Supplies Gathering all the supplies and equipment needed for your VBS may seem like an impossible task. Divide that task into smaller jobs, and you’ll find it all coming together.

Supply Request Form • The Planning & Missions DVD contains a digital Supply Request Form (also on page 94). Give a copy of the form to every site leader and coordinator. Let your team know the date by which you need to receive their completed forms. •M  ake a master list of all the supplies needed. Divide this list into two sections: supplies that can be donated and those that need to be purchased.

Donated Supplies • Get the word out regarding the supplies that you need. Use your church website, VBS registration page, Facebook page, newsletter, and bulletin. •L  et church members know they can make a difference before VBS by donating requested items. Provide a container or designate a space where these items can be collected.

Purchased Supplies • Give your Supply Coordinator a job description and a budget. • S end your Supply Coordinator on a shopping spree with friends. Together, they can purchase, sort, and distribute the requested supplies. •L  ooking for unusual or hard-to-find supplies? Director’s Planning Calendar 5 to 6 Months Before Jungle Safari PRAY! SELECT CODIRECTOR(S) • Discuss how responsibilities will be divided. • Consider having a preschool director.

SET GOALS • What do you hope to accomplish? • How can you best reach out to kids and families in your community? • What do you want kids to walk away with after experiencing VBS? • How can you best follow up with new families who attend VBS?

SET DATES AND TIMES • Check the church calendar to avoid any potential conflicts. Investigate what other community events may be scheduled during the same dates. Check to see when other churches are having VBS or other summer programs. • Decide if a morning, afternoon, or evening event will be most effective, considering when you’ll have the potential for the most help.

Director’s Planning Calendar 4 Months Before Jungle Safari CONTINUE PRAYING! GET READY AND START RECRUITING • Meet with your codirector(s). •A  ttend a VBS preview at your local Christian bookstore. For the preview closest to you, visit www.vacationbibleschool.com. •R  ecruit coordinators and site leaders and give them job descriptions (see pages 84-93).

SET YOUR BUDGET • Determine how much money will be required to effectively conduct VBS. •F  ind out what funds, if any, have been designated in the church budget. • Work with church staff to brainstorm ideas for additional funding.

PLAN FOR SERVICE AND MISSIONS • For local service projects, work with your Slug-a-Bug S.W.A.M.P. site leader to choose which projects kids will participate in. •F  or the Kids Serving Kids Mission Project, see the 2-page flyer in the Super Simple Jungle Safari Kit. Then view the mission video clips on the Planning & Missions DVD and purchase the Missions Poster Pack and Jungle Vines Wall Mural.

PLAY FOR PUBLICITY • Give your Publicity Coordinator the Decorating & Publicity CD and copies of pages 103-108 from this Director’s Guide. •U  se the convenient checklist provided on the Decorating & Publicity CD to make sure nothing gets overlooked.

Director’s Planning Calendar 2 Months Before Jungle Safari KEEP PRAYING! PLACE ORDERS • Order all VBS materials. See the Jungle Safari VBS catalog or go to www.vacationbibleschool.com. Order early!

ORGANIZE THE TEAM • Begin recruiting crew leaders and additional volunteers as needed. • Set dates for team training.

PLAN SPECIAL EVENTS • Work with your Publicity Coordinator to plan a preregistration event. Or choose a separate individual to head up registration. • Plan the closing program. A traditional closing program is found on the Opening & Closing CD in the Planning & Music Disc Set.

BEGIN THE PUBLICITY CAMPAIGN • Meet with the Publicity Coordinator. • See the publicity calendar on the Decorating & Publicity CD in the Planning & Music Disc Set.

Director’s Planning Calendar 2 Months Before Jungle Safari CONTINUE! • Continue praying! • Continue recruiting crew leaders and other volunteers, and meeting with your codirector(s).

MAKE PLANS • Plan the daily schedule. • Make room assignments. Consider equipment needed, such as a sound system and microphones. Plan for any changes to room arrangements or furnishings. • Plan team training for site leaders and crew leaders. • Recruit someone to serve as the follow-up coordinator, and discuss plans for follow-up. • Have all volunteers fill out a background check form. CREATE SUPPLY LISTS • Work with your supply coordinator and other leaders to create lists for gathering projects, snacks, decorations, and other supplies. • Have all team members give you or your supply coordinator their list of needed items. • In the church bulletin, newsletter, or website, post lists of supplies to be donated. Include a date by which supplies should be dropped off.

ARRANGE TRANSPORTATION • If you decide to offer transportation to and from VBS, consider how many kids might need it. What permission forms need to be created and signed? Are car seats needed? • If you decide to offer transportation, choose someone to serve as your transportation coordinator. • Check your church’s insurance policy regarding driver eligibility.
