Summary of Panhellenic Executive Board Positions President: The Panhellenic President maintains the overall responsibility for the operations of the Panhellenic Executive Board as well as the seventeen sororities comprised of 4,100 women involved in and around the campus. She calls and presides over all meetings of the Panhellenic Executive Board and the Council. The Panhellenic President reports regularly to the Panhellenic Advisor and the Greek Life Director as well as the National Panhellenic Conference Area Advisor. She acts as an official representative of the Panhellenic Council, while serving as a student leader on the Student Life Advisory Council and the Dean of Students Advisory Board. Aside from these boards, she serves as the representative of Panhellenic for any community need. The President overall keeps close relations with the chapter presidents to maintain a solid relationship. Overall, she represents the Panhellenic Council in its entirety in performing all of the duties pertaining to her office. Vice President of Administration: The Vice President of Administration works very closely with the Delegates and Assistant Delegates on the Council and oversees the activities and initiatives of the Council. The Vice President Administration is responsible for the training of the delegates on the council and for keeping up with the responsibilities of delegates. Any delegation issues or concerns are handled through the Vice President Administration. Throughout the entire year she oversees the activities of four committees: Campus Involvement, Community Service, Junior Panhellenic and Scholarship. The Vice President of Administration will work extensively with the Committee Heads from these committees and meet with them regularly. In addition, she will work very closely with the New Member

Educators from each of the sororities. The Vice President of Administration will meet with them in the Spring semester to coordinate Bid Day themes and prepare for the New Member Education programs. She outlines Bid Day guidelines with them during Recruitment and reviews the New Member Education programs in the Fall. Vice President of Recruitment: The Vice President of Recruitment is in charge of the planning and execution of Panhellenic Recruitment in the Fall. She hosts a series of workshops for Recruitment Chairs and Presidents during the Spring semester. She organizes the Spring Recruitment Retreat with the Vice President of Recruitment Counselors. The Vice President of Recruitment works closely with the Recruitment Chairs and the Gamma Chi’s to educate them on the rules and ensure that everyone is on the same page. She approves budgets, philanthropy videos, house tour t-shirts, and music lists. She is in charge of the recruitment email and answers emails year-round from Recruitment Chairs, Potential New Members, parents, and alumni. The Vice President of Recruitment works with the Panhellenic Advisor to plan food, bus schedules, the Potential New Member tshirt design, and other miscellaneous tasks. Throughout Recruitment her responsibilities include planning the Executive Board work week, two Fall workshops, ICS training, working with the Vice President of Recruitment Counselors on the Gamma Chi work week, and managing schedules and issues as they arise throughout the two week process. A vital part of the job is building positive relationships between the Recruitment Chairs and the Panhellenic Executive Board as well as answering any questions they may have as they prepare for Recruitment. Public Relations Director: The Public Relations Director deals with the media aspects of Panhellenic. The position’s main task is putting together “The Pointer,” the Council’s publication for Potential New Members about the Recruitment process. This consists of getting pictures and any other pertinent information from each sorority to make appropriate edits. It is a project that takes a few months, so it is important to begin right after elections. The planning and crafting takes place during the Spring semester, and is published by May. Throughout the year, the Public Relations Director must frequently use social media (Twitter and Instagram) to promote positive Panhellenic events and accomplishments, connect the chapters with each other, and to make the council more accessible to the rest of Greek Life. The Director of Public Relations is also responsible for creating the monthly “In the Know,” managing the website and blog, updating the Facebook page, and making monthly calendars of all sorority events. She must interact frequently with the Social Chairs and Philanthropy Chairs in order to get event dates. It is crucial to make sure that all philanthropy events are advertised at weekly Council meetings and that as many Panhellenic Executive Board members as possible can go to show support. During Recruitment the Public Relations Director does not have set jobs, but is responsible for aiding the Vice President of Recruitment and the Vice President of Recruitment Counselors in any way possible. Director of Chapter Relations: The Director of Chapter Relations is responsible for maintaining happy and healthy chapter relations in our Council. This begins with coordinating the Panhellenic Executive Board’s participation/attendance at all sorority philanthropy events. In February, she will plan and lead a Risk Management Seminar for the Presidents and Risk Management Chairs/Social Chairs of each sorority. The Programming Committee Heads report to her concerning the two Internal Programming and Sister Sorority events, as well as, New Member Day

and Leadership Day in the Fall. During the summer and Recruitment, the Judicial Board Director is in charge of processing all violations, which involves filling out the appropriate paperwork and holding mediations if need be. In the Fall she also coordinates and facilitates position specific roundtable discussions for leaders within each of the sororities Executive Boards. Vice President of Recruitment Counselors: Vice President of Recruitment Counselors: clearly the best position ever. In a nutshell, she is responsible for training the Gamma Chi’s. Right after slating, the Vice President of Recruitment Counselors spearheads the Gamma Chi application process, which includes organizing materials for interviews and reviewing applications. After the two-part interview application process ends, she'll hold monthly meetings in January, March, and April. The Vice President of Recruitment Counselors will also coordinate a Recruitment Retreat in February and will work with the Vice President of Recruitment to plan the retreat's schedule, lodging, and curriculum. Most importantly, though, she is in charge of the pre-recruitment Gamma Chi workweek in August. She plans and executes the schedule and training throughout the week. Once Recruitment starts, the Vice President of Recruitment Counselor's job is very reactive to whatever the Gamma Chi’s need. Director of Finance and Correspondence: The Director of Finance and Correspondence documents and keeps record of the minutes at each Council meeting and Panhellenic Executive Board meeting. She creates the agenda for each Council meeting as well as takes attendance at these meetings. The Director of Finance and Correspondence sends out completed minutes within 24 hours of the Council meeting, sends reminders about Council meetings, contacts sororities about hosting Panhellenic meetings at their houses, compiles chapter contact information for the Panhellenic Executive Board, maintains the budget for each Panhellenic Executive Board

member, maintains the Council budget, collects each sorority’s Panhellenic dues, and provides receipts to the respective chapters. She also plans a luncheon prior to Recruitment for the House Directors. During Recruitment, the Director of Finance and Correspondence does not have set jobs, but is responsible for aiding the Vice President of Recruitment and the Vice President of Recruitment Counselors in any way possible. Overall, she performs the clerical and operational duties that allow the Panhellenic Executive Board to run smoothly on a daily basis.
