May 13, 2014 Dear contestant/parent/guardian: Thank you for your interest in the 2014 Shenandoah County Fair Scholarship Pageant! We are excited for another fun year and to meet new contestants and see returning ones! The 2014 events are similar to those from last year, but the following changes have been made: • The Jr Teen Miss and Teen Miss divisions have been combined; this is now “Jr Miss” (13-16 yrs) • The Mrs division has been removed from the scholarship pageant program • All contestants MUST attend an orientation session in order to compete in this year’s pageant; failure to attend will result in the pulling of the contestant’s application • Rehearsals will now start at 6PM the night before the pageant; was 5PM in previous years • 2014 Theme: “Hawaiian Nights” Another major change to mention is our e-mail address! Our new e-mail is [email protected]. We will have our old live.com e-mail address open in case anyone uses that one in error; all e-mail from that account will be forwarded over to this new one. As you review the informational packet, please feel free to e-mail us any questions; we will also answer questions at the mandatory orientations (see page 3 for dates). 2014 RULES AND REGULATIONS Please read the following; signing the application page acknowledges your agreement to these rules. 1. All contestants MUST PHYSICALLY RESIDE in Shenandoah County; the use of family addresses for eligibility purposes when living outside the county will result in immediate disqualification or loss of title. 2. Contestants must be single, never married, without children, and never having been pregnant. The contestant must be female, have always been female, possess good moral character, have never been convicted of any crime nor have any criminal charges pending against her, and have never committed an act or engaged in an activity which is or could be characterized as dishonest, immoral, immodest, or indecent; this includes postings on social media sites such as, but not limited to, Twitter, Facebook, and Instagram. 3. There will be seven (7) age divisions this year (see application for breakdown of ages). The day pageant will consist of Baby thru Young Miss; the evening pageant will consist of Pre-Teen thru Miss. All morning pageant contestants must have one (1) adult chaperone backstage; evening pageant contestants may not have anyone backstage, only in the dressing rooms. 4. All contestants must enter the division for the age they will be on the day of the pageant. All winners will be required to sit out one (1) year after winning their title; they will be eligible to compete again in the 2016 pageant if they have reached the minimum age for the next age division. 5. The contestant line-up in each age division will be determined by the order applications are received. We will be using the “first in, last out” method – the first application in for each division will be the last contestant out in line-up; the rest of the line-up will be determined with this method as well, for example the last application in for an age division will be the first contestant out in line-up. 6. All contestants and family/guests must conduct themselves in a proper manner at all times throughout pageant weekend. Any display of uncooperative or unsportsmanlike conduct will result in immediate disqualification of the contestant and removal of the individuals from the property. Incidents will also be directed to the fair pageant committee/fair board with the potential of the individual(s) being banned from the scholarship pageant program as a contestant; this applies to incidents before/during/after the pageant, if related to the pageant. 7. All 2014 titleholders are REQUIRED to attend a mandatory meeting at 2PM on Sunday, August 17th to discuss fair week activities and sign the titleholder contracts. Evening queens will receive a list of required appearances during fair week at this time. ALL QUEENS MUST BE PRESENT AT THE RIBBON CUTTING CEREMONY the morning of Saturday, August 23rd (to be discussed at the meeting). 8. The first runner-up in each age division must be willing to assume all duties in the event that the winner is unable or unwilling to fulfill her duties. 9. The new Miss Shenandoah County Fair will compete in the 2015 Miss Virginia Association of Fairs Pageant at The Homestead 1766 in Hot Springs (January 8-11, 2015). The queen will work strictly with her local directors and resources they assign to prepare for the pageant; inability to work with the directors in preparing properly will result in the forfeiting of the title to the 1st RU. Miss Shenandoah County Fair 2014 will receive her scholarship claim letter at the crowning of her successor (August 2015). 10. All rules, regulations, awards, schedules, and information pertaining to the pageant are subject to change at the discretion of the Directors and Fair Pageant Committee, if necessary.

PAGEANT PREPARATION INFORMATION Please read the following information and mark dates on your calendar as necessary. If you have any questions, please do not hesitate to e-mail the directors at [email protected]. Orientation Sessions Each contestant and one parent is REQUIRED to attend one of the orientation sessions (Baby/Tiny/Little – only a parent needs to attend, not the contestant). Each contestant/parent will be required to sign-in; failure to attend a session and sign in will result in the inability to participate in this year’s pageant. If you cannot attend a session, you must contact the Director before the final orientation session so an alternate meeting can be scheduled. NO EXCEPTIONS. The 2014 orientations dates are (only need to attend one, changes will be e-mailed/updated on Facebook page): • Sunday, June 22, 2014 – 5PM (grandstands at fairgrounds) • Sunday, July 20, 2014 – 5PM (grandstands at fairgrounds)

Mandatory Miss Contestant Meeting All Miss contestants and one parent are REQUIRED to attend the Miss contestant meeting; this is closed to the general public. The meeting will be held in the upstairs Board Meeting Room of the fair office. • Sunday, July 20, 2014 – 3PM (upstairs board room in fair office)

Appointments for Program Book/Photogenic Pictures Denise Jane Portrait Design, Inc. will be our official photographer again this year. Each contestant must have their picture taken for the program book and photogenic competition; the session is free of charge. For your session, please wear a long-sleeved, dark-colored solid shirt (no prints or graphics). Denise will also be on-site pageant day offering formal portrait services, with picture/gift packages available for purchase. To schedule your session appointment, please call her studio at 540-465-4100. The following are the days which Denise will be available for photogenic/program book picture sessions: • May 13-16, June 3-6, July 7-11, July 22, & July 24 Denise will also be offering the following incentives: • If you have your session in May, you will receive a free model shoot valued at $150, for use at a later date (indoor/outdoor, three looks) *Some restrictions may apply, please contact Denise for details • Purchase one 8x10 print, receive another 8x10 print for free

Pageant Rehearsals Rehearsals will be held on Friday, August 15th at Central High School (old gymnasium). • Day pageant rehearsal (6:00PM – 7:30PM) • Evening pageant rehearsal (7:30PM – 10:00PM) – this is MANDATORY for evening contestants These times are EXACT. We will be rehearsing in the order of the age divisions so please be on time. If you are competing in the evening pageant, you MUST attend the evening rehearsal to go over the opening number. All contestants are encouraged to bring their shoes to practice in (i.e. opening number, casual wear, evening gown, etc).

PAGEANT DAY INFORMATION Important Times The day pageant (Baby thru Young Miss) will begin at 10AM; registration will open at 8:30AM. • Baby contestants must be ready and in line-up backstage by 9:55AM. We will start with this group and crown immediately. Judges introductions will follow the crowning of this group. • Tiny Miss contestants should be ready by 10:30AM (estimate) • Little Miss contestants should be ready by 11:15AM (estimate) • Young Miss contestants should be ready by 12:30PM (estimate) Official line-up times for Tiny/Little/Young Miss will be e-mailed out in early August, once contestant numbers are finalized. The evening pageant (Pre-Teen thru Miss) will begin at 5PM. All contestants should be in opening number attire and in line-up NO LATER than 4:45PM. Miss division interview times will be released in early August.

Dressing Rooms Dressing rooms will be available for all contestants; the hair and makeup vendor’s rooms may NOT be used as dressing rooms. The locations of official dressing rooms will be announced at rehearsals.

Hair and Makeup Vendors The following hair and make-up vendors will be available on pageant day. Please contact them in advance for an appointment, as they book very quickly. Videographer Roeber Productions will be recording both the morning and evening pageants; they will have DVD’s for sale. Please visit them on pageant day to place your order. Because their services are provided free of charge, we ask that everyone please refrain from video recording.

Florist Main Street Flowers & Gifts in Mount Jackson will be on –site this year with flowers available for purchase. Additional information will be e-mailed out about advanced ordering in the near future.

COMPETITION INFORMATION Areas of Competition – Day Pageant Day pageant contestants will compete in the following areas of competition: • Beauty/Gown o Baby thru Little Miss: “Sunday Best” or pageant attire (no “glitz”). Will be judged primarily on personality and overall impression. Dresses can be short or long and have rhinestones/ruffles. o Young Miss: pageant dress/gown. • Photogenic

Areas of Competition – Evening Pageant Evening pageant contestants will compete in the following areas of competition: • Private Panel Interview (Miss contestants only) o Each Miss contestant will compete in a private five (5) minute interview with the judges. Contestants are required to create a fact sheet; all fact sheets must be e-mailed to the Director no later than Friday, August 1st, 2014. We will discuss facts sheets in detail at the July 20th meeting. • Opening Number/Contestant Introductions o All evening (Pre-Teen thru Miss) contestants will participate in the opening number. This year’s theme is “Hawaiian Nights”. For the opening number, all evening contestants must wear the following:  Official 2014 SCFSP T-Shirt (shirt is white with pink lettering, will be provided)  BLUE JEAN/DENIM bottoms (can be any style – jeans, shorts, skirt, capris, etc)  Shoes and jewelry of your choice Each contestant will introduce themselves: NAME, AGE, and TOWN. This is the exact format and should not be modified; judges will be notified of the format. • Casual Wear (Miss contestants only) o All Miss contestants will compete in casual wear competition, where they will model an outfit of choice that best displays their personality/fashion sense. Modeling will be fast-paced to music. • On-Stage Question o During the evening pageant, the top five contestants in each group will be pulled to answer an on-stage question; ALL Miss contestants will answer an on-stage question. The questions will be age-appropriate and have no political/current event connections. Directors have the right to pull additional contestants depending on the total number in the group (for example if there are six in the group, all six would be pulled rather than leaving only one out). • Photogenic

AWARDS INFORMATION The following titles/awards will be given out in all age divisions: • Queen, 1st RU, 2nd RU placements • Photogenic, Community Service, and People’s Choice Awards The following awards will be given in the morning and evening pageants: • Community Service Highpoint Award • Ad Sales Highpoint Award The following awards will be given during the evening pageant: • Miss Congeniality Award (each age division) • Spirit of Pageantry Award (please see nomination form for more information) • Miss division Interview Award The following awards will be given to each age division queen (subject to change): • A round crown and an embroidered sash with a rhinestone pin • All queens will receive free gate admission to the fair each day and one (1) week gate pass for a chaperone. Additional fair week opportunities, including admission to entertainment and events will be discussed at the orientation sessions. The following educational scholarships will be distributed for the Miss division: • Queen - $700 educational scholarship (will receive claim letter at end of reign in August 2015) • 1st RU - $200 educational scholarship • 2nd RU - $100 educational scholarship The following information applies to the Miss division only: The winner of Miss Shenandoah County Fair 2014 will also compete in the 2015 Virginia Association of Fairs Scholarship Pageant, January 8-11, 2015. The pageant will be held at The Homestead 1766 resort in historic Hot Springs, VA. A full package of all incentives for the trip will be announced in the near future. The winner of the 2015 Miss Virginia Association of Fairs Scholarship Pageant will have the option of taking her title to Roanoke in June 2015 and competing for the title of MISS VIRGINIA! If Miss Shenandoah County Fair 2014 is to win Miss Virginia Association of Fairs 2015, she has the opportunity to compete at Miss Virginia! We will discuss this in more detail at the Miss information meeting on July 20th.

Local business sponsorships and gifts for winners are being compiled and will be announced throughout the summer!

COMMUNITY SERVICE PROJECT This year’s community service recipient will be an area food bank that serves the residents of Shenandoah County. Economic troubles have caused many families to struggle with basic needs, including the ability to provide food for their loved ones. You can impact the daily lives of fellow community members by donating non-perishable food items through the Shenandoah County Fair Scholarship Pageant’s 2014 Community Service Project. This year, an award will be given to the top community service contributor in each pageant (day and evening). In addition, an award will be given to the top contributor in each age division. In the past, many contestants have solicited for items through Facebook events, organizing drop-off points throughout the community, and so forth. We encourage everyone to participate because not only could you win, but the community would win as well. Donations for the community service project will be accepted on Friday, August 15th during the pageant rehearsals; a volunteer will be on hand that evening to accept donations. Monetary donations will also be accepted; please make all checks payable to “Shenandoah County Fair Association” and in the memo section of the check, write “Fair Pageant – Food Bank”. Prior to turning in your items, please fill out the bottom half of this page; when completed, bring it to the Friday night rehearsal, along with your items, and present it to the volunteer accepting the items. Item counts will be double-checked so please be honest when writing down your items.

SPIRIT OF PAGEANTRY NOMINATION FORM We will be awarding the Spirit of Pageantry award again this year. However, the judges are not making the decision – YOU are! Think of someone you know that embodies the TRUE spirit of pageantry. The person nominated can be a current or past contestant or queen, a pageant mom, dad, or other family member, or even a sponsor. It should be a person that is kind, always helping others, promotes positive sportsmanship and competition in pageantry, and most importantly, is friendly to everyone they meet, whether in competition or in passing. 2014 PROGRAM BOOK AD SALES INFORMATION All contestants are encouraged to submit ads from local businesses, friends, and/or family. Pictures can be added to your ads according to your preference. Feel free to be creative with the ads! The ads help cover costs for our awardwinning program book and allow us to add features to the pageant each year! We will be giving the Highpoint Ad Sales Award to the top selling contestants in each pageant. Ad prices for the 2014 program book are as follows: • $100.00 Full page ad (8 ½” x 11”) • $50.00 Half-page ad (8 ½” x 5 ½”) • $25.00 Quarter-page ad (4 ¼” x 5 ½”) • $15.00 Business card size (8 total per page, 4 ¼” x 2 ¾”) • $5.00 One-line “Well Wishes” (75 characters max per line) Ad Guidelines: • Make sure your photos and ads are clear. • Raised logos on business cards do not enlarge well. • All ads must be in “print-ready” format; the Director and printer will not be responsible for proofing ads before they are printed. If an ad is not the correct size/format, it will be sent back and must be corrected by the contestant by the final deadline. In addition all ads, including “Well Wishes,’ must be typed. To submit your ads and funds collected: • Please e-mail all ads and “Well Wishes” to the Director ([email protected]). Please include a listing of the ads sold, their sizes, and the amount of money collected. Please try to send all ads at one time. • Please submit all ad sale funds collected to the fair office. Please make all checks payable to “Shenandoah County Fair Association” and include “Pageant Program Book – Ad Sales” on the memo line. Please include a piece of paper with the contestant’s name and amount of funds collected; this should be separate from the pageant entry fee. Check or money order only. There is a $50 returned check fee. • All ad funds must be in the fair office and the ads e-mailed to the Director by 5PM on Friday, July 18th – no exceptions.
