1. My Surveys Screen 1.1 Creating a survey New surveys can be quickly created in Phase ONE Habitat Survey Toolkit. - Touch New Survey - Enter a name for the survey – the screen will automatically open to a map. N.B. The name of the survey is a unique identifier for all data within that survey and cannot be changed later therefore ensure the name is relevant to the survey. - Touch on Survey Record in the top right corner to go to the Survey Record Screen and complete client details, surveyor details and initial site information such as location and status. Enter free-text notes to provide more general information about the site for inclusion in subsequent reports.

- To return to the Map Screen touch on the name of the survey in the top left corner. - To return to the list of all surveys on the device touch on My Surveys in the top left corner.

1.2 Opening an existing survey The My Surveys Screen shows a list of all surveys on the device. The list is arranged by date order from oldest to newest. - Search for previous surveys using the Search for survey… box at the top left of the screen. Touch the box then type search terms. - Select the survey to work on by touching it.

- Save each survey to be undertaken separately.

1.3 Deleting a survey On the "My Surveys" screen swipe across from right to left on the grey box containing the survey you want to delete. A red delete box will appear. Touch the red delete box. To complete the delete type the word "delete". This feature is included to avoid accidental deletion of surveys.

2. The Map Screen 2.1 Carrying out a survey After opening a survey the first screen shown is the Map Screen. From here either start to carry out the Habitat Survey or access the Survey Record Screen to add or edit site information. - From the Map Screen add habitat features and target notes to the survey by touching on Add Feature at the bottom of the screen. See Drawing a polygon, line or adding a target note for details. - The top left of the screen displays the scale of the map. - From the Map Screen various settings can be accessed by touching the button in the bottom right of the screen.

2.2 Drawing a polygon, line or adding a target note There are two options for adding a polygon or line feature to a map. - Plot features quickly by adding individual points on the map. - Touch Add feature and select the type of feature to be added: Polygon, Line or Target Note.

- Touch the screen in the location for the first point. - Touch the screen at the place for the second point to be added and keep touching to add points and join them up. - To increase accuracy, press and hold the screen in the general area to add a point. This brings up the magnification tool and zooms to the area underneath allowing greater accuracy in the placement of the point.

- With the magnification tool visible, touch the place to add the point then remove finger from the screen to add the point. - Undo one or more points by double tapping on the point (shown as a white circle around a dark dot). - To complete a polygon either touch back to the first point to complete the shape or touch Complete Feature.

- To add a target note, touch Add Feature and select the target note option and touch the screen where the target note will be added. The target note will appear as a red bulls-eye symbol.

2.3 Editing a polygon, line or target note - To edit the feature touch Edit Feature and adjust the points to reshape the feature. - Touch and hold on a white circle with a dark dot then drag to reshape the feature.

- Create more accurate boundaries by adding additional points. Touching a grey spot will add an additional point which can then be dragged to reshape. - Use the magnification tool in the Edit Feature function by touching and holding a point until the magnifying glass appears. - Add as many additional points as needed to match the boundary.

- To assign attributes to features see Adding Attributes to Features. - Delete a whole feature by selecting it and touching Delete. This will delete both the shape and any background information added in the Attributes screen. A warning is displayed, but once this has been agreed this operation cannot be undone.

- To deselect a completed feature touch the map outside any features previously created. Then add further polygons, lines or target notes as required.

2.4 Snapping - As more features are added they are likely to touch each other or overlap. Phase ONE Habitat Survey Toolkit automatically snaps new polygons to existing polygons meaning coverage of a large area can be quickly established. - To place two polygons adjacent to each other create the first polygon. - Once all the details are added and the polygon is completed add a second polygon. - Touching points along the perimeter of the first polygon will automatically trace the new polygon along this boundary, following the shortest path. N.B. Polygons cannot overlap. If a polygon is entirely within a second polygon see Cut Out polygons N.B. Feature lines do not automatically snap to polygons thus allowing linear features to overlay polygons (for example a fence dividing two areas of identical habitat).

2.5 Cut out polygons If one habitat type is completely surrounded by another, Phase ONE Habitat Survey Toolkit allows this to be mapped quickly and simply, for example for ponds, copses or buildings. - Draw the largest area and assign details as described in Drawing a polygon, line or adding a target note. - Draw the second feature over the top using the same method. Phase ONE Habitat Survey Toolkit cuts out the internal polygon and automatically recalculates the area and perimeter of both habitats. - Assign attributes and habitat types to both the internal and external polygons separately. Phase ONE Habitat Survey Toolkit also allows existing features to be surrounded with a new polygon and will cutout the internal feature in the same way.

3. Map Settings Map settings can be opened from the Map Screen by touching on the

button.

3.1 Finding a location - Locate a survey site by entering a postcode, area or GPS coordinate into the search box. - When connected to WiFi or cellular connection find your current location by touching the arrow in the bottom left of the screen. - Alternatively pinch and scroll to find the desired location on the map.

3.2 Switching between standard and satellite view - Switch between standard and satellite view at any time using the toggle. N.B. When exporting data all maps will be exported in standard view.

3.3 Saving offline maps Habitat Phase 1 Toolkit provides full offline functionality making it easy to carry out surveys in the field even without access to mobile data or WiFi. Maps can be saved to the device to view offline later. - Touch Save Offline Map in the settings panel then pan and zoom around the map to the area required. When the area is properly defined touch Save Offline Map.

A small scroll bar indicates the progress of the map download. Touch Cancel at any time to abort the map download.

Trying to save too large an area will display a message indicating that the region selected is too large and cannot be saved.

- Zoom in to a smaller region to save. - The speed of map download is dependent on the internet connection and the size of region downloading. N.B. A maximum of 10 offline maps can be saved at any one time to ensure good performance whilst offline.

3.4 Deleting offline maps To delete offline maps which are no longer required (for example because the project is completed or the wrong area has been selected). - Touch Delete Offline Map.

- Touch within the blue outline rectangle indicating the offline map. This will then turn red.

- Touch Delete to permanently remove the offline map.

N.B. Deleting the offline map does not delete any data or features attributed to the survey.

3.5 Zoom to offline maps To zoom to the bounds of all offline maps saved to the device touch Zoom to Offline Maps. This button will only be highlighted if offline maps have already been downloaded.

3.6 Zoom to survey If the map is accidentally swiped on the screen away from the polygons drawn. - Touch Zoom to Survey to zoom to the central point of the survey area. - Or exit and re-enter the survey to zoom to the survey features.

3.7 Show feature key Display a key to all the habitats in the survey. This shows the JNCC codes and the appropriate colours for all the habitats in the survey at that point. - Touch Show Feature Key.

- Hide the key again by swiping to the right. Features which have not had habitats assigned are not included in the key. If attributes are added to features while the key is displayed, hide and reshow the key in order to refresh the information shown.

4. Survey Record Screen - The Survey Record Screen shows all the information about the survey including client and surveyor details, site locations, site status, area and priority and invasive species. Tap on any box to add appropriate details. Site status and location information can be selected from the dropdown lists. There is also a section to type additional notes relevant to the site. - The grey sections in the bottom half of this screen are completed automatically when information is added on species for the specific habitats at the site. This screen also features the export button shown in the top right corner of the screen which allows the export of completed surveys (or parts of a survey). See Exporting for details.

5. Feature Attributes Screen 5.1 Habitat designations - Unlike traditional habitat surveys, Phase ONE Habitat Survey Toolkit allows attributes and details of dominant plants, priority and invasive species to be added to every feature added to the map rather than just to target notes. - Add attributes to any completed feature at any time by touching it and pressing Attributes (at the bottom right of the screen). Once a feature has been drawn the Attributes button is automatically highlighted. - Each feature is automatically numbered and the area and perimeter recorded.

5.2 Feature Name - Enter the feature name – this is free text so specific areas can be named or numbered according to specific requirements.

5.3 Habitat - Select the Habitat type. Touching on this box shows the full list of habitat groups.

- Touch the letter, name or arrow for the general type of habitat. This opens a second screen with further details of the sub-habitats for each code.

- On this screen touch the info. icon. This will display specific descriptions of the JNCC habitat classifications for reference.

- Touch the appropriate habitat type to assign the habitat to the polygon or line on the map. After assigning a habitat type it can be changed at any time by touching the habitat box again and reselecting.

5.4 Keywords In Keywords select keywords from the approved JNCC list and assign them to the habitat. Simply search the list or select from the drop down list for the appropriate keywords.

- Touching the arrows shows all keywords under each topic. Touch the appropriate word(s) to add them to the habitat. Assigned keywords are marked with a tick.

5.5 Notes - In Notes type general notes or details that need to be added to the habitat including useful information not covered in the JNCC Handbook such as guidance to colleagues on site access.

5.6 Adding plant species In Plant Species add details of the indicative plant species present within the habitat area. - Touch the + or anywhere in the box to open the plant species list. This provides the full JNCC list of the indicative plant species for the UK.

- Browse the whole list by scrolling up and down. - By default plants are sorted by Latin name in alphabetical order. Touch Common to sort by common name or Type to sort by general plant type. - Search for species by name by touching in the Search… box and typing search text. This allows searching by Latin or common name.

- Filter plants by type. Touch Filter to display the filter list. By default all plant types are shown. Remove general plant types one by one by touching them or remove all the types by touching None and add plant types one by one. Show all plant types again by touching All.

- To change search terms press Ⓧ or cancel in the search bar. - To clear filters press Ⓧ to the right of the filter terms. N.B. If filters are added then a search term is entered the resulting search will only display species within the filter terms. For example adding a filter to only display trees, then searching for a grass species will not display any results.

All species include information on distribution, identification and ecology. - Touch the info. icon to display full details of each plant. Swipe right to display images of the plant species and distribution maps. The number of images (maps and photographs) for each species is indicated by the number of dots shown under the photo or map. - To close the description information touch the plant species screen again. Sources of images are viewable by touching the attribution name under the photo. Touch again to return to the image. N.B. The full descriptions and image records for all species are only available via the Pro Subscription.

- Touch any species image or distribution map to view in full screen. Touch the image again to return to the species information. - To assign the species to the habitat touch the plant’s common or Latin name in the list.

- Now add information on the frequency with which the plant species is found within the habitat. Touch the appropriate designation within the DAFOR scale. Alternatively touch Unassigned to continue without assigning dominance or to add the plant before coming back later to add DAFOR information.

- Added species are highlighted in the species list.

- To add more species repeat the process. - If there is a species not in the list or a species that is unknown touch Add Unlisted in the top right hand corner of the screen. This allows assignation of DAFOR ratings to unknown plants.

5.7 Adding priority and invasive species In Priority and Invasive Species details of the indicative protected, notable and invasive species present within the habitat can be added. - Touch the + or anywhere in the box to open the Priority and Invasive Species list. This provides a full list of the indicative Priority and Invasive Species for the UK likely to be identifiable during a normal Phase 1 Habitat Survey, provided by JNCC and NNSS.

- Browse the whole list by scrolling up and down. - By default Priority and Invasive Species are sorted by Latin name in alphabetical order. Touch Common to sort by common name or Taxon to sort by general taxa. - Search for species by name by touching in the Search… box and simply typing search text. This allows search by Latin or common name. - Filter for species by type. Touch Filter to display the filter list. By default all species types are shown by status (Protected or Invasive) and by general taxon. Remove types one by one by touching them orremove all the types in each section by touching None and add types one by one. Show all types again by touching All.

- To change search press Ⓧ or cancel in the search bar. - To clear filters press Ⓧ to the right of the filter terms. N.B. If a filter is added first then a search term entered the resulting search will only display species within the filter terms. For example adding a filter to only display birds, then searching for a butterfly species will not display any results.

All species include information on identification and ecology. - Touch the info. icon and full details of each species will be displayed. Swipe right to display images of the species. The number of images (maps and photographs) for the species is indicated by the number of dots shown under the map. - To close the description information touch the Priority and Invasive Species screen again. - Touch any species image or distribution map to view in full screen. Touch the image again to return to the species information. Invasive species also include details of identification and information sheets provided by NNSS. These can be downloaded when in an area with WiFi or cellular coverage. Where appropriate there are also links enabling reporting of RISC invasive species (when in an area with WiFi or cellular coverage). Information sheets open in Safari. If a sheet is opened in Safari, double touch the Apple home button. Then select Phase ONE from the list of active applications. - To add a species to the habitat touch the species common or Latin name. - Now add the species by touching the pop out Add to feature button. - This has now added this species to the habitat defined. Added species are highlighted in the list.

- To add more species repeat the process. N.B. The full descriptions and image records for all species are only available with the Pro Subscription.

5.8 Adding photos - Habitat Phase 1 Toolkit allows photography of interesting species present, relevant site details or species requiring identification at a later time. - In Photos touch the +. This opens the camera function to take a photo. The iPad provides a short focal distance so close up images of plants and other species for reference are possible. - Touch Cancel to return to the Feature Attributes screen if no photo is required. - To take a photo touch the screen to focus, then use the white button to focus and take the photo. - Touch Retake to retake, or touch Use Photo to save the image and return to the Feature Attributes Screen. A small icon of the image is shown. Touch any image taken to display a larger version of the photo. Touch outside the photo to return. If there are more photos to display on the screen swipe left or right to scroll through the photos. Photos are automatically named to match the unique identifier for the area of habitat they are found in. Photos are also numbered in the order in which they were taken within each area of habitat. - Delete photos by touching the dustbin icon.

5.9 Returning to the Map Screen Once all attributes are added to the feature touch the name of the survey (shown in the top left of the screen) to return to the Map Screen.

6. Exporting Once all habitats and their attributes are added to the survey touch Survey Record in the top right corner of the screen. This will open the Survey Record Screen. - Review all notes and additional background information then touch Export. - Then select from the various export options. - Select to export all the information recorded in the survey or just parts of that information. By default all information is exported. To select items not to include simply touch the toggle against each part to change it from green to grey. The full export consists of 5 items: 1. A high-resolution JPEG map of the survey.

2. A high-resolution JPEG key to the survey.

3. An RTF file consisting of all text data, species lists and other information added to the survey which can be opened in most word processing programmes.

4. A folder containing any photographs taken during the survey. If no photos have been taken this will not be included.

5. A zipped folder including shapefiles of all polygons, lines and target notes added during the survey.

Export is by five methods:     

Email Wired transfer Upload to Google Drive Upload to Dropbox Upload to OneDrive

6.1 Email transfer Transfer by email requires a working email programme to be installed on the iPad being used. Information on setting up iPad based email for some common email providers are here: Outlook (MSN) Google Yahoo AOL iCloud It is also possible to set up IMAP or POP3 based email services to the iPad. Follow the instructions on the device. - When there is an email account linked to the iPad simply touch the email button. This will create a new email with the selected survey data attached, then send to recipients as required.

N.B. Email attachment sizes may be limited by email providers. In surveys with numerous photos email sending of all survey data may not be possible. Uploading to cloud or via wired transfer may be more appropriate. N.B. When emailing Shapefiles you may need to append the extension ".zip" to the Shapefile folder after downloading to allow GIS programmes to open the shapefiles (e.g. rename "Oxford Shapefiles" to Oxford Shapefiles.zip".

6.2 Wired transfer - To export survey data directly to your Mac or PC touch the File Transfer button. A pop-up indicates that the survey is ready to be transferred.

- Open iTunes on Mac or PC then connect the iPad and sync the device. - Now open the iPad by double touching the icon. - Touch on Apps in the left hand column. Under File Sharing there will be a list of the surveys on the device. - Touch Save to then select a folder on the Mac or PC to transfer the file to.

6.3 Upload to cloud storage Phase ONE Habitat Survey Toolkit offers the option to upload to Dropbox, Google Drive and One Drive. To use any of these systems requires a working account. - Touch the appropriate icon. This will automatically opens the login page of the chosen cloud storage. Then log in to the service. At first log in (or after clearing history, or logging out of the service) a message is shown indicating successful sign in. Options to Upload, Log out or Cancel are also shown. - Touch Upload to export the survey. A message indicates that the survey has been successfully uploaded. Phase ONE Habitat Survey Toolkit will also create, and automatically copy a link. Open Safari and paste the link into the navigation bar to view the contents of the survey in the live cloud storage. If there is limited connectivity a message may indicate that the upload has not been successful. Touch Retry when better connectivity is available to upload.

N.B. The exported JPG map is based on the Open Street Map version (i.e. no satellite imagery is included as an export). N.B. The .rtf file may not display in all cloud formats or in all browsers. To display the full file download and view on PC or Mac in an appropriate word processing program.

7. Subscriptions, accounts and subscription content 7.1 Pro Subscription Phase ONE Habitat Survey Toolkit includes options to upgrade to the professional version for 1, 3, 6 or 12 month subscriptions. Phase ONE Habitat Survey Toolkit Pro allows unlimited surveys, unlimited offline maps (up to ten concurrent maps according to area and device size), map views equivalent to approximately 40 surveys per month and full species content for over 900 species. - Touch ‘Subscription’ from the My Surveys Screen and follow the iTunes Store prompts on the device.

7.2 Accounts - Touch the Subscription button on the My Surveys page

- Touch the Green "Sign Up" button - Enter an email address - Create a password Passwords must be 10 characters at least and include at least 1 uppercase letter, 1 lower case letter and 1 number. If you do not enter a valid password you will see an error message.

Please note we will never ask you for your password.

7.3 Subscription Content Phase ONE Habitat Survey Toolkit Pro includes full species content for over 900 species. Once you have activated your subscription you will be able to download this content to your device. From the Subscriptions screen touch the green Download button and follow the prompts. The download is approximately 400MB so it is advisable to download over a Wi-Fi connection to avoid high data charges.
