Legal Notice Request for Proposal January 30, 2015 Notice is hereby given that the Plainfield Park District will be receiving sealed bids for seasonal brochure printing. The Plainfield Park District does hereby invite sealed bids for the printing of its Fall/Holiday 2015, Winter/Spring 2016, and Summer 2016 Seasonal Brochures. Specifications may be obtained from the Plainfield Park District website at www.plfdparks.org, or by contacting Senior Designer Corinne Vargas at (815) 436-8812 or [email protected]. Your proposal must be in writing using the Bid Proposal Form, signed, sealed and returned no later than 10:00 a.m. on Friday, March 6, 2015. Agency Profile Located approximately 40 miles southwest of Chicago, the Plainfield Township Park District is the 9th largest Park District in the State of Illinois based on population served. The PTPD was founded in 1966 when the citizens of Plainfield Township authorized, by simple-majority vote, the establishment of the Park District. The PTPD is a separate and distinct public agency created to provide park facilities and recreation programs for its residents. The PTPD’s area encompasses all of Plainfield Township and portions of Wheatland Township in Will County and Nau-Au-Say Township in Kendall County. These areas lie within Bolingbrook, Crest Hill, Joliet, Plainfield and Romeoville, as well as some unincorporated areas. The overall boundaries of the PTPD are 43.04 square miles and 35.23 square miles of the PTPD’s overall boundaries are the Plainfield Township from 135th Street to the north, Gaylord Road to the east, Theodore Street to the south and County Line Road to the west, and accounts for almost 82% of the PPD service area. The District maintains more than 80 parks offering a variety of amenities, including 64 playgrounds, 2 skate parks, 3 dog parks, 25 basketball courts, 29 pathways, bike trails, an outdoor pool, splash pad, equestrian center and numerous sports fields for baseball, football, soccer and softball comprised of more than 1,500 acres. Day-to-day operations are conducted by the PPD’s Executive Director, and four directors: Director of Recreation, Director of Communications, Director of Finance and HR and Director of Parks. The PPD currently employs 40 full-time staff, 84 part-time staff and approximately 100-150 seasonal employees depending on the season and recreation programs occurring.

The Plainfield Park District is inviting sealed bids for the printing of its Fall/Holiday 2015, Winter/Spring 2016, and Summer 2016 Seasonal Brochures.

Based upon these proposals, we will decide who the printer will be for the Fall/Holiday 2015 brochure. If, after it is printed and delivered, we find it to be a good product for the price, we will keep the same vendor through the Summer 2016 brochure provided the requirements defined by the instructions and the pricing established in the bid continue to be met.

Please base your proposal as if you will produce all three brochure issues. The costs you quote must be held constant for all three issues. This way, you can propose a more competitive figure and we can maintain a quality product. Copies of our most recent brochures are available upon request.

Bids will be publicly opened and read aloud on Wednesday, March 11, 2015 at 10:00 a.m. at the Plainfield Park District, 23729 W. Ottawa St., Plainfield, IL. Be sure to include three references of similar work with your bid, including business name, contact name and title, phone number, and name of project/project description.

Plainfield Park District Seasonal Brochure Printing Bid Specs 6.

Please base your proposal on: A. 45,000 copies each season. B. 8½ x 11-inch booklets, face trimmed to 8 3/8 x 10 7/8 inches, stitched with two saddle stitches. C. The four-page cover will be four-color process with bleeds on 80# gloss text. D. The 72-page interior will be 4/4 with bleeds on 35# 80 bright groundwood newsprint. (Please note that this is different than 2014-15 bid.) E. Additional cost per eight-page increment based on 45,000 copies. F. Additional cost for four-page newsletter insert, four-color process with bleeds on 11x17 80# gloss text stitched into center of brochure, based on 45,000 copies. G. Color proof of cover, interior and newsletter insert. H. Printing turnaround should be no more than two weeks or ten business days. I. Brochures will be labeled and delivered to the designated distribution company by the Monday before the scheduled distribution day. The remainder of the brochures will be delivered to Plainfield Park District, 23805 W. Ottawa St., Plainfield, IL.

7. All pages are designed using a PC version of Adobe InDesign. Files for the Fall/Holiday 2015 brochure will be ready on June 25, 2015. The brochure must be printed and delivered to the distribution company no later than July 13, 2015. 8.

A vendor will be selected based upon price proposals, past performance, references and confidence in their ability to meet our needs in a quality and timely fashion.

The Plainfield Park District reserves the right to waive technicalities in the bidding process and to reject any or all bid proposals.

The Plainfield Park District reserves the right to charge a 1% per day late charge to the printer if printing is NOT completed and delivered by the agreed dates if the Plainfield Park District delivers all material by the agreed dates.
