Limited English Proficiency (LEP) Plan Introduction Miami-Dade County Public Schools (M-DCPS) and Information Technology Services (ITS) has developed a Web-based application for school staff to electronically generate, edit, and print Limited English Proficiency (LEP) Plans for students identified as LEP and eligible for participation in the program.

System Overview School site administrators must assign RACF security access for the Web Limited English Proficiency Plan (WLEP) to their designated staff members. This application is available within the Instructional Planning System (IPS) in the ITS Intranet Web Applications. IPS contains student information and forms through the Intranet to be accessed and completed by schoolbased staff members. Student information originates from ISIS LEP files and is downloaded into the IPS system overnight. ISIS LEP information will continue to be entered and maintained in the same manner.

NOTE: Be advised that by accessing some of the following information, you may be in violation of Federal/State Privacy Laws. You may access this information only to perform the duties and functions described in your job description.

This guide has been created to assist users in the completion of the LEP Plan form. Based on grade level, fields displayed and information required on the LEP Plan form vary to meet the requirements for individual grade levels.

How to Access the LEP Plan To access the LEP Plan, d

Open the Microsoft Internet Explorer browser on the PC at the work location.

The Limited English Proficiency Plan screen will be displayed. The school number will be displayed. District office users will enter the four digit school number to view a school’s LEP information.

Informational message

Searching for LEP Plans On the Limited English Proficiency Plan screen, users will begin by searching for an individual or group of students in their school, based on their LEP status, grade level and/or number of program semesters. The LEP Plan Status descriptions are summarized below. Status All All Active Initialized in ISIS In Progress Exited but incomplete

Post Program Review in Progress

Description All LEP students assigned in ISIS including all LEP status categories.

All LEP students initialized in ISIS and In Progress status in Web LEP. Students entered into LEP in ISIS only. No LEP information has been entered in the Web LEP system. Information has been entered into the Web LEP. The Program Participation and/or the Program Update tabs have been updated. Student has exited LEP in ISIS, but not in the Web LEP. ALERT: Before clicking on SAVE; verify the exit of the student from ESOL in ISIS, and that the final information has been entered on the Program Update tab on the Web. Once the assessment date has been entered and SAVE has been clicked, the student exits LEP in the WEB. NO further updates on the Program Update tab are allowed. Student has exited in ISIS and Web LEP. Student will be in the review process for 2.5 years. NO new updates will be allowed in the Program Update tab.

Limited English Proficiency (LEP) Plan Post Program Review Completed

Student has completed the four exit reviews (after student has exited in the Web LEP). Student information will be displayed in the Web LEP search for 2.5 years after the student exited in the Web LEP.

The list of students will be displayed. The list can be further modified by entering a specific grade level, student ID number, last name or first name, or number of program semesters, and clicking search again.

Viewing the LEP Plan The search results will display the student name, student ID number, number of semesters, ESOL level, grade, homeroom, LEP Plan status and last update. The ISIS student LEP information is displayed on this screen.

To view a student’s Individual LEP Plan, d

The Front Page of the selected student’s Individual LEP Plan will be displayed.

IPS Navigation Bar

The IPS Navigation bar located at the top right side of the LEP Plan screen allows users to return to the Intranet, IPS and LEP home pages.

Limited English Proficiency (LEP) Plan Program Participation This section defines the ESOL/Language Arts instructional time and the program delivery models used in the basic subject areas. Hover mouse over student’s name to view demographics. Informational messages are displayed in the yellow bar to assist users.

NOTE: Subjects displayed and information entered on the Program Participation screen for Elementary (1-5) students will vary from Secondary (6-12) students.

Promotion or retention information on this screen is completed at the end of the school year. Hover mouse over student’s name to view demographics. Informational messages are displayed in the yellow bar to assist users. This information will be displayed on all printed LEP Plans.

Red text messages indicate invalid or required information was not entered. Hover mouse over red text to view specific information regarding the error.
