1 The Relativity appliance installation The Relativity appliance is a standalone server with a Relativity environment already installed on it. The appliance is available as a desktop tower or rack-mountable server. You connect the appliance to your network with a basic network cable and then access Relativity, which you can use to create workspaces and conduct document review projects in the same manner as organizations with traditional Relativity setups. As an out-of-the-box solution, the appliance removes any need for you to adhere to the normal Relativity system requirements. Once you install the appliance, all you need to do is turn it on and log in to Relativity.

1.1 Pre-installation requirements Before installing the appliance, a kCura Infrastructure Engineering (kIE) representative will get your contact information from the sales department and schedule a call with you, during which they'll record the following pieces of information. kIE will keep this information throughout your ownership of the appliance and use it during eventual upgrades and troubleshooting.

1.1.1 Form factor selection Before installing the appliance, specify whether you intend to use a tower or rack configuration. Note: The Relativity appliance is a heavy device that requires at least two people to move. If you opt for rack mounting, the appliance takes up 5U.

1.1.2 Security certificates Before installing the appliance, specify which https method you intend to use: n

Client installed - you install your own certificate with the help of a kIE representative. This is recommended. Group policy - you apply group policies on end user devices or you edit local settings on trusted devices. No https - you use only http when accessing Relativity, in which case data is not encrypted. This is not recommended.

1.1.3 Custom logo Before installing the appliance, specify whether or not you intend to use any custom logos. If so, you need to also specify any image requirements you have.

1.1.4 Network options The Relativity appliance makes use of up to three distinct networks:

Management - for the management of the chassis, the two physical servers, and the switch in the appliance. This network requires one physical connection to your management network. Public - for the web interface of Relativity and two management virtual machines. This network requires two physical connections to your LAN or DMZ. Internal - used internally between virtual machines and is not directly available externally. The address space used for this is 10.137.137.33 / 255.255.255.224. Make sure to inform a kIE representative if this range conflicts with the range you're currently using.

Before installing the appliance, specify whether you intend to use DHCP or static IP addresses. If you select static IP addresses, you need to provide information for the management and public network configurations in the following sections. This information is not required if you select DHCP.

1.1.4.1 Management network If you selected the static option, provide the following management network IP addresses: n n n n

RA-CMC-01 (the main chassis controller) RA-iDRAC-01 (iDRAC for out-of-band management of the first blade server) RA-iDRAC-02 (iDRAC for out-of-band management of the second blade server) Switch

1.1.4.2 Public network If you selected the static option, provide the following public network IP addresses: n n n n

RA-MGMT-01 (Windows-based management virtual machine 1) RA-MGMT-02 (Windows-based management virtual machine 2) Relativity (web server) RA-File-01 (Relativity file server and backup source)

1.1.5 SMTP setup Before installing the appliance, specify whether you intend to use kCura's SMTP server or your organization's SMTP relay. If you opt for your SMTP relay, you need to provide kIE with an IP address and, if authentication is required, a user name and password.

1.1.6 Ports Make sure that the following ports remain open: n n

443 - for alerting and remote access. 25 - for email alerts to kCura, Relativity password resets, and account creation alerts.

1.2 Installing the Relativity appliance When you install the Relativity appliance, you do so with the guidance of a kIE representative. If installing the appliance as a rack mount, you should also get assistance from your organization’s IT department.

The following steps depict a basic appliance installation. You may need to adjust these according to your specific setup. A kIE representative will assist you in adjusting these steps as you prepare to install:

To complete a basic installation of the Relativity appliance: 1. Connect the top two ethernet ports to management network. If there is no management network, connect these ports to the internal LAN. 2. Connect the bottom ethernet port to the internal LAN. 3. Connect cables to two different power circuits, if available. 4. Turn on the main power and wait roughly five minutes. 5. Turn power on to the two blades.

Once you establish your network connections, you can use the Relativity appliance to log in to Relativity. You can access Relativity through the https link to yourRelativity environment, for example, https://relativity.client.corp. The other option is to use the IP address provided for the webserver, for example https://###.###.###.###/relativity.

1.2.1 Upgrading the appliance All upgrades of Relativity on the appliance are performed remotely by kCura's Client Services department. You simply contact [email protected] and provide a maintenance window with the date and time at which you'd like to upgrade. When using the appliance, you're required to stay within one version of the most current version of Relativity. This means that if you're currently running Relativity 8.2 on the appliance and Relativity 8.3 is released, you aren't required to upgrade to 8.3 right away, although you can. When Relativity 8.4 is released, however, you must upgrade to either Relativity 8.2 or 8.3 within 30 days of the release of 8.4.

1.3 Security We recommend running Relativity on the appliance using SSL (HTTPS). Relativity on the appliance uses SSL by default, and kCura provides assistance with SSL configuration as part of the appliance setup. Although you have the option to run Relativity on the appliance without SSL, using only HTTP, this configuration is not secure and therefore not recommended without other security measures in place. Regardless of your mode, there are no security guarantees for any computer system, and we recommend that you consult your organization’s IT professionals and software security consultants throughout the installation process.

1.3.1 Editing a host file to use Relativity via server name In order to access Relativity via https://relativity, you need to edit the host file on the user’s desktop to include the IP of the Relativity web server. To do this, perform the following steps: Note: Make sure not to accidentally erase any information from the host of your local machine, and always make a copy of the host file before editing it. 1. On the local machine, navigate to the host file in the directory named C:\Windows\System32\drivers\etc and locate the file named "hosts." 2. Double-click the hosts file and open it in notepad.

3. In the open hosts file, add the external IP of the web server that was given to it by your administration, either static or DHCP. Include the Relativity web server name, which for the appliance is "Relativity," as displayed below. The IP address in this example is 192.162.15.165.

1.3.2 Trusting a self-signed certificate The SSL certificate that is associated with the Relativity website you access through the appliance is a self-signed SSL certificate.

As such, when accessing Relativity, users may see a page displaying that there is a problem with the website’s security. With a self-signed certificate, browsers may indicate that there is a problem with the website's certificate when navigating to the website via HTTPS. This is due to the fact that the certificate was not issued by a trusted major certificate authority.

In order to prevent this message from displaying to users when they access Relativity through HTTPS, you need to trust the certificate. To do this, perform the following steps: 1. Click Continue to this website (not recommended) to go to the Relativity login page. 2. On the Relativity login page, click Certificate error on the right side of the address bar. On the Untrusted Certificate dialog, click View Certificates.

3. In the Certificates window, select Install Certificate.

4. For the Store Location, select Local Machine and click Next.

5. In the Certificate Store section, select Place all certificates in the following store and click Next.

6. In the certificate store list, select Trusted Root Certification Authority and click OK.

7. Ensure that the Certificate Store field reflects the store you selected and click Next.

8. Click Finish to complete the certificate import.

9. Close out of IE and re-open IE to log back into Relativity.

1.4 Capacity The Relativity appliance default configuration supports up to 100 named users and up to two processing workers. Note: The Relativity appliance supports Relativity workspaces containing up to one million records each. You can access workspaces containing more than a million records, but you may experience performance degradation.

In total, the Relativity appliance supports 5 TB of file data. Based on typical workspaces, this is roughly equal to approximately 15 million records in total.

This means you can use the Relativity appliance to access any combination of workspaces totaling up to 15 million records or 5 TB of file data, as long as those workspaces are at or below 1 million records each. For example, you can access 15 one-million-record workspaces or 30 half-millionrecord workspaces, and so on.

1.5 Managing backups and data Use the information in this section as guidelines when backing up and managing your data. Relativity production data types fall into the following categories: n

The appliance includes two SQL Server virtual machines. Each instance has the following SQL Server Jobs enabled:

Job history is set to be retained for 90 days

SQL Server backups are retained for two weeks at \\RA-File-01\SQLBackups. This share is on the E Drive, which is part of a RAID array that is separate from all other data on the appliance. You should back up all files in this directory to a different location on a regular basis, similar to the other \\RAFile-01\ shares listed below. The following data is not automatically backed up by default. Your team should back up this data. n

Files (natives and images)

n

Larger Relativity installations can potentially hold millions of these files. The storage unit housing these files includes RAID and redundant controllers. You need to decide what backup solution works best for your team. o \\RA-FILE-01\FileShare Search indexes (dtSearch and Analytics) o

These can be rebuilt since index settings are stored in the database; however, the rebuild process may take days depending on the amount of data in the indexes. \\RA-FILE-01\dtSearchIndexes \\RA-FILE-01\CAindexes \\RA-FILE-01\FileShare\Processing Source Location

Note: The RelativityGuest account is meant for backing up data in a location outside the appliance. This account has read permissions to the file shares and write permissions to allow for direct copy data imports.

Consider the following factors when scheduling backup jobs: n n n

Your maintenance window The size of your data The maximum data loss you can tolerate

1.6 Setting up processing If you intend to use Relativity processing in your workspace, make sure to place the container files you eventually want to process in the Processing Source Location share. To do this, connect to the \\RA-File-01\Processing Source Location share using the RelativityGuest account from a machine that has network access to the appliance. For more information on Relativity processing, see the Processing User Guide.

1.7 Support If a hardware failure occurs in the Relativity appliance, the system automatically sends kCura a failure notification. For other questions and issues related to the appliance, contact Client Services at [email protected]. Client Services will be able to direct you to a kIE representative.
