IMPORTANT EVENT PROCEDURES

BAND PERFORMANCE FLOW Band Check-In • When you first arrive at Gateway High School you will be directed to Band Check-In, located near the bus/truck parking lot. You will enter the grounds using Gateway Campus Blvd, off of Mosside Blvd. • Your check-in packet will consist of your twenty-five Championship Prelim field passes, your six name badges, an updated performance schedule and other relevant event information. • Band Check-In will open 30 MINUTES prior to the first band warm-up time. Competing Band Name Badges and Field Passes • You will receive a maximum of six name badges. One for yourself plus the five other names submitted on the Information Sheet. Name badges are valid for both prelims and finals. • Name badges allow entrance into the stadium all day. Please keep visible when entering the stadium. • Each band will receive twenty-five field passes, valid for prelims only. • Competing Band Field Passes for Finalist Bands will be handed out at the Finalist Director Meeting. • Field passes are not tradable and may not be shared with other participating bands. The use of field passes will be monitored and penalties assessed for abuse of the rules. • Nurses are not exempt from the field pass policy. BOA will provide a medical crew on-site all day. Bus/Truck Parking Passes • A parking pass is required for each bus and truck. • You will receive passes equal to the number indicated on your information form. These will be mailed approximately two weeks prior to the event. • At the Monroeville Regional Championship, bus/truck parking passes are complimentary. • ONLY those vehicles with a MONROEVILLE REGIONAL PARKING PASS are allowed in the designated bus and truck unload/reload area and parking lots. Please make sure they are visible in all vehicles. • Bus/Truck parking passes may NOT be used in personal vehicles. • One Complimentary Staff Vehicle parking pass will be included with the bus/truck parking passes. PLEASE NOTE parking for one staff vehicles per band will be available NEAR the bus/truck parking area. All other personal vehicles will need to park in a spectator lot. • Please display the pass prominently in the front window of the vehicle to be easily seen. • BOA is committed to providing safe and secure venues and events. Your compliance and cooperation are appreciated. Bus/Truck Parking • You will enter the property using Gateway Campus Blvd, off of Mosside Blvd. • BOA volunteers will be on hand to meet you upon arrival and will give your drivers parking instructions. • No eating is allowed in the Bus/Truck parking areas. Please utilize the Band Picnic Area, if needed. • Physical or musical warm-up is ONLY allowed in the official warm-up areas during your assigned warm-up time. • If you wish to have additional warm-up or practice times you must make your own arrangements off of Gateway school property.

Band Warm-Up • Warm up is located on the athletic fields south of Bus/Truck Parking. • All warm up areas are grass surfaces. • It is your responsibility to report to your warm-up area at your scheduled time. • While in warm-up, BOA staff will monitor your time and direct you to the Band Entrance Gate for your report time as listed on the prelim schedule. • Your guide will signal you or someone you designate at 15 minutes, 5 minutes and 2 minutes before you must be clear of the warm-up area. • Your pit will move toward the stadium 15 minutes prior to the rest of the band. • Bands may NOT warm-up on site except during their assigned warm-up period and ONLY at the assigned location. Failure to comply with warm-up regulations may result in a penalty. • If you arrive late for your warm-up time, you cannot stay past your 45-minute scheduled time. You will be led ON TIME to the Band Entrance Gate. • IMPORTANT: We have taken into account the extended walk time to allow 15 minutes between the end of your warm and band report time. Percussion Warm-Up Battery Percussion • The battery warm-up area is with the band in the designated band warm-up area. Pit Percussion • A separate pit percussion warm-up is located west of the Band Warm-Up Area (see Site Overview Map). • Pit percussion may also warm-up with the Band in the designated Band Warm-up Area, although this is not recommended due to the distance and grass surface. • Due to the proximity of the stadium, loud percussion instruments (cymbals, drums, etc.) may be disallowed during warm-up. Please be prepared to utilize only mallet keyboard instruments with soft mallets in the designated pit warm-up areas. • There can be no sound bleed into the stadium. • Battery warm-up is only allowed during your designated full band warm-up time. • Pits will report to the Entrance Gate at their designated time (15-minutes prior to the band report time). During Your 45-Minute Warm-Up • Please note that if your band uses a wireless audio system, it may NOT be tested or used during your designated 45-minute warm-up. Channels may be the same from band to band and we want to prevent accidental overlap to a performing band on the field. • You may therefore only test your wireless audio system on the performance field. • The use of Dr. Beats, jam blocks, other time keeping devices and the use of long rangers and megaphone amplification devices WILL be allowed in outside warm-up areas only, with the following exceptions: 1) NO wireless audio systems will be allowed in the warm-up areas. 2) The sound projected cannot interfere with the performances occurring in the stadium Motorized Vehicles in the Stadium • Motorized vehicles are allowed into the stadium ONLY if they have a bib (diaper) type covering underneath the engine of the vehicle. • At no time may a motorized vehicle be inside the playing area of the field. Vehicles can only be driven on the turf surrounding the field. • There must be some type of covering under the battery of any amplified equipment. There cannot be any acid, fuel or oil drop on the turf. • Please unlock the wheels on your front ensemble carts when in transport.

Gate Dimensions • The performance entry/exit gates are 15’ wide with no height restriction. • Reminder: BOA’s rules regarding the use of props at Bands of America events are still in effect. Be sure to read Part Two-Section 21.01 – page 18 of the BOA Adjudication Handbook - Props may not exceed 12 feet in height. Hash Marks • The field will have ONE set of markings – ALL LINES AND MARKINGS ARE BLACK • High School markings dividing the field into equal thirds, 53'4" from the front and back sidelines. Instrument Repair • Progressive Music Company is our official music store for the event and will provide an on-site instrument repair service for minor repairs. • A repair technician will be located at pit warm up in front of the auditorium ticket office. Please stop by and join us in thanking them for their services throughout the event. Adjudication Panel and Commentary • The adjudication panel for the Monroeville Regional will be: Carl Bly, Jeremy Earnhart, John Phillips, Jay Kennedy, Jackie Gilley, Chris Moss, Bruce Jones, and Richard Saucedo. Richard Saucedo will serve as Chief Judge for this event. Specific judging assignments will be distributed on-site at band check-in. Please remember: contact with any of these judges prior to the show is generally inappropriate. Your post-event judging questions and concerns should be directed to BOA Chief Judge, Gary Markham, who can be reached at [email protected]. • Approximately 90 minutes after your prelims performance, you can check your email for the link to your judge commentary. In most cases, this will happen before the 90-minute mark. You can pick up your Mr. Video DVD at the Mr. Video booth, located on the concourse. Timing and penalties sheets will also be picked up with your DVD (working out process for 2015). • All adjudication sheets will be held until the END of the finals awards ceremony when you can pick them up at field level, along with prelims and finals recaps. You may designate someone with a director name badge to pick up your packet at the conclusion of the show. • No scores or recaps will be released prior to the conclusion of the finals awards ceremony. • If, for some reason, you are not staying for finals, your sheets will be sent to you the Tuesday after the Regional. Restrooms and Changing Facilities • If your band needs to change into and out of uniform, restrooms will be available inside the school athletic building near the bus/truck parking lot. • If you need to use these facilities, please go IN A GROUP. • A limited number of port-a-lets will be available near the bus and truck parking lot and warm-up area. Feeding and Watering your Band • The designated picnic area is located south of the stadium near the spectator parking lot (see enclosed map). • Eating is NOT allowed in the bus/truck parking areas because of safety concerns. • Outside food and beverage are NOT allowed to be brought into the stadium. • The stadium will be cleared and concessions will be closed during the dinner break between prelims and finals. • New in 2015, Bands of America will plan to provide post performance water services at its regional events. Water stations will be placed near the Band Exit Gate and/or Jolesch photo area. • Each participating band should still plan appropriately for the care of its students throughout the duration of the event. In most cases, Bands of America will have access to facilities to refill or replenish your water supply. Containers, cups, supplies, and the provision of water service itself are ultimately the responsibility of the participant. Please remind your students to appropriately dispose their cups and other trash after use.

Complimentary Tickets for Non-Finalist Bands • If your students do not perform in finals, they WILL need a ticket to enter the stadium. • Complimentary student tickets can only be picked up at the ticket booth between prelims and finals. • We ask that only one representative from the band come to the ticket booth with proper band identification to pick up these tickets in a block. • Complimentary tickets are for non-finalist students only, NOT for band staff and parents. GENERAL INFORMATION: Local Time • At the time of the Regional, Monroeville will be on Eastern Daylight Time. Please plan your travel and arrival time accordingly. Spectator Parking • The spectator lot is located on the south side of the stadium off of Gateway Campus Blvd. See site overview map for further information. • There is no charge for spectator parking. • The spectator overflow parking area is located at Moss Side Middle School and Cleveland Steward Elementary School. Both are located just south of the stadium and the main spectator parking area. • Outside food and beverage is NOT to be brought into Gateway High School Stadium. • Please share this with your parents and boosters in advance. Photography • Jolesch Enterprises will be on-site to take a group picture of each band after they exit the performance area. They will also be taking action photos on the field level. • Order information has been included in this packet and will also be available on-site. • Due to the professional crew on-site, use of cameras of any kind are NOT ALLOWED on the field (stadium floor) for any BOA event. Please communicate this to your parent/booster group. • Still cameras (digital or film, professional or otherwise) are allowed into the stadium and may be used from stadium seating, but not on the field. • Tripods or other similar equipment that may obstruct the view or path of travel of others in seating areas are not allowed. • The issuance of a “Field Pass” or other non-media BOA Credential does not include the right to use a camera on the field. Pass holders must go into stadium spectator seating to use their camera. Media Personnel and Band Photography Policies • "Media Passes" are intended for official media outlets only (i.e. newspapers, television, radio). • A representative is required to show official media credentials in order to pick up a pass and must sign in at the ticket window with name and media outlet. • A student representative of a school's newspaper or yearbook may receive a media pass with valid school media credentials. • Still photography of any kind MAY be taken from the spectator seating areas. Video and audio recording is NOT allowed. • “Official Band Photographers” are still allowed, so long as such person uses one of the band’s 25 field passes in order to be allowed in pre-performance credentialed areas. Official Band Photographers must still go INTO the spectator stands to shoot pictures during performances and may not photograph from the field level. Official Band Photographer photos are NOT to be sold, distributed, duplicated, or placed on the web in any downloadable fashion. Their use must be for archival or media purposes only. This restriction applies to all who enter the stadium, including any band parent/adult with a field pass. Only Jolesch Enterprises and official media will be allowed to shoot from field level. No video or audio recording devices are allowed into the stadium, including those with “band videographers.” Credentialed television news crews and BOA pre-approved professional filmmakers are the only exceptions.
