Microsoft PowerPoint 2013 II Overview: Microsoft PowerPoint is a presentation program by Microsoft. It is part of the Microsoft Office 2013 suite, and runs on Microsoft Windows operating system. PowerPoint is used as a visual aid by businesses, educators, students, and trainers.

1. Design Layout a. Shapes On the Insert Tab you can add shapes on which you can add and customize Once you click on the inserted Shape a New Tab will appear called the Format Tab under the Drawing Tool Category, were you can customize the Shape. Note: (new tabs will appear when you click under inserted items)

b. Smart Art

On the Insert Tab you’ll also find Smart Art graphics, which offer some additional visual interest and can also help make your concepts clearer, by showing the relationships between your points.

Select a Graphic from the choices below by clicking OK and modify template as per your liking.

c. Charts Clicking the Chart icon on any content type of slide in PowerPoint opens the Insert Chart dialog box. Once you have chosen the chart type, Microsoft Excel 2013 will open as well. A split window will show the chart in one window and the Excel window will show sample data for the chart. Making changes to the data in the Excel window will reflect those changes in your chart.

The changes made to this Excel Spreadsheet will automatically be reflected on the chart.

d. Images You can find Images in the Insert Tab were you can either Insert Pictures from your desktop files or selecting the new Online Pictures button which will search for online pictures.

Once you click on the Online Pictures the Search dialog box for the pictures will appear.

Simply select the image and click on Insert

Once the picture is selected a FORMAT tab will appear (This is called a Contextual Tab) Handles also appear on the edges for resizing and rotating the pictures are also available.

2. Animation Animations in Microsoft PowerPoint refer to the way that items, such as text boxes, bullet points or images move onto a slide during a slide show. There are two types of animations available in PowerPoint Preset Animation Schemes, that affect all of the content on a slide, and Custom Animations, that allow you to apply a variety of animation effects to individual items on a slide.

a. Add Custom Animations To add animation, click on the object first and then click on Add Animation on the Animation Tab. Choose from different Groups of animation effects.

You’ll now you have an animation on the object represented by a number. Depending on the number of animations you use in an object more numbers will appear.

b. Transitions and Sound Transitions The Transitions will help the presentation move to the next slide smoothly. Animations are one of the finishing touches to a presentation. Wait until you have the slides edited and arranged in the preferred order before setting animations. You’ll see a star on a slide when a Transition has been applied.

Sound may also be inserted on your slides.

c. Auto-Advance Slide In here you have the option to time your presentation or click to advance to the next slide.

3. Fun Slide Show Options a. Play slide When presenting a slide show it is always good to remember to keep your presentation a mystery, never allow the audience a preview the presentation, this will eliminate any remarks that may interfere with your presentation. This method allows you to open your presentation without ever opening PowerPoint. Locate your actual PowerPoint File Icon and Right Click then select Show. This will automatically run the presentation without having to ever go in to the PowerPoint application

b. Pause Slide Show Presentation While in the middle of a presentation you sometimes it might be necessary to get the audience to just focus on you. There are 2 methods that can be used The Black-Out Method or the White-Out Method Black-Out Method To Black-out the presentation while in slide show mode, press “b” on the keyboard, to darken out your screen. This is mostly used when you need to ask question during a presentation.

Press “b” again to go back to your presentation. White-Out Method To White-out the presentation while in slide show mode, press “w” on the keyboard, to lighten/whiten out your screen. This is mostly used when you need to create light in the dark presentation room to show your audience a physical object using the white light from the screen as lighted environment.

Press “w” again to go back to your presentation.

c. Pen options To write live on your View Show, Right click on the running presentation slide and select Pointer Options. You will be presented with a list of pointers that can be used to write on your presentation. Arrow Option is the default pointer. Pen – Writes like a pen Highlighter – Highlights desired sections Ink Color Menu – Allows the user to specify the color of the Writing on the Screen Eraser – Allows the user to erase marking made on the slideshow Erase All Ink on Slide – Removes all markings made at once Arrow Options Menu - Allows the user to make the pointer Automatic – Visible – Hidden

Once your selection is complete start underlining or emphasizing different parts on your Presentation from text to images. 12

4. Printing Go to File Tab then select Print, this will take you to the print preview mode which will allow you to preview all slides before printing.

The user will find that there is a list of printing options to choose from, the options are located in the Settings section.

Click the Drop down Arrow.

Print All Slides – Prints all pages in the presentation. Print Selection – Allows the user to print only Selected slides. Print Current Slide – Only prints out the slide shown in the preview window. Custom Range – Allows the user to select a range of slides such as: 1-5,7,9-12

Print Layout Options: Not only can you select the slides to print out, you can also specify how they appear on the print out. Click on the Full Page Slides drop down Arrow to see options.

Print Layout Section Full Page Slides – Prints 1 full slide per page Notes Pages – Prints slide with notes Outline – Prints out bulleted points of slide

Handouts Section Allows the user to select how many slides to be printed on one page. (Note: Usually 6 Slides Horizontally per page is the most chosen and best common setting.)

Below you also have the option to add a frame to the slide and have it Scaled to Fit the Paper

Print Preview On the Right section of your screen your preview for that selected page will always be viewed and reflect the changes that are being made from the Print Options on the left.
