When booking a new survey the user can view the appointment diary to find out which surveyor is closest to that address and when there is availability. When a suitable time is arranged an automated email or SMS confirmation can be sent to the customer and surveyor to confirm the booking. A quote can be quickly raised using the various user defined templates and then printed or emailed directly to the client formatted with your company’s letterhead along with your terms and conditions in PDF format. Our quotations allow for any number of additional services and if required can be shown in different currencies.

The unique drag-and-drop resource allocation system in MoveMan Pro makes managing vehicles and staff an easy task even over multiple sites. The system helps you maintain employee and vehicle records and you can easily review the vehicle and employee use.

One of the great features of MoveMan Pro, that will save you lots of time, is our storage system. For each storage record, containers can be allocated based on their availability then invoiced when they are due, without having to keep track of due dates, client names and storage rates. The system does this all for you, just set up the time period that you want to bill for and MoveMan Pro takes it from there. MoveMan Pro includes data capture for the Management Information System which provides detailed analysis of information such as the source of enquiry and success rates. Key information is also available like the success probabliilty for a new quotation as it is created, provide key data to assist with the pricing. Having Sage Developer status enables client details, invoices and payments to be sent directly to Sage. MoveMan Pro can also link to other accounting systems.

With the Commercial Movers Module for MoveMan Pro each client can have specific rates entered for each type of vehicle and employee. For the employee rates the ability to enter different rates based upon a weekday, evening, Friday, Saturday or Sunday shift is available. The facility is also available to enter a standard set of rates that apply company wide and assign these to all clients whilst still having the ability to enter specific rates for particular clients or contracts where necessary. By using the rate information at the quote stage, it is possible to enter the required resources on the quotation and thereby automatically detail the charge based on these rates and the allocated resources. The ability to inform the client of the charges at different levels of detail is available; full information with rate per hour, total per resource type, total per day or total per project. Once a job is completed the rates can be used to charge the client for the actual time. This again uses the rates set for the client and an option on the level of detail provided on the invoice can be altered depending upon the client’s needs.

An essential part of crate hire is the ability to control and easily invoice for extended crate hire. The crate hire module provides an easy way to manage crate hire contracts.

Rates can be set for an unlimited number of crate types and altered for each specific contract as required. Standard collection and delivery charges can be set on a per contract basis. Movements made by the user can specify the period of free hire (if any). Additionally if there will always be a minimum charge of 1 week applied to a contract then this can be specified. Every movement can be emailed to the client as a confirmation when it is entered. When a movement is made the system calculates if it is still within the free hire period, in which case no charge will be made, else the correct charge will automatically be calculated. Keeping track of international removals can be a difficult and a highly administration intensive task. The International Movers Module aims to alleviate these problems and provide a one-stop administrative solution that integrates with MoveMan Pro. The agents system facilitates the creation of a database of approved agents that can be used on international removals. The system includes the ability to apply a star rating against each agent and the rates that the agent charges. You can select what group memberships they have and you can send out rate requests by email. Once a job has been added to MoveMan Pro you use the comprehensive shipping area to record the origin, destination, consolidation and shipping agents as well as recording all the necessary shipping vessels, container numbers and airway bill numbers. All this information is in one central place so that any member of staff can answer a client’s enquiry quickly. Another great feature of the International module is the Manifest selector. This allows you the freedom to allocate European and International jobs to

vehicles for road-trains or shipping containers for deep-sea consolidation based on their volume. When a container is full MoveMan will tell you, but it also lets you allocate for return jobs allowing you to get the most efficient operation out of your vehicles. The International Movers Module provides a quick and simple way to raise and control trade quotes using the new IntelliRate system. All that is needed is to enter a name, select the origin and destination countries, the trade quote is then ready to be created based on your rates for the origin and destination. The trade quote can then be converted to a job and invoice using the normal MoveMan Pro processes. The International Movers Module also provides the rate request system. When new quotes are being created automated rate requests can be emailed to selected agents showing the information on which they need to quote. This can significantly speed up your quotation production process.

Once the survey is finished the customer signs directly onto the screen to confirm that they are happy with the survey and the signature is stored permanently on the survey. Along side this is the extensive reporting facility allowing you to produce survey reports by room, by condition, by mode or by service. Translated versions of the survey can also be printed. You can also print off a list of just the materials that are required for the crew to take with them on the day. When a unique or priceless item has to be recorded on a survey special consideration has to be taken for any existing damage. The SelfStorageMan system can be used as an additional module or standalone to the main MoveMan Pro system. It provides all the functionality a self-storage facility requires. The system caters for multiple sites and/or multi-level facilities. At the initial enquiry stage the direct link to postcode software provides an easy way to fill in the client’s address. A photograph of the client can also be recorded for enhanced security. The self-storage licence agreement can be produced automatically from the rates that are recorded for the requested unit size but can be amended specifically for the client. When the licence agreement is produced a map showing the location of the unit is also printed for the client, saving you the time explaining where their unit is located. If applicable an available unit can then be reserved for the client. Once the client is booked in, the facility map is automatically updated so you can see at a glance the colour coded status for each unit. The colour coding indicates if the unit is free, occupied, a bad debt, reserved or becoming available. Moving the mouse cursor over each unit displays the unit size and status clicking on the unit displays the full record for that unit.

The quick access unit lists gives fast access to review the different sizes of units and drill-down to show how many are occupied, free or reserved. Invoicing is a key element to the self-storage process and this has been made as simple as possible to administer. The invoicing period can be set on each individual self-storage record options available include; weekly, 4 weekly, monthly, quarterly and annually. The system checks if the record requires a new invoice to be produced based on its last invoiced date. All of the required invoices are then compiled detailing to the client the period for which they are being invoiced. Each invoiced self-storage record is updated to reflect the newly created invoice and the invoices can then be batch printed or emailed. SelfStorageMan includes a link to the PTI access control system to automate the process of access, alarm activation and lock-out for bad debts. The Link to Sage Line 50 range provides the sales ledger functionality and the credit limit set within Sage determines the bad debt status on the facility map. Links are available with reduced functionality for MYOB, Access, Pegasus & many others.

The Trade Storage Module provides additional functionality over the standard storage package in MoveMan Pro. The module provides the ability to group together storage records for one client. Typically this is used for a trade storage facility where the client is one removal company but the ability to track their individual clients is required. The system is also useful when storing for large corporate companies where the ability to invoice to separate departments or cost centres is required. The module is designed to work with container or pallet numbers but there is the facility to use any description for the items being stored, this can be per item or an area of floor space. All that has to be done is note any changes in the number of items or area and the date this change occurred. The system also varies from the standard storage system in the way that it calculates the invoices. As the system is designed to work with many movements each day, the invoice total is only calculated at the end of the required storage period and is worked out on the maximum number of containers or items in store for each day.

This provides the most accurate invoicing possible. An added advantage of this process is that until the point of invoicing any number of alterations to the storage record can be made. When using container numbers the ability to record a detailed inventory within that container is provided. The inventory contains information such as the item description, part or barcode number, manufacturer, colour etc… It is also possible to mark individual items as having been removed and produce printed or emailed reports of the updated inventory for the client. We can also provide bespoke web applications to allow access to the storage data for your clients. Projects we have undertaken include full order processing systems for ordering from store for a major international bank and storage image systems to view items in store via fast pop up windows.
