myPISD – File Management When you are adding files to a Web Content Display portlet, you can click Browse Server to see a folder structure similar to the image below. Each of these folders represents a separate Documents & Media portlet.

How files appear on the server.



One click on a folder will display its contents.



To move back up a folder level, click the

button.

Types of Folders Global – Not used at this time. Personal Folder – One of the folders will display your name. This folder represents files that are associated to your personal site (myPages). Site Folders – Each time you create a class or community site, a folder will be created for the files that you will use on that site. Campus Folder – Each teacher will have access to a folder where files can be shared.

Control Panel Although you can upload files as you add content to your pages, you cannot perform tasks such as adding multiple files or deleting files. However, you can perform these tasks through the Control Panel. From the Manage menu, select Control Panel.

You will see a section for managing your account, managing your sites and managing your portal. 1. In the first section, you can choose My Account to change your account profile. My Pages will allow you to edit the look and feel of your pages. 2. In the second section, you will be able to edit the contents of the sites you have created. The content displayed here represents what is associated to your personal site (myPages). By clicking the small triangle at the top of this section, you can reveal the contents of your other sites.

3. The last section contains links to manage your existing sites and to create a new site. Go to Site Management if you need to delete one of your sites.

Adding Files and Folders You can manage your files through the Documents and Media portlet. 1. In the Control Panel, choose one of your class sites (See #2 on previous page). 2. Click on Documents and Media. If you have not uploaded any files yet, you will see a display similar to the figure shown below.

The options under the Add button include the following:

In this handout, we will focus on adding Folders, Multiple Documents and Basic Documents.

To Add a Folder: 1. In the Documents and Media portlet, click Add > Folder. 2. Type a Name for the folder. Remember, there is only one Documents and Media portlet per class site. So, this portlet will contain all files associated to this class site. 3. Optional: Type a short description. 4. Click Save. 5. Repeat the process to add more folders.

To upload a single file: 1. In the Documents and Media portlet, click the folder you want to add new files to, then click Add > Basic Document. 2. Click Browse. 3. In the Open dialog box, select the file you want to add and click Open. 4. Provide a Title and Description for the file. (NOTE: If you do not enter a Title, the file name will be displayed as the title.) 5. Optional Settings:  

In the Categorization section, add tags or assign categories to the file to help others find it. In the Related Assets section, identify other content that is related to the file located elsewhere in Education Portal.

6. Choose which roles can view the files from the Permissions dropdown list. To set permissions for updating and deleting the file, click More Options >>. 7. Click Publish to save the file to the library or Cancel to exit without saving.

To upload multiple files: 1. In the Documents and Media portlet, click the folder you want to add new files to, then click Add > Multiple Documents. 2. Click Browse.

3. In the Open dialog box, select the files you want to add. To select multiple files, hold down the CTRL key and click file names. 4. Click Open. You will see all of the files listed (see next page). You can browse more files from other folder locations before saving, if needed. 5. Description and Categorization sections are optional.

6. Choose which roles can view the files from the Permissions dropdown list. To set permissions for updating and deleting the files, click More Options >>. 7. Click Save to save the files.

Now these files are available to add to a Web Content Display or any other portlet on your site.

Managing Individual Files Click the circle to the right of the file and select the appropriate command from the Drop-down menu.

Managing Multiple Files 1. Select multiple files by clicking the checkbox to the left of the files. 2. Choose the appropriate command from the Actions drop-down menu.

NOTE: If you delete or move files from within the Documents & Media portlet in the Control Panel, they will be moved or deleted from the Server.
