Recording Behaviour and Achievement SIMS .net contains functionality to record behaviour incidents and achievements for students so a record can be built up of their conduct which can be reported on.

Opening a Pupil/Student’s Behaviour Record

To access a particular student’s behaviour records select Focus | Behaviour Management | Student Behaviour.

Alternatively click on the Student Behaviour icon at the top of the screen.

Enter details of the student for whom you wish to record behaviour or achievements and click Search. Highlight the student and click Open.

Accessing a Pupil/Student’s Behaviour Record via the Register Behaviour records can also be access via the Take Register screen so that incidents may be recorded via the class register. With the class register open, highlight the student for whom you wish to record an incident and click the Behaviour Management link from the Links panel on the right.

The Behaviour Management record for this student will open.

Overview of a Pupil/Student’s Behaviour Record Each student’s behaviour record is made up of a number of panels relating to different aspects of behaviour management. School may choose to use all these areas of just specific ones. Each panel can be accessed by scrolling down the page or clicking on the links across the top.

The following briefly describes what each panel does:

Academic Year The first panel, Academic Year, gives an overview of the number of points, detentions etc. that the student has received in a particular academic year.

Historical data can be accessed by selecting the relevant academic year from the drop-down list.

Achievement Within the Achievement panel it is possible to record instances of positive behaviour, achievements and rewards such a representing the school, good effort for a piece of work or high attendance.

Behaviour Within the Behaviour panel is it possible to record instances of negative behaviour such as disruptive behaviour, fighting, failing to complete work. Incidents recorded here will can cancel out positive behaviours recorded in the Achievement panel and reduce the student’s Net point score.

Detention Some schools may hold regular detention sessions. A record of these can be accessed within this panel.

Report Card For persistent or serious behaviour incidents some schools may place students on report for a set period of time during which teachers can set the student a series of targets and record how well these have been met each lesson. A report card such as this can be created through this panel.

Reviews There may be cases where you wish to follow up on a particular behaviour incident and hold a review meeting to formulate a plan of action to improve the student’s behaviour. A record of these reviews can be accessed here.

Interventions It is possible to record details of interventions that may take place with a particular student. This could range from a meeting with the student’s parents to placing them on a scheme or activity to improve behaviour/attendance.

Such interventions will be marked on the Attendance/Conduct graph within the Pupil Teacher View screen so that you can see if behaviour/attendance improves after the intervention has started and determine if it has been effective.

Recording a Behaviour Incident Most schools begin by using the Behaviour section to record instances of negative behaviour. The following example describes how to record a behaviour incident To record a new incident, within the Behaviour panel click New.

First select the type of incident that occurred. Each school will have its own unique list of types.

Particular types may have points associated with them e.g. more serious incidents may incur more points. The points defined for this type will be displayed. If the type selected is bullying, you may also be required to select a Type of Bullying as well. If the incident falls under more than one type, further types can be added by clicking the New button to the right of the Additional types panel.

You may wish to record the Activity type, Date, Location and Time of when the incident took place. More detailed Comments may then be entered describing what actually occurred.

A Status must be entered e.g. resolved, unresolved etc.

The Recorded on date will default to today and Recorded By will display the name of who is logged into SIMS.

Below this more specific details about the student may be entered: The Points will display the default points defined for this type of incident. This, however, can be adjusted if necessary. A Role may be recorded e.g. Agressor, Participant etc. Action Taken may be selected to describe any further steps that have been taken regarding the incident. Date of Action defaults to today but can be changed.

If Parents/Carers have been informed, you can specify in what way e.g. telephone. If the action has been taken by a particular member of staff, e.g. someone else made the phone call to the parents, this can be specified by clicking the Select Staff button.

A new window will open in which you can search for the required member of staff. Highlight the relevant person and click OK.

The member of staff is added.

Buttons are also available to generate detentions, report cards, exclusions and send messages linked to this incident. If you scroll down the page, more panels will be displayed. Your name will appear by default in the Other Staff Involved panel but additional staff may be added by clicking the New button to the right.

The following window opens. Click on the magnifying glass to select a member of staff.

A new window will open in which you can search for the required member of staff. Highlight the relevant person and click OK.

The member of staff is added. From the Role drop down list select the staff member’s role.

Click OK.

The member of staff is added to the Other Staff Involved panel.

Note: If you are only recording the incident and were not present when the incident took place, you may wish to remove your name from this section by highlighting your name and clicking Delete. Further documents and attachments may be added by clicking New in the Notes/Documents panel.

From the Type drop-down list, the type of document e.g. General Document can be selected.

A Status must also be selected. The status selected controls who can access these notes and attachments. Status Public Private Confidential

A Summary and further Notes may be entered below.

A document or scanned image may be attached by clicking the Browse button next to the Attachment field to locate the required file.

Navigate to the location where the required file is saved, highlight it and click Open.

The file is attached. To view a read-only version of the document, click the View button.

Click OK to return to the behaviour record. The Note/Attachment is displayed.

Once the behaviour incident is complete, click OK. The new incident will be listed within the Behaviour panel.

Click Save to keep your changes.

Recording an Achievement The process for recording an achievement is similar to that for recording a behaviour incident. Click New within the Achievement panel.

Select the required achievement Type from the drop-down list. Each school will have its own unique list of types.

Particular types may have points associated with them e.g. some difficult achievements may earn more points. The points defined for this type will be displayed. If the achievement falls under more than one type, further types can be added by clicking the New button to the right of the Additional types panel. You may wish also wish to record the Activity Type, and Date of the achievement. More detailed comments may then be entered describing what actually occurred. The Recorded On date will default to today and Recorded By will display the name of who is logged into SIMS.

Below this more specific details about the student may be entered: The Points will display the default points defined for this type of achievement. This, however, can be adjusted if necessary. If Parents/Carers have been informed, you can specify in what way e.g. letter. Award Given may be selected to describe a particular award that may have been given as a result of the achievement. Date of Award defaults to today but can be changed. If the award was given a particular member of staff, e, this can be specified by clicking the Select Staff button.

Details of staff involved in the achievement can be added by clicking New in the Other Staff Involved panel. Notes and Documents can also be added/attached by clicking New.

Once details of the achievement are complete, click OK.

The achievement is added to the student’s behaviour record.

Click Save to keep your changes.

Recording behaviour/achievement for multiple students If you wish to record the same behaviour incident details or achievement for multiple students at once, select Focus | Behaviour Management.

To record an achievement select Maintain Achievements. To record a behaviour incident select Maintain Behaviour Incidents.

The following example describes adding a behaviour incident but the same applies to achievements. To view existing behaviour records, select the date range across which you wish to view incidents and click Search. To view a record, double-click on it to open it. To add a new incident click New.

A new record opens. Complete the details such as Type, Activity type etc. as you would if recording the incident for an individual student.

Once the details are filled in, scroll down to the Students Involved panel to select the students to whom this achievement/incident applies. Click New.

Search for the students you wish to add. Highlight the required ones, holding down the CTRL key and clicking on the required students to highlight multiple students at once.

Click OK. The selected students will be listed. Further details may be entered for each one such as Points, Role, Parents/Carers Informed, Action Taken and Action Date.

Click into the cells for each student and select the relevant options from the drop-down lists that appear.

If the same thing is being recorded for multiple students, highlight each one by holding down the CTRL key and clicking on the required ones, then entering the data. To record Actioned By, click the Actioned By button on the right.

Search for the required member of staff, highlight him/her then click OK.

The Actioned by field is populated with the member of staff.

Once the student details are complete, click OK.

The Students Involved panel will be populated with the student details. Details for each student can be viewed by highlighting him/her and clicking Open.

Further Notes/Documents may be attached to the student’s record by clicking New.

Click Cancel/OK to return to the behaviour record.

Once the behaviour record is complete, click Save. If you now look in the behaviour record for a pupil included in this incident (via Focus | Behaviour Management | Student Behaviour), details of this incident will appear there too.

Following Up on an Incident Not all behaviour incidents may be resolved immediately and there may be cases where you need to follow up on an incident to see that certain actions have been carried out. In the following example a behaviour incident has been recorded with a status of Further Intervention Required. If we open up this record we can add follow up information to describe what further action has taken place since the initial incident occurred. Highlight the record and click Open.

As can be seen, further intervention is required for this incident.

To add a follow up, scroll down to the Pupil Details area. Place a tick in the Add Follow Up checkbox.

Once ticked, a Follow Up section will open further down the page. Enter the date of the follow up and click the Select Staff button to select the member of staff doing the follow up.

Search for the required member of staff, highlight him/her then click OK.

The member of staff is added. Comments can then be added describing what actions have been carried out.

Once the changes to the student’s behaviour record have been saved, if the incident is opened afterwards, a history of changes to the Follow Up panel is displayed in the Summary section.
