Chapter Committees Everything You’ve Wanted to Know About the Rocky Mountain Chapter

T

he goal of the Rocky Mountain Chapter Program Committee is to plan mandated education programs for the monthly chapter meetings following the core competency guidelines established by National. Core competencies include: Education/Programming, Ethics, Facilities/Services, Financial and Contract Management, Logistics, Technology, Leadership, Protocol, and Federal/State/Local Travel. We strive to secure speakers who can come and present on one of these core competencies and do our best to provide a well-rounded program schedule each year. Responsibilities of the Program Committee are to (1) Contact the host hotel at the beginning of each month to schedule a pre-con meeting to discuss the upcoming SGMP meeting, (2) Plan monthly meetings to ensure that all required meetings are scheduled per National’s timetable, (3) Suggest/recommend speakers for the monthly program meetings, (4) Prepare all necessary paperwork for programs that need to be certified from National, (5) Chair, in conjunction with the chapter President, prepares the application for National’s Program of the Year competition, (6) Coordinate Bosses Day recognition and Committee Faire. There are many other smaller details that come into play to guarantee a successful meeting each month but together with all committee members, these details and tasks are completed. We are always looking for additional members who would like to join the Program Committee and help in the plans to provide fun and interactive programs to the membership. Time is a circus… here one day, gone the next A recap of the April 26, 2016 Chapter Meeting

e would like to thank and offer our appreciation to the Hilton Garden Inn Cherry Creek for hosting the April 26, 2016 SGMP Rocky Mountain Chapter monthly meeting. The delicious luncheon began with a mixed green salad with grapefruit, candied walnuts, feta cheese and champagne-lime vinaigrette. A hearty chicken piccata with artichoke and lemon cream sauce was the featured entrée and dessert was New York cheesecake with berry bourbon compote! Chapter president, Chele Clark, CGMP, welcomed members and guests, and introduced the hotel General Manager, Eric Hautzenrader, and Director of Sales, Barb Jackson, who spoke briefly about the hotel and shared updates on the development and completion of CitySet, located adjacent to the hotel featuring numerous new dining opportunities. Chapter board members were introduced, and board members provided committee updates accordingly. Our speaker was Sherry Hilley, a former Department of Defense event planner. Her presentation, “Time is a Circus…Here One Day, Gone the Next,” provided a new perspective on time management in this ever-changing industry. A few key takeaways on how to make the best use of your time were: ▶▶ Decide you don’t have to please everyone, learn to say “no” ▶▶ Don’t be a perfectionist ▶▶ Delegate or outsource what you can ▶▶ Limit smart phone usage during the workday ▶▶ Avoid procrastination New ideas on how to prepare for your day and work week was another key component of time management

Sherry addressed to help us all keep on top of our duties. She stressed to make the MOST of each day! The Hilton Garden Inn Cherry Creek graciously donated two gift certificates for the door prize drawing; a one-night stay at the Hilton Garden Inn DenverCherry Creek, won by Judy James, CGMP and a onenight stay at the Residence Inn Denver Cherry Creek, won by Heather Wydock, CGMP. In addition, a 50/50 raffle was held, and congratulations to Chele Clark, CGMP for winning! Thanks to everyone who attended the April meeting! This meeting was approved for 1 contact hour of credit in Logistics core competency. ❧

SGMP 2016 National Education Conference By Teresa Jackson, CGMP

T

he SGMP 2016 National Education Conference was held May 17–19, 2016 at the Town and Country Hotel & Convention Center in beautiful San Diego! The Rocky Mountain Chapter once again had a large number of participants and all enjoyed the educational sessions and events! This was my third year attending NEC, and I enjoyed spending such quality time with my fellow chapter members and making new connections and friendships as well. The networking opportunities at NEC are some of the best I’ve ever experienced! The chapter took home the Communications of the Year Award 3rd Place honors again! I am honored that I was able to be a part of that this year. Congratulations to all the SGMP chapters and members who earned awards and recognition at this year’s conference! There were some changes to this year’s format including the addition of a tracking sheet with codes provided at the beginning and end of sessions to confirm participation, and a change to the Expo Program to a 90-minute luncheon featuring reserved

tables for supplier exhibitors with planner-only access. An additional education session Lunch & Lecture was offered to non-exhibiting suppliers as well. SGMP, CGMP, is it worth it? By Heather Wydock, CGMP Group Sales Manager, Visit Aurora, Inc.

T

hey call me “the new girl,” “green pea,” and “the girl from the car industry.” But, they also call me one of the best sales women they have ever seen. With that confidence, I attended my first solo trade show. It was the Society of Government Meeting Professionals National Education Conference with the plan to obtain the credential and designation Certified Government Meeting Professional. That was my one goal. My only goal. To complete the test and receive my designation. I wanted it shining vividly all over my business cards and LinkedIn profile page for all the world to see. But what I got, was so much more. I’m not shy, by any means, but I put on my business face and decided to focus completely on my goal. “I will study alone; I will study alone.” That didn’t happen. And I am incredibly thankful it didn’t. Because what happens at SGMP NEC stays at SGMP NEC. Just kidding. What happens at SGMP NEC is a bonding experience that will undoubtedly last a lifetime. I met people from all over the country with lives similar and not so similar to mine but all relatable because we worked in the same industry. Although competitors in sales, during that week, we were comrades. We valiantly studied together night after night. We debated answers and questions, we spoke of our experiences as suppliers and planners, and

above it all, we got to know one another with laughs and stories from back home. After successfully passing our certification test (woo hoo), we celebrated together. Several of our classmates had to leave San Diego so we said our goodbyes, exchanged phone numbers and planned meet-ups. The rest stayed but as the conference began and the heat was on to make deals and squash the competition, it didn’t matter. We remained comrades and experienced it all together. This certification and conference made my work experience thrilling. I made deals, I made new contacts in new originations and industries, and without pulling out the big sales guns to intimidate, I made friends. I even successfully completed my first FAM tour with a contact made at SGMP. It was a success. And one that earned me the compliment, “you set the bar very high.” This designation puts me in a class of people that occupy 1.5% of the United States population. We are that small, but we are also that mighty in the business. We represent talent. We represent expertise. We represent the Government. There are only a handful of us who truly understand the Government meeting. And that’s what makes us unique. That’s what makes us better. This is the experience you have at NEC. This is why it is worth it. ❧

aking full advantage of the Certified Government Meeting Professional (CGMP) certification course offered at SGMP 2016 NEC were Rocky Mountain Chapter members Heather Wydock, CGMP and yours truly, Teresa Jackson, CGMP! The course runs prior to the conference for three full days with the exam on the fourth day, and each passed with flying colors! A special thanks to Garland Preddy, CGMP for teaching us so well! The CGMP is the highest professional designation available specifically for government meetings. It provides

specific instruction in L-R: Heather Wydock, CGMP, ethics, federal budget Teresa Jackson, CGMP and appropriations, acquisition and contracting, travel regulations, RFPs, risk management and protocol. une 28, 2016, was a very special night, as we celebrated our award winning chapter members at the annual Honors and Awards Gala at the Marriott Denver Tech Center. Our awards ceremony was the first “official” event held in the newly constructed ballroom! The evening’s festivities began with a silent auction and networking reception with passed hor d’oeuvres of Chicken Satay with Spicy Garlic Peanut Sauce, Past SGMPRMC Awards Spanakopita, and loaded Fingerling Potatoes. What do you like most about being a planner? I really

like seeing the training or meetings roll out after all of the hard work that goes into it. Seeing staff smiling and enjoying a conference that you’ve worked so hard at is very rewarding for me.

What can we look forward to about government meetings? I believe technology will continue to

enhance our meetings and trainings. ❧

Favorite vacation spot: Anywhere with a beach. Thoughts regarding this industry: I think the industry

is a growing and changing world right now with more demand on space, the type of space and the technology needs planners want.

National News Letter from Maggie McGowan, CGMP, CMP regarding SGMP transition to an association management company June 24, 2016 Dear SGMP Members, With the imminent departure of our Executive Director and CEO, Rob Bergeron, SGMP is going through some significant organizational changes. Upon evaluation of all options and alternatives, your national board determined that hiring an association management company was the best course of action. The national board is currently negotiating with an association management company and as soon as a contract is finalized, we will have more information to share with you. Meanwhile, Rob Bergeron’s last working day was June 21, 2016. Kelly Harris will remain on staff until June 30, 2016, Mark Harvey until July 1, 2016 and Garland Preddy accepted a contract to continue providing educational and training services. Both Kelly and Mark will still be available by email and phone until their effective dates. National board members are being assigned to address various headquarters operational functions; i.e., in the interim, First Vice President Michelle Milligan will be handling membership and website. For additional operational information, please refer to the attached Transitional Period—Frequently Asked Questions. How to do a site inspection with your smartphone By Alison Hall, Meetingsnet

atie Senkowski, CMP, manager, meetings and events, at AIG, needed to settle on a short list of hotels for an important upcoming event in Chicago. Her team was headed to the Windy City to do final site visits, but Senkowski needed to be on site with another program and couldn’t make the trip. So David Katz, director of sales and marketing at the Omni Chicago Hotel, one of the properties under consideration, suggested a site visit via FaceTime— the video call option on an iPhone. Katz has conducted other virtual site inspections in the past. “With technology vastly improving, we have the ability to connect with our guests even when they are not able to experience the Omni Chicago Hotel in person,” he says, and still offer “an authentic feel for the local flavor.” Site by Smartphone: How It Worked “I was a little nervous at first, but we got really into it by the end,” Senkowski reports. “David showed me around the hotel and introduced me to different staff members. I also rode the elevator with him and heard from actual guests at the hotel. He toured the guest rooms, our meeting space, the lounge, front desk, fitness facilities, and I asked him to show me outside and some other spaces within the hotel as well.” Of course, she wasn’t able to eat the food in the restaurant or wander around on her own during the virtual tour, but the experience was still a “live” view of the space, and included introductions to key members of the hotel’s team. Because she was looking to narrow down properties to do actual site visits on limited time, she says, “this was the perfect option. It works great if you need to rule out hotels from the beginning and/or if you don’t have the budget to conduct a site visit in person. It could also

be the perfect solution for very small meetings, where your budget may not allow for a true site visit.” Another benefit: “It’s a great way to show your manager/client the hotel once you’ve narrowed it down to a few.” Here’s a sampling of how it worked:

our job is to get the work done, partially on your own but mostly through leveraging the talent of other people. Here’s where you may be screwing up (and nobody’s going stick their neck out and tell you): You don’t understand your job very well. It’s not about keeping the trains moving on time. It’s about making sure the trains are safe. If the staff is doing stupid busywork, change the work. You jump to conclusions. A manager is the hub between staff and leadership. Both sides have a point of view. If you act like Gilligan and simply accept what people tell you, or worse, make up your mind before finding out the facts, whatever you do next will be misguided. You don’t pay attention to the larger political climate. There are ideas, words, groups and people who

are in favor, and conversely, there are those who are on the outs. If you try to handle a work team in isolation from these intangible but very real facts, guess how effective your efforts will be? Additionally, you have to deal with the very real fact that the organization itself is likely fractured and dysfunctional, and that the problems in your division, office or work team are a symptom of that impossible-for-you-to-change reality.

You refuse to think critically about people’s motives. This isn’t to say that your colleagues are “bad.”

It is to say that each person operates from a locus

of self-interest. What is it that people want out of a situation? What evidence do you have of the drivers behind their behavior? It is your job to understand those things as best you can. Otherwise, you are driving blind on the freeway. You are afraid to admit when you’re out of your league. Everybody has limitations. Take me. I have

social anxiety, believe it or not. Also vertigo. So if you tell me I have to go to a party and drive for an hour to get there, I am going to fight the whole situation like a cat, because that’s me. We all face situations like that at work—triggers, issues, fears, situations we just aren’t skilled at handling. Instead of being defensive, that is precisely the time to go to your boss or someone else you trust to help you, and lay it all out. Many people think that management is an outdated job and that marshaling talent forward is a “layer” of the organization that is becoming less and less necessary. But from where I sit as a practicing manager, this profession and these skills are more important than ever.
