RULES AND REGULATIONS Tulsa Hispanic Chamber Expo & Career Fair 2015 On behalf of ______________________________________, I agree to abide by all rules and regulations outlined in the below agreement. Name of Organization____________________________________________________ These rules and regulations are intended set forth certain standards of conduct of exhibitors and standards pertaining to the rental of and utilization of exhibit space in the Exposition to be held on August 8th, 2015. The signature of the representative of the exhibiting firm on this document indicates the agreement of the exhibitor to comply with the Exposition regulations, instructions and conditions set forth below. It is the responsibility of the exhibiting firm to see that all company representatives attending the exposition are familiar with these rules and regulations. This document must be signed and submitted along with the Application and Contract for Exhibit Space in order for it to be considered by Show Management. Definition The words “Show Management” as used herein refer to The Greater Oklahoma City Hispanic Chamber of Commerce. Exposition Site and Time The Exposition will be held on August 4, 2012 at Crossroads Mall, Oklahoma City, OK. Show Management reserves the right to make changes in the exhibit hours and date; however, any such changes will be made known as far in advance of the Exposition as possible and exhibitors will be notified accordingly. Please refer to “Show Information” for schedule. Contract for Space The Application and Contract for Exhibit Space shall be considered a binding contract between the two parties and subject to the rules and regulations as set forth in this contract when it is submitted with full payment and accepted in writing by Show Management. By submitting an application for exhibit space, the exhibitor releases Show Management from any and all liabilities to exhibitor, its agents, licensees, or employees that may arise or be asserted as a result of submission of an application or of participation in this Exposition. Payment & Cancellation The exhibiting company agrees to pay the published exhibit fee once the application has been submitted and accepted by Show Management. Cancellations must be made in writing. All cancellations made on or before June 15, 2012 will be eligible for a refund less $50.00 processing fee (per booth). There will be no refunds after June 15, 2012.
Confirmation Upon acceptance of your exhibit application, the contact person named at the top of the form will receive a confirmation letter providing your booth assignment and other conference details. This official contact person is responsible for providing company representatives and booth personnel with time schedules and other pertinent information. Booth Assignment Booth Assignments will be made based on the date the application is received, on a firstcome, first-served basis. Show Management has the right to approve/disapprove applications, to assign an exhibit space and to approve all demonstrations, exhibits or promotions to be presented at Viva Oklahoma Hispanic Chamber Expo 2012. Installation/Dismantle Please refer to “Show Information” for hours. Boxes, storage crates and trash must be removed from the exhibitor’s space to maintain a professional appearance prior to the beginning of show. No packing or dismantling of exhibits will be permitted prior to the official closing of the exhibition. Any infraction of this rule will jeopardize the exhibitor’s participation in future Hispanic Chamber of Commerce events. NOTE: Children under the age of 18 are prohibited from the Exhibit Hall during installation and dismantle. Exhibitor Registration All persons working in the exhibit area must be registered as exhibit staff and must be at least 18 years of age. No one will be admitted to the hospitality area without an identification card. Identification cards will be issued at the registration desk, the day of the Exhibit. Staffing of Exhibit All exhibits must be installed during the time designated. Each exhibitor is required to keep at least one attendant in its booth during all show hours. Use of Space Exhibitors’ promotional activities are confined to the actual space purchased. No Exhibitor will be permitted to display or distribute literature outside the confines of the assigned booth space in the Exposition area. Show Management also reserves the right to remove at the exhibitor cost, any merchandise deemed by show management as not suitable for display at Viva Expo 2012. Deadline for Booth Registration and purchase of Meal Tickets is July 20, 2012. No Booth Registration or Meal Tickets will be available at the event.
Character of Exhibit Show Management reserves the right to restrict or prohibit exhibits which, because of noise, method of operation, or any other reason, are objectionable or otherwise detract from or are out of keeping with the character of the Exposition as a whole. Show Management may prohibit installation or request removal or discontinuance of any exhibitor or promotion which, if continued departs substantially from exhibitor’s preapproved design and description. No animals are allowed on the exhibit floor. Conduct of Exhibitor’s Employees Exhibitor’s employees whether full, part-time or temporary personnel shall conduct themselves in an ethical manner at all times. Unethical behavior may result in loss of privilege to exhibit in or attend future events sponsored by The Greater Oklahoma City Hispanic Chamber of Commerce. Show Management may also ask any persons deemed to be acting in an obstructive manner, or inappropriately dressed for the day’s activities to leave the exhibit floor. Smoking is prohibited at the event. Liability and Insurance Exhibitors agree to protect, save, and hold Show Management, Tulsa Event Center and all agents and employees thereof (collectively called indemnities) forever harmless for any damages or charges imposed for violations of any law or ordinance, whether occasioned by the negligence of the exhibitors or holding under the exhibitors. Show Management will not be liable for damage or loss to any exhibitor’s properties through theft, fire, accident or any other cause whether the result of negligence or otherwise. The Exhibitor shall indemnify Show Management against, and hold it harmless from any complaints, suits or liabilities resulting from negligence of the Exhibitor in connection with the Exhibitor’s use of display space. It is recommended that exhibitors insure their exhibit and display materials. Fire Protection All display material must be flameproof. No flammable fluids or substances may be used or shown in the exhibit hall except for the purpose of food heating or preparation and shall meet all fire codes. Performance of Music and Licenses Exhibits that include the operation of musical equipment, radios, sound motion picture equipment, public address systems or any noise-making machines must be operated so that the resulting noise will not annoy or disturb adjacent exhibitors and their patrons and must be approved by Show Management. Speakers and other sound devices should be positioned so as to direct sound into the booth rather than into the aisle. Demonstration areas must be organized within the exhibitor’s space so as not to interfere with any aisle traffic. Should spectators of a demonstration interfere with normal traffic flow in the aisles, Show Management will require that the demonstration cease.
Souvenirs and Samples Distribution of souvenirs and samples is permitted provided there is no interference with other exhibits. Show Management may withhold or withdraw permission to distribute souvenirs, advertising or any other material it considers objectionable. Storage Exhibitors may store a limited supply of literature or product appropriately within the booth area, so long as these items do not impede access to utility services, create a safety problem or look unsightly. Care of Property Exhibitors are liable for any damage caused by fastening signs, displays or other fixtures to the building floors, pillars, or walls. The use of thumbtacks, tape, nails, screws, bolts, or tools or materials that could mark the floors or walls is prohibited. Any damage to facility property caused by the carelessness of an exhibitor, its employees or agents, must be paid for by the exhibitor causing such damages. Food & Beverage Any food or beverages to be given away at exhibit booths must be approved by Event Management. Other Matters All matters and questions not covered by the contract for exhibit space or these rules and regulations are subject to the decision of Show Management.
