Tutorial 3 – Using PowerPoint Exercise 1 Creating a Presentation In 2006, the Parks and Recreation Department plans to build 3 new swimming pools. The total of this project is $1.2 million. However, the department does not have enough money to build the new pools. You have been asked to create a presentation that will be used to inform people about the benefits and costs of the projects.

Starting (Launching) PowerPoint

+ Enter your User Name and Password, and log in to your computer + Click “START” button, select Microsoft Office, and PowerPoint. + Select File menu, New, Templates (On my computer) The screen should look like this…

Edit Contents of Presentation • Using AutoContent Wizard, select Marketing Plan as the type of presentation, and select On-screen Presentation. Enter “Westwood Parks and Recreation” in the Presentation Title text box and enter your name in the Footer text box. •

In Outline view change the name in slide 1 (e.g. AMC student) to Your Name.

• In Outline view change the title of slide 2 to “New Pools” and replace the sample bulleted text with the following: Bullet 1: Why do we need three? Demoted Bullet 1: Population growth Demoted Bullet 2: School programs Demoted Bullet 3: Summer program (Delete the figure in slide 2) • Change the title of slide 3 to “Presentation Overview” and replace the sample bulleted text with the following:

Switch to Slide Sorter view and delete slides 8 through 17.



Switch to Normal View and increase the size of your name on slide 1.



Add the current date and slide number to all slides except the title slide.



Run the slide show (to make a presentation).



Save the presentation as “Pool Project – Your Name”.



Try to learn how to print the slides as handouts (three per page) and the outline.



Close the presentation.

Exercise 2 Enhancement of a Presentation

In this exercise, you will practice the following in order to enhance your presentation. ¾ ¾ ¾ ¾

Opening a blank presentation (selecting a design template) Copying slides from one presentation to another Drawing objects Adding animation in your presentation.

Select Blank Presentation, then click OK button.

Copy Slides from the Other Presentation • • • •

Open the “Westwood Parks and Recreation” presentation (e.g. file name is Pool Project – Your Name) you created in Exercise 1. Click “Slide Sorter View”. Select all slides of the “Westwood Parks and Recreation” presentation, copy them and paste them into your new presentation. Save the new presentation as “Pool Project – Your Nam 02”.

Delete Slide 1. Display the presentation in the Normal View

Draw Objects • •

Using Drawing Tools to draw an object in your presentation (e.g. a map of locations in slide 4). Save all changes in your presentation.

Adding Animation in a Presentation • •

Begin by starting PowerPoint Open the file “Pool Project – Your Name 02”

(Note that you do not need to do these two steps if your presentation named “Pool Project – Your Name 02” is opened). •

In the Normal View, move to slide 3 by clicking on the slide 3 icon in the left margin.



Click on Slide Show | Custom Animation menu selection. On the Custom Animation dialog, click the text 2 box in the slide. Click the mouse to the down arrow in the Add Effect button (on the right). Point your mouse to Entrance. The screen should look like this…

Click the mouse on the down arrow in the “Text 2: Where…” on the right. Select Effect Options... Put gray in the After animation box. The screen should look like this…

Set up the rest of the dialog as shown in the following illustration. Click OK button you will see the effect. Click the Slide Show view. Use the mouse clicks to see the animation effects. When the second slide appears, notice how each point dims as a new one is introduced. Remember that you can also hide these points depending on how the Custom Animation dialog is adjusted. Save the changes in your presentation.

Task In order to attract the attention of your audience, you may try to add sound (by clicking Insert | Movies and Sound) or play sound (by clicking right mouse and Action Settings). You may also try to work with Colors and Transitions (Hints: Format | Background or Slide Color Scheme, Slide Show | Slide Transition).
