1. INTRODUCTION ‘Active Media’ methods enable you to link video content directly into a ‘Powerpoint’ type presentation without swapping programs or interrupting your presentation. Requires a base presentation or a good collection of slides, computer, video projector and sound system which are now available in >90% of churches. Learning is extra work, but the rewards in audience response will amaze you. We see seasoned Gideons & Pastors in tears after ‘active’ presentations. Pastors are always grateful when congregations are engaged with seamless, short video testimonies. Strongly recommend copying ENTIRE contents of MMP USBFlashDrive to a more robust drive then store original as Backup/Archive and in church ALWAYS use the USBFlashDrive. Note : The principles apply to any active PPT/PPTX presentation but be very clear – UNLESS you KNOW the church has Microsoft Office 2013 or Apple Mac, YOU MUST prepare a PPT file (NOT PPTX), on Windows computer with Microsoft Office(MSO) Powerpoint® or WPS Office Your system at home is near irrelevant! Somehow, find a computer that suits. WARNING The most common mistakes by people using this system are (i) moving PPT files around without care & losing video links or (ii) preparing the WRONG file type PPT or PPTX. You may be embarrassed if you – (i) have used Powerpoint before, feel computers are your friend and always accommodate you ! (ii) set up on your home computer then copy PPT presentation file to a USBFlashDrive. (iii) prepare a PPTX file with Office 2013 or Apple Mac & find church uses neither, (iv) “Insert” MP4 file from Vimeo etc. to PPTX then find a church uses Powerpoint 2003. [email protected]

Relinking Videos – Update (June 2015) On the starter MMP USBFlashDrive there are 2 versions of _ChurchPresentation (a) _ChurchPresentationWMV_2015.ppt – WMV linked videos MUST BE copied/moved outside the VideosWMV folder. ie. All Linked videos must be in the SAME folder as the PPT file. (b) _ChurchPresentationMP4_2015.pptx - MP4 linked videos are in VideosMP4 folder (NOTE : this version is ONLY for MSO 2013 &/or Apple Mac iOS – check with church) e.g. Slide 1, 3 & (last) use _MMP2015.wmv on drive directory (or MP4 in VideosMP4 folder) Slide 2 uses _Intro.wmv on drive directory (or MP4 in VideosMP4 folder) [Apple Mac owners - to use PPT with WMVs you MUST have a WMV video decoder (Available via TelStream, Flip4Mac) or videos will not run at all.] If for some reason, a video becomes ‘unLinked’ and does not play 1. Absolute MUST – PPT file & all video clips MUST BE in the SAME root directory on the USBFlashDrive. 2. For any video that does not work, on the slide Delete video then “File/Insert Video/LinktoFile” each from the USBFlashDrive appropriate “E:/” etc. or “E:/VideoMP4/” folder. 3. Save the PPT file & restart. Videos should run, otherwise seek aid from a computer/PPT competent person.

Notes on Church Worship Centres (i) the primary purpose here is to set up a system which will work in MOST church worship centres, hence MMP Workshops promote (a) PPT files rather than PPTX as well as (b) WPS Office (Kingsoft) which does not require MS-Powerpoint on a church computer. (ii) You may have MS-Office (MSO) 2010 or later or Apple Mac. but many church worship centres still have PowerPoint 2003/2010, so SaveAs /Save As Type : Powerpoint 97-2003 Presentation (*.PPT) - NOT as ‘xxx.PPTX’ unless you know the church has MSO 2013 or Apple Mac iOS. PPTX is not compatible with older Office 2003 and may not start, neither may any .MP4 videos play that you may ‘Insert’, such as Vimeo source. (iii) Read section 8 below re special requirements for different computers or versions of programs. (iv) You will need a .PPT presentation on a USBFlashDrive (recomm. 8GB) available office supplies and a Wireless Presenter/Media Pointer (available OfficeWorks, Tmart.com etc.) Be bold & expect blessing as you excite congregations and audiences about the Gideon ministry. “ ..God ,.. who gives life to the dead and calls those things which do not exist as though they did;” Rom.4:17

2. Church Appointment “MultiMedia Report with Testimonies’ is not confined to a particular time in a church & not about familiar Gideon “10min talks”. Time given may be less, or often far greater. A. An existing appointment has been made by or for you. Prior to the service, call the Pastor/Leader and ensure they know you have a “MultiMedia Report with Testimonies” – this is absolutely essential. B. If making a Cold Call to Pastor. Ring Pastor & engage conversation. - "Hi, its 'Fred Smith' from The Gideons International here" - "You may be able to help us" --------

- "We have an online library of Testimonies from people whose lives were changed through a Gideon placed Bible or Testament“ ------ "Are you aware of anyone in your congregation similarly, who may be willing to share their story with us?“ --------(a) "if I give you my details could you ask them to call me ?"------------(b) "is there a process we might find that out ?” ---------------------------(c) “Could I leave details in case someone comes to mind?” ------------- "Would you like to see some of the testimonies we have at present?” ------------- "When might suit for us to share some of these testimonies we already have with the church?” --Prayerful follow-through may provide – (i) names of Testimony persons to us to interview/convention, (ii) opportunity to share ‘TestimonyOfTheMonth’ email. (iii) a church presentation date. Whichever way, it opens conversation, exposes Gideon ministry testimonies to Pastors and possibly into church thinking. Bonus, may give us another new testimony. Again, if appointment eventuates, prior to the service call the Pastor/Leader and remind/ensure they know you have a “MultiMedia Report with Testimonies” – absolutely essential. C. Duration Time for Presentation - Always best to leave presentation time to the Pastor/Leader to offer. When asked “How long will it take?” Answer “10-20mins, or what suits your program”. This is really up to the church, but when they know we have a number of video Testimonies, offered time is usually much longer than initially expected. D. Equipment - Very useful to ask “What computer/media facilities are available in the church building”. Remind that sound is required – not just a picture showing laptop up front. “We have the latest equipment” is not a useful answer. Usually means they do not know!

3. COMPILING YOUR PRESENTATION A. PREPARATION 1. Prayerfully write or obtain a script or outline of your presentation. 2. Be or Find someone who is computer CAPABLE (not just someone who owns a computer or knows how to send email). It is not hard to find a 16-40 yr. old who can read, follow instructions and knows how to think laterally. Remind them of Introduction objectives. 3. Begin with the distributed MMP Starter USBFlashDrive set. 4. Decide on appropriate short testimony video clips to be Linked to PPT. These can be found in the “VideosWMV” (copy to outside folder) and “VideosMP4” folder on the drive. 5. ABSOLUTELY CRITICAL that you find out what version of computer or Office(Powerpoint) is used in the church, if you are not using your own system. AGAIN - YOU WILL be embarrassed if you prepare PPTX with Inserted MP4 files, arrive at the church and find they use Windows XP and MSO 2003 – or vice versa!! If unsure, you may need to prepare both, but vast majority use PPT with WMV files. Note : Further suitable .WMV & (.MP4) converted clips may be downloaded from

B. SETUP METHOD 1. Sit down with computer person, computer, script and open MS-Powerpoint® or WPS Office ‘Presentation’ then open .PPT file to be used. 2. Check slides are in order as per your script or Church Ministry guidelines. Use 'Menu / View / Slide Sorter' to set slides in required order. 3. Black slides or logo are used at start and finish to delimit used items. 4. Slides 1, 2 &3 in starter set, are for A/V testing purposes as well as an Intro whilst taking lectern. 5. In the ‘Sorter’ view, any slide can be clicked, dragged and moved to place in the order required. To remove a slide completely, click slide then hit Delete key. 6.

DO NOT use Auto Transition Timings. It will weaken your presentation.

C. IMPLEMENTATION – Linking Videos ************

VERY, VERY IMPORTANT *************

The major reason video does not work in PPT files is due to Relative and Absolute addressing errors. eg. if you set up & PPT link videos on YOUR home computer then copy it to a USBFlashDrive, the program may look, unsuccessfully, for media on YOUR (unavailable) home computer drive.

TO AVOID VIDEO ADDRESSING PROBLEMS (a) Save PPT on a USBFlashDrive and all LINKED video files to SAME SINGLE folder (b) Test the PPT from your USBFlashDrive on another computer. If a video does not work, then delete and relink the video Media files from same folder on your USBFlashDrive. (c) In Church – insist they DO NOT COPY YOUR PRESENTATION TO A DESKTOP. Do not allow it to be used through primitive presentation packages such as ‘EasyWorship’, ProPresenter5 etc. These programs treat .PPT files as just a collection of images and ignore video links. RUN presentation ONLY from the USBFlashDrive. If you use Powerpoint 2010 or later, then realise that ‘INSERT’ing or Embedding Video is NOT THE SOLUTION - they will not work in (most) churches that use MS Office 2003. **** This cannot be emphasised enough and is the major reason people abandon active media. Setting up your own computer, projector and sound system can get around this but this is usually impractical in larger, media equipped churches. D. EQUIPMENT/SUPPORT 1. Obtain a Wireless Presenter/Media Pointer (OfficeWorks, Tmart.com etc. $15-$70) 2. If church is small or has no equipment then it is possible to set up your own system in ½ hour. Need (a) small laptop, (b) sound system (available $20-$50), (c) a video projector bought or borrowed (or a TV/Monitor with VGA connection) (d) screen or useful light coloured wall. 3. If you are not ‘computer comfortable’, find/take a media capable person, eg a 16-40yr old, or seek a ‘computer competent' Prayer partner, who is familiar with computer and Powerpoint operation. 4. Strongly recommend practice at least 3-5 times before attempting a public presentation. NEVER make the mistake of just giving a USBFlashDrive to a Pastor/Leader or overly enthusiastic media person. Youth can be just as entrenched in ‘their way’ as elderly.

4. In Church 1. Arrive early. Minimum 45mins. recommended to set up, check, relax & pray. 2. After formalities with Pastor/Leader, speak directly to the media person or have your media assistant/prayer partner speak to the media person. Again, convey your requirement for video & audio capability. If unsure or not available, use non-video PPT or no media. NEVER just give your USBFlashDrive to someone without checking how it will be used. 3. If Church has Microsoft Office 2013 – There is a PPTX version on the USBFashDrive OR Save your PPT file as PPTX onto your USBFlashDrive then reload it in Powerpoint. Otherwise loop videos will disappear after one run through in MSO 2013. 4. If Church has Apple equipment then use prepared PPTX version with MP4 videos or they MUST have a WMV video decoder (available via TelStream, Flip4Mac) or videos will not run at all. 5. Setting up – ideally you have (i) laptop/monitor in front showing (Menu/SlideShow/Use Presenter View [not MSO 2003]) or (ii) video monitor and see the same as wall screen or (iii) a small mirror so you can see the screen behind you or (iv) ability to stand sideways so you can see the screen. 6. Have the PPT file on the USBFlashDrive tested to slide 3 or until both Video & Sound are checked, BEFORE the service. 7. Determine whether a WirelessPresenterRemote will be used by yourself, your assistant/prayer partner or giving a script to media person. As per Church Ministry guidelines, apart from video content, the presentation should run without reference to the media itself. Talk to people, not a screen!

Remember This may seem complicated, but once it is set up, can prepare you for many, many well accepted presentations. If anything can go wrong it will, so be prepared with some good stories in notes. Never assume (i) the laptop power cable is switched on, (ii) the sound level is still where it was at the start of the service, (iii) videos will automatically play or (iv) that people can actually see the screen. Rehearse everything, but sometimes even that is not enough – pray believing! Classic tales - A very first “live” church presentation used linked video testimonies in a smaller church service which had no facilities. Used own computer, projector, small sound system and a Wireless Presenter pointer, took 10 mins to set up, the PPT and testimonies ran flawlessly. The congregation were pleased, one said “now we know what we are supporting”. Offering from that church toward Gideon work averaged $70 per person. - An older church building with stained glass windows, all set up & tested before service. Sun rose during service to shine through a rear window projecting colors directly onto video screen. Congregation could see none of our material. Pastor took a 5min ‘chat break’ whilst we relocated projector & screen in another corner. Inadvertently, a book was placed behind the projector for support & it shut down – TWICE –before we realised the new problem - overheating! Great response to presentation.

Often this sort of thing endears a congregation to you, not the opposite – so do not panic, just be prepared. Everyone has “technical problems” at some stage.

5. CREATING YOUR OWN ACTIVE SLIDE SET METHOD (i) Create/obtain a written script/outline and make, or use the Starter base slide set (see section 3). (ii) On USBFlashDrive obtain or create starter slide set “.PPT”. (iii) Obtain/convert Video content in .WMV format. All videos MUST be copied to same or sub folder of PPT file. NOTE Carefully – MP4 from Vimeo will not work in 90% churches (MSO 2003). If you want to use video obtained in other formats (eg, MP4, AVI, MPG), you MUST convert them using a program such as 'FormatFactory’ http://www.pcfreetime.com/ Convert Video as WMV format and Size as 1280x720. (iv) LINK Video clips by –

If necessary - Make a new slide – /Insert/New Slide, CTRL-M A.

etc.

Powerpoint 2003 (v10-11, XP) (a) Menu/Insert / Movies and Sounds / Movies from Files / - select file required (on SAME Drive/Folder) (b) Click "YES" – (Play Movie Automatically), then resize the video to frame size. (c) If you want to LOOP a video (play until you stop it) click on video then Right click, “Edit Movie Object” and click “Loop Until Stopped”. (d) This is useful for loop backgrounds etc.

Powerpoint 2007/2010 (v12-14) Menu / Insert / Video / Video from File / - select file required (must be same folder) then “Link to File” - this bit vital – if not correct, Undo then repeat correctly.

BIG WARNING – if you Insert the video in Powerpoint v14/15 (2010-2013) and save as .PPTX it will Insert/embed the file and be unusable on previous versions. Best ‘Link’ files. Drop down Insert arrow then click “Link to File”.

C.

Powerpoint 2013 (v15)

This is a special case as MSO Powerpoint 2013 severely dissuades from Linking videos. When you find the linkable video, you may have to type in the name of the file then drop arrow down to click “Link to File”. Just selecting the file name may automatically ‘Insert’ the file and make it unusable by MSO 2003 (most churches). Resize the video to frame size then Click "Video Tools - Playback" Select Start and drop down box to change “On Click to “Automatically”

(b) If you want to LOOP a video (play until you stop it) click “Loop Until Stopped”.

This is useful for loop backgrounds etc. (v) Resave the file PPT then test all videos on a different computer. [email protected]

NOTE AGAIN – Do not save Powerpoint files as .PPTX to USBFlashDrive if you want them to run in a church, unless they use MSO 2013. EXCEPTION NOTE : MS-Office 2013 – use

MP4.PPTX version o Open .PPT file then –

File / SaveAs / Save as Type / Powerpoint Presentation (*.PPTX) then use this file.

D.

WPS Office(Kingsoft) Presentation2013 Menu / Insert / Movie - select video file. That easy! This package does not give you the option of Insert vs Link video files. But when you Save the file, if it is in PPT format it will automatically “Link” rather than “Insert/Embed” which means it will still run on any PPT player.

WPS Office(Kingsoft) Presentation2013 has the huge advantage of ”Packaging”. You create your PPT Presentation on any computer then Menu / Insert / “Package File” the whole thing to another drive or USBFlashDrive. – very handy as it copies ALL the required files.

E.

Office 2011 for Mac / iOS

Adding video clips to your presentation on a Mac iOS (i) Make a new Blank Slide/Frame, click on the Insert Video icon as shown below.

(ii) A Finder window will open and you can choose the Video File that you want to Link To, into the Presentation. (iii)

Click the Link to File option before Clicking on Insert.

(iv)

Resize the video to frame size to fit into the middle of the Slide, make sure when adjusting the size, that you don’t adjust the proportions of the video.

(v)

Adjust the Playback settings so the Video will play as soon as the slide loads, under the Format Movie tab, change the Start option from “On Click to “Automatically” as shown below.

6. Using “Presenter View” “Use Presenter View” enables the person with the computer to see the Current, Previous and Next slide. [MSO 2013 only shows current & Next but does allow to see active video on control screen]. This is best scenario for flowing presentations where it is possible. eg. if the laptop with WPS Office (Kingsoft) 2013 or Powerpoint 2010-2013 can be set near lectern or a monitor view available, this is the very best way to do a presentation. Caution – Do not use ‘Presenter View’ mode with Powerpoint 2003. “Presenter View” for MSO Powerpoint 2003 is useless – PgUp, PgDn simply do not work. Microsoft Office 2007-2013

7. WideScreen Presentations In Pre 2013 versions of Powerpoint a normal PPT page was set to 4:3 ratio like old TV’s. Current television screens, computer monitors, cameras and many church projector screens are WideScreen. To use PPT with Widescreen projection or with HighDefinition WideScreen (HD WS) video, the aspect ratio should be changed. A. Powerpoint 1. Open Powerpoint, select (2003) Menu/File/PageSetup, (2010) Menu/Design/PageSetup or (2013) SlideSize. 2. Set the Width to 33.8 & ensure height is set to 19.05 3. Page size is now

33.8 x 19.05

& will fit a Widescreen monitor or projection screen.

4. You may need to adjust some slide images or text to fit the new page size.

B. WPS Office (Kingsoft) 2013 ‘Presentation’ 1. Open Presentation Select - Menu / Design /PageSetup 2. Simply change Width from 25.4

to 33.8, height should still be 19.05

8. Different Computer/Software Versions Churches have different versions of Presentation software applications. The ONLY useable PPT software versions of which we aware, are WPS (Kingsoft) Presentation and ‘Microsoft Powerpoint’ 2003-2013. Also Presenter4 by Discovery Systems is the only church presentation software usable for linked videos. A. WPS (Kingsoft) Presentation is installed ready to run on the USBFlashDrives distributed at MMP Workshops. ****** Make sure you check the fonts on each slide on the computer used ***** The “Program Files/ WPSOffice/” folder contains WPS office6/Presentation which can be started directly from the USBFlashDrive by – (i) double click MMPStart.bat file on the USBFlashDrive or (ii) open /Program Files / WPSOffice / office6 / wpp.exe then File / Open PPT file. WPS Office (Kingsoft) ‘Presentation’ is available for Android, Apple & Windows although not really useful if system already has Powerpoint installed. WPS wpp.exe program allows you to run your presentation in “Presenter View” off the USBFlashDrive INDEPENDENT of the church computer software or Office applications. Otherwise if a church has B. Microsoft Office/Powerpoint 2003 – use PPT file with linked WMV videos ONLY. This is used in most church worship centres Powerpoint “Presenter View” is unusable in this version. C. Microsoft Office/Powerpoint 2007/2010 – not advised to use Insert /Embedded video. Commonly used by members to set up PPT files but care must be taken to link files for other use. Powerpoint “Presenter View” works very well with this version. D. Microsoft Office/Powerpoint 2013 – prefers embedded & loops don’t run in PPT unless SaveAs PPTX). If a church has Powerpoint 2013 then (i) Prepare & use _ChurchPresentationMP4-2015.PPTX file or (ii) ONLY if computer has WMV codecs, open PPT & Save/SaveAs “_Powerpoint Presentation (*.PPTX)” Restart Powerpoint with that copy. This enables any loop video (Gideon logo) to keep looping – E. Apple system – WMV video is not native to Apple so (i) needs a WMV video decoder (available via TelStream, Flip4Mac). OR (ii) use _ChurchPresentationMP4-2015.PPTX file with linked MP4 videos.

Viewing Different File Types

Unfortunately many computer file managers are quite poor at distinguishing between similar file types ChurchPresentation.PPT and ChurchPresentation.PPTX or GreatTestimony-0330.WMV and GreatTestimony-0330.MP4 as they look the same in many views

We need to turn off “Hide File Extensions …”

and turn on “Details” view.

10. Fixing “Protected View” – changing versions. After changing Presentations in one version of “Office” to another, especially WPS Office, sometimes Microsoft Office versions 2010-> will no longer let you edit or play the PPT/X file A. If displayed -

This can be turned off simply by clicking “Enable Content”. It is just a cautionary warning. B. If you see -

This is Microsoft “protecting” you from your neighbor. It may remove by – Menu / File / Info / Enable Content / Enable All Content. If this is not successful, you may need to change the “Microsoft Office Trust Center” by – Menu / File / Options / Trust Center / Trust Center Settings / Protected View – [unselect ALL.] You can turn these back on later after changes have been made and document reSaved. or by following instructions here https://support.office.com/en-au/article/Turning-off-Protected-View-Office-2010-Security-2b0c10dc-2c80-44b9-9263-b5160e90fb68

11. Multimedia Presentation(MMP) Accreditation guide A. Candidates for Gideon ‘Multimedia Church Presentation’ (MMP) accreditation must have (i) Undertaken an MMP workshop or have personal support of an experienced MMP presenter. (ii) Given a sample presentation subject to the approval of the Workshop facilitator &/or Area Director where applicable. (iii) Read, and either understood or have a support person/ prayer partner who understands, the _Tutorial_ActiveSlide.pdf manual Sections. (iv) Completed the following Questionnaire on possible situations, of which to be aware. (You need not be computer fluent but such a support person is very useful – just in case. 16-40 year olds are the greatest, but not compulsory, asset to MMPs.) (v) Answered each of these questions correctly. Failure to appreciate any of these may jeopardise your presentation. This about getting it right, even if that means humility, requesting support of a ‘tech. savvy’ youth or other person. They must be aware of the sections above and especially the requirement for video to be Linked in PPT files & ALL run from USBFlashDrive. “The greatest unused asset of the Gideon ministry is 16-40 year olds.” – Paul Bachelor. Greatest challenge in using video files in PPT is Linking video files correctly (NOT MP4 in PPT nor ‘Insert / Embedded’ as MS-Office and many young buffs like to do. This is why .PPT file type is used in a church (unless they have MS-Office2013). B. MMP Workshop convenors must be very familiar with _Tutorial_ActiveSlide.pdf manual sections and have completed a minimum of 2 live ‘Active’ church presentations with positive Pastor responses.
