1 Welcome to SchoolCash.NET SchoolCash.NET is a program designed to assist schools in managing non-board Commercial Bank Accounts. This includes the tracking of individual activities such as fundraising and student activities, etc.; calculation of collected money for deposit to a commercial bank account; preparation of a Deposit Form for the bank with deposited checks itemized; issuing of receipts to teachers and students (guardians); as well as a check writing feature. SchoolCash.NET will: ¾ save time and make the task of tracking debits and credits more efficient ¾ manage multiple school categories under one commercial bank account ¾ take ONE data entry process and provide multiple benefits ¾ print forms and reports easily ¾ update school category balances automatically ¾ easily reconcile with bank statements ¾ track items not cleared at the bank ¾ issue and print checks ¾ calculate GST/HST Rebate amounts automatically ¾ calculate large sums of money for bank deposit in half the time ¾ eliminate the need to memorize and look up school category codes ¾ eliminate manual record keeping ¾ provide proof of deposit to staff responsible for school categories (receipts) ¾ eliminate the need for back-up files ¾ provide superior technical support SchoolCash.NET is accessed through the internet. Once the user has logged in, the components of the program are accessed through the Main Menu window. These components are used to manage activity and are presented in the order normally accessed in a typical banking cycle.

2 Start Using SchoolCash.NET In order to access a SchoolCash.NET account, the user will first have to log on to the internet. The internet is accessed by using a software program called a web browser. In this case the user will use the web browser – Internet Explorer (Mozilla Firefox can also be used, instructions are included.)

2.1

Launch Internet Explorer

To Launch Internet Explorer: 1. It is advisable to close any open programs 2. Click on the Start button in the bottom left hand corner of the Windows Taskbar 3. Click on Internet Explorer

4. Click on the Internet Explorer icon on the desktop The Internet Explorer window will open.

2.1.1 The Internet Internet Explorer is a web browser. It will allow the user to access resources (web sites) on the World Wide Web. SchoolCash.NET is one such web site. All web sites have a unique address. This address is referred to as a URL (Universal Resource Locator). Web site addresses or URLs are typed in lowercase letters, with no spaces. Typing must be accurate. (For example: URLs use colons (:), the forward slash (/), and periods (.), in addition to letters.). Web site addresses are made of 2 parts: A Server Protocol and a Domain Name. NOTE: The schoolcash.net URL does not include “www.”.

For security some websites also require a recognized username and password. Entering a username and password, is referred to as Login. Each user of SchoolCash.NET will receive a web site address, unique username and password. Remember the password in SchoolCash.NET is case sensitive. This information should not be shared with any other individual. Passwords may be changed by the user, but must be a minimum of 6 characters in length and must start with a letter.

2.1.2 Using Internet Explorer: The Internet Explorer window has its own unique features. Becoming acquainted with these features will assist the user when accessing the SchoolCash.NET website. Some of these basic features include: ¾ Controlling the size of the Internet Explorer window ¾ Controlling the screen display

Control the size of the Internet Explorer window: 1. Click on the Maximize button in the top right hand corner of the window to insure that the window fills the monitor display area button in the top right 1. Click on the Minimize hand corner This button will minimize the Internet Explorer window.

To Create a Desktop Shortcut to SchoolCash.NET: 1. Select the SchoolCash.NET URL 2. Right click and select Copy from the pop-up 3. Minimize the internet window 4. Right click on the desktop 5. Managing Internet Speed Issues

Avoid clicking a page while it is loading. This can cause errors and sometimes even end the session, forcing the user to log on again. Watch the browser progress bar, at the bottom of the browser window. Do not click on the loading page until the download progress bar disappears, indicating the page has fully loaded. Also, in new versions of SchoolCash.NET the screen will display a small red loading icon in the top right hand corner. Avoid any work until the icon turns off.

Caching

Internet Explorer caching setting can also affect speed. To increase speed, try setting the browser caching to redownload a page only if it has changed since the last time it was accessed. To change the caching setting: 1. Click Tools in the Internet toolbar 2. Click Internet Options in the drop-down The Internet options dialog box will open.

Enter the value (Internet Explorer 7) 2.3.1 New Window Browser Setting Internet Explorer opens a new browser window: When a user opens a new web-based product or another internet explorer window and it closes the SchoolCash.NET window, you will need to adjust the following setting. To change the new windows browser setting: 1. Click Tools in the Internet toolbar 2. Click Internet Options in the drop-down The Internet options dialog box will open

Trusted Sites:

Trusted sites zone: This zone contains sites you trust—sites that you believe you can download or run files from without worrying about damage to your computer or data. You can assign internet sites to this zone. The default security level for the Trusted sites zone is Low, therefore, Internet Explorer will allow all cookies from Web sites in this zone to be saved on your computer and read by the Web site that created them. To Register Schoolcash.NET As A Trusted Site: 1. Click Tools in the Internet Explorer menu bar 2. Select Internet Options in the drop-down menu The Internet options dialogue box will open. 3. Click Security 4. Click Trusted Sites Trusted Sites zone

Using Mozilla Firefox:

To Login to SchoolCash.NET using Mozilla (Firefox): 1. Launch the internet browser (Mozilla Firefox in this

example.) 2. In the Address Line enter the SchoolCash.NET URL provided the SchoolCash.NET representative NOTE: Do not type ‘www.’ as part of this address. 3. Press R NOTE: Depending on the options that are in place, it is possible that that the user will see a dialog box offering to save the password. For the security of the SchoolCash.NET account, this save option should not be used.

3 Monitor Resolution It may be necessary to increase the monitor resolution, in order to see the entire application screen. The suggested resolution is 1024 X 768 or larger. However, 800 X 600 with F11 would be acceptable if the monitor is too small to display larger resolutions legibly. Some graphic portions of the window may be omitted with this resolution. To change the monitor resolution: 1. Minimize the internet window 2. Right click on an empty area of the Windows Desktop 3. Select Properties in the pop-up menu The Display Properties dialog box will open. 4. Click Settings

5. In the Screen Resolution section, drag the slider to the right, until the resolution displays 1024 X 768 or OK 6. Click Apply The resolution will change and the user will be prompted to keep the new resolution or revert to the old settings. The monitor display may flicker or go black momentarily.

4 Adobe Reader Settings Many of the reports generated throughout SchoolCash.NET use the internet browser’s Adobe plug-in. Validating the correct preferences will help ensure the most efficient generation of these reports. Currently there a several versions of Adobe Reader available and each has a unique way to edit its preferences. Please refer to the table below for current instructions.

7 Performance ¾

There is a progress indicator at the bottom of the Internet Browser window to indicate the progress of any opening or saving.

¾

In SchoolCash.NET there is also a red “loading” indicator in the top right corner of some screens.

¾

If there is an extended period of inactivity, in any of the SchoolCash.NET windows, it will be necessary to Login again.

¾

When using the mouse in SchoolCash.NET only a single click is required.

¾

If the user attempts to Quit the program when the requirements of the process have not been met a warning window will open. For example if the user quits the Deposit/Receipt module prior to assigning a category to the deposit a warning window will open. It is necessary to resolve this warning by assigning a category to the deposit before the user will be able to return to the Main Menu and Quit.

¾

To insure the proper shut down always click on the Main Menu hand corner and click on Quit

button in the top right

8 Interruptions For Example: If the calculating deposit window was closed, the deposit would be saved. The current deposit form will re-open when SchoolCash.NET is accessed at a later time. To interrupt: 1. Click Save

Reminders: If the user exits the Deposit/Receipt module prior to posting the deposit to the Ledger, SchoolCash.NET will display a reminder the next time the user logs into the program. Issue Checks and Transfer Forms may also be included in this reminder.

9 Keep in Mind The user should keep the following in mind: ¾ To ensure that all of the appropriate steps are followed, use the burgundy sequence buttons across the top of the screen from left to right

¾ To enter data more efficiently, pressT to move the insertion to the next editable field to the right

¾ R can be used to save ¾ Numeric entries can be made via the number pad or the qwerty portion of the keyboard ¾ Fields that are auto populated and are not able to be edited are displayed with a shaded background. For example the Category # field in the Category area.

¾ Some windows will have scroll bars on the right side and along the bottom. These vertical and horizontal scroll bars will allow the user to display more of the window contents. For example: The category panel of the Detailed Receipt window has a vertical scroll bar to allow the user to see all of the Categories attached to the current detailed receipt and a horizontal scroll bar to allow the user to see the details associated with each Category. ¾

10 SchoolCash.NET Record Display 10.1 To Use Record Screens: List View will display all of the record details in the database. It may be necessary to use the scroll bars to display more fields.

Modify will allow the user to edit fields in a selected record.

Search will allow the user to search records in a database by known field information

Find All will refresh the List View to display all current records

10.2 To Manage Record Display: Windows that display lists of records, can be used in 2 ways: 1. The record display area can be scrolled vertically and horizontally using the grey scroll bars. The record toolbar can also be used. 2. The default number of records displayed on each page can be adjusted in order for more than the default 50 records to be displayed at one time. To Manage the Record Display: 1. The record indicator will indicate the current number of visible records (page size) and the current total records in any area that displays a list. For example: List View tab in Checks Year to Date module 2. Use the grey vertical scroll bar in the right hand side of the record display to see more records on this page 3. Use the grey horizontal scroll bar at the bottom of the record display to see more field detail. 4. Scroll to the next page (the next 50 records) by

To adjust the number or records displayed on each page: 1. Click Change Paper Size icon on the toolbar in the bottom left hand corner of the window 2. Enter the new Visible Records value

11 Calendar The date field/calendar appears in many modules throughout SchoolCash.NET. In some situations, Deposits/Receipts, Issue Checks, for example the date is auto-populated. In some situations, Add New NSF Entry, for example, the date field is mandatory. Some Reports will require a date range (start and end date) in order for the report to generate. In all situations the date can be edited either by entering a new date manually or be selecting the date using the Calendar.

12 Printing Within SchoolCash.NET SchoolCash.NET will offer a print option in many modules. For example: receipts can be printed with Deposits/Receipts, reports can be printed with Reports Menu. In all cases the print option must generate the selected print option and then be opened within Adobe Acrobat Reader to printed. If both Adobe Acrobat Reader and Adobe Acrobat Professional are installed on the user’s computer, it is recommended that Adobe Acrobat Reader be launched on minimized prior to printing any reports. In addition to printing reports, SchoolCash.NET will offer the user the opportunity to save a report in a variety of file formats. These formats include: ¾ Adobe Acrobat (PDF) ¾ Microsoft Excel ¾ Microsoft Word NOTE: For security purposes Receipts issued within SchoolCash.NET cannot be saved or exported. To Print: 1. 12.1.1 Using Adobe Search: After a report is exported to Adobe Acrobat (PDF), Adobe Reader features can be used. One such useful tool is the ability to Search in the PDF file. Export to Adobe: Adobe provides search capabilities that can be useful in long reports. 1. Click Export on the report toolbar 2. Select Adobe Acrobat (PDF) from the drop-down in the File Download 3. 12.2 Paper Products: Some printouts include formatting for SchoolCash.NET paper products. For example: receipts (3-part horizontally perforated stock), Adding Machine Tape for the Banks (3-part vertically perforated stock). Deposit Envelopes are printed to match the layout of the Detailed View in the Deposit/Receipts module. Completing the information on the deposit envelope, would make completing the deposit form quicker and easier.
