Introduction Visendo SMTP Extender is a small POP3 Server. It monitors a drop folder where the IISSMTP-server drops its received emails, qualifies these emails according to certain rules and forwards them to the sub-folder for the corresponding email account. From there the emails can be processed via POP3 by any standard email client (Outlook, Windows Mail, EudoraMail, Thunderbird etc.).

Visendo SMTP Extender is available as a free Community Edition with some limitations (not more than 10 single accounts, no domain accounts, …), and as Plus Edition. This document describes the Plus Edition.

1. Activate and configure the IIS SMTP Server A POP3 server only provides already received emails for further processing with email clients. For the actual sending and receiving of emails you need an SMTP Server. One simple solution is the SMTP server included in Windows 2008/2011 Servers. Here is a short description on how to activate and configure this feature. Note: The Community Edition can only process emails from the built-in Windows IIS SMTP Server. The Plus Edition can also process other email header fields, therefore it can be used also with other SMTP servers.

Open the Server Manager and activate the Feature „SMTP Server“ (this automatically includes the Role „Web Server (IIS)“).

Open the old IIS Management Console 6.0 (!) (unfortunately, these changes cannot be made in IIS 7), and make sure that the SMTP Server is started.

Via “Properties” you can configure some additional details. For most scenarios, the standard settings are fine, but be aware that the standard settings allow all authenticated machines to relay over the SMTP server.

Add the domain for which you want to receive emails. Choose “Alias Domain”.

Note: For a successful installation, in some cases it is not sufficient to merely start the installation as a user with administrator rights – the following workaround makes sure the installation is definitely running with elevated rights. Start a command prompt with “right click” – “Run as administrator”. Navigate to the path of the installation package and start it from the command line.

After a new installation, always check for new updates – it is possible that some of the newest updates have not been included in the setup-package yet.

3. Configuration Note: After a configuration change, always remember to save and to restart the service. Start the administration GUI.

Create a new account by clicking on „New Account“.

For a single account, provide email address and password as usual (Note: In the email client (e.g. Outlook), the email address will be used as “user name”).

In a domain account (only Plus edition), all email addresses for a domain are processed. Here, you only provide domain and password (similar to the single account, in the email client this domain will be used as “user name”).

You can change the account folder where the emails for this account will be saved before they are pulled by the email client. You can also choose whether to use this account as „postmaster“. The postmaster is a central administrator account for general notifications and error messages. Later, you can also specify that emails with invalid recipients will be forwarded to the postmaster.

3.2 Service

On the start page of the admin GUI you can start or stop the service (Note: The service can only be started after you have configured at least one account).

Additional settings can be made via the Windows services console. The service runs under the name „Visendo SMTP Extender Service 2010“.

3.3 Advanced Under tab „Advanced Settings“ you can provide some additional settings: Change the port if you don’t want to use the standard POP3 port 110. Your IP address is detected automatically, but if you use multiple network cards, you can choose the IP you want to use.

Specify that only recently added email files will be processed, i.e. files older than a certain number of days/hours will be ignored. Change the path where the configuration file and the log files will be saved.

Specify whether the program should write log data, and how detailed the data should be.

If your email process requires specific email header fields to be processed, you can specify them at tab „Email Header Fields“. If necessary, you can also define custom header fields. You can also define how the SMTP Extender should proceed when it encounters emails with invalid receivers or emails that cannot be allocated to a known account in the SMTP server’s drop folder. Such emails can be -

ignored (i.e. left in the drop folder)

moved to the sub-folder „BadEmails“ within the drop folder

3.4 License and Updates 3.4.1 License

The Community Edition is freely available. The Plus Edition is available as 30 day limited version. You can purchase the program directly with us per email to [email protected] or via our Online Shop. On purchase, you receive a license key per email, with which you can upgrade your program. The standard method is „HTTP Request“. If for some reason you cannot connect to our registration server from your machine, you can also request an offline key via our website, and upgrade the program with the alternative registration method “Email (Offline)”.

3.4.2 Updates

We constantly try to improve our products and provide new features. The current version of your program is visible in the header line of the admin GUI or in the menu “Info”. In menu „Update“ you can search and install new updates for your product version. You can have the program search for new updates automatically. In addition, you can choose to -

notify the postmaster per email when new updates are found

download new updates automatically (update files are saved in the installation directory (standard path C:\Programme\ppedv\VisendoSMTPExtender) in the folder ”updates”.

3.4.2.1 Rollback On installation of an update, the file type of the old file is renamed to .old, and the new file is copied in its place. Thus, if there are any problems after an update, you can always easily roll back to the previous version.

4. Troubleshooting and Support 4.1 Log files

The program is capable of writing extensive logs. Log files are saved in the configuration directory in the folder „Logs“. You can change the path in menu “Advanced”. There, you can also specify how detailed the logs should be.

4.2 Support Report The support report automatically packs configuration and log files and sends them per email to [email protected]. Please make sure that the log function is activated beforehand.
