People Inc. Overview: People Inc. is a fully-integrated HR system designed to manage all personnel-related information and activities. People Inc. is designed to enable users to record and manage personnel records, to communicate with employees and management, and to improve the efficiency of the HR function. All aspects of the system can be modified; functionality can be added to the system quickly and easily by the user. This ensures that the system will adapt as HR function and legislation changes. This flexible and scalable system is based upon a range of elements designed to allow users to get maximum benefit from their HR information, including:            

Extensive standard system screens designed to record all HR information Powerful MS SQL database (providing reliability, security and high capacity) Compatible with current versions of Microsoft SQL Server Facility to attach documents to records (for example CVs) Generation of letters and e-mails to employees (and any other contacts) User-definable letter templates (using Microsoft Word) Generation of reports (including PDFs and graphs) Screen-design and report-design tools (enabling users to tailor system) Utilities to import and export data (to MS Excel and other formats) User-level security Wizard–driven processes (for key activities) Centralised Action List

The system enables users to manage a wide variety of HR-related information. The standard configuration of People Inc. provides screens and functionality to manage the following:          

Basic employee details (name address, key dates, visa, IRD details etc.) Absence allowances, absence bookings and reporting Job details, establishment, headcount, career history Vacancy Management Remuneration (pay and benefits) Appraisals and training needs, training history Equipment issued (e.g. safety equipment, mobile phones, vehicles) Discipline and grievance Next of kin, bank account, medicals, parental leave Employee related accidents

License types: Windows Client licenses: These licenses are for administrators of the system and provides full control over People Inc. With these licenses you can enter and modify all employee information, use the screen designer to customize the software, the report builder to modify and create new reports and have the ability to set security levels for all users of the system. Each administrator will have their own login to the People Inc. system and can have different security rights if required. Licensing works on a ‘concurrent user’ basis, which means if you have 2 Windows Client licenses you could have more than 2 administrators with access to the software but only 2 can be logged into People Inc. at one time.

Employee Self Service (ESS) license: The People Inc. Employee Self Service (ESS) module is designed to provide efficient communication between employees, managers and HR. Amongst its key benefits, the system enables employees to view their details held within the People Inc. system. Access to the module is provided via a web browser enabling individuals to access the information from any computer or mobile device. This module has a huge impact on employee empowerment, delegation to managers and significantly reduces the administrative load of the HR team. Benefits of the ESS Module:      

Employees can view and update information on their profile Employees can request leave (which can be routed to their allocated manager or a group of managers) Employees can view attachments Employees can complete forms required by the HR team Managers can update information about their own team/department Administrators that don’t require the same level of access as the HR team, but need to view company information and run reports can do this through the ESS also

Manager access: Through the security module you will be able to control various ESS access levels for employees. This can be useful in allowing managers to view and manage information about their team only.

People Inc. Recruitment Module: This module enables vacancies to be listed directly onto your website and then recorded into People Inc. once an application is submitted. This automates the process and cuts down a significant amount of administrative time. Key features:

Vacancies are created within People Inc. and then automatically posted onto your website vacancy page Once a candidate completes the online form and attaches their CV / cover letter, a new applicant record is automatically created within People Inc. HR team (or line managers) can process applicants from within People Inc. by changing their status Format and content can be customized to incorporate your company logo and colour themes Rejection / acceptance emails can be generated in bulk Successful applicants can be transitioned into active employees and unsuccessful applicants will still remain on the database for future reference.

Payroll Integration: Integrations are available with certain Payroll providers which has the benefit of avoiding double entry of information and saving time!

Employee joins and a new record is created in People Inc

Onboarding process can commence prior to their start date i.e. setting up training needs and issuing equipment

In the relevant pay cycle, Payroll will automatically pull new employee info / changes to employee info into Payroll

Report Writer: People Inc. comes with 100+ standard company report templates that can be fully customized to reflect your own branding and logo, and you can also use the Report Builder to create your very own report templates. A few example reports around Establishment and Turnover include: • A list of permanent employees • Key responsibilities • Job changes that have occurred within a specified period • Salary changes that have occurred within a specified period • Long service awards • Significant birthdays that are due next e.g. 21 or 50 • Employee ID cards • Starters and leavers within a specified period Example 1 - Employee Details. One page per employee, Provides a wide range of details and contacts for an individual employee.

Example 2 - Employees by Date of Join. Provides a listing of employees whose date of join is between the dates specified.
