OVERVIEW OF THE TeacherVUE SOFTWARE The TeacherVUE software gives teachers the ability to manage all aspects of their classes. Using TeacherVUE, the teachers perform basic, daily tasks, such as: • • • • •

Take attendance Enter lunch counts Communicate directly with students and parents Refer a student for special services Leave detailed instructions for substitute teachers.

This manual reviews all the functionality available in TeacherVUE. Your district manages which features are available to their teachers and related security settings. Reference: The companion manual to the User Guide, Synergy SIS – TeacherVUE Administrator Guide, illustrates how to setup and configure the TeacherVUE software. Throughout this manual, we use the following terms to describe features and locations within TeacherVUE.

LOGGING INTO TEACHERVUE You can log into TeacherVUE several different ways. How you access TeacherVUE depends on your role.

Logging in as a Teacher 1. On your district’s Synergy SIS home page, enter your login name and password.

2. Click Login. TeacherVUE opens and displays the announcements.

Logging in as an Administrator with TeacherVUE Access 1. On your district’s Synergy SIS home page, enter your login name and password.

Logging in as a Substitute 1. On your district’s Synergy SIS home page, click the Substitute Teacher Login link. The screen updates with substitute login options.

2. Select the School Name and Teacher Name for which you are substitute teaching. 3. Enter the Password given to you by the district office. 4. Click Login. TeacherVUE opens and displays the announcements and the default seating chart for the selected class or group. 5. Click Close.

Changing Your Password To change your password: 1. Select Change Password from the Home menu. The Change Password screen displays. 2. Enter your Current Password and the new password in the New Password and Confirm Password fields. 3. Click Save. Your password is changed and a confirmation message displays.

VIEWING ANNOUNCEMENTS The system displays the District and School-wide announcements each time you log in to the TeacherVUE software. To review the announcements after you have closed the screen: 1. Select Announcements from the Home menu. The District and School Announcements screen displays.

SELECTING THE CLASS DISPLAYED By default, TeacherVUE opens to your current class. Once signed in, you can select another class or group assigned to you. 1. On the TeacherVUE home screen: •

Select the focus menu.



Select your name link.

SEATING CHARTS OVERVIEW When you open TeacherVUE for the first time, the system displays a seating chart for the current class arranged in a grid that is in alphabetical order by last name. You can edit this seating chart or create a new one that reflects the layout of your room. Note: In secondary schools, students that are TAs are highlighted in yellow.

There are different types of charts available: •

Grid – Use to arrange students in a specific order such as how they are seated in the classroom or alphabetical order.

Freeform – Use to arrange students in students in any manner, such as study groups.

Templates – Use to create a layout of the classroom furniture that does not change from one class period to the next.

CREATING A SEATING CHART TEMPLATE Create a seating chart template to represent the layout of the room. 1. Hover over Charts and select Templates. 2. Click Templates. 3. Select an option:

To create a new template: a. Click New Template. b. Enter a Name. c. Go to step 4.



To view an existing template: a. Select an Available Template. b. Click View Template.



To edit an existing template: a. Select an Available Template. b. Click View Template. c. Click Edit. d. Go to step 4.

5. Drag and drop Student Seating, Room Features, and Furniture to reflect the furniture arrangement in the classroom:

CREATING A NEW SEATING CHART Create seating charts by copying an existing seating chart or starting with a blank chart. Teachers can create multiple seating charts. The students can be displayed in a grid or freeform. Freeform charts may use an existing template. To create a new chart: 1. On the TeacherVUE home screen, hover over Charts. The seating chart options display.

2. Select the type of chart to create: •

Add Grid – A blank grid chart displays with a list of students.

3. (Optional) Click Copy to create a copy of the selected chart.  4. (Optional) Edit the seating chart name.  5. Select the Seating Chart Configuration options.

Set the location of the Front of Classroom.  The front of the classroom is displayed on the seating chart.



Use the slide bars to set the Seating Chart Dimensions or the Grid Size. 

6. Arrange the students in the seating chart using one of the following methods:  •

Drag and Drop: 

Unassigned students - Drag an individual from the Unassigned Students list and drop them anywhere in the seating chart.

Assigned students - Drag an individual student from their current spot and drop them anywhere in the seating chart Tip: On the Freeform seating chart, use to lock students in their location and the to move the student to the unassigned list.



Sort - Sort the current students by name.



Randomize – Place the current students in random order.



Fill Alpha – the system places all the students in the seating chart in alphabetical order.



Fill Random – the system places all the students in the seating chart in random order. Tip: On the Grid seating chart, hide the configuration options by clicking the arrow.  a. Student Fill Order - On the Freeform seating chart, select the fill order for the students. 

USING STUDENT NICKNAMES Record student nicknames or preferred names to have them display on the seating chart. 1. Select Student Nicknames from the Home menu. The Student Nicknames screen displays.

2. Enter the students’ nicknames. 3. Click Save & Return. The Home screen seating chart displays. Tip: Select Nickname from the Student Name Format drop-down list to display nicknames on the seating chart.

PRONUNCIATION OF STUDENT’S NAME You can listen to the pronunciation of the student’s name. The parent or student records the student’s name using ParentVUE or StudentVUE mobile apps. If a recording of the student’s name is available, the

icon displays below the student’s image.

ATTENDANCE NOTIFICATION When you log into TeacherVUE, the system alerts you need to take attendance by highlighting the Attendance button in yellow. Districts may choose to take: • •

Positive attendance, marking students who are present Negative attendance to mark students who are not present such as absent or tardy

TAKING ATTENDANCE BY CHART 1. On the TeacherVUE home screen, hover over Attendance. The attendance options display.

2. Click Chart. The Taking Attendance screen displays.

3. If the class requires both morning and afternoon attendance, select the appropriate setting.

4. Click on a student to toggle through attendance reasons. The color-coded and abbreviated reason code displays and the student’s name appears under Reason Types. Notes: Districts may take negative and/or positive attendance. • For negative attendance, mark students who are absent or tardy. All unmarked students are considered present. • For positive attendance, mark students who are present. • For both negative and positive attendance, mark each student appropriately.

5. Click Save. The TeacherVUE Home screen displays and the Attendance button displays a green checkmark indicating that attendance was taken today.

TAKING ATTENDANCE BY LIST Note: To test attendance functionality, prior to the start date of the school, staff may log into TeacherVUE and take attendance using List for the first day of school. 1. On the TeacherVUE home screen, hover over Attendance. The attendance options display. 2. Click List. The Taking Attendance screen displays.

3. Select the appropriate date.

Notes: • Depending on your district settings, you may be allowed to record attendance for past and future days. • Change how the dates are displayed by selecting Ascending or Descending under Attendance List Configuration>Calendar Display Order.

4. Click the field for the student under the correct date to toggle through the attendance reasons. VIEWING A STUDENT’S DAILY ATTENDANCE RECORD ELEMENTARY 1. On the Home screen seating chart, select a student. The student detail options display.

2. Select Daily Attendance. The student’s daily attendance record displays. This information is read only. •

The Days of Activity tab lists the days the student has an absence code recorded.

The Totals tab displays the student’s total number for each absence reason and type.

The Letters tab lists the letters the system has sent regarding the student’s absences. For each letter, the following displays: 

Letter Name - The type of letter



Threshold Achieved - The number of absences needed to reach the threshold for generating the letter.



Date Achieved - The date on which the threshold was met.

OVERVIEW Depending on your district’s settings, you may be able to take lunch counts for your class or record your students’ participation in a Universal Breakfast program.

TAKING LUNCH COUNTS When you log into TeacherVUE, the system alerts you need to take lunch counts by highlighting the Lunch Counts button in yellow.

1. Click Lunch Counts. The Taking Lunch Counts screen displays. There are two methods that may be selected for your school. 2. Enter the lunch counts: •

RECORDING UNIVERSAL BREAKFAST Universal Breakfast is any program that offers free breakfast to all students, regardless of economic status. TeacherVUE enables teachers to note which students are taking advantage of Universal Breakfast. This information can then be used for planning future food purchases, or to track program participation against student performance and attendance data. The district must enable this feature. 1. Select Universal Breakfast from the Home menu. The Universal Breakfast screen displays.

SENDING MESSAGES You can send a message from TeacherVUE to: • •

Your assigned classes and groups and their parents. An individual student and their parents.

The system has an option to send the message to the parents of record. Pressing the Send button: • •

Posts the messages in ParentVUE/StudentVUE for the selected recipients. Sends an email to the selected recipients.

Formatting Messages This section describes the formatting window used to create messages.

Pastes as Word - Inserts text copied from Microsoft Word and allows you to edit the text to remove erroneous HTML code that Microsoft Word inserts. a.

USING NOTES ABOUT STUDENTS You can view, add, edit, and delete notes for a specific student. The note is accessible by any teacher in whose class the student is enrolled, unless the note is marked as private. Note: All notes about students entered in TeacherVUE are also available within Synergy SIS on the Notes tab of the Student screen. Student notes are specific to the school year.

CREATING AN INCIDENT REFERRAL Teachers enter discipline incidents in the Incident Referral screen within TeacherVUE. The system forwards the referral to the appropriate staff member to handle and resolve with the student. 1. Select Incident Referral from the Home menu. The Incident Referral screen displays. 2. Enter the Discipline Incident Data. The Date and Time fields default to the current date and time.

4. Select the Students Involved. The system displays students currently in your class. If the students involved are not in your class, use the search option.

REFERRING A STUDENT FOR SPECIAL EDUCATION ASSISTANCE If your district uses Synergy SE, you can use the Request for Assistance screen to refer a student for Special Education evaluation and determination of eligibility directly from TeacherVUE. Once you save the request, the system transfers the data to the GENAZ 01 Referral Document in Synergy SE. The special education team can then edit the information as necessary. 1.
