Using Folders to Organize Your Research WestlawNext Canada helps you organize and manage your research by storing your documents and text snippets into folders. Case law and legislation documents that are added to folders will always reflect the current state of the law. Folders and any linked documents remain indefinitely and documents can be re-accessed from folders without incurring additional suggested chargeback values for up to one year (except Legal Memos, which can be reaccessed five times only). The folder that is displayed on the right side of the home page and at the top of all other pages is called the current folder. Select the folder to display its contents. To change the current folder, select the current folder and then select the Change Folder icon ( ). The Change Folder dialog box is displayed. Select the folder that you want as the new active folder and select OK. To save selected text (snippets) into your current folder, highlight the text you want to save and choose Save to… from the pop-up menu (Figure 1). To save documents from a result list, select the checkboxes next to the documents you want to save and select the Save to Folder icon. Select the folder into which you want to save the documents and select Save. Tip: You can also drag and drop the document onto the folder icon.

Viewing Saved Documents and Text Snippets To view the documents and snippets you have saved into your current folder, select the current folder. To view documents/snippets saved in other folders, select Folders at the top of the page and then select the name of the folder containing the documents (Figure 2).

When viewing the items in a folder on the Folders page, you can filter the items by item type or content type. In the Narrow section on the left side, select the appropriate checkbox under Type or Content Type (Figure 3). You can also keyword search the documents in a folder. Enter the terms into the Search within results text box and select Search.

Managing Folders On the Folders page, select New to create a new folder or select Options to perform one of the following tasks (Figure 4): • • • • •

Copy or move a folder Rename a folder Delete a folder Export documents from a folder Share a folder

To create a new folder, do one of the following: •



Select Folders at the top of any page. The Folders page is displayed. Select New in the left pane. The New Folder dialog box is displayed. Enter the name of the folder into the Folder Name text box, select a location for the new folder, and select OK. While viewing a document or a result list, select the Save to Folder icon, and then select New Folder. Enter the name of the folder into the Folder Name text box, select a location for the folder, and select OK.

The current folder is the folder that is displayed on the right side of the Home page and at the top of all other pages.

To move or copy a folder to a different folder, select the folder you want to move or copy. Then complete these steps: 1. Choose Move or Copy from the Options menu. The Move Folder or Copy Folder dialog box is displayed. 2. Select the folder to which you want to move or copy. 3. Select Move or Copy. Renaming a Folder

To rename a folder, select the folder you want to rename and choose Rename from the Options menu. The Rename Folder dialog box is displayed. Enter the new name for the folder into the Folder Name field and select OK. Deleting a Folder

You cannot delete a folder if it is the active folder. To delete other folders, select the folder you want to delete and choose Delete from the Options menu. The Delete Folder dialog box is displayed. Select OK to delete the folder. Note: All items in the folder, including subfolders, are deleted when you delete a folder. Deleting an Item in a Folder

To delete a document or a snippet from your active folder, select the folder. Then select the checkboxes next to the items you want to delete and select the Delete icon ( ). To delete documents or snippets from another folder, access the Folders page and select the folder. A list of all items in the folder is displayed in the right column. Select the checkboxes next to the items you want to delete and select the Delete icon.

Exporting Documents from a Folder

To export documents from a folder to a file on your computer, follow these steps: 1. On the Folders page, choose Export from the Options menu. The Export dialog box is displayed. 2. Select the checkboxes next to the folders from which you want to export documents and select Next. 3. Choose one of the following options from the What to Deliver section in the Export dialog box (Figure 6): •

List of Folder Contents to download a list of the documents into a folder



Documents to download the full text of the documents into a folder



Documents and Annotations to download the full text of all documents with their annotations (where applicable)

4. Choose a format from the Format drop-down list. 5. If you chose Documents or Documents with Annotations in the What to Deliver section, choose A Single Merged File or Multiple Files (zip) from the As drop-down list. 6. Select the Layout and Limits tab, if available, and select the checkboxes for the elements you want to include in the documents, e.g., KeyCite treatment. 7. Select the Content to Append tab, if available, and select the checkboxes for the content you want to append to the documents, e.g., Legal Memoranda/Points of Law. 8. Select Export and then Download. 9. Select Open or Save.
