GENERAL INFORMATION & POLICIES Failure to comply with the following policies and guidelines could result in, but are not limited to, suspension of facility access and usage privileges, and/or being reported to the appropriate law enforcement.

Welcome As a part of our holistic model of care, Crossnore School offers a wide variety of recreational, sport, and fitness activities for staff, students, and the public. The Crossnore School was founded in 1913 by Drs. Eustace and Mary Martin Sloop, and was first created as a boarding school for disadvantaged mountain children to live and learn. Today, we continue to serve children in need from North Carolina. Here, children live, learn, and prosper in a loving, home-like environment. The Crossnore School has always been known as a place where lives are transformed and hope is restored. For more information about Crossnore School, please visit our website www.crossnoreschool.org.

Mission Statement The Mission of the Crossnore School is to provide a Christian Sanctuary of hope and healing where students in need rise above their circumstances and excel both in school and in life.

Vision Statement To positively transform the lives of children from families in crisis by breaking down generational cycles and creating a hope and future through education, work and service.

Sanctuary In 2008, The Crossnore School began the process of adopting the Sanctuary Model of Care. As a Sanctuary institution, we agree to seven commitments, and carefully study four pillars. These four pillars are Trauma Theory, the SELF Model, the Seven Commitments, and the Sanctuary Tools. Our seven Sanctuary commitments are Emotional Intelligence, Open Communication, Shared Governance, Non-Violence, Social Responsibility, Growth and Change, and Social Learning. The use of our facilities is informed by these principles, and all users are expected to behave accordingly. For more information on Sanctuary, contact the Director of Compliance and Sanctuary.

Food and Beverages Outside food, glass bottles, and chewing gum are not allowed inside the Dickson Gymnasium. Plastic water bottles with a secured lid or squirt spout may be used in workout areas and on the basketball court. Please dispose of any trash properly.

Housekeeping There are trashcans located near each door, and conveniently around the gymnasium. If the trashcans are full, please take the trash to the dumpster. The nearest dumpster is past the Academy, behind the climbing tower. Trash bags and other basic cleaning supplies can be found in the white cabinet labeled “Cleaning Supplies,” near the restrooms on the upper level. For more cleaning supplies, contact the Recreation Director. Any group that utilizes the gymnasium is asked to fill out a Gym Cleaning Sheet (Appendix III), and to slide the form under the office door in the gym after use. There is not a paid employee who cleans the gym, so we use our Sanctuary commitments of Shared Governance and Social Responsibility to encourage all to keep the Dickson Gymnasium clean and well cared for.

Injuries If an injury occurs to Crossnore School staff and/or students, refer to regular protocol, including contacting on-call staff and/or the campus clinic. If you are part of a group (such as the YMCA) please refer to those staff regarding your group protocol.

Lost & Found Crossnore School is not responsible for lost or stolen articles. Misplaced items will be kept in the lost & found in the gym for two weeks before being taken to the Blair Fraley Sales Store. Contact the Recreation Director in order to access the Lost and Found.

Personal Trainers, Coaches, and Instructors Only approved Crossnore School staff, or contracted staff, may provide personal training, sport/fitness instruction and/or coaching in the Dickson Gymnasium. Failure to observe this policy or attempts to circumvent it may result in disciplinary actions, including loss of privilege to use any recreation program, service, or facility for both the person receiving instruction and the person giving instruction. If a Crossnore School student is interested in personal training, fitness instruction, or health coaching, contact the Recreation Director or Williams YMCA Wellness Program staff.

FACILITY ACCESS The Dickson Gymnasium has a keyless access fob system connected to the door facing the Williams Academy, the door to the Townes Mozer Fitness Center, and the double door next to the fitness center. This system was installed in 2014, and is intended to keep the gymnasium secure and to keep patrons safe. This system is monitored by the Recreation Director. Contact the Recreation Director to be granted a fob for access to the gymnasium.

Fob Policies · · · · ·

· ·

·

Each cottage at Crossnore School will be given one fob for access to the Dickson Gymnasium. The Miracle Scholars/Phillips House has one fob for student use that must be checked in and out from staff for each visit. Teachers at Williams Academy may be granted access to the gym on their academy fob. Contact the Recreation Director to add access to the gym on the academy fob. Crossnore School employees living on campus can obtain a fob for access to the gym. Crossnore School employees are allowed to bring direct family members as guests, but are required to obtain prior approval from Recreation Director and must accompany family members at all times. Community members will not be granted fobs for access to the gymnasium. A fob is given to the person or cottage for their specific use. A fob should not be loaned to anyone else, and is only for your use. If a fob is given to another person or cottage, both parties are subject to disciplinary actions. Be sure that doors close behind you, and that the magnets latch when leaving the gym.

Bike Shop At Crossnore School we pride ourselves in making sure that each child has a bicycle when they come into care. Children receive a bike and a helmet after getting to their cottage, and Cottage Parents are encouraged to fill out a Bike Request Form (Appendix VII). The Bike Shop has tools and parts to repair bikes on campus, and maintenance is provided by the Recreation Director. If a bike at your cottage needs repairing, contact the Recreation Director regarding the repair.

Bird Cage The Bird Cage is located in the center of the lower level of the Dickson Gymnasium, and is shared between two rooms past the Bike Shop. After school is out, it is intended to be a space for parties, for movies, for games, for hangout time, and is a resource to bring campus together in a fun, inviting, and exciting space. The Community Center was made possible due to a large one time grant from the Junior DAR, and was put together in the fall of 2015. The space includes a kitchen (with a large dining table, refrigerator, sink, microwave, Keurig coffeemaker); a bathroom; the main room, which includes pool table, NFL pinball machine, NBA Jam arcade machine, foosball table, air hockey table, ping pong table, ping pong ball dispenser ($0.25 per ball) hand shuffleboard table, piano, chalkboard wall, gaming table, board games/cards, couches and large tv with cable and sound system, Wii with games, Xbox One with games, and a large DVD collection. Revised 7/25/2016

Appendix V: Climbing Wall Local Operating Procedure (LOP) General Administration 1. Any change or deviation from an ATI policy or procedure will be discussed with ATI prior to implementation, and documentation of such change will be provided to ATI in writing. 2. Crossnore School will use the ATI-issued Instructor’s Manual as a foundation for operating the challenge course/climbing wall. 3. Crossnore School will designate a specific person to act as Challenge Course Manager for the challenge course/climbing wall. 4. Crossnore School will maintain appropriate insurance coverage for the challenge course/climbing wall program, including general liability coverage and other coverage as required by law. 5. Crossnore School will maintain membership in the Association for Challenge Course Technology (ACCT) and refer to the ACCT Standards as accepted industry operation standards. 6. Crossnore School will allow third-party organizations to operate the challenge course/climbing wall only with proper supervision, training, and compliance with all ATI Policies. Program Delivery 7. All staff will be trained in the proper use of the structure. Staff will be competent in the use of the belay system utilized by the structure (e.g., dynamic belay, lobster claws, etc.) and in the execution of emergency rescue procedures. 8. ATI designs are initially equipped with specific operational equipment (e.g., ropes, harnesses, etc.). Any deviation from the original equipment will first be discussed with ATI prior to the change and will be documented in writing to ATI. 9. A first aid kit will be onsite during all programs. 10. Prior to each use, staff will complete a cursory visual inspection of the structure and all operational equipment. 11. Structures will not be used during adverse or potentially hazardous weather conditions. This includes, but is not limited to, high winds, approaching thunderstorms, high-risk hypothermic or hyperthermic conditions. 12. Staff and participants will not climb or use any structure without proper equipment (e.g., belay, helmet, lobster claws, etc.). 13. Helmets will be worn by all staff and participants whenever underneath a structure in use. 14. Chest harnesses, in conjunction with sit harnesses, will be worn by individuals whose stomach and chest shape does not allow the waist belt of the sit harness to snug down properly above the hipbones.

16

Revised 7/25/2016

15. Participants and staff will be instructed in proper spotting techniques, and low-to-theground activities will be spotted as appropriate. 16. Participants will receive a thorough briefing prior to the program, identifying policies and operational procedures for each structure(s), inherent risks, and potential consequences of not following these established policies and operational procedures. 17. Participants will be advised that the activities they are about to be involved in will not be attempted at home or on their own, unless the goal of the program is to instruct participants in such activities. If so, programs will set up appropriate procedures for instruction. 18. Staff and participants will remove sharp objects from pockets, jewelry from wrists, neck, and fingers, and any other items that could create choking or avulsion injuries. If the participants are unable or unwilling to remove an item, they will be informed of the risk. Staff will try other methods to minimize the risk. Participants will tie back or put up long hair. 19. Staff and participants will not have gum, candy, or other foreign objects in the mouth while participating in a program, in order to reduce the risk of choking. 20. Staff and participants will wear appropriate clothing and footwear during programs. 21. Participants will not intentionally rock or sway any structure, either by jumping or rocking the structure while in it, or by using the guy cables. 22. When participants are on the structure, staff will wear harnesses and will have appropriate hardware available so rescues can be rapidly executed. 23. Crossnore School will not exceed the recommended staff-to-participant ratio as indicated for each specific structure and/or activity. 24. ATI’s established minimum age for a belayer and belay monitor is 14. Organizations may choose to reduce this age limit by documenting a training and oversight procedure appropriate for the age and program type. This will be established in writing with ATI as stated in Policy #1. 25. Students will demonstrate proficiency in belaying before being permitted to belay a participant on any ATI structure. 26. All belayers will have a belay monitor as a back-up. This belay monitor will keep both hands on the rope at all times. 27. Staff will ensure that the belayer’s and climber’s systems are secure and ready prior to each ascent and lower. One method of doing this is to conduct a five-point check before each climb and lower. This will include the following: • Helmet—climber’s helmet buckled and fitted properly • Harness—buckled and fitted properly for both climber and belayer • Knots—tied correctly, dressed, and tightened • Carabiners—belay device carabiner and anchor carabiner locked and positioned correctly. • Rope—positioned correctly in the belay device, not riding over another rope, and rope taut. 17

Revised 7/25/2016

28. Belayers will lower participants at a slow, controlled rate of speed. Staff Training 29. Crossnore School will keep staff training documentation and staff credentials on file. This documentation will include, but is not limited to, the following: assessment of each staff person’s competency; current and expired certifications, such as first aid, CPR, etc.; and participation in staff training programs. 30. Crossnore School will establish staff facilitator standards based on ACCT (Association for Challenge Course Technology) guidelines. 31. Crossnore School will establish an on-going staff training program for current facilitators, as well as a training program for new staff members. 32. Staff will be trained in emergency first aid. 33. Staff will be trained in using the Emergency Action Plan, and a copy will be immediately available to staff during program delivery. Documentation 34. All participants will complete a Health Disclosure Form and an Assumption of Risk Form prior to any involvement in the program. 35. Staff will encourage participants to carefully consider a decision to participate on the challenge course based on the information provided in the Health Disclosure Form, including encouraging the participants to seek counsel from health service professionals, when appropriate. 36. Staff will review the Health Disclosure Forms and make judgments concerning appropriate participation based on the staff’s level of medical training and/or pre-established organizational criteria. 37. Crossnore School will develop and document an Emergency Acton Plan specific to their operations and location. 38. All accidents, incidents, and near misses will be documented in writing. Such documentation will be kept on file, and a copy will be sent to the ATI office. Inspection/Maintenance 39. During periods of use, program staff will do a thorough monthly inspection of all ATI structures. Prior to use after a period of non-use (e.g., winter shut-down), program staff will do a thorough inspection. Document these inspections and retain for records. 40. Crossnore School will receive an annual inspection of their structures by a professional challenge course/climbing wall vendor, as stated in the ACCT Standards. ATI recommends that organizations seek this inspection directly from ATI, and that such inspections alternate between a Structural Inspection and the more thorough Program Review. Emergency Action Plan and Emergency Procedures Challenge courses, in general, have been shown over the years to be extraordinarily incident free. The participants face a much higher risk in many of their everyday activities. However, we 18

Revised 7/25/2016

must be continually vigilant in our risk management efforts and not become complacent. As stated by Jed Williamson, in Lesson Learned: A Guide to Accident Prevention and Crisis Response, “First, no matter how many rules, guidelines, standards, or safety nets we may have in place, unforeseen incidents will still happen.” For this reason, every program should have a well-planned document outlining the steps to take in the event of a significant accident. This Emergency Action Plan should have the following sections: • Immediate First Aid • Scene Management • Notification of Emergency Medical Services • Notification of Program Managers • Notification of the Victimís Emergency Contact Person • Notification of Law Enforcement • Notification of Legal Counsel • Notification of Media • Program and External Review of the Accident

Emergency Procedures The program staff will follow these emergency procedures in the case of a serious accident. (Each organization will develop more detailed guidelines for each area.) Immediate First Aid Have a first aid kit on site. Give immediate first aid to the victim. Scene Management Remove other participants from the immediate scene. Reassure and calm those participants. The staff person should not in any way try to change the participantís view or opinion of the reason for the accident, nor should they acknowledge or place any blame for the accident. They should attend directly to the emotional and physical needs of the participants. Notification of Emergency Medical Services Notify the local emergency medical services. There should be a list of emergency phone numbers posted next to the nearest phone. Notification of Program Managers Notify the senior program manager who will speak to family members, police, and the media. Notification of the Victim’s Emergency Contact Person A designated senior program manager will notify the victim’s Emergency Contact Person, who is identified on the Health Disclosure Form. It is very important not to assign responsibility for the 19

Revised 7/25/2016

accident; however, it is equally important to give them adequate information about the condition and location of their loved one. It is also important to show appropriate empathy for the victim and the Emergency Contact Person. Notification of Law Enforcement For any serious injury or fatality, the local law enforcement agency will be contacted. The designated senior staff manager will make this call. Notification of Legal Counsel Again, the senior staff manager will take care of this step. Notification of the Media Crossnore School and its legal counsel will choose how to handle this. Program and External Review of the Accident Crossnore School may choose to conduct its own review, or it may choose to enlist the services of other experts within its field to review the accident. Lightning Challenge courses are dangerous places during a thunderstorm. Lightning protection systems cannot guarantee the safety of challenge course participants in the event of a lighting strike. Therefore, protection from lightning comes from the observation and understanding of this hazard combined with the appropriate actions. Challenge Course Program Day Alpine Tower International challenge courses are versatile tools capable of being used with a variety of groups and populations to achieve many different programmatic outcomes. Decisions relative to sequencing and delivery of a program day and the intended outcomes of the offering are often some of the more difficult and important tasks affecting overall program quality, safety, and success. Recognizing that a variety of factors influence choices in the outline of a program day, the following is a suggested sample program day for an ATI challenge course. Program staff are encouraged to adopt, adapt, and modify this outline to fit particular objectives and the particular structure used. Prior to the arrival of participants, program staff will complete the following: • Cursory inspection of the site and ATI challenge course to be used for the day. • Inspect all gear to be used on the course. • Review all policies. • Prepare paperwork for participants. • Verify availability of first aid kit and that adequate emergency/rescue equipment is on site. • Remove Access Prevention Devices and set up course, if appropriate. 20

Revised 7/25/2016

1. Introductions • Name Game, ice-breakers, and introductions. • The participants’ challenge course experience. • Expectations for the day—participants and program staff. Create overall picture, review purpose, set proper safety tone. • Review potential schedule. • Identify bathroom/water/shade facilities. 2. Paperwork (Health Disclosure Form, Assumption of Risk, Photo Consent) • Staff review all paperwork with participants (if this has not happened before the day of the program). • Participants complete paperwork. 3. Safety Awareness—expectations and terms of their participation and safety • No question is too silly—that’s how we can learn. • Listen to safety information before each activity. • Discuss basic ground rules for emotional and physical safety—inclusion, humor, personal stories, permission to check harnesses, etc. • Participant responsibilities for safety as participants. • Discuss smoking, alcohol, controlled substances, etc. • Remove all jewelry, remove items from pockets, and pull hair and other articles back and out of the way. Discuss potential dangers. • Ensure all are wearing proper footwear. • Discuss relevant topics and training of staff and participants. • Discuss how to avoid accidents, injuries, illness. Prevention is usually a key to an incident-free day. • Inform participants of emergency procedures, including weather. • Explain “stop action.” Staff or participant may request this at any time for safety. 4. Adventure-Based Experiential Education • Discussion of teaching through skills and processing activities for transference (e.g., metaphors) to life. • Discuss comfort, stretch, panic model. • Idea of progression (building on skills); individual and group abilities will determine the rate and ease of progression. • Challenge by Choice© and Permission to Encourage concepts—the ultimate goal is not necessarily the top; set goals as a group in initiatives, and as a team or an individual on the challenge course. 5. Warm-ups and Stretches 6. Initiatives • Discussion of teaching through skills and processing activities for transference (e.g., metaphors) to life. • Spotting techniques. Practice as needed. Role of the spotter—not to catch the participant (climber), but to help make sure the participant does not land on the ground or on the floor and get injured (by landing on the head, back of the neck, tail bone, etc.). To spot well:

21

Revised 7/25/2016

• Spotter maintains a solid stance with one foot in front and the other behind, about a shoulder’s width apart to help absorb the fall. • Spotter’s hands out in front (not in pockets or folded). Palm up if the climber is near the ground; palm out if overhead or at eye level. • To help keep the spotter from jamming a thumb, keep the thumb pressed along the palm and index finger. • Bend elbows to absorb energy of the climber. • Focus eyes on the climber—very important. Slips/falls come quickly, and the spotter must be diligent. • Practice getting on and off the base rails or practice area; consider doing several of the base rail initiatives. • Provide several games and low initiatives for progression and group process to help staff assess comfort levels of participants, to observe how they work together, and to ease people into participation in the challenge course experience. 7. Introduction to ATI challenge course equipment (will vary according to climbing background of participants) • Inventory of gear. • Introduce all equipment that participants will use. 8. Belay School and/or Practice Area (Content will vary with programmatic objectives as well as ATI structure.) • Teach knots, harnesses, other equipment. • Demonstrate belaying techniques, or self-belay lobster claw technique. • Demonstrate self-rescue on the practice area, if appropriate. • Explain and demonstrate belay monitorís role. • Explain and practice the signals. • Explain the routes/course. • Demonstrate climbing techniques. • Demonstrate being “lowered off” from 6 to 8 feet off the ground. “Lowering off” from this height instills confidence in the first time climber and belayer. Not necessarily needed for experienced climbers and belayers, but strongly recommended for first-time climbers. • Give pointers and suggestions about pendulums and lowering. • Participants practice. • Ensure use of 5-Point Check prior to climbing and lowering. 9. Lower-Offs (if applicable) 22

Revised 7/25/2016

10. Full ATI challenge course experience 11. Check in and process the day 12. Break down course, and install access prevention. Inventory gear. Complete any required post-program report required by your program for documentation purposes.
