This course provides scenarios to better understand what is required to properly administer a Open Text Fax Server after it has been installed and configured. This course is meant to be a starting point for new administrators. Fax Server Fundamentals provides more thorough information on installing, configuring and administering a Fax Server.

THE PURPOSE OF USERS IN FAX SERVER Users play a very important role in the Fax Server environment. Users are at the center of the Fax Server architecture. Nothing can happen without users. When a fax is sent, it must be sent from a user account. When a fax is received, it is always received by a user. When you think of users you generally think of a physical person who is sending and receiving faxes. In a Fax Server environment a user does not necessarily have to coorelate to a phys- ical person. There are times when you might want a fax to be received by a user account and automatically routed to another system without any user intervention. Because all faxes must be received by a user account you would still need to create an account to receive the fax. You would just not associate the account to an actual individual but instead set up an auto- matic route for the fax to a third party system. You can create a user account manually as well as automate the process. When creating a user account there are a number of properties and attributes that can be set. In this section you will learn how to manually create a user and the most important properties and attributes to set.

MANUALLY CREATING USERS As mentioned earlier there are many ways to create a user. You can create a user manually or automate the process. In this section we will explain how to manually create a new user. To create a new user:

1. Open Enterprise Fax Manager (EFM) and select the User object in the server tree list.

2. From the Edit menu, select New, or press the Insert key.

3. Fill in the different settings on each tab to format the user to your specifications. The new user you create uses the default user as a template.

Note: Options available on the Default Outbound Settings tab, Other tab, Outbound AutoPrinting tab, Default Receive Settings tab, and Notification tab can be configured by the user in FaxUtil.

CONFIGURING USERS There are a number of different properties and attributes available for each user. Double click the user you wish to edit in EFM to access them. Some of the important ones to be aware of as well as the tab they appear on include, Identification

Important settings on the Identification tab to understand are:

User ID. The identifier which is used throughout the Fax Server system. It should be the user’s network logon ID, and it must be unique. It is case insensitive – will change to caps automatically.

Use Integrated NT Security?. By checking this box you will enable pass through NT secu- rity for this account. You must also specify the NT account to associate with. This integrated security is accomplished by identifying the user based upon their NT SID. If you delete the NT account associated with a RightFax account you will have to re-associate the accounts. Password. Available when the user is created. If Integrated NT Security is used, password is disabled.

Group ID. The name of the group to which this user belongs. Can be found under the dropdown list.

Important settings on the Permissions tab to understand are:

Administrative Access. Gives access to administrative functions of RightFax, such as EFM and mailboxes.

Administrator Can Bypass Privacy Restrictions. Allows a defined Administrator to view faxes in other users’ mailboxes.

Archive Sent Faxes. Enables archiving of outbound faxes as defined in the WorkServer Configuration. Assign Default Billing Codes to Received Faxes. Assigns user’s billing code to a received fax.

Bypass Billing Code Verification. Allows a user to fax without providing a valid billing code, if verification is enabled. Can Change Cover Sheet. Allows a user to select another cover sheet either as their default, or for an individual fax.

Can Edit/Add Forms. Allows users to use the Store as Form feature of FaxUtil. Forms are templates or overlays such as corporate letterhead.

Creating and Understanding Users Can Edit/Add Library Docs. Allows users to edit/add library documents in FaxUtil Store In Library feature. Library documents are objects that are faxed on a regular basis, and there- fore should be stored as TIFF images. Disallow Billing Code Lookup. Prevents a user from viewing the billing code list.

Disallow Editing of Billing Codes. Prevents the user from changing the billing code assigned to them by the administrator.

EDC Process Received Faxes. Allows faxes received by this user to be processed by the external document connector. EDC Process Sent Faxes. Allows faxes sent by this user to be processed by the external document connector.

Excluded from Group Fax Aging. Users’ faxes will not be deleted as a part of the Automatic Fax Aging process.

Must Have Faxes Approved. Requires all out going faxes to be approved by an individual who has administrator or group administrator rights.

Must Have Password. Requires users to have a valid password (this field is only available if Windows NT integrated security is not used). Stamp pages of received faxes with audit stamp. Adds a line of text to bottom of each received fax page listing fax transmission statistics.

Unprotected Mailbox. Allows any user to switch into this mailbox without supplying a password. Inbound Routing

The Inbound Routing tab configures how users receive faxes. The settings are:

Routing Code (DID /DNIS number). The routing code assigned to users.

Routing Type. The type of routing decided upon and purchased for the company. The choices are: RightFax Mailbox. The default. No additional Routing Information is nec- essary.

E-mail. The user will receive the fax as an e-mail message. You must provide the necessary post office routing information for RightFax to find the e-mail mail- box. E-mail choices are l l l l

Network Directory. Faxes will be sent to the network directory of your choice. There must be a UNC path and you must specify a share name. Can include macros.

Open Text Training File Format. Routing options allow you to choose the file format in which the fax will be delivered. Options include DCX, PCX, TIFF-G3-1D, TIFF-G4, GIF (for MS Exchange only). Routing Info. Specify necessary information for the particular Routing Type. Default Outbound Settings

Important settings on the Default Outbound Settings tab to understand are:

The Cover Sheet Defaults area of the tab allows you to specify settings for what cover sheet the user will utilize as well as default information that will automatically populate fields on the cover sheet. Send Cover Sheets?. Enables automatic send of a cover sheet.

Cover Sheet Model. User’s default cover sheet setting can be changed in FaxUtil.

Cover Sheet Resolution. User’s default cover sheet resolution can be changed in FaxUtil. Should match default fax resolution selected above. Private Fax Number. User’s DID number.

General Fax Number. General published company fax number. General Voice Number. General published company phone number. From Name. Sender’s name.

The settings for the Outbound Auto-printing Tab are:

Enable automatic printing of sent faxes?. Will automatically print all outbound faxes to the specified printer.

Printer. Select the printer to which all outbound faxes will print. These are the printers configured in EFM. When to print. Radio buttons, only one option allowed: l l l

When a fax is successfully sent

When a fax cannot be successfully delivered Both

What to print. You may select multiple options: l l l

Print History?. Includes information about date and time received, line and channel received on, senders CSID, success, etc. Print Cover Sheet?. Prints the cover sheet. Print Body?. Prints the body of the fax.

Default Receive Settings Important settings on the Default Receive Settings tab to understand are::

The Automatic Printing Options area allows you to setup automatic printing of received faxes. The options in this area are: Enabled?. Enables user’s default auto-printing setting, can be changed in FaxUtil.

Printer. Select the printer to which all received faxes will print. These are the printers configured in EFM. Resolution. The resolution of automatically printed faxes.

USER AND ROUTING SCENARIOS Now that you have learned how to manually create a user and set the account's properties and attributes let's utilize what you have learned in some real world scenarios.

In the first scenario create a user called John Smith, give the account administrator access and a DID routing code of 1000. Once the account has been created send a fax to the user from within FaxUtil. Open and view the received fax.

In the second scenario create a specialized user account called Third Party give it a DID rout- ing code of 1001. Set this user up to automatically save received faxes in a PDF format to a network share that you will create called thirdparty. Send a fax to the user and confirm that the fax has been automatically saved to the third party network share. Create and configure the following users to be able to successfully complete the remaining course scenarios, l l l

An account named SalesUser with a DID routing code of 1002

An account named MarketingUser with a DID routing code of 1003 An account named Printer with a DID routing code of 1004

There are three additional accounts that have already been created for you, Distribution1 Distribution3. These accounts will be utilized in the group scenarios.

COVER SHEET TYPES Fax cover sheets are created and stored on the Fax Server. Cover sheets are added to a document being faxed to provide the recipient with information regarding the fax.

The types of cover sheets used in an organization are generally determined by the software environment. DocVariable cover sheets are created using Microsoft Word and require Word to be installed on the Fax Server. HTML cover sheets are created using HTML tags and require Internet Explorer 5 or higher installed on the Fax Server. PCL cover sheets require no special software to be installed on the Fax Server, but can present challenges due to the need for using specific font types and sizes in the creation of the cover sheet.

CREATING PCL COVER SHEETS When you create a cover sheet you use variables called embedded codes, an example below.

These variables are replaced with information that the user specifies when sending a fax. As an example, when you send a fax from FaxUtil you will be presented with a dialog box where you will type in the recipient's name and fax number as well as additional optional infor- mation.

The information you type into this dialog box will replace the embedded codes on the cover sheet. PCL cover sheets have to be saved as a PCL file. The easiest way to create a new PCL cover sheet is to edit the default PCL cover sheet provided in RightFax. To do this: 1. Open the Fcs.doc file in the \RightFax\Fcs directory using any word processor.

2. Edit, add, or delete fields to reflect your organizations needs using the table of embed- ded codes below. The cover sheet may only be a single page.

3. Use any font and character style on your cover sheet; however, the Fax Server embed- ded codes have special requirements: l l

Any embedded codes should be a native printer font (the fonts in the dropdown box should have a printer icon next to them, not a TT icon). PCL Embedded codes must be between angle brackets (Ex: )

4. Create and save as many customized versions of the cover sheet as needed. For ease of future editing purposes, save the files into the \rightfax\fcs directory. 5. Print to a file using the following steps:

a. Select the File menu and click Print. b.

Check Print to File. c. Click OK.

d. Name file with a .PCL file name in \\Server\RightFax\Fcs

CREATING DOCVARIABLE BASED COVER SHEETS Fax Server embedded codes for DOC cover sheets are inserted as Word DocVariable fields. Unlike the embedded codes for PCL cover sheets, DOC embedded codes can be any TrueType or native printer font. Below is an example of what DocVariables look like on a cover sheet.

By default, DocVariable fields are hidden in Word. To view these fields:

1. Click the Office 2007 logo in the upper left corner. From the Tools menu in Microsoft Word 2007, select Options.

2. Click Advanced and scroll down to the Show Document Content section.

3. Click the box next to Show field codes instead of their values. When finished, click OK.

Open Text Training Note How to display field codes will vary by version of Microsoft Word. The version used in this module is 2007. To create a DocVariable field:

1. Position the pointer to where you want to place the cover sheet code and select Quick Parts > Field from the Insert menu. This opens the Field dialog box

2. In the Categories section, select Document Automation. In the field name section, select DocVariable.

Note How to create a DocVariable field will vary by Word version.

3. Add the cover sheet code to the variable in the format: DOCVARIABLE code where “code” is a supported cover sheet codes. For example, the following cover sheet code displays the destination fax number:

HOW GROUPS ARE UTILIZED Groups allow you to subdivide your organization to manage the fax system more efficiently. Unlike how groups are utilized in a server environment, groups in Fax Server do not control security settings. A group is a set of users with a common administrator, and possibly an alternate administrator. Most organizations will create separate groups based upon departments.

CREATING GROUPS To create a new group in Fax Server:

1. Open Enterprise Fax Manager and select the Groups object.

2. From the Edit menu, select New, or press the Insert key.

3. Complete the fields in the Edit Group dialog.

CONFIGURING A GROUP There are a number of different properties and attributes available for each group. Double click the group you wish to edit in EFM to access them. Some of the important ones to be aware of as well as the tab they appear on include, Basic Information

The fields available under the Basic Information tab are: Group ID. Give the group a unique name.

Administrator. Enter the RightFax user ID of the person who will administer the group.

Alternate Administrator (optional). Enter the user ID of the alternate administrator.

Cover Sheet Model. Specifies the group’s default fax cover sheet.

Notification Type. The method by which group members are notified of fax information.

Days to Keep Deleted Fax Records. Specifies the number of days that records of deleted fax images are kept in the RightFax database. All faxes must have cover sheets?. If checked, all faxes sent from this group will have a cover sheet.

All faxes must be held for preview?. If checked, all faxes sent from this group will be held for preview.

The Automatic Fax Aging tab allows you to set the number of days a fax will remain in the image directory before being deleted by the system. Automatic Fax Aging will only delete faxes stored in the user’s Main folder in FaxUtil unless you select Settings apply to all user folders. Time deletion options include: Settings apply to all user folders. Select to delete faxes in all user folders.

Received Faxes (viewed or printed). Will automatically delete faxes that have been viewed or printed after the specified number of days.

Received Faxes (unviewed or printed). Automatically deletes faxes that have not been viewed or printed after the specified number of days.

Sent Faxes (success). Automatically deletes faxes that have been sent successfully after the specified number of days.

Sent Faxes (abandoned). Automatically deletes faxes that have been abandoned after the specified number of days.

Outbound Incomplete Faxes. Automatically deletes faxes that have empty required fields after the specified number of days. Certified Documents. Deletes certified documents after the specified number of days.

Configuring a Group Forced Scheduling

The Forced Scheduling tab delays faxes of a certain size that are sent within a specified time frame. The options for forced scheduling are:

Enabled?. Implements forced scheduling for a group. Faxing activity may be limited or controlled to conserve costs and/or server resources by establishing parameters on:

Maximum Concurrent Pages. Total number of pages that can be faxed out by a user in this group. Maximum Concurrent Faxes. Total number of faxes that can be faxed concurrently by a user in this group. Start Time. Start time of the controlled period.

Ending Time. End time of the controlled period.

Delay Until Time. Send out faxes after this time. Smart Fax Distribution

The smart fax distribution settings control the systematic distribution of incoming faxes to a group of users. The settings for this feature are: Enabled? Implements Smart-Fax Distribution for a group.

Routing Code. Assigns a common routing code to a group. All members of the group have a unique routing code. Distribution Type. l

Linear. Faxes are distributed in a round-robin manner. Example. In a group of three (3), Jim gets the first incoming fax, Kim the second fax, John the third fax, Jim the fourth, Kim the fifth, John the sixth, and so on.

Balanced. Faxes are distributed in such a way as to keep up with each user’s processing rate. Faxes are routed to those with fewer unopened faxes in their mailboxes. Member refusal allowed. Group members may refuse distributed faxes.

Configuring a Group Fax Dialog Customization

The Fax Dialog Customization tab allows the administrator to determine what fields and buttons will be displayed on the dialog box that is displayed when a fax is sent. When a box is unchecked, the field or button will no longer be displayed.

GROUP AND ROUTING SCENARIOS Now that you have learned how to manually create a group and set the group options let's utilize what you have learned in some real world scenarios.

Create a group called Distribution and add the Distribution1 - 3 user accounts to the group. Create a routing code of 2000 for the group to be used for smart fax distribution. Send three faxes to the group (routing code 2000). Confirm that the faxes have been received by the three members of the group. Each member should have a single fax.

Create two groups, sales and marketing. Add the SalesUser to the sales group and the MarketingUser to the Marketing group. Create a .pcl cover sheet with the embedded codes that will display who the fax is from and to, as well as the fax number of the recipient. Save the .pcl cover sheet as Sales.pcl in the fcs folder.Create a DocVariable cover sheet with the embedded codes that will display who the fax is from and to, as well as the fax number of the recipient. Save the DocVariable cover sheet as Marketing.doc in the fcs folder. Assign the cover sheets you created to the groups you created.Send a fax using the cover sheets created. Do this both manually in FaxUtil as well as through phonebook entries.

DIFFERENT PRINTER TYPES Printers are defined in EFM and are utilized when a user prints from FaxUtil or if automatic printing is enabled.

If you print a fax from the fax viewer you will use a local or networked printer. Neither the printers nor the drivers need to be installed on the RightFax server.

AUTOMATING PRINTING To configure a printer for use in RightFax:

1. Select Printers from the Server Tree List in EFM.

2. From the Edit menu, select New, or press the Insert key on your keyboard. The Edit Network Printer dialog box appears.

The settings to configure the printer are:

Printer ID. This is the identifier RightFax will use for this printer. This unique ID should match the printer’s network ID to avoid confusion. Description. A text field for your reference only.

Printer Type. Determines the printer driver used by the fax server to format faxes printed to this printer. Choose the one that most closely corresponds to your printer. Direct TCP/IP printing. If the printer you are installing has a network card that allows it to be directly attached to the network and it is addressable via TCP/IP check this box.

Different Printer Types Server Name. Indicates the file server on which the queue exists. If the queue is in NDS this should be the value at the top of the tree. Queue Name. Varies depending on your network operating system. l l l

NT: The queue name is the share name of the queue.

Netware 4.X using NDS: The distinguished name of the queue object. Netware 3.X: The bindery name of the queue.

Default Paper Size. Determines how the fax server will scale a fax page to fit onto the printable area of your laser printer. It also indicates what paper to select. Default Paper Source. Determines which paper tray will be used. Creating a Printer with the Windows GDI At times you may want to create a printer in RightFax that does not have a driver listed. If you have a locally installed driver for the printer you want to create you may use the Windows GDI option. To setup a Windows GDI printer: 1. Open the Printers object in EFM and create a new printer. To do this, click Edit and then click New.

2. In the Edit Network Printer dialog enter all appropriate information but ensure you choose Windows GDI for the Printer Type field.

3. Specify the local printer name in the Printer Name field. As an example, if you have a printer driver installed on the RightFax server named Lexmark, the Edit Network Printer dialog might look like this:

4. Click OK to save the printer. Importing Printers

Printers can be imported from the network into RightFax. To import printers: 1. Open Enterprise Fax Manager.

2. From the utility menu select Import Printers from Network. The Import Network Printers dialog box is displayed. 3. Select the context from which you want to import the printer.

Note The entire context selected will be searched for a printer including any WAN links.

4. Select an appropriate printer driver for the printers you will be importing and change any other defaults by clicking Set Default Printer Information. Once you have changed the defaults click OK. 5. Click Find Printers in Selected Context.

6. Delete any printers you do not want imported by selecting them in the Current printer list and press the Delete key on your keyboard.

7. Click Import Listed Printers. The selected printers will now be available in RightFax. Enabling Automatic Printing for a User account

Once you have created a printer in Fax Server you can enable Automatic Printing for a user's sent or received faxes. To enable automatic printing of sent faxes, Go to the Outbound Auto-Printing Tab for the user and enable the settings required. To

enable automatic printing of received faxes,

Go to the Default Receive Settings Tab for the user you will be enabling and enable the set- tings required.

Automatic Printing Scenario

AUTOMATIC PRINTING SCENARIO Now that you have learned how to manually create a printer controlled by the fax server and set up an account for automatic printing let's utilize what you have learned in a real world sce- nario. Create a Fax Server controlled Printer called AutoPrint.

Create a special user account that automatically prints received faxes. Send a fax to the spe- cially created user account.

CREATING REPORTS The Enterprise Fax Reporter (EFR) is a RightFax Administrative Utility that makes RightFax reporting simple. Fax usage and billing reports are the highest-demand items, but many types of reports have been created for you. The tool is based on Crystal Reports and executes live SQL queries. There are no staging files, such as Access (.MDB) files. Every report pulls up-to-the-second live data every time you run it. Client Computer Requirements

EFR and all other Admin Utilities may be installed on the RightFax server or any RightFax client workstation. • Crystal Reports 10.2*

• Microsoft .NET Framework 2.0 or later* • Microsoft Data Access Components 2.8*

• Microsoft Visual C++ 2005 runtime components* *Installed during RightFax Setup.

ENABLING REPORTING To run RightFax Enterprise Fax Reporter (EFR)

1. Click Start > All Programs > Captaris > RightFax Enterprise Fax Reporter. EFR opens.

2. In EFR, click File > Open and select a report. You will be prompted to logon to your SQL server.

3. Enter the following information to log in: l l

The name of your SQL Server, followed by \RightFax.

Your Authentication type (SQL Server or Windows Authentication). If you choose Windows Authentication, theUser ID, Password, and Remember Password checkbox will be disabled because Windows provides this information.

Enabling Reporting

4. When you run a report, you will be presented with a series of dialog boxes asking you to enter parameters.

5. When the report opens, you can view by page, zoom in or out and export, print, and search the report.

User Volume. In pages or transmission time

Unviewed/Unprinted Faxes. Compiles information on unviewed/unprinted received faxes. Allows you to obtain a system-wide view of what faxes have been ignored, which allows you to find a “lost” received fax.

Outbound Fax Reports

Outbound fax reports give both a detailed and summary report of faxes that have been sent. These reports can be categorized by all faxes or completed faxes. Billing Reports

Billing Reports are used for allocation of costs for cost recovery. Some features of billing reports are: l l l l

Produce summary and detailed versions of reports.

Sort or group by various combinations of billing codes.

Report on outbound faxes only. (Can customize for inbound faxes.) Includes live and deleted faxes.

Destination Reports

Destination reports sort sent faxes by fax number, destination name, destination company, or remote id. Some of the features of destination reports are: l l l l l

Includes live and deleted faxes Prompts for destination

Wildcards allowed (* or ?)

Utilizes transmission histories

Page totals are pages transmitted on wire

User Volume

The usage reports compile information on faxing based upon volume or printing. These reports are available for both outbound and inbound faxes. The reports for transmission and printing are: l l l
