Google Reference Sheet Initial Setup of Outlook 2007 with IMAP Concept This process document describes the settings that must be made in the Outlook email client in order for it to download CWRU Google Mail through an IMAP server. The directions in this document are intended for users who are setting up Outlook for the first time. For directions on how to update your existing Outlook client to download from CWRU Google Mail instead of iPlanet, please see the process document called Editing Settings in Outlook from iPlanet to Google. Procedure Use this process to set up your Outlook account for the first time with your CWRU Google Mail account. The first step is to go to your web browser (in this example, Internet Explorer) and set your Google webmail to use IMAP.

Step 1.

Action After you have provisioned your account to Google, open your internet browser and go to http://webmail.case.edu. Log in with your CWRU ID and your Google password.

Action Your Google webmail will open. Click on the Settings link on the top right.

The Settings page opens. Click on the Forwarding and POP/IMAP link.

The Forwarding and POP/IMAP page appears. In the section titled IMAP Access, click the Enable IMAP radio button. If in the future you need to disable your IMAP access to Google, you will choose the Disable IMAP radio button.

Click the Save Changes button. Now you can set up your Outlook client to use IMAP with your Google mail.

Action Click on the Labs link on the Settings page.

Scroll to the Advanced IMAP Controls section and Click the Enable button.

Action You are returned to your CWRU Google Mail inbox. Click on the Settings link.

The System Labels section appears. Find the All Mail label.

In the All Mail label row, uncheck the Show in IMAP checkbox.

Find the Spam label.

In the Spam label row, check the Show in IMAP checkbox.

Open your Outlook client on your computer. If you have not set up Outlook you will see the Wizard. Continue through the Wizard for setup and skip to step 9 to continue. Click the Tools menu.

The Add New E-mail Account window opens. It will default to the Microsoft Exchange, POP3, IMAP, or HTTP radio button. Click the Next > button.

Enter your name as you would like it to appear in your Inboxes into the Your Name: field.

Enter your CWRU Network ID and "@case.edu" into the Email Address: field.

Click the Manually configure server settings or additional server types checkbox.

The Choose E-mail Service window opens. Click the Internet E-mail radio button.

The Internet E-mail Settings window opens. Enter your Name as you want it to appear in your email in the Your Name: field.

Enter your CWRU email address in the E-mail Address: field.

In the Account Type dropdown, click the IMAP list item.

In the Incoming mail server: field, enter "imap.gmail.com".

Enter "smtp.cwru.edu" into the Outgoing mail server (SMTP): field.

Enter your CWRU Network ID and "@case.edu" into the User Name: field.

Enter the password you entered when you set up Google as your email account (see Provisioning to Google Apps) into the Password: field.

Click the Remember password checkbox.

Click the Test Account Settings ... button if you would like to make sure that Outlook can send and receive mail. The Test Account Settings window will open.

The Test Account Settings window opens to show you its progress. If it is successful you will see a green checkmark next to the tasks. If it is not successful you will see a red X next to those tasks that were not completed. To view the errors click on the Errors tab on the Test Account Settings window.

Click the Close button on the Test Account Settings window.

Click the More Settings ... button in the Change E-mail Account window.

The Internet E-mail Settings window will open. Click the General tab.

Enter the name by which you want to refer to this account. For example, enter "Work" in the first field.

Click the Outgoing Server tab.

Click the My outgoing server (SMTP) requires authentication checkbox.

Click the Log on using radio button.

Enter your user ID in the User Name: field.

Enter your CWRU Net ID password in the Password: field.

Enter "993" into the Incoming server (IMAP): field.

Click the SSL list item in the Use the following type of encrypted connection: dropdown list.

Enter "25" into the Outgoing server (SMTP): field.
