BOOKING PROCEDURES Once you have made your decision to hold your event at Caesars Windsor, here are the next two steps: 1.

Make your deposit: To confirm your event space, we require a non-refundable deposit of $1,000.00.

2.

Finalize your menu selection. The menu is finalized 30 days prior to your event. At that time, we’ll prepare a cost estimate and forward this to you. Payment is required based on this estimate no later than 21 days before your event. Payment may be made by credit card or cheque. If you wish to pre-pay your event in increments, you are welcome to do so and all funds received will be applied to the cost estimate and final payment.

In the event of a cancellation, all deposits are non-refundable and a percentage of the total estimated revenues according to the following schedule: 3 - 6 months before event

Caesars Windsor reserves the right to inspect and control private functions. Liability for damages to the premises will be charged according to replacement value of property. The convener of the function will be held responsible for any damage to the premises by their guests or independent contractors on their behalf.

Can I bring my own food or beverage? All food and beverages served in the function space must be provided by Caesars Windsor. Exceptions may apply to wedding cakes/cupcakes, and ice sculptures. Health regulations prohibit the removal of food remaining after a function by guests. All exceptions must be approved by the Executive Chef. How late can the bar stay open? We are governed by Ontario Liquor Laws; therefore no bar service is permitted before 11am or after 1am. Guests will be allowed 45 minutes to vacate the room. All food, beverage and equipment are subject to 13% government tax and 15% service charge. Is there a fee for the bar? Bartender labour charges of $25.00 per hour, for a minimum 4 hours per bartender, will apply to functions with less than $350.00 in net bar sales. How many guests can I seat at each table? We use 72 inch oval tables which seat a maximum of 10 guests. We would be happy to assist you with your seating plan.

RECEPTIONS AT A GLANCE When do we finalize the menu? One menu is required for all guests. Dietary substitutions can be made prior upon request. Menu and wine selections must be submitted to the catering office at least thirty (30) days before your function. Billing for food and beverages will be based on the original number of guests booked, or actual attendance, whichever is greater. Do you supply decorations? We will supply a dressed table with floor-length cotton sand linens. Please request a list of local preferred vendors. Please note, decorations with open flame, or the use of pins/tacks/nails in any surface is not permitted. The room is designed with classic and elegant décor colour. When can I access the room to decorate? The space assigned for your event is available to you for the times specified on your contract. Access for prior set up will be agreed upon at the time of booking. Any additional requirements for access may be subject to additional fees. SOCAN & RE:SOUND FEES Caesars Windsor is required by law to collect a Society of Composers, Authors & Music Publishers of Canada (SOCAN) fee for using music, live or otherwise. In addition, a Re:Sound fee for music royalties where music forms a part of the entertainment is also collected. These fees will be added to your final bill as appropriate. ROOM CAPACITY
