President’s Message 2014 has been a year of accomplishments for PMI® Austin Chapter (PMIAC). I started as the President-Elect in 2013, stepped into the President’s role in a few months and also acted as the Chief Operating Officer. We developed “PM Best!” as our Chapter’s motto and published our strategy with a clear vision & roadmap for 2013-2017. We also identified PMIAC’s strategic objectives & goals, prioritized our initiatives and ensured proper alignment of the departmental work plans. In 2014, we’ve started implementing our PMIAC’s strategy to achieve our vision to “Be the Center of Excellence for PM Leadership Best Practices in the Region” With professional commitment and passion. Member satisfaction has always been the highest priority for me and my fellow board members. We listened to the Voice-Of-the-Customer (VOC) and implemented several new programs. We reflected the culture of collaboration, accountability, transparency and customer service in all of our PMIAC Operations. We’ve launched the Veterans in Project Management (VIP) program to provide military veterans assistance with a career in project management, membership discounts, as well as certification support. In order to keep our monthly chapter meeting costs the same for attendees while the actual costs are rising, the board has approved an enhanced sponsorship category for sponsors in our community. Our monthly Chapter Meetings and our Spring & Fall Professional Development Days were very well attended and highly appreciated. We also partnered with several vendors, community organizations, non-profits and affiliates, as we conducted joint conferences and participated in community outreach opportunities. We invested in improving our core operational processes, infrastructure, governance planning and organizational building. I’m thankful for the excellent support received during my term as the Chapter President and am grateful to be among the top-of-the-line PM Leaders, Volunteers, and Members of our great Organization and our vibrant Chapter. Published and Started Implementing “PM Best!”: PMIAC Strategy 2013-2017: January.

Published PMIAC 2013 Annual Report on time: January.

Conducted successful Chapter Meetings with new top-notch Speakers & Sponsorships: January-November.

Achieved 100% speaker/vendor contract compliance in many departments

Conducted successful Membership drives at local events & conferences: January-November.

Completed Chapter Re-chartering (PMI requirement) on time: February.

Chapter President Ram Dokka & President-Elect Rahul Bhandari presented “Strategy, Chapter Building, Governance & Leadership Best Practices” at (International) Leadership Institute Meeting (LIM) Latin America in Rio-DeJaneiro, Brazil: March 29-30.

Vice President of External Services Dr. Heather Hall presented Professional Development Series (PDS) event Best Practices at PMI Region 6 Conference in Denver, CO: April 4-6.

9.

Completed PMI’s first ever PMP exam preparation training audit successfully: April-July. The Chapter’s education offering received excellent remarks and ranking on par with the Registered Educational Providers (REPs).

Delivered 5 successful PMP exam preparation courses: January-October.

11.

Conducted Successful Spring PDS event focusing on “Leadership Skills for Project Managers” by Dr. James Brown. The April 25th event was well attended and very well received by the PMIAC community.

12.

Implemented new Website & Communications platform: May-July.

13.

Conducted Joint Networking Event with Product Camp Austin: May 9 th.

14.

Filed 2013 Chapter Tax Returns on time: April-May.

Approved FY15 (July-June) Budget ) (A deficit budget to effectively and efficiently manage the Chapter reserves, supporting new programs/initiatives to improve customer satisfaction & membership value), ahead of schedule: May 25th.

Delivered several successful Lunch-N-Learn events with new Speakers and Outreach Partnerships with several community non-profit organizations: February–December.

15.

Conducted successful Fall PDS Conference on September 11th, with the theme “Keep Project Management Weird”. The keynote addresses and multiple session tracks were very well received.

16.

Implemented Bar Code Scanners at Chapter events automating recording the attendance as well as reporting the PDUs.

17.

Conducted PMIAC Education Instructor Tryouts: September 27th and selected new instructors for 2015.

18.

Conducted PMI Austin Chapter Elections (100% Volunteer Leader Retention): July-October 2014.

19.

Participated in LIM-North America Conference in Phoenix, AZ: October 22nd25th.

20.

Supported R6 “No Chapter Left Behind” program: October.

21.

Delivered successful Study Groups and Mentoring Programs: JanuaryOctober.

22.

Implemented Chapter Guest Pass Program.

23.

Partnered with Software Maniacs for Extreme PM training: October 24 th.

24.

Launched Veterans In PM (VIP) program: November 11th.

25.

Onsite PMP exam prep. training at Embree: December’14-January’15.

26.

UT PDC course discounts to PMIAC members.

27.

Improved Format and Dining options (Hors d’oeuvres) for Chapter Meetings.

Contracted with new North Austin Venue (JJ Pickle Center / The Commons Learning Center) for Q1 2015 Chapter Meetings and Spring PDS.

Education Office PMI Audit The PMI Global Operations Center (GOC) conducted a review of PMI Austin Chapter’s PMP test training program as part of the newly launched Chapter Training Quality Assurance Program.

Upon completion of the review, the Austin Chapter was notified that it had received a "successful, complete & excellent quality” rating with an 80% quantitative score. PMP Exam Prep Class The PMP prep course continued to be a significant revenue generator for the Austin Chapter. The chapter conducted 5 sessions in 2014 and achieved significant results.

• The total number of students that enrolled and completed the Austin Chapter PMP Prep Course was 62, slightly below the 65 that registered in 2013. The spike during the first and last session of the year was partly in response to an enhanced marketing campaign to attract more students through an increase in advertising on the Chapter website and at the Chapter Monthly Meetings. • The instructor pool continued to grow from 15 volunteers in 2013 to 18 in 2014, continuing to exhibit an extensive amount of collective project management experience.

On-Site Company Training During the month of December, the Chapter started an on-site company training program for 39 employees of the Embree Construction Group, Inc. This is a new type of offering where the Austin Chapter provides a PMP exam preparation course for employees selected by a company to receive this training. The instructors are volunteers from the regular PMI Austin Chapter Education Department. The training is in line with the Chapter’s stated objectives of promoting the project management profession in the community.

The financial responsibilities of the PMI Austin Chapter for 2014 are maintained by the VP of Finance/Secretary-Treasurer who took office in January 2013 for a twoyear term ending in December 2014. The VP of Finance is in charge of tax reporting and producing regular financial reports for the chapter’s Board of Directors. Additional responsibilities include: • • • • • • • • • • •

Maintaining and monitoring the approved budget and chapter expenditures Coordinating the budget planning for 2014-2015 fiscal year Consulting for chapter event planning Attending monthly Region 6 Financial Officers’ meetings Overseeing the chapter’s third-party bookkeeping service Coordinating the payment of bills Collecting and reconciling revenue for chapter and education events Insuring all entries in the accounting software are categorized correctly Producing profit/loss statements for chapter events Coordinating financial transactions with the registrar such as generating invoices and issuing refunds Generating invoices for the revenue share program with St. Edwards University PMP Prep Course

The chart shows the financial activity in 2014. In compliance with PMI best practices, PMI Austin Chapter continues to maintain approximately one year’s expenses in reserve.
