We had our PPG Meeting 12th March 2014 with 12 members and the chairman in attendance with 3 Partners, a reception supervisor and Medical Secretary. Please see minutes of this meting attached. We did a very brief survey prior to this meeting and it was apparent that the appointments system is of some concern. So the following action plan was devised. Wye Valley Surgery is open as follows: Monday, Tuesday : 07:30am – 7pm Wednesday: 07:30am – 7pm Friday; 08:30am – 6;30pm Monthly Saturdays: 08:30am for varying lengths of AM sessions All extended hour appointments are pre-bookable 2013/2014 PPG Members meeting Patient Group Chairman – Michael Henson The PPG has now been established for the past 2 years with an online forum which has been predominantly run by the chairman. 1. Progress to date It was agreed that progress to date has been very slow with members dropping out and limited use of the forum, members are encouraged to be more proactive and share their ideas and join in discussions on the forum. 2. Expectations of the PPG - The view of the practice The practice would like the input of the PPG to help identify any issues and contribute towards resolutions. Help with promoting the services offered and educating patients regarding DNA’s. Promotion of patient survey’s being undertaken and completed. 3. Constitution and Committee PPG members at the meeting were asked to forward email’s to the chairman so he can confirm committee and allow access to committee member’s part of the website. 4. Appointments It was agreed that appointments are currently not as user friendly as they could be. Issues included Phone lines being too busy Availability of appointments not being adequate Not being able to see a doctor of choice DNA’d appointments Ratio between full & Part-time doctor’s pre-bookable appointments was queried. All points were discussed with an agreement that educating patients regarding DNA’s and encouragement rather than penalising them may be more productive, Text messaging system in place however need more mobile numbers. Suggestion of having a PPG Member in the patient waiting area to encourage and speak to patients would be beneficial. Promotion of online appointments through the website and in the surgery and more online appointments available in the afternoon could be a way forward. Updating the website and having a link for online appointments, making it more user friendly and more advertising of services and when clinics are available. Suggestion of having a focus group purely on appointments was put forward with a view of recommending changes and ideas. 5. Online Prescriptions Briefly discussed, mixed views on service again need to promote and educate patients.

Comments from the Forum and individuals It was highlighted that the forum is maybe not used as much as anticipated and more input from PPG members was required. It was also highlighted that most members would like face to face meeting once a quarter in conjunction with the website/forum as they feel it is a more productive way of going forward. More input from the surgery for topics on the forum and for instant feed back. 7. Survey Dr Carter confirmed that the surgery would be doing a survey this year that we need help promoting and need as many patients as possible to contribute. It is a CQC requirement and the surgery is assessed and put on a legal table so to speak at the end, giving an idea of how well the surgery is performing against the national average. 8. AOB Notice boards need tidying up.

ACTION PLAN 

We are going to update our website to enable more advertising of online appointments, surgery clinics with clear precise information and more user friendly. – This is ongoing.



Address appointment system and plan to modify - The Surgery had an away day for team building and ideas for improvement, - Doctor 1st appointment system was discussed and put forward as a alternative way of booking appointments in as well as more patient contact from the GP’s. From this away day we are planning to do an audit on the demand of appointments and clinic at the surgery to plan modifying the appointment system to cater for the increasing demand.



A further survey will be done in 2014 for more patient views and recommendations which the PPG will help promote.



Plan to increase access to more appointments and clinics for the patients and work more efficiently.
