Few facilities are more ideally suited for special gatherings than Rolling Hills Country Club. Members and their guests are encouraged to consider our facilities when making arrangements for parties & meetings. Tasteful surroundings, easy accessibility, & ample parking combined with skillful food preparation and a knowledgeable service staff to make each occasion the most pleasant experience. From small birthday parties & business meetings to large banquets & receptions, our professional staff is readily available to assist you in planning & carrying out every detail. If you have any questions, or would like to discuss a future event, please call the Club.

Areas Available for Special Events The following areas may be reserved for a fee to accommodate your event at Rolling Hills Country Club:

J.C. Plyler Ballroom Will accommodate up to 250 people for a breakfast, lunch, or dinner party, with space for dancing. May not be rented during lunchtime on Sundays.

Fairway Room Will accommodate up to 120 people maximum for a breakfast, Saturday lunch, or a dinner party. May not be rented Wednesday or Friday evenings or Sunday Brunch.

Founders’ Room Will accommodate up to 24 people.

Union Room Will accommodate up to 40 people.

Swimming Pool Is available for rental during the summer months at times other than regular operating hours. Two Club lifeguards must be present for parties of 20 people or less, and one lifeguard for each 20 people thereafter. The charges for lifeguards are $17 per hour. A back-up room is required to be rented in case of inclement weather. The charge for a back-up room is NOT refundable.

Patio Will accommodate up to 48 people, for a Breakfast, lunch, or dinner party. A back-up room is required to be rented in case of inclement weather. The charge for a back-up room is NOT Refundable.

Room Rentals Use of the Club’s Facilities will require a Room Rental. All Member & Non-Member events will be charged a Room Rental. This charge covers the room set-up, breakdown, standard linens (1 cloth per table), & clean-up of the rooms.

Member Events A) Member-Business: The use of the Club’s Facilities must serve some direct business objective of the Member. B) Member-Family: The use of the Club’s Facilities must serve some personal or family purpose of the Member. C) Member-Member: 75% or more Members must be in attendance.

No RHCC Member/Guest/Employee shall interfere with, or fail to cooperate with ALE agents or any other officer in the performance of their duties upon these licensed premises.

6.

RHCC Members/Guests/Employees shall not possess or permit the possession of gambling devices on the premises.

7.

No RHCC Member/Guest/Employee shall engage in gambling on the premises.

8.

No RHCC Member/Guest/Employee shall possess, use, or knowingly permit any other person to possess or use any illegal drugs on the premises.

9.

No RHCC Member/Guest/Employee shall engage in an affray or disorderly conduct, or permit their persons to engage in an affray or disorderly conduct premises.

10.

No RHCC Member/Guest/Employee shall use loud, profane, or indecent language or permit others to do so on the premises.

11.

ALL bars shall be closed NO LESS THAN 30 MINUTES before the scheduled departure time of each private function.

12.

Any person conducting themselves in a drunken way shall be cut-off from bar service. These people may be asked to leave the premises if their conduct is offensive to others.

Club Policy Pertaining to Bartenders The Club is determined to comply with all laws and regulations pertaining to alcoholic beverages. We must insist employees of the Club obtain proof of age before they sell or deliver alcoholic beverages to any person who is 21 or over. Also, they must decline to sell or serve alcoholic beverages to any person, regardless of age, when that person appears to be intoxicated. We expect our employees to be polite, but firm; and we suggest that employees seek assistance from the General Manager or their Supervisor in connection with any refusals to sell or serve. The Board of Directors and the Manager will support our employees with respect to all reasonable decisions. We do not expect perfection. Nevertheless, employees should understand that they are subject to dismissal from employment if they willfully or carelessly violate the terms and conditions of this policy.

In the event of functions consisting of over 200 guests (150 when the Fairway Room is open), additional equipment may need to be rented. In such event, the rental cost of such equipment will be charged to the Member or Guest responsible for the function. Closing time is 12:00am $500.00 for each additional hour.

Rules For Private Functions A. Permission for private use of the Clubhouse or any part thereof shall be obtained from the General Manager by the sponsoring Member. The individual Member making such application shall be responsible for the indebtedness, dress, and conduct of all persons present. No jeans or collarless shirts will be allowed. B. Should any Member or organization apply for the use of the Club for private functions, and if the purpose, in the opinion of the General Manager or House Chairperson, does not come within the purpose and intent of these rules, it shall be the right and duty of him/her to decline such application. C. Members may reserve the Club facilities on a “first come” basis for a private social function. Reservations in excess of one year will not be accepted. In case of multiple requests for Club facilities for the same date, space will be provided for each requesting Member based on the capacity of the Club area and the number of people expected to attend each function. The Club reserves the right to adjust room assignments based upon final guarantees. D. Limited social and civic groups may be served if arrangements are made by a Member The Member making arrangements for the group will be responsible for ALL charges incurred by the group. E.

Use of the Club facilities by a Member will subject the Member to a rental charge as determined by the Board of Directors. The Club reserves the right to charge additional set-up or rental fees according to the function’s needs.

All payments for private functions will be made through the Member’s account. For Member-sponsored functions, the Club will collect all payments prior to the event.

G. A non-refundable deposit will be required to confirm all dates. This deposit will be charged to the Member’s account when dates are confirmed. H. Any entertainment or amplified music must be approved by the Club Manager. I. Decorations shall not be allowed which requires fastening to walls or fixtures. Paintings, posters, notices, etc., must be approved by the Club Manager. No confetti, glitter, silly string, or any other small decorations that require extra clean-up, may be used anywhere in the Clubhouse without prior written permission and an extra clean-up charge of $500.

J. All prices are subject to change without notice. Final pricing for private functions can only be determined 90 days prior to the function. Service charges and applicable taxes will be added to all prices. K. Final guarantees must be received 3 days prior to the function. If a guarantee is not received, the original expected amount will be used as the guaranteed number. The Club will only set-up for 5% over the guarantee. The Club reserves the right to charge an additional fee for additional people over the guarantee.

L. All food and beverages must be supplied and prepared by the RHCC staff. No outside food or beverage is permitted in any banquet or meeting room. M. RHCC assumes NO responsibility for the damage or loss of any merchandise or articles brought into the Club. Arrangements may be made for security.

N. Member assumes responsibility for and will make payment for 50% of the estimated food and beverage total if the function is cancelled within 14 days of the confirmed date. All cancellations must be made by the Club Manager. O. The parking lot in front of the Clubhouse is for Members only; guests are to use the lower parking tot across Rolling Hills Drive. P.

All alcoholic beverages must be served by Club Personnel in accordance with all North Carolina ABC laws.

Q. There will be a 18% service for member and a 20% service charge on non members events and 6.75% sales tax on all food and beverage supplied by Rolling Hills.

Bartender Fees We recommend one Bartender for every 75 people, and two if it is a Cash Bar. Bartender Fees are $15.00 per hour for each Bartender. Parties having Cocktail Service from the Main Bar will be charged $15.00 per hour for each Cocktail Server. An additional one hour will be charged for setting up and breaking down.
