P 1/16

Project Management: in 5 steps….

1. 2. 3. 4. 5.

Carve the project and define the task list Define the logical sequence of tasks Add durations and constraints on tasks Define and allocate the resources Plan and assure the monitoring of the project

P 2/16

Projects Management in 5 steps : 1. Cut the project and define the task list • Make a list of all tasks (possible and imaginable) to achieve for completing the project. Do not forget anything, otherwise the project is flawed …. • … and not necessarily in chronological order  • For each project task, ask yourself 2 questions : 1. What do I need to start this task? (What is the predecessor?) 2. What will serve the execution of this task? (What is the successor?) • Finally, classify all tasks in chronological order

P 3/16

Projects Management in 5 steps: 2. Define the logical sequence of tasks

1.

Now link the tasks together. For each task:  

2. 3.

Verify all the predecessor tasks, namely, all of those to be realized upstream Verify all successor tasks

Establish links: in 99% of cases, a link is of type : End of a task Start of another task Estimate the Delays

P 4/16

Projects Management in 5 steps : 3- Add durations and constraints on tasks 1. Estimate : Durations or Workload? • Reduce the delays: A 40-hour task  lasts 40 hours for 1 person to 100% load  reduced to 20 hours for 2 persons each at 100% load • Reduce the workload : A 40-hour task  lasts 40 hours for 1 person to 100% load  40 hours for 2 persons reduced to 50% load 2. Follow the constraints. Soonest date, Latest date…

P 5/16

Projects Management in 5 steps : 4- Define and allocate the resources

1. 2. 3.

Establish a list of resources (human and material) List the constraints on these resources (number of hours / day, maintenance, holidays, weekends, …) Assign resources to the tasks

P 6/16

Projects Management in 5 steps : 5- Plan and assure the monitoring of the project 1.

Planning: 1. Compare the estimated (planned) with the real (realized) 2. Understand drifts 3. React and improve 2. Monitoring : 1. Monitoring tasks (% executed) 2. Regular meetings (10% of total time) 3. Important: the schedule has to live with the development of project. Otherwise it is useless ….

Project Title & name (s) P 9/16

Part 1: the Project

• Presentation of the project members by the project manager • Name of the project • Project summary definition • Essential characteristics of the project • Project objectives (next slide)

P 10/16

Part 2: the Objectives

In any project there are 3 objectives : • Objectives Delay: – Date of start and end of the project – Some intermediate dates (milestones) • Objectives « Quality »: – The expected results of the project (quantified if possible) – The primary and secondary objectives • Objectifs Cost – The "reasonable » cost for carrying out this project – Some possible variants Ask yourself the question: which purpose is the most important?

P 11/16

Part 3: the Means (the resources)

• Present the Human Resources – The specialists – Groups (Service, Team, ..) – Companies (supplier, subcontractor, tradesmen,..) • Present the material resources – The means of achievement and control – The various tools – The premises (labs, offices,..)

P 12/16

Part 4: the Project Management – project Team

• The manager (project manager) • His Power (what he can decide, what he needs to submit to a higher decision, from who he depends) • The team, the role of each (technical managers, financials, experts,..) • The organization of the team

P 13/16

Part 5: the Technique

• Specification Chart (functional and technical) • The basis on which the project is based (feasibility studies, prototype,..) • The main challenges of this project • Possible solutions for this project • Fallback solutions (« Plan B ») in the case of (big) problem

P 14/16

Part 6: the Planning • A mind map (freemind): who does what • PERT diagram: the project architecture in classical representation :  task represented by an arrow  Step represented by a circle • …. after that : GANTT diagram: project organization. Planned GANTT and real GANTT. Use Gantt project (in French or English corresponding to the language of presentation)  Key dates: major phases of Planning, the rendez-vous points (milestones), the project presentation revue date  The % of the Work done by task  GANTT Resources Diagram (% of time spent on the project in relation to time spent on studying. Do not exceed 100% by task!!!)

P 15/16

Part 7: the Communication, the conclusions, the thanks 1. Present the principles of communication used : • INTERNAL (necessary for the successful realisation of the project) – Between members of the Management Team – With the directors of the project • EXTERNAL (promotion and information) – Towards customers and direct users – Towards all those who have to know the project 2. What new competences have you developed? 3. Conclusions: what is done, what remains to be done 4. Thanks (enterprise, labs, supervisors,..)
