PARENT AND MEMBER HANDBOOK The purpose of this handbook is to inform parents and Club members of the policies and practices of the Boys & Girls Club of King County, North Seattle branch.

OUR MISSION Our mission is to inspire and enable all young people, especially those who need us most, to realize their full potential as productive, responsible and caring citizens.

HOURS OF OPERATION    

Office Hours: M-F 10am-6pm School Age Program Hours: M-F 3:30pm-7:00pm Teen Program Hours: M-F 2:30-7:00pm Teen Friday Late Night Program: 7:00pm-11:00pm (no late night on Holiday weekends)

CLUB CLOSURE DAYS We will not be available for care on the following days:  New Year’s Day  Martin Luther King Jr. Day  President’s Day  Memorial Day  Fourth of July  Labor Day  Veterans day  Thanksgiving Day and the Friday following  Christmas Eve & Christmas Day  Summer Preparation June TBD  Fall Preparation TBD We will also be closed for two days during the school year for staff training. You will be notified about these days and for additional closures at least two weeks in advance.

SNOW CLOSURE

The Boys & Girls Club follows the Seattle Public School closures, if Schools are CLOSED, so is the Club.  During snow conditions please call and listen to our snow message before dropping your child off for the day. We may be CLOSED!  We will open the club when staff can arrive safely.  It is not necessary to tell us your child will be gone during school snow closures.

MEMBERSHIP FEE The Boys & Girls Club charges a yearly $50 membership fee. Membership is required for enrollment in any of our programs. With your membership you can attend any Boys & Girls Club in King County.

SCHOLARSHIPS The Boys & Girls Club maintains a scholarship fund to assist families in need of help. Scholarships are awarded on a first-come, first-served, need basis only. You can apply for a scholarship at the front desk. You will need to fill out a scholarship form and provide a copy of your tax return, stub from DSHS or TANF. Scholarships typically take 7 business days to process. Donations to our scholarship fund are always appreciated and are 100% tax deductible.

OPEN DOOR POLICY You are invited to visit us any time. Staff members are available to talk with you about ongoing activities. However, we do ask that you make an appointment if you need to discuss issues that take staff away from time with the children.

ACCEPTANCE ENROLLMENT POLICY Our school-year program is designed for members in Kindergarten through 12th grade. 5 day temporary passes are available to determine if the Club environment is a good fit your child/family. FREE memberships are available to all children living in motels.

We will do our best to provide reasonable accommodations to any qualified disabled person. If your child requires special accommodations in order to participate in our programs, please let us know.

DROP-IN PROGRAM POLICY The North Seattle Boys & Girls Club staff does not grant permission for participants to leave the program facility, nor do we insist that they stay. The decision as to when a child arrives at the program or when and with whom they leave is a matter arranged between the child and parent. Members in K-12th grade love coming to the Club Monday through Friday after school for a fun-filled afternoon! The Club offers a variety of programs designed to increase Academic Success, Character and Citizenship, and Healthy Lifestyles. Activities include: homework help, board games, art projects, cooking, gym activities and much more! Members receive snack, play games and create friendships that will last a life time.

ATHLETIC PROGRAM POLICY We ask that all family members that participate in our athletic programs follow our parent code of ethics! Please speak with our Athletic Director, Berhanu Mekonnen if you have any questions.

PERSONAL BELONGINGS Club members are expected to stow all of their belongings in a cubby when they arrive each day. Club members are also expected to participate in Boys & Girls Club programs/activities and therefore are not permitted to use any handheld device or electronic (Nintendo DS, MP3, iPod/iPad, Kindle, etc.). We also ask that you keep all additional belongings like stuffed animals, toys, cards (Pokémon, Magic, etc.) at home. Personal belongings may be brought on Friday Free day ONLY! We recommend that children in grades kindergarten through fifth do not bring cell phones to the club. However if you decide to send your child with a cell phone, please understand that it must be kept in their backpack unless permission is given by a staff member. Members in grades sixth through twelfth are permitted to bring a cell phone. WE ARE NOT RESPONSIBLE FOR LOST OR STOLEN ITEMS!

FIELD TRIPS

Your permission for your child to attend any and all field trips is given by signing the parent authorization form. If your child cannot attend a field trip, please inform the Director, and together you may develop an alternative for care that day.

PARENT AND MEMBER HANDBOOK Children will walk, take the bus or ride one of our Boys & Girls Club vans or mini buses on field trips. When traveling in the van, children are required by law to wear their seat belts at all times. Children weighing less than 60 pounds are required to use a booster seat. Van drivers meet the requirements of Washington State and the King County Boys & Girls Club. During Breaks, summer or Holiday care your child will need to come prepared with:  Clothing & shoes appropriate for the weather  A sack lunch with a cold pack, which includes a drink in a non-glass container  Any items requested on their activity calendar for the day  A book or quiet activity for down time     

Children may bring toys from home that they are willing to share during playtime with others. If children are riding bikes or skating outside, helmets are required. Because we cannot be responsible for their belongings, valuables should be left at home. No gum chewing please. In addition, our policy is that the club is an inappropriate place for war toys/weapons. Please do not allow your children to bring these to our program.

FOOD AND SNACKS We provide a healthy snack each day after school. If your child has any dietary restrictions or food allergies, please keep us informed. Sack lunches need to be brought from home on all no school days and should include an ice pack to avoid spoilage. No glass containers, please or any food that requires heating. We are a nut free facility. We also ask that members only buy 1 soda a day and that members drink them after lunch.

LOST & FOUND Please label all items. We cannot be held responsible for lost items. All unclaimed articles will be placed in the lost & found in the gym. Unclaimed items will be given to charity at the end of each month.

CELEBRATION OF HOLIDAYS The North Seattle Boys & Girls Club is a non-sectarian organization and does not prescribe to any particular religious beliefs or practices. Holidays are often recognized and celebrated in a carnival fashion with games and activities that reflect the season. Information, rituals, and customs from many different cultures and belief systems are shared and celebrated. As a club, we like to recognize children on their birthdays and make it a special day for them.

TRANSPORTATION Transportation is provided by Seattle Public School Transportation Department. You will need to contact them directly to establish drop off at the Boys & Girls Club. Please contact 206.252.0900. Not all Seattle Public Schools are eligible for School Bus transportation. Van pick up service is provided to Hazel Wolf & Whitman Middle School. A signed transportation contract is required to start this service. Please inquire at the front desk or email April Clark at [email protected]

ARRIVAL AND DEPARTURE Scanning Each Club member is expected to use his or her Boys & Girls Club Membership Card to scan in and out each day that he or she attends the Club. Club members who exit and re-enter the Club for outside events (medical appointments, swim lessons, etc.) must scan out when they leave and scan back in when they return. Absences and Early Departures It is usually not necessary to notify Club staff if your child will be absent from the after school program or if you need to pick him or her up early. However, you are welcome to call any time and we would be happy to pass along a message from you, remind your child to get ready, or let you speak to your child. Pick Up Boys & Girls Club members are required to scan themselves out when they leave for the day. This is a drop in program and we do not require an adult to be present for a child to leave the facility. However, we will enforce all restraining orders. Please make sure that we have updated paperwork. We require an in person meeting to discuss ALL restraining orders for our members. Late Fees All Club members must be picked up before we close at 7:00 pm. After 7:05 pm a late fee of a $1 a minute will accrue. (At 7:20pm parents must pay a few of $15) Payment is due at time of pick up.

MINOR SCRAPES AND INJURIES We follow the below process for minor scrapes and injuries:  Minor cuts and abrasions will be washed with soap and water then covered with a band-aid.  A cold pack will be applied to bumps and bruises.  The child will be monitored closely for the remainder of day to ensure no further actions are needed. A Boys & Girls Club Accident Report will be filled out for all injuries which require first aid treatment.

ILLNESS Club members may not participate in our programs if they have a contagious illness, fever, vomiting, diarrhea, or a severe cold. Parents will be called to come and get their child if he or she exhibits any of these symptoms while at the Club. Youth who have runny noses, but otherwise appear healthy, may attend the Club and participate in our regular activities.

LICE If a Club member has head lice their parents will be notified and asked to come pick them up. Club members are welcome to return to the Club after proper lice management and treatment has been completed.

EMERGENCY PROCEDURES If a child is seriously injured while at the Club, the Staff on duty will take whatever steps necessary to obtain emergency medical care. These steps may include, but are not limited to the following:   

Provide emergency first aid on site Call 911 as needed Attempt to contact a parent/guardian, or emergency contacts if parent/guardian cannot be reached.

We will NOT provide transportation to a hospital or clinic. If 911 determines that it is medically necessary to transport your child to a hospital, we will try to contact you and escort the child to hospital in the ambulance. We will stay with the child until you can meet us at the Hospital. A Boys & Girls Club Accident Report will be filled out for all serious injuries, along with BGCKC secondary insurance form. Please read over the insurance form and follow the instructions.

ADMINISTRATION OF MEDICATION If your child requires an over-the-counter or prescription medication, written authorization from the child’s physician must be submitted in order for us to administer it. A copy of our Medication Policy and Medication Authorization can be picked up at the front desk. All medications must be clearly marked with the following. - Child’s Name - Physician’s name for prescription medications. - Name and strength of medication - Special directions, time and method of administration Staff members will keep all medications in a controlled access area (on field trips, this will be in a medical/first aid bag carried by staff).

DISCIPLINE PHILOSPHY AND PROCEDURES At the Boys & Girls Club, our goal is to help our members learn and practice resolution skills, work together to resolve their differences, and develop positive alternatives to arguing. We believe that many discipline situations can be avoided if consistent guidance is incorporated into our program. This involves clearly explaining Club rules, offering redirection when appropriate, informing children of the consequences of poor choices, and providing reliable follow-through. We encourage all of our Club members and our staff to adhere to and model the Boys & Girls Club C.A.R.E. guidelines at all times: Cooperate with everyone Act safely and responsibly Respect yourself and others Encourage each other

PROGRESSIVE DISCIPLINE STEPS When behavior expectations are repeatedly not being met, Club staff will do the following: First Steps  Identify and address the undesired behavior in private by asking what happened and gathering information from other Club members, if appropriate.  Help the Club member recognize why the behavior was a poor choice and which of the CARE Guidelines was not followed, as well as talk about ways the behavior affected them, others and the Club environment.  Ask the child what he or she could do differently next time.  Inform the Club member of second steps that will be taken if the behavior occurs again. *Please note that if at any time a Club member is not ready or willing to process and problem solve, then things will come to a temporary stand-still for them. This may mean the Club member will sit quietly somewhere until he or she is ready to process and problem solve, or until they are picked up by a parent.

Second Steps  If the undesired behavior is repeated, staff will follow through with the second steps that were previously discussed. Examples of second steps are:  Sitting out on the sideline of the activity  Leaving the area for a specified amount of time  Being banned from particular equipment for a specified time  Writing reflections on the behavior or making apologies to others as needed Third Steps  If the undesired behavior continues after second steps are taken, the Club member is brought to speak with a Director and develop a formal individual behavior contract. Parents will be notified of the recurring behavior and the contract. Some of the steps listed above may be omitted and an immediate suspension or expulsion imposed for a more serious infraction if we believe that the Club member was aware of the consequences of their behavior.

SUSPENSION The following behavior will result in immediate suspension from the Club:     

Fighting Physical endangerment by the use of drugs, cigarettes, tobacco products or inhalants Destruction or theft of Club property or private property Harassment through inappropriate physical contact or disparaging remarks Recurring aggressive behavior: Pushing, shoving, kicking, biting, taunting, teasing, bullying, and/or name-calling

We value each and every member of our Club, and will work to create a behavior contract with a suspended member so that he or she can successfully return to the Club following a suspension. If a Club member repeats the same offense numerous times, we reserve the rights to expel the child from the Club. A parent meeting will be held prior to expulsion.

EXPULSION The Boys & Girls Club is intended to be a positive environment for everyone, and we will never tolerate the presence of any type of weapon on our premises. If a Club member chooses to bring a weapon of any kind to the Club for any reason, the police and the Club member’s parent will be called and the Club member will be sent home from the Club immediately. There will be no second chances, explanations, or suspensions offered.

PARENTS We believe that good communication between parents/guardians and Club staff is essential to providing the best possible care for each child in our program. Please inform us of changes in your child’s life that may affect his or her behavior. Changes may include moving, hospitalization of a family member, alterations in parents’ relationship, or a death in the family.

STAFF Our staff structure consists of an Executive Director, Athletic Director, Program Director, Education Director, Teen Coordinator and several part-time Youth Development Specialists. Every member of our staff is a highly qualified youth development professional and many have worked in other youth programs and/or have a background in education.

VOLUNTEERS The Boys & Girls Club staff is often assisted by adult volunteers. All volunteers (including relatives of Club members) must be at least 19 years of age and successfully pass a Nationwide & Washington state criminal background check. All volunteers must complete a Volunteer Orientation and Presidium training. Volunteers work directly with Boys & Girls Club staff in our Education, Athletic, Administrative and Program Departments.

PHOTOS AND SOCIAL MEDIA There is a photo release on our membership application that states we can use photos of your children. We have a more formal photo release that includes a social media policy. Please inquire in the Club.

ORGANIZATIONAL NOTE Our Club is a branch of the Boys & Girls Clubs of King County, which is one of the largest Boys & Girls Club organizations in the nation. Although we receive administrative support from them, we are required to support ourselves through local fundraising efforts and donations. All funds raised by our Club remain here in our community and support programs for local youth.

CHILD ABUSE & NEGLECT Washington State Law (WAC 388-151-480) requires that an instance when the child care provider has reason to suspect the occurrence of physical, sexual, or emotional child abuse, child neglect or child exploitation as required under chapter 26.44 RCW be reported to Child Protective Services. Reports are kept confidential and referrals may be made to CPS without conferring with parents. We will not release a child to a family member who is intoxicated.

SUMMER CAMP INFORMATION Welcome to Summer Camps at the North Seattle Boys & Girls Club! We offer a wide array of age appropriate activities for youth entering Kindergarten – 12th Grade in the fall of 2016. The following information is designed to help

SUMMER HOURS OF OPERATION  

LATE PICK UP POLICY

Our club closes at 6 pm in the summer time. LATE FEE: After 6:05 pm you will be charged $1 for every minute you are late. Payment is due at time of pick up!

REFUND POLICY

All refund requests must be submitted in writing prior to the start of a program. No refund requests will be processed after a program has begun. A 10% processing fee will be incurred for requests submitted 10 business days prior to the start of a program. A 50% processing fee will be incurred for requests submitted after 10 business days before the program. NOTE: General Summer Camps require a $10 NONREFUNDABLE/NON-TRANSFERABLE deposit.

SCHOLARSHIPS

If you are applying for a possible scholarship, be prepared to turn in, with your scholarship application, a copy of your most current tax return (NOT a w-2) and proof of any additional assistance you are receiving. If you have any questions, please contact Misty Morgan: [email protected]

PAYMENT FOR CAMPS

Payment for camp is due on the MONDAY that camp starts. If payment is not made on time, campers will be dis-enrolled from camp and the slot will be given to the next camper on the waitlist. Parent/Guardian will then be called to pick up the camper.

SIGN-IN & OUT POLICY

ALL of our camps require a parent/guardian to sign them in each day! We often have additional information and paperwork that may need to be signed. We also ask that parents/guardians pick up their campers at 3pm. You may also choice to have your child join drop-in at this time each day. We require a signed waiver and an initial on the sign in sheet daily.

SUMMER DROP-IN PROGRAM

Each day we offer a FREE drop-in program from 3pm-6pm with your current NSBGC membership. Campers stay in age specific groups for the remainder of the day, Voyagers K-1, Explorers 2-3, Adventure 4-5 & Challenger Teens. Members will participate in a wide range of activities during this time including snack, physical activities, arts and crafts and gardening!

We are a nut free facility and ask that you do not pack any products with nuts in them. Due to health code we are unable to provide space for food in the Club fridge, please pack an ice pack to keep your child lunch cold.

If you are interested in bringing a treat to share, please inquire with your Director to ensure our members safety. The following information designed to answer information regarding our K-8th Grade Summer Camp Programs.

GENERAL DAY CAMP INFO

Welcome to Day Camp at the North Seattle Boys & Girls Club! We offer age specific camps for K-1st, 2nd3rd, 4th-5th & 6th, 7th, & 8th graders. Each camp is designed to foster positive relationships, build new skills, create friendships, and most importantly have FUN! If you have any questions regarding our Day Camp Summer Camps please contact April Clark, Program Director with further questions.

FIELD TRIP/TRANSPORTATION

Supervised groups may travel by METRO Transit, Club vehicle and/or on foot to local parks, pools etc. Parents should be aware that written permission is required for participation on field trips. We have an “Emergency Field trip Information Form” that covers the entire summer; however, some field trips require additional permission slips to be signed.. *look for these additional forms on Monday of each week* Members are required to wear club shirts on ALL field trips and can take them home at the end of summer camp.

WHAT TO BRING TO CAMP        

Weather appropriate clothing A sack lunch Swim suit Towel Water bottle Sun screen A great attitude! Members can bring money ($20 max) on select field trips.

CAMP RATIOS & STAFFING

Each age group has a Lead Youth Development Professional and a Support Youth Development Professional that are trained in Boys & Girls Clubs of King County Standards including, YPQA, First Aid, CPR, Food Handlers Permit, CPS & Emergency Preparedness. Our Program Director April Clark over sees the following programs and is available for questions at any time at [email protected] Below are the “staff to kid” ratios for summer camps:

PARENT AND MEMBER HANDBOOK Voyager Camp, K & 1st Grade: 1 staff to 9 kids Explorer Camp, 2nd-3rd Grade: 1 staff to 11 kids Adventure Camp, 4th & 5ht Grade: 1 staff to 11 kids Challenger Camp, 6th, 7th & 8th Grade: 1 staff to 11 kids

CAMPING/OVERNIGHT TRIPS

Both Adventure & Challenger camps will go on overnight trips this summer. There is an additional $15 fee per night (included in weekly tuition) to help cover staffing and supplies. During camping trips, the Club will provide breakfast, lunch, snack, dinner and desert. We do our best to accommodate dietary needs, but may ask for parents to help with some supplemental food. We camp at Washington State Parks & at Lions Camano Island. A packing list will be available the week prior to camping. Tents are used for camping in Washington State Parks, we will help organize sleeping arrangements and tents are not required for your youth to participate. Campers will be assigned sleeping arrangements based on same sex with no more than 4 sleeping in 1 tent. The campsite is divided in half with boys on one side & girls on the other. Staff sleep near other tents, on same gender side and area available throughout the night. Camping Rules:  Boys in boy tents & girls in girl tents ONLY.  You may only go into your tent, no one else’s.  Tent time is provided each day for down time of an hour.  Members help cook, set up and clean after each meal.  Walking only in camp area.  Camp fire safety is gone over while on the trip.  Leave no trace (respect nature).  Follow Club rules while camping.  Lights out is 11pm (Tent time 10:30pm).  Campers must stay in tents until a staff member is present.  Electronics are collected once they arrive at the camp site. Campers may use them during tent time only.  Swimming is only allowed in designated lifeguarded areas for our member’s safety.  Showers are available for use and Challenger Campers are required to take at least 1 shower while camping.  Additional site specific rules are given on location. Parents/Guardians will be contact and required to pick up camper if they do not follow rules.

TEEN/CHALLENGER CAMP ELECTRONIC POLICY

We recommend that all electronics are left at home, however understand that tweens are interested in playing with their DS, Tablets & phones. Challenger campers may use electronics in Club vans and during

PARENT AND MEMBER HANDBOOK drop-in on Fridays ONLY. We want our campers to get the most out of their camp experience at the Club! NSBGC is not responsible for lost or stolen electronics. The following information is designed to answer information regarding our ATHELTIC Summer Camp Programs.

GENERAL ATHLETIC INFO

Welcome to NS Athletic Camps! We offer a wide variety of sport camps designed to teach members specific skills in a fun and supportive environment. We ask that members are prepared to get physical and have fun while in our athletic programs. New this year, we will go on 3 field trips during the summer, Summer Field Day Week 3, Seattle Storm Game Week 4 & Tacoma Rainer’s Week 6. If you have any questions regarding our Athletic Summer Camps please contact Shedrick Nelson, Athletic Director with further questions.

WHAT TO BRING TO CAMP     

Athletic attire (Shorts, sweats, t-shirt, tennis shoes) A sack lunch Water bottle Sun block A great attitude!

CAMP RATIO & STAFFING

Athletic Camps have a maximum of 22 members. The camp is run directly by our Athletic Director & a support Youth Development Staff.

GENERAL DAY CAMP INFO

Welcome to our STEM/ Specialty Summer Camp Programs! We offer 7 fun weeks from Legos to cooking your campers are sure to have a great time! Each week campers will have hands on activities and go on 2 field trips to local attractions! LOCATION

STEM Camp is located next door to the Club at Denise Hunt Town Homes in the community room.

CAMP RATIO & STAFFING

STEM Camp has a maximum of 22 campers. Lori Ross is the Lead Youth Development Professional along with a Support Youth Development Professional.

SUMMER PARENT ACKNOWLEDGMENT FORM I have received a copy of the Boys & Girls Clubs of King County, North Seattle Branch Parent and Member Handbook. I understand this handbook supersedes any previously published handbooks. I understand that it is my responsibility to read this Handbook. I further understand the following concerning this Handbook:        

This Handbook replaces all prior handbooks, policies and practices. I have reviewed the section involving picking up my child(ren) and agree to pick them up by 6:00 pm. In the event I am unable to pick them up I will call my emergency contact. I have reviewed the Discipline Philosophy and Procedures Section and I understand the procedures that are in place. I will report incidents and/or concerns to the Executive Director, Program Director, Education Director, or Athletic Director. I understand that my child MUST be at the Club for summer programs no later than 9am I understand that I am required to bring a sack lunch each day for my child. I understand that I am required to pay each week for summer camp. My child(ren) may be suspended and/or expelled by Boys & Girls Club of North Seattle at any time, for any of the offenses listed in the Suspension/Expulsion Section.
