklet will assist you. Through careful planning and preparation your camp will run smoothly and safely. To assist with planning your camp, just follow this simple checklist. However, should you require any assistance, please give us a call 8.30am–5.30pm Monday–Friday.

7 easy steps to plan your stay with Urban Camp

Step 5: Urban Camp team will prepare your itinerary based on your choices.

Step 1: Phone the Urban Camp on 03 9328 2818 to check on availability, and book your group into the Camp.

Your itinerary will be booked and details sent to you.

Once availability has been confirmed, a booking application form will be forwarded to you. Urban Camp brings together the country and city in a unique camping experience. Nestled in Royal Park, Urban Camp provides a quiet and comfortable base to explore Melbourne’s cultural, educational and recreational attractions. With friendly staff and a supportive atmosphere, the Camp offers a haven for school, sporting and community groups visiting Melbourne.

Step 3: Review Urban an Camp programs and activities guide.

Step 2: Confirm the booking. In order to confirm your booking, we must receive the booking application form together with your deposit. Bookings are based on a first come, first-served basis. Please note the cancellation policy and conditions of hire on your booking application form.

Step 6: Email or fax dietary requirements and final group details to us. Urban Camp team will forward these forms one month before your camp. Once completed forms are returned to the Camp, your group’s sleeping plan will be allocated and sent to you one week prior to your camp. Step 7: Payment may be made on your last day of camp, or an invoice will be forwarded to you.

Urban Camp fact sheet

Arrivals and departures On arrival, please contact staff via the intercom located at the entrance. School groups should arrive no later than 4.30pm on their first day and depart no later than 10.00am on the last day. Leaders of incoming groups must check in with Urban Camp staff at the office reception on arrival. Urban Camp staff will deliver a camp briefing, emergency evacuation procedures and check groups into dormitories. If it is not possible for Urban Camp staff to address the group, then the group leader should convey the safety briefing to the campers according to Urban Camp staff directions.

Leaders’ responsibilities It is the responsibility of leaders to ensure that campers understand and follow Urban Camp rules and procedures. 1. Urban Camp recommends a ratio of one leader to ten campers (1:10).

4. On arrival, leaders must supply off site emergency contact details to campers.

13. It is important to note that prices/fees are subject to change.

5. Campers under 18 years of age must have appropriate parent/guardian consent for attendance at the camp.

14. If your group fails to visit a pre-booked venue, payment in full may still be required by your school.

6. Urban Camp Staff may lead an activity but the group leader is responsible for overall group supervision, safety and first aid. Urban Camp can provide written procedures for the Inner City High Rise, Vietnamese Footscray Market and Tullamarine Airport Tours.

15. Group or school leaders must confirm the suitability and expectations of the venues to be visited.

7. Group leaders are responsible for assembling the group at meal times. Breakfast is at 7.30am and dinner at 5.30pm. 8. The Camp’s illness and injury register must be filled out for all such incidents that may occur onsite. 9. Campers must adhere to sun safety strategies. 10. Campers under six years of age, and campers with sleep disorders or difficulties should not sleep on top bunks.

2. Group leaders are responsible for camper supervision at all times.

11. All day visiting members of the group must be advised of the campsite’s safety briefing and ‘General Conditions of Hire’.

3. On arrival at camp, leaders must provide staff with a list of camper names and campers’ completed health and medical record sheets.

12. It is the group or school leaders’ responsibility to negotiate payment with the activity venue.

Each venue your group visits will invoice your school directly and Urban Camp will invoice your group for accommodation and meals.

Leaders’ checklist

Travelling to the Urban Camp

• One month prior to camp, Urban Camp team will forward a form requesting dietary requirements (if needed), and a form requesting final group details. Please fax or email any special dietary needs on to the Camp.

If your school group is travelling by V/Line or Metlink to Southern Cross Station, camp representatives will meet your train or bus at Southern Cross Station to pickup or drop off your luggage to Urban Camp. Camp Catering

We strive to provide kid friendly meals and a friendly atmosphere in our spacious, modern dining facility located in a natural park setting.

Special dietary requirements Catering staff will try where possible to cater for vegetarians, coeliac/gluten free, diabetics, dairy intolerance and cultural/religious dietary requirements. Meals brought in for special dietary reasons must be handled by the group. A microwave is available. One month before your camp, Urban Camp staff will forward a form requesting dietary requirements for groups. Gluten free bread, gluten free pasta and diet jelly is available. Urban Camp also provides soy, full cream and low fat milk. Fresh fruit is available at all times.

Lunch: Groups bring their own lunch on the first day of camp. Lunches for the remaining days are pre-ordered and consist of freshly made sandwiches, biscuits and juice. Dinner: A two course, home style meal is cooked on site. A typical meal would consist of roast chicken and vegetables followed by chocolate mousse.

The refreshment area in the main dining hall has a continuous filtered water unit and everyone is encouraged to fill water bottles regularly. Each person should have a drink bottle for the duration of the camp. A six student duty group will be required 15 minutes before breakfast and dinner, to assist cateringg staff with settingg tables.

Damage and loss

All vehicle parking is strictly at the owner’s risk and only in designated car parks.

All breakages and losses to Urban Camp property or equipment must be reported to Urban Camp staff.

Alcohol

Urban Camp takes no responsibility for the loss or damages of personal property on site.

Urban Camp is committed to ensuring as little impact on the environment as possible. This commitment includes aims to improve sustainability in its water, energy and waste management. Urban Camp is situated within the Royal Parklands. All plants and trees must be treated with respect.

Care and common sense should be taken throughout the campsite. Group leaders are asked to remind their group to respect each other and other groups, personal property and the environment. All loud noise should cease by 11.00pm. For health reasons, food and drink must not be consumed in the dormitories.

Group leader/s are reminded that they owe a legal duty of care to their students during the entire period of the camp or excursion. The consumption of alcohol on camps or excursions is inconsistent with standards of professional conduct necessary to maintain community confidence.

Daily duties Urban Camp must be maintained in a clean condition by the campers. All teachers/leaders are asked to encourage groups to keep the Camp clean and to take care of the Camp environment. Catered groups must provide a duty group to set and clear tables for each meal.

Smoke free environment

Terminating the occupancy

All buildings and the courtyard at Urban Camp are designated smoke free zones.

Urban Camp reserves the right to terminate the occupancy without notice for breach of the ‘General Conditions for Hire’. Urban Camp staff are empowered to take action as necessary for the wellbeing of all who choose to stay at Urban Camp.

Emergency procedures

On arriving at the Camp please familiarise yourself and the people in your group with the location of first aid kits and exits in the building.

It is required that at least one adult in each group should have a current First Aid Certificate.

Fire fighting equipment

Fire emergency procedure

Extinguishers, fire hoses and smoke detectors are vital and are located around the site. These should not be tampered with or removed. Negligent behaviour will be at your cost.

1. In case of a fire, alert your leader and/ or nearby persons. A warning signal and announcement will be broadcast throughout the Camp when a fire has been detected.

• Remove other campers from the area and look after them until the situation is resolved.

First aid

3. Assemble on the lawn area opposite the URBAN CAMP sign at the front of the camp.

Emergency procedures are posted in the main dining room, beside the phone in the foyer and each staff dormitory. A copy of the relevant emergency procedures are also in the Camp ‘User’s Guide’ found in each leader’s room. Please note: Urban Camp staff members do not sleep on site.

The Camp first aid kits are located in the hall, office, kitchen and camp vans. It is recommended that each group bring their own first aid kit to suit their specific group’s needs.
