Click on Shipment Entry if this is how you were trained to enter your shipment information by Pep Boys. *** Please note that Shipment Entry is NOT to be used for any Pep Boys PO #s that start with an A, L, P, T, W or Y. These PO #s are to be released in Transplace Order Management 2.0 ONLY!***

Enter the Pep Boys PO number in the PO Field – Only use a Capital letter as OMS is case sensitive. DO NOT enter the 01 at the end of the PO #. Click Search and the PO Search Results screen will appear with your PO information. The Search Results tab is only visible when Search Results are present. You may also search with the following criteria if needed: • PO Status • Origin or Destination Location ID • Vendor ID • Pickup, Delivery or Created (in OMS) Dates

If the PO Status is Closed, you can not release or ship the PO# without approval. If your PO Status is in Error or Closed Status, please send an email to [email protected]; [email protected]; [email protected].

If the PO Status is Open, you will check the box next to the PO# and then click “Add To Pending Releases”.

You may also “Remove From Pending Releases” on the same PO Search Results Screen by clicking on the Red “—” sign and this will move the PO # back to Pending Status and remove from the Pending Releases Screen.

You may also “Remove From Pending Releases” if you need to do so on the Pending Releases Screen by checking the box next to the PO # and then click “Remove From Pending Releases”. You may “Edit Stops” if you need to change the Pickup Location from this screen by clicking on the “Edit Stops” button or you may change the Pickup Location from the Release PO screen.

You may now start to Release the PO # by clicking on the PO # and you will reach the screen below.

You must fill in all of the following fields listed below.

Location ID/Name – Some vendors may ship from a different origin than what is listed on the PO # and may have to enter a location prefix letter or change the Pickup Location altogether. You may click the spyglasses to see the locations that you are associated with. If your shipping location is not listed, contact the Pep Boys Transportation Team to get the shipping location added. Earliest Time/Latest Time – This date can be changed. If you have the product ready sooner then the Must Ship by Date please update the Pickup “Earliest/Latest Time” date. This lets us know that it is ready and if possible, we could pick up sooner. Quantity of Pallets Total Weight of shipment Total Cube Feet of the shipment (If you are unsure of cubic feet for your shipment, please use “50” cubic feet for each pallet as a general rule. DO NOT just enter 1 or 0!) LTL Class – All Pep Boys freight is set at LTL Class 65 (Freight All Kinds) Hazmat – Check the box if product is considered Hazmat Stackable – Check the box if pallets are stackable. (If it is both stackable and non stackable please include in the Comment section at top of screen how many pallet positions the product will take up on the truck.

VENDOR BOL # – If you have a Shipment Reference # that the driver will need for Pickup, then enter the Shipper Reference # in this field. Carton Count– Enter the Carton Quantity After all of the information is entered, Click “Release”.

You may get warnings that you have not given Pep Boys the adequate release time or that the quantity exceeds limit, etc. Please reference the Pep Boys Compliance Rules. The Vendor Compliance Rules Can be found at info.pepboys.com Please correct the warnings that appear and click Release again. PO #s can be released with some of the “warnings”, but a chargeback may occur.

Some vendors receive 5 PO #s, one for each Pep Boys DC. You can pull all Five PO #s up at one time by searching with a comma between each PO # and then click Search.

From PO Search Results tab, Select Checkbox to select ALL PO #s on screen and click Add To Pending Releases button.

From Pending Releases tab, Select Checkbox to select ALL PO #s on screen and click Multiple PO Edit & Release button.

If you need to Mass Edit Stops, Click Mass Edit Stops button, and the 2nd box will appear for you to Search for other Shipping Locations associated to your Vendor ID #. If you do not find your Shipping Location in the Search, then contact Pep Boys Transportation Team to setup the new Shipping Location. Location that appears is the default Shipping Location setup for your Vendor ID #.

Once you have found the Shipping Location, click on Location ID # and click Update, if you have not filled in all other support information, then you will receive the Warnings shown in the 2nd box below. Continue tabbing through and entering all requested information. You will not receive the Warnings if you fill in the requested information first and then Mass Edit Stops (if needed) after all other information is filled in.

Your shipment or shipments are now released. Pep Boys will now see your shipment and plan the load accordingly. Please give Pep Boys time to route the shipment prior to emailing Pep Boys. If you released the PO on time, Pep Boys has 2 full business days to plan the shipment. You will receive an email notification from Transplace once the load has been planned. This is your notice to go into Transplace and print the Bill of Lading. You MUST USE Pep Boys BOL ONLY! In the email, you will be given a Transplace or Mode Execution Load # Example: 402379694 The ME # OR the PO # can be used to pull the Bill of Lading.

If you are unsure if you released a PO #, you are able to check by clicking on the Release Search tab at the top of the screen. Enter the PO # and click search. If the PO # information does not appear, you did not release it. If your release was successful, it will appear with the PM-REL-XXXXXXX release number.

You can also search the PO # Search Screen again and on the PO Search Results Screen, if the PO # has been released, the PM-REL-XXXXXXX release number will appear in the Release Column. If you hover over the icon, it will give you the Released information. This information can tell you what has previously been released against the PO #.

Printing the Pep Boys Bill of Lading Log on to www.Transplace.com then click on External Shipment Monitoring

Enter the Transplace Load/Mode Execution Id that was emailed to you in the Criteria Section OR select PO NBR from the Reference drop down box and enter the Pep Boys PO# then click Search located at the bottom of the screen.

On the Search Results Screen, you will see the first field is the TP Load Number with a paper icon next to the Load #. Place your mouse over the box and “Click to Open Manifest” message will appear. After you click the paper icon, a message at the bottom of the screen will ask you if you want to Open or Save. Click Open. ONLY PRINT THE BOL IF THE LOAD STATUS IS “TENDER ACCEPT”. The load may be subject to change if the load is not in TENDER ACCEPT Status. The BOL will be in a PDF format.

After you click the paper icon, a message at the bottom of the screen will ask you if you want to Open or Save. Click Open.

If you receive the below warning message that the load is not Accepted by the Carrier yet – DO NOT PRINT THE BOL. Please wait and try again later. The carrier information is subject to change.

Any shipment shipping by Fed Ex – The BOL will have a pre-assigned Pro number and a Bar Code. The driver should not re-pro the BOL. Have the driver scan the bar code.

The Pep Boys Bill of Lading will come up as a PDF. Please print out 2 copies. Have the driver sign both copies. The Driver keeps one and you will keep the other copy for your records. Please apply a copy of the BOL with the carrier PRO Number/Bar Code facing up in a clear pouch to each pallet.
