Welcome to Academia Your decision to take up residence at Academia means you have just joined a unique village of friends. Academia is a vibrant, diverse urban community of 955 students and everything we do is aimed at promoting the core values of Honour, Excellence, Respect and Kinship.

This Information Booklet should provide you with what you need to know before you arrive, and to understand a little more about what to expect.

We also offer you a few tips on what to bring to help you settle in to res, varsity life, Stellies and the most stunning surrounds. We highly recommend that you purchase the social packages to ensure you don’t miss out on any of the social events for the year.

For starters, it has a map of the entire Academia residence clearly indicating the four houses; Boschendal, Mostertsdrift, Saxenhof and Weltevreden. These houses will become a very important part of your life at Academia. It introduces some of the key people at Academia; from resident head Oom Schalk to the four house committees and new

The Welcoming Programme Each year the varsity organises various events to introduce newcomers to student life, and these are compulsory for all First Years. The theme for the 2015 welcoming programme is Challenge Accepted. Academia’s welcoming programme runs parallel to the University’s orientation from the evening of Wednesday 21 January to Saturday 31 January. In addition to getting to know each other and what residence life is all about, it will help you understand how the university works, where the various faculty buildings are and how the library and associated services function. This is so that once the academic year starts, you’ll be able to get down to work without frustrating and time-wasting admin hindrances. It also helps integrate you into the new system of university, allowing you to start the year with friends made and a good understanding of what you can expect from your time on Stellies campus.

The first interaction between the new first-year students and the house leaders will take place on the evening of 21 January, but those not able to check in by then can join the programme on 22 January. Parents are invited to attend a presentation by the Academia Leadership Circle on 22 January from 20h00 to 21h00 in the large hall on the Academia campus.

Wednesday 21 January Don’t be nervous about the welcoming programme. It’s loads of fun and a fantastic opportunity to meet people and make new friends. Giving your all during welcoming and being optimistic about all the events will only make it more enjoyable. And the weather is great at that time of the year in Stellenbosch, so don’t forget to bring comfortable clothing – shorts, slops, old clothes, a hat or cap, and sunscreen.

It’s about learning to live within a diverse society that’s managed through values, rather than rules.

The Academia Social Package On your check in into Academia on 21 January we offer you the opportunity to buy a social package which gives you tickets to all of Academia’s big social events at a fantastic one-off price of R875. There are only 300 tickets available and can only be purchased on your arrival at Academia by EFT, credit card, cheque or cash. The package includes tickets for the house dance, Huisfonds dance, Mr & Ms Aca and First Years’ dance, a rugby season ticket and a Varsity Cup t-shirt which you will be able to wear to support our Maties rugby team. We highly recommend the social package as it places all the events together, ensuring you are able to attend and it gives you all the events at a cheaper price than buying the tickets individually.  

Some important items to note The First Years’ Clothing Package is compulsory for all first years On behalf of the Academia Leadership finance team, we would like to thank you for choosing what we like to believe is the best residence on campus. Yes that’s right the best. We look forward to meeting you early next year. Academia, during the welcoming period, is rather busy and filled with loads of activities. Many of these cross over between the University and Academia. After changing our leadership structure last year, we now have different houses and each house has its own colour. So it’s really important that first year students purchase the clothing as it is used during the

welcoming period to distinguish Academia from other campus residences. The clothing package consists of a Academia shirt, a house shirt, Mad2 shirt, Aca cap and a strap bag and is at a cost of R620. The Clothing package must be paid separately from tuition and/or residence fees for administrative reasons. Clothing packages are available from the Academia office at registration, and can be paid for at collection. Payment options for the clothing package only: 1. First Years’ Dance

For first years’ only, this dance is a black-tie formal event for couples, full of dancing and great memories. We set up a beautiful hall to a specific theme, offer a delicious two-course meal and hire a DJ to cater to all your musical needs.

Huisfonsdans

The Huisfonsdans is a themed event hosted every year to raise funds for the House Dance. Students are encouraged to support this event, which offers the chance to dress up, socialise and raise funds. It’s a lot more casual then the other dances and offers an evening full of fun events.

All you need to know about Academia Social Events

House Dance

The Academia House Dance is the biggest event on the social calendar where every Academia resident is invited. It is a formal, themed event hosted on a wine farm, accompanied by plenty of dancing, food and wine.

Mr & Miss Aca

This year we will have a giant fashion show where judges look for two candidates to represent Academia. We ask companies to sponsor clothes and provide a runway for our models to show us what they’ve got. A fun event for everyone to watch and we encourage participation – the more competition the better the show!

The Sêr

Forget about Idols, Stellies has its own in the shape of the Sêr - an Acapella singing competition that’s loads of fun. This time round we plan to have both a men’s and women’s group participating. You are encouraged to start practicing when you’re in the shower so that you bring your best voices with you in January!

Straatbraai

The straatbraai is the final event on the Welcoming Programme and will be hosted by Academia. It’s going to be a great jol with local bands, radio stations and DJs performing live with indoor and outdoor dance floors. You can braai your own – there’ll be fires available – or buy ready-made boerie rolls.

Things to bring

Apart from all the usual things you need to bring to make your time at res comfortable, there are some additional items we ask you to pack to ensure you make the most of the Welcoming Programme.

11 things every First Year HAS to do •











Visit a wine farm – you will be living among some of the finest farms in the world, take advantage of that opportunity. Hike Coetzenburg Mountain – Stellies is arguably one of the most picturesque universities to be found anywhere, use some of your time to explore these beautiful surrounds. Visit the Jonkershoek Waterfall – the 11 000ha Jonkershoek Nature Reserve is on your doorstep, a nobrainer to do this one! Eat a cupcake at Birdcage – if you think you even have an inkling of a sweet tooth, this is a must-do. Eat a manouche at Man’ouche – with four stars on Tripadvisor need we say more? Taste some yummy artisanal Belgian chocolates at BeBe – getting the picture on the Stellies food thing!











Visit the Route 44 and Slow Market – open Saturdays and Sundays, this is one of the regions finest food and craft markets. Stopover at the Stellenbosch Botanical Gardens – admission is free and it’s the oldest botanical garden in South Africa, and it’s right on your doorstep. Watch Ser – this a Capella singing competition is world-class and not to be missed. Back your boytjies and watch a Varsity Cup rugby game – Stellies is home to the largest rugby club in the world and have won the coveted Varsity Cup title three times. Visit House Le Roux for some bubbly, artisanal marshmallows and meringues – who thought the French could lay sole claim to the finest, our MCC is delicious.

Canned food The Humanitarian, Environmental and Global Committee collects canned food to donate to communities around Stellenbosch. We ask that each First Year brings at least two cans of food for a good cause. Food First Years are not allowed to leave Academia without supervision during the welcoming period. This is a lockdown period to ensure that everyone participates in all the activities. You need to make sure you bring groceries to last you until Saturday 31 January. There is a shop in Academia where you can buy basics, if those cupboards start looking bare. Specific clothing In addition to your normal wardrobe, please bring some old clothes as we will be doing things like painting trollies and dancing. Also remember to pack some comfortable walking shoes and your swimming costume. For the ‘Vensters’ production, women will need to wear a white shirt and shorts or a skirt, and the men, a white vest or shirt. Sunblock Stellies is superhot at this time of year and we spend a lot of time adventuring around campus. Don’t forget to bring tons of sunblock and, more importantly, to use it! And of course, lots of gees The Welcome Programme is the perfect time to get your university career off to a flying start. It’s when you make your first group of new friends and start to settle into your new life. So bring all your enthusiasm and gees to make the most of this period and to ensure that you quickly become an integral member of the Academia family. You will only experience this programme once, so be prepared to give it your best! [pics for all above]

It’s also about giving back In addition to the tinned food drive we reach out to the surrounding communities through several other programmes, consider becoming part of one of these. Maties Gemeenskap Diens, or MGD Academia is involved in this great programme which was run at Klapmuts Primary School just outside Stellenbosch. It’s a programme that is fun and informative for the children as well as the volunteers and is a great way for those lucky enough to be attending a great institution like the University of Stellenbosch to give something back to those less fortunate. and in 2015 we will be launching a sustainability committee. Once you have spent time in as beautiful place as Stellenbosch you will realise that we are so privileged. The Mentorship Programme For all the fun and socialising that will happen at university it’s important to remember that you are coming for one over-arching important objective: to secure a good tertiary qualification. To that end we at Academia place a premium on personal, academic and career success. Consequently, we would like to assist and offer support as you start your academic career. On arrival at Academia you will, together with a group of other first-years, be allocated a mentor who will act as your source of support during this exciting time in your life. The mentor will always be there, sharing dreams, expectations and goals with you. These mentors will not only be around you during the welcoming period supporting you, but also become one of your best friends. You will have a mentor session almost weekly to ensure that you stay on the right path and grow as much in all the positive aspects of your life.

You will also be challenged to bring new ideas and think creatively as you become one of the next generation.

There’s also incredible pride and honour in Stellenbosch University, and being surrounded by fellow students also experiencing that is amazing. And then, of course, getting a degree at such a respectable university is also important. Your favourite memory of your first year? Our last Vensters performance. All the Academia First Years got on the stage and performed the most fun-filled performance of all time, despite the fact that about 350 people occupied a stage designed for 100!

Something every Maties student should try at least once? Get involved with community service. Many people see this as a punishment for some reason, but once you’ve started, it’s difficult to stop. The experience of helping those in need, and hearing their stories, is unforgettable. The best meal in Stellenbosch? When your family visits and brings a meal from home! What’s one thing that every person should try and live by? Always look back. In order to improve and move forward, you must look back and reflect on what you’ve done in the past.

On a family trip we drove through Victoria Street, with all the students walking around on the road lined with trees. Since then I always imagined my student life would be like that. The best meal in Stellenbosch? The best quick meals can be found at the Neelsie for a good price; the best burger is at Ryneveld 5; a great pizza is at La’romantica. What’s one thing that every person should try and live by? Failure lies in giving up. The most certain way to succeed is to try just one more time.

Coming from an international background, having lived in Swaziland all my life, I wanted to reconnect with my South African identity. The added bonus is that Stellenbosch is beautiful and one of the best universities in the country. Your favourite memory of your first year? This Code of Conduct is compiled in co-operation with the University of Stellenbosch to ensure a safe, orderly and pleasant living environment, which in turn is conducive to academic success. Residents acknowledge that Academia is situated upon property belonging to the University of Stellenbosch and that the provisions of the “Disciplinary Code for students of Stellenbosch University (rule 2.11)” which refer to ‘on or in the vicinity’ of the University, also applies to the Academia Development including non US students. All illegal substances, drugs or controlled chemicals are strictly prohibited on the Development and residents who not comply with this provision will face legal and disciplinary action.









Residents must attend Block and House Meetings organised by the Leadership Circle. If a resident is unable to do so, he/she must formally excuse himself/herself to the relevant Leader, prior to the meeting with valid reasons to not attend. In the absence of a formal excuse the normal disciplinary procedure will be followed. The tampering with, damaging of or unlawful use of any fire equipment within the Unit or within a Block is strictly prohibited by law and punishable by means of a fine or, imprisonment. Fire equipment must, at all times, be placed in their allocated positions in Units and Blocks and may only be removed in case of emergency. Residents are financially liable for any damage

caused within the Academia Development. Residents will be held responsible for the condition of their Unit and the communal areas which they occupy, as well as the furniture, appliances and equipment therein. Residents will also be held responsible for any damage to the aforesaid, and will be liable for damages caused by their guests/visitors or any person gaining access to the Academia Development through them. All Residents are collectively responsible for the cleanliness and general condition of the Quad Areas (including the gardens) in the Blocks. The Leadership Circle member in charge of each Block will inspect the Quad Area regularly and any issues regarding the use of the Quad Area will be addressed in a Block Meeting and reported to Academia. The use of alcohol is forbidden throughout the lockdown period of the Welcoming Programme. If Residents are found consuming any alcohol they will be held liable of breaching the Code of Conduct and will face disciplinary action. The following equipment may not be tampered with, misused or used for unlawful purposes: fire extinguishers,

fire hoses, early warning systems, alarm systems, intercom systems, electrical safety devices, safety equipment, ‘Code of Conduct and Emergency Plan’ containers (including the contents) and all access control doors. Residents must partake in all emergency exercises organised by Academia or the Leadership Circle. These exercises are compulsory. All Residents must acquire the “locks” for the doors of their Units from Academia. The appropriate locks will be made available to Residents at a minimal charge. The Academia Disciplinary Committee is compiled in terms of the “Disciplinary Code for students of Stellenbosch University”. The Leadership Circle nominates a chairperson.
