What's new in this release? Jabber Messenger (JM) has been extensively changed in the current release. If you used any of the JM 2.x clients, you will notice a number of differences. Flexible alerting Individual alerting preferences are available for instant messages, presence changes, broadcast messages, text conferencing, and text conferencing filters. Improved text conferencing The text conferencing interface has been expanded to enable you to easily control your experience. Specify which rooms to join on start-up, bookmark rooms, create room filters, and use the expanded room administration tools. Dock & undock message windows Dock your message windows so that they are tabs in the JM interface or undock them so that they are individual windows. You can set all message windows to be dock or undock in the Tools > Options > Application tab. Observer contacts A new type of contact can appear in your contacts list. Observers are contacts who can view your presence, but you do not receive updates about their icon next to these presence. Your contacts list displays an eyeglass contacts. More extensive user preferences Customize the display environment, frequency of notifications, presence messages, and other facets of the user experience. Tabbed interface Chat messages, text conferencing rooms, filters, offline messages, and broadcast messages appear in separate tabs. Easily accessed message history Internationalization and localization

Getting Started What's on the main window? The main window is split into a number of different elements. Left-pane tab. As you The left-pane is called the Navigator. It contains your contacts shrink the Navigator, you may find that some tabs "disappear". Use the arrow buttons to flip between the available tabs. If you stretch the window, you will see the tabs again. Note: The Navigator may include other tabs depending on how your Jabber administrator configured your server. Center-pane The center-pane is the main working area of Jabber Messenger. Each conversation you are having is contained in a separate tab in this area. Likewise, when you join a text conference room, it appears in a tab. You can flip through the tabs as needed by clicking on them. You may need to click arrow buttons to see all of the tabs if you have a large number of the them open. Right-pane The right-pane changes according to what you have selected in the centerpane. If you have a chat window active in the center-pane, the right-pane contains your chat history. For instance, if you have a conversation with John Smith active in the center-pane, this pane contains the history of your conversations with this contact. Note: If text conferencing is configured on your server by your Jabber administrator, and you have a text conferencing room selected in the centerpane, the right-pane contains a list of other contacts in the room and their current status. Menu bar A menu bar stretches across the top of Jabber Messenger to provide access to a number of different features. The Actions menu contains options that change depending on which part of the main window is active.

Docking and Undocking window elements You can undock and dock tabs by using the Dock option on the Window menu. Chat windows, text conference rooms, room filters, dynamic content and the Jabber console may all be docked and undocked as desired any center pane element. 3

Jabber Messenger Online Help By default all the message windows are docked. You can change this option by clicking Options on the Tools menu and then the Application tab. Navigator elements may not be undocked. These elements include the Contacts tab, the Community Groups tab, and the Text Conference tab. Using the toolbar The toolbar contains shortcuts to commonly used features. Click the arrow next to the Status button to change your presence information. Select a new status from checkmark next to it. the drop-down menu. Your current status has a The New button provides quick access to adding contacts and text conferencing rooms. Select Contact to add someone to your contact list. Select Group to create a group within your contact list. If text conferencing is available, select Room to create a new text conferencing room. Select Room Filter to create a new filter for text conferencing. Exiting the Jabber Messenger If you click the X button in the right-hand corner of the client, it minimizes to your Windows taskbar, but you remained logged into the server and are still able to receive messages. To fully exit the client, you must click Exit Jabber Messenger from the File menu.

Logging In You can log in to the server using only the basic options, or, if you are a more advanced user, you can specify a number of details about your connection. Enter your username in the provided text box. The username is the first part of your Jabber ID, for example jsmith. 3. Enter your password in the provided text box. 4. The Domain text box will have a default server. To change the default server value, enter the domain name for the server where you want to log in. The domain second part of your Jabber ID. For example, if your Jabber ID is [email protected], the domain is example.com. 5. Enter a resource name. You cannot login if this text box is empty. In addition, the resource name uniquely identifies the client you logged in with. If you are online with multiple clients at the same time, you must indicate a different unique resource name for each client. For example, Home Desktop, Work Desktop and so on. 6. If enabled, select the Save password checkbox. When selected, you do not have to re-enter your password each time you log in. 7. If enabled, click the Automatically login with this information checkbox. When selected, the client automatically logs into the server each time you open it. 8. Click the Finish button. To log in with advance options: 1. Click the Click Here to Login message on the main window. 2. Enter your username in the provided text box. The Connection Options appear. 9. Enter the host name of the server where you want to connect to. This text box should contain a Fully Qualified Domain Name (FQDN) 10. Enter the port of the server on which you want your client to connect. 11. If desired, select the Use a secure connection checkbox. SSL connections are more secure than standard connections. Your system administrator must enable SSL on the server in order for this option to be available. 12. If desired, click the Next button to set up a proxy server connection. These options are described in the directions below. 13. Click the Finish button. To log in using a Proxy server: 1. On the Proxy Information window of the Login wizard, select the Connect via a SOCKS proxy radio button. 2. In the SOCKS Server text box, enter the Fully Qualified Domain Name (FQDN) or IP address for the proxy server. 3. In the SOCKS Port text box, enter the port on which you will connect to the proxy server. 4. If your proxy server requires you to authenticate with it, enter your username and password for the proxy account in the provided text boxes. To log out: From the File menu, click Log Out. To disable automatically login: 1. Log into Jabber Messenger. 2. From the File menu, click Log Out. 3. Click the Click Here to Login message on the main window. The Login window appears. 4. Click the Automatically login with this information checkbox so that it does not contain a checkmark. 5. Continue logging back in as normal. The next time you open Jabber Messenger, you will not log in automatically.

Setting your Presence Status Indicator Setting the presence status indicator lets your contacts know whether you are available, away, or don't want to be disturbed. You can select from several built-in status messages, and you can add customized text status messages. Actions associated with the presence status indicator include: Selecting a presence status indicator Customizing a text status message To select your presence status indicator: 1. Each time you click the Status button, the presence status indicator alternates between each presence status type: Available Away Do Not Disturb 2. Click the arrow next to the Status button. The Status button is located in the upper left-hand corner of the Jabber Messenger window on the toolbar. The drop-down list contains three presence status types (Available, Away, and Do Not Disturb) with specific text status messages under each. In addition, from the Actions menu, you can also choose Status for the presence status types drop-down list. 3. Select a presence status type from the list. Your status changes to the selected option. Everyone subscribed to your presence (that is, everyone who has you in their contact list) sees the updated presence information. For example, they are notified that your presence is now "available". To customize a text status message: 1. From the Tools menu, click Options. 2. Select the Presence tab in the Options window. 3. Click Add under the presence type where you want to add a new text status. For example, click Add under the Away category to add a new text status to the Away list. 4. Enter your text status message in the provided text box. Click OK when finished. 5. Click OK to close the Options window. The main window appears. 6. Click the arrow next to the Status button, and move your pointer over the category where you added the text status message. Your new text status indicator will appear in the list. To remove a customize text status message:

Jabber Messenger Online Help 1. From the Tools menu, click Options. 2. Select the Presence tab in the Options window. 3. Select the text status message you want to remove from the presence type: Available, Away or Do No Disturb list. 4. Click Remove under the presence type where you want to remove the text status. For example, click Remove under the Away category to remove the selected text status from the Away list. 5. Click OK to close the Options window. The main window appears. 6. Click the arrow next to the Status button, and move your pointer over the category where you removed the text status message. Your text status indicator will not appear in the list.

Searching for contacts When you first start using the Jabber Messenger client, you need to locate the people or groups and add them to your contact list or add community groups. Community Groups tab appears in the left-pane next to your contact list. Like The Community Groups your regular contacts, it lists the current status for members of the community groups if permission to view presence is allowed. 4. Select the groups to which you want to subscribe. 5. Click OK. The selected groups appear in the Community Groups tab. 6. Click the + button to expand a community group. All of the contacts for that group display. In some cases, your Jabber administrator may not permit the individual contacts in a group to display, and you will be unable to perform this step. 7. Right-click a person in a group and select Start Chat. The chat window opens in the center-pane of the Jabber Messenger window. 8. Shortcuts Jabber Messenger uses many shortcuts that are available in most Windows applications. You will find a few of the more common shortcuts here. Right-click Right-clicking items in Jabber Messenger frequently provides access to a shortcut menu. Shortcut menus contain actions you might want to take with the selected element. All of the shortcut menu options are available through the regular menu bar. However, you may find it quicker to access them by right-clicking. Try right-clicking different elements in Jabber Messenger. For example, right-click a contact. A menu with options appropriate to that contact appears. Now, right-click a community group. Different options appear. Cut, Copy & Paste Text can be copied from one window and pasted into another. For example, you may copy several lines of text from a Word document, and paste it in a chat message. To copy and paste text: 1. 2. 3. 4.

Select the text you want to copy. Right-click and choose Copy on the shortcut menu. Place your cursor in the location where you want to paste the lines of text. Right-click and choose Paste on the shortcut menu.

Resizing Window Panes The different elements on the main window may be stretched and resized to your preference. On the main window, point to one of the vertical bars, for example the vertical bar between the Contact list and Chat area, and notice that the pointer changes to a double-headed arrow. To change the width: Point to a left or right vertical bar or window border. When the pointer changes into a horizontal double-headed arrow, drag the border to the right or left. To change the height: Point to the top or bottom window border. When the pointer changes into a vertical double-headed arrow, drag the border up or down. To change the height and width simultaneously: Point to any window corner. When the pointer changes into a diagonal doubleheaded arrow, drag the border in any direction.

How do I change default options? While Jabber Messenger contains a number of default settings to help you get started, you may want to customize how your client handles common events. For example, do you want to hear a sound each time a message arrives or to flash the taskbar? Do you want toast notifications to pop-up from the bottom of your screen each time a contact logs in? Each of these preferences, and many others, are set on the Options window. To open the Options window, click Options from the Tools menu. Your contacts What is a subscription? "Subscriptions" refer to how you add others to your Contacts list. Unlike most instant messaging clients (such as, MSN or America Online), Jabber does not allow you to be added to someone's Contact list without your permission. Likewise, you must get permission from others to add them to your Contact list. This concept is called "subscribing" to another person. By managing your subscriptions, you control who can see your presence information. While the directions for adding contacts are available in the Add Contacts topic, you may find the information provided here helpful in understanding this important concept. When you add a person to your contact tab, a number of things happen: The person receives a subscription request stating that you want to add him or her as a contact to your Contact list. The person can grant permission for you to add him or her as a contact to your Contact list. However, the person has the option to add you as a contact or as an observer. The person denies your request. You cannot add him or her to your Contact list. As you can see, the subscription process enables you to control who views your online presence. No one can add you to their Contacts tab unless you permit it. For each person in your Contact list, you receive presence-updates. That is, each time a contact changes from "away" to "available", your contact list updates to display this information. Likewise, if a contact changes their status from "available -ready to chat" to "available -- in a meeting", you receive the updated status information. The Subscription Request Window When someone attempts to add you to their Contact list, a Subscription Request dialog box appears on your screen. You can: Accept the subscription and be added as contacts to each other's Contact list. Click the Advanced button and select one of the following options: Added as a Contact Add this person as a contact in your Contact list and allow this person to see your presence.

Your contacts Added as an Observer Add this person as an observer, and allow this person to see only your presence but do not add this person to your Contact list. This arrangement is especially useful for people who have a large number of contacts. For example, if you are providing technical support to a group of people, those people will want to know when you are online and available. On the other hand, you probably don't need to see all of their presence changes. You can view all observers by choosing Observer on the View menu. icon. Observers appear on your Contact list with an eyeglass You can deny the subscription. You will not be added to this person's Contact list. Subscription Preferences The Preferences window enables you to control how subscription requests are handled by default. If you don't want to be bothered with subscription requests, you can tell Jabber Messenger to always accept (or deny) the requests. Jabber Messenger will handle the requests automatically. You can also indicate the group where you want new contacts to appear. For example, you may want all new contacts to appear in Unfiled Contacts until you decide where to put them. See the Subscription Preferences topic for directions.

Add Contacts You must subscribe to other Jabber users before you can communicate with them. When your subscription request is accepted, a contact is added to your Contacts list, and you automatically receive information about the contact's presence. When you know a contact's ID, you can quickly add the contact using the Add Contact window. If you don't know the contact's ID, you can search for it in your user directory, and then add the contact. Refer to the What is a subscription? topic for a complete description of the concept of subscriptions. Actions associated with adding a contact include: Adding a contact when you know the Jabber ID Searching for and adding a contact To add a contact by ID: 1. On the main window's toolbar, click the arrow next to the New button and then choose Contact on the shortcut menu. 2. Select the Add Contact by ID radio button. 3. If the contact is on a service other than Jabber (for example, MSN or AIM), select the appropriate service from the drop-down list. Other services are only available if enabled by your Jabber administrator. 4. Click Next. 5. Enter the Jabber ID for the contact in the first text box. 6. Enter a display name for the contact. The contact will appear in your contact list under this name. 7. Select the Group where you want the contact to appear from the drop-down list. 8. Click Finish. A subscription request is sent to the contact. To search for a contact and add it: 1. On the main window's toolbar, select the arrow next to the New button and then click Contact from the shortcut menu. 2. Select the Search for Contact radio button. 3. Select the directory you want to search from the drop-down list. The choices available to you depend on how the Jabber administrator has set up your server. 4. Click Next. 5. Enter information in one or more of the available search fields. Entering less information usually enables the search to return more results; you may also use the * wildcard to see larger result sets. For example, enter J* to find all 16

Tip: Select a contact and click the View Profile button to see more information about that person. 7. If the results do not contain the contact you wanted to find, click the Back button to modify your search options. 8. Select the contact you want to add to your contact list. 9. Click Finish. A subscription request is sent to the contact.

Managing your contacts Once people are added to your Contact list, you have a number of options for organizing and managing them: Renaming contacts Renaming contacts from the user profile Viewing additional contact information Removing contacts Creating groups Moving contacts between groups Copy contacts between groups Renaming groups Removing groups The term "groups" in this topic refer to the groups in which your contacts are organized. In contrast, the Jabber administrator manages Community Groups. You may view or hide them, but cannot move individuals between them. To rename a contact: 1. Select the contact name. 2. From the Actions menu, click Rename Contact or right-click and choose Rename Contact on the shortcut menu. 3. Enter a nickname for the contact. 4. Click OK. To rename a contact from profile: If configured on the server, you can rename a contact from profile. 1. Select the contact name. 2. From the Actions menu, click Rename from Profile or right-click and choose Rename from Profile on the shortcut menu. The contact's official name is pulled from the server. To view additional contact information: 1. Select the contact name. 18

Your contacts 2. From the Actions menu, click View Profile or right-click and choose View Profile from the shortcut menu. The profile information for the contact is pulled from the server and displayed. To remove a contact: 1. Select the contact name. 2. From the Actions menu, click Remove or right-click and choose Remove from the shortcut menu. 3. Select Remove this contact from my contact list completely option to completely remove the contact from the contact list and contact groups. Select Remove this contact from the "group name" group only option, where "group name" is the name of the contact group you are removing the contact. This option is active when a contact appears in more than one contact group. Selecting this option removes this contact just from the contact group. 4. Click OK. To create a group in the Contacts tab: 1. In the main toolbar, select the down arrow next to the New button and then choose Group from the shortcut menu. 2. Enter a name for the group in the text box. tab. 3. Click OK. The new group appears in your Contacts To move contacts between groups: 1. Select the contact name. You can also select multiple contacts and groups. To select consecutive contacts, click the first contact, press and hold down Shift, and then click the last contact. To select nonconsecutive contacts, press and hold down Ctrl, and then click each contact. 2. From the Actions menu, click Move To or right-click and choose Move To on the shortcut menu. You can also drag-and-drop the contacts into the desired group. 3. Select the group where you want to place the contact. The contact moves to the selected group. To copy a contact to another group: 1. Select the contact name. 19

To select nonconsecutive contacts, press and hold down Ctrl, and then click each contact. 2. From the Actions menu, click Copy To or right-click and choose Copy To on the shortcut menu. You can also press and hold down Ctrl and drag-and-drop the contacts into the desired group. 3. Select the group where you want to place the contact. The contact is copied to the selected group. To rename a group: 1. Select the group name. 2. From the Actions menu, click Rename Group or right-click the group and choose Rename Group on the shortcut menu. 3. Enter a new name for the group. 4. Click OK. To remove a group: 1. Select the group name. 2. From the Actions menu, click Remove or right-click the group and choose Remove on the shortcut menu. 3. Click OK to confirm that you want to remove the group.

Viewing your contacts All of your contacts are listed on the Contacts ( ) tab. You can modify how information is displayed on this tab using the View menu. To change the view of your Contact list: 1. Click the Contacts tab to make it active. 2. From the View menu, click Text Status. The text status displays the full status message for your contacts in addition to the default presence indictors. When disabled, you can still determine whether or not people are available or ). via their presence icon (for example, 3. From the View menu, click Offline Contacts. When enabled, your contact list displays people who are not currently logged in. You may want to disable Offline Contacts so that your contact list only displays people who are online. 4. Subscription Requests When someone attempts to add you to their contact list, the Subscription Request window appears on your screen. To accept a subscription request: 1. Click the View Profile button if you want to see further information about this person. 2. Click the Start Chat button if you want to send this person a message. Clicking the Start Chat button does not impact your ability to accept or deny the subscription. 3. Enter a display name for the person. The person will be listed in your Contacts tab by the name you enter here. 4. Select a group from the drop-down list. The person will appear in your contact list under the selected group. 5. If desired, click the Advanced button for advanced subscription options. The advanced options are: Add as a Contact: This option indicates that you want to allow this person to see your presence, and in turn you will see this person's presence. Selecting this option causes a subscription request to be sent on your behalf to the person. Add as an Observer: This option indicates that you want to allow this person to see your presence, but that you do not want to subscribe to him or her. 6. Click the Accept button. To deny a subscription request: Click the Deny button. You will not be added to this person's Contacts list. See also: What is a subscription? Subscription preferences

Chatting Chatting Once you have added a few people to your contact list, you are ready to start chatting. Common actions taken on the Chat window include: Starting a chat session Docking/undocking the chat window To start a chat session: 1. Select the Contacts tab. 2. Double-click someone in your contact list. A chat area appears in the middle of the main window. 3. Enter your message in the bottom of the chat window. to send the message. 4. Click Send To undock or dock the chat window: 1. Click the chat tab so that it is active. 2. From the Windows menu, click Undock this Tab. 3. The chat tab is now a separate window. Sending broadcast messages Broadcast messages are typically informational messages sent to a number of people at once. You can also broadcast to contact groups in your Contact list or community groups. To send a broadcast message to a group: 1. Select a contact group or a community group.

You can also select multiple contacts and groups. To select consecutive contacts or groups, click the first contact or group, press and hold down Shift, and then click the last contact or group. To select nonconsecutive contacts or groups, press and hold down Ctrl, and then click each contact or group. 2. From the Actions menu, click Broadcast Message or right-click a contact or community group and choose Broadcast Message on the shortcut menu. The New Broadcast Message dialog box appears. 3. Enter your Subject and message. 4. If you do not want others to be able to reply to your message, clear the Allow responses to this message checkbox. 5. Click the Send the message button. To send a broadcast message to individuals: 1. Select a contact. 2. From the Actions menu, click Broadcast Message or right-click the contact and choose Broadcast Message on the shortcut menu. The New Broadcast Message dialog box appears. link. The Select Contacts window appears. 3. Click the To 4. Select the contacts that you want to receive the message and click OK. You return to the New Broadcast Message window. 5. Enter your Subject and message. 6. If you do not want others to be able to reply to your message, clear the Allow responses to this message checkbox. 7. Click the Send the message button. To view broadcast messages: When you receive broadcast messages, they are listed in the Broadcast Messages tab in the center-pane of Jabber Messenger. Click on the tab and scroll through the available messages. Click on a message to view it in the bottom half of the tab.

Message Appearance When writing chat messages, you have a number of options for customizing their appearance. Your message recipient sees the chat message with the same text formatting that you apply when writing it. To try out the appearance buttons, double-click on a contact in your contact list to open a chat window. Just above the text area where you compose your message, notice that there are a number of standard Windows buttons to enable you to bold, italicize, or underline text. Additionally, you can set the font style and size. To change the color of the message text: 1. Select the text. 2. Click the Color

History The History pane provides a way for you to read old chat conversations. When you double-click a contact in your contact list, the History pane opens in the right-pane of the client. It contains a history of your prior conversations with the selected contact. Note that to have the History pane open each time a chat session starts, see the Chat Preferences topic. You can open the History pane per chat session by clicking Message History on the View menu. When your chat session ends, the History pane closes. Options for the history pane include: Read on old chat conversation Print an old chat conversation Sort the history pane Delete old chat records To email a current chat conversation To email a chat conversion stored in history To save message history To read a conversation stored in history: tab, double-click a contact. A chat window and the History 1. In the Contacts pane for that contact appear. All available conversation dates for the selected contact are listed in the history pane. 2. Click the date of the conversation you want to read. The conversation appears in the center pane of the main window. 3. Read the conversation. 4. To switch back to today's conversation, click the Current or Today's heading in the History pane. To print a conversation stored in history: 1. Open the History pane for a contact by following the directions above. 2. Select the date on which the conversation occurred. The conversation opens in the center-pane of Jabber Messenger. 3. From the Edit menu, click Delete or right-click the date of the conversation and choose Delete on the shortcut menu. To email the current chat session: 1. Click on a tab in the center-pane where you are having a conversation. 2. From the Actions menu, click Email Transcript. The Email Transcript Composer dialog box appears. 3. Click the To link to select the contacts to whom you want to send the transcript. 4. Enter a Subject that will appear in the subject line of the email. 5. Enter a Message if desired. It will appear in the body of the email above the chat transcript. 6. Click the Send the message button. To email a chat conversation from History: tab to open the History pane. 1. Note: When the maximum message history file size is reached, you will be notified to increase the size of the message history file and future messages will not be saved.

Working with transcripts Transcripts are the written record on your chat conversations. Each time you chat with a contact, the transcript of the conversation is saved in your Message History. If desired, you may disable message history. If message history is turned off, you can only save, email, or print transcripts for the current conversation. Actions associated with transcripts included: Saving a transcript Sending current transcript via email Sending a transcript in History via email Printing a transcript Note: Transcripts that are sent via email should not be considered legal records of conversations. If you require copies of a chat conversation for legal purposes, please contact your Jabber administrator for information about message archiving. To save a transcript: 1. Click on tab in the center-pane where you are having a conversation. 2. Click within the message part of the chat. 3. From the File menu, click Save As or right-click and choose Save on shortcut menu. The Save window opens. 4. Select the location where you want to save the transcript. 5. Type a File name for the transcript. 6. Click Save. The transcript is saved as an HTML file. To email the current chat session: 1. Click on tab in the center-pane where you are having a conversation. 2. Click within the message part of the chat. 3. From the Actions menu, click Email Transcript or right-click and choose Email Transcript on the shortcut menu. The Email Transcript Composer dialog box appears. 4. Enter the email address or addresses in the To text box. 5. Enter a Subject that will appear in the subject line of the email. This is optional. 6. Enter a Message if desired. It will appear in the body of the email above the chat transcript. 7. Click the Send a message button. To email a chat conversation from History: 1. Double-click a contact in the Contacts

Offline messages Offline messages are messages that people send you while you are not online. The next time you log in, these messages appear in a special tab in the center-pane. You can open the tab manually by clicking Offline Messages from the View menu. If permitted by your system administrator: You can configure Jabber Messenger to forward offline messages to your email account. You can send offline messages to another email address. Actions associated with offline messages include: Reading and replying Deleting Sorting Forwarding to an email account Sending an offline message via email To read and reply to offline messages: 1. Select the offline message tab in the center-pane. You can open the tab manually by clicking Offline Messages from the View menu. Note: If you do not see such a tab, then you did not receive any messages while you were offline. 2. Select the first message listed. The full message text appears in the lower portion of the tab for you to read. 3. If desired, click the Reply link (located between the upper and lower portions of the tab) to send a response to the message. 4. Continue reading messages as needed. To sort offline messages: 1. Select the offline message tab in the center-pane. 2. Click the Date/Time column label to sort the messages by date from most recent to the oldest. 3. Community groups Community groups Community groups are created by your Jabber administrator to help organize large numbers of contacts. For example, your administrator might create groups for the different departments of a large company or for people in different geographical regions. Community groups offer a number of benefits. They enable you to broadcast messages to a large number of people at once and for you to receive broadcast messages from individuals without subscribing to them. They provide a useful organizational tool for large numbers of Jabber users. You can subscribe to any community group to which your Jabber administrator has granted you access. When you subscribe to a community group, it displays in your Community Group tab. Depending on the permissions you've been given, you can view group members, chat, broadcast messages to the group, and add a member of the group to your regular Contacts list. You can also invite entire community groups to a conference room. To become a member of or change your permissions for a community group, contact your Jabber administrator. If your Jabber administrator has enabled community groups for Jabber Messenger, you can perform the following actions: Manage community groups Broadcast messages to a community group Chat with members of a community group Invite groups and members to a text conference Subscribe to community group members

About the community groups tab The Community Groups tab displays the community groups that your administrator has placed in your view by default. You can expand the group to see the members by clicking the plus sign (+) located beside the group. By expanding the group, you view presence information for individual members of it. Right-click on individual users to send messages to one person at a time. Right-click on the group heading to send a broadcast message to the entire group at once. Depending on how Jabber was configured, you may have the ability to broadcast a message to the entire group, but you may not be able to view who is a member of the group or view a member's current presence.

Community groups

Managing your community groups Groups may be added or removed from your community groups tab. Membership in community groups is managed by the Jabber administrator. So, while you may add and remove groups from your view, you cannot move contacts between the groups or add yourself to a group. To manage community groups: 1. From the File menu, click New and then Community Group or click the arrow next to New on the toolbar and choose Community Group. The Community Groups wizard appears displaying the available community groups. 2. Review the list of available community groups and select the community groups that you want to subscribe. As you select a community group, the permissions associated with that group display in parenthesis next to the group name. These properties include: Community group permission All Broadcast View Members View Presence

You can broadcast messages to the group, view group members and view the group members' presence. You can broadcast messages to the group members. You can view group members. You can view the group members' presence

3. Click OK to add the selected community groups to your view. To view members in the community group: Click the + button to expand a community group. All of the contacts for that group display. In some cases, your Jabber administrator may not permit the individual contacts in a group to display, and you will be unable to perform this step. To remove community groups from your view: 1. From the File menu, click New and then Community Group or click the arrow next to New on the toolbar and choose Community Group. The Community Groups wizard appears. 2. Remove the checkmark next to groups that you do not want to view. 3. Click OK.

Chatting with Community Group Members You can chat with contacts in community groups just as you would with people in your regular contact list. All of the standard chat options are available. Add a Community Group member to your contact list If you want, you can add a member of a community group to your contact list. Adding members to your contact list enables you to have access to their presence information whenever they are logged on. That is, you are not dependent on the Community Groups feature being available. Additionally, if your Jabber administrator changes the composition of the community groups, you will still be able to locate the contact through your contact list. If you have a very large contact list, it may cause Jabber Messenger to operate more slowly in general. This occurs because the client has to communicate with the server more frequently to ensure that it has up-to-date presence information for each of your contacts. When subscribing to community group members, you may want to balance the convenience of adding them to your contact list with the possibility of slowing down Jabber Messenger's performance. To add a Community Group member to your contact list: tab. 1. Locate the Community Group member on the Community Groups 2. Select the Community Group member. 3. From the Actions menu, click Add to Contact List or right-click on the Community Group member and choose Add to Contact List on the shortcut menu. The contact's Jabber ID and Display Name display in the Contact Details window. 4. Change the display name for the contact if desired. The contact will appear in your contact list under this name. 5. Select the Group where you want the contact to appear from the drop-down list. 6. Click Finish. A subscription notice is sent to the contact. See also: What is a subscription?

Text conferencing What is text conferencing? Text Conferencing enables you to chat with a number of people within a room. People typically set up conference rooms to gather a specific group together, or to talk about a specific subject. Once you enter a room, you can see the presence of everyone in the room and can participate in the ongoing conversation. Note: Text Conferencing is available only if your Jabber Administrator has installed and configured this feature. tab provides an easy way to create, join, and manage The Text Conferencing multiple conference rooms. The topic describes some basic concepts about text conferencing. If you're ready to jump into chatting, you may want to skip to Join an ongoing conference room. Duration of Rooms Permanent Rooms If the purpose of a room is long-standing (for example, a meeting place for discussing an ongoing project), it is usually created as a permanent room. That is, the room continues to exist, even when all members have left. Members come and go, as they want. Depending on the configuration of your environment, you may not have the option to create permanent rooms. The server can be configured so that only occupants with administrator's rights have this capability. Temporary Rooms If the purpose of a room is short-term (for example, a quick decision on where to go for lunch), it is usually created as a Temporary room. When everyone leaves the room, it ceases to exist. That is, the room exists only for as long as there are people in it. Room Presence Indicators In addition to the standard presence icons that you are familiar with from your contact list, text conferencing provides a few extra indicators to provide information about people in the room: Indicates that this occupant is a room moderator, owner or administrator. Indicates that this occupant cannot chat in the room, but may observe the conversation. Indicates that the occupant is present and active in the room.

Indicates that the occupant is away or away for an extended period of time. Indicates that the occupant does not want to be disturbed. Room Filters tab contains categories for Enabled Filters and Disabled The Text Conferencing Filters. Filters enable Jabber Messenger to alert you when a specific person enters a specific room or when a keyword is used. For example, if you are tracking a project, you might want to be alerted any time that project's name is referenced in one of the rooms defined in the filter. Naturally, Jabber Messenger only alerts you based on the filters in the Enabled Filters category. If you move a filter to the Disabled Filters area, it is not active. Using the Text Conferencing Window The Text Conferencing tab is available in the left-pane of the main Jabber Messenger window and contains a number of elements:

Active Rooms Favorites

Rooms that are currently opened. Bookmarked rooms that you visit frequently.

Membership

Rooms for which you are on the membership list.

Enabled Filters

Filters that are actively filtering for activity in specific rooms, activity by specific people, or specific phrases.

Disabled Filters

Filters that are not active.

There can be overlap between these categories. For example, the same room can be listed under Active Rooms and Favorites if it is a room that you currently have open (Active), and you bookmarked it (Favorites). The Membership element does not appear on the Text Conferencing tab if the room you are in is anonymous. Most text conferencing actions are accessed by right-clicking different elements of the tab. Roles within a room Within a room, you can have one of a number of different participation roles. Depending on your role within the room, you may have more or fewer options for modifying the room's configuration. Observers Observers can join the room, but are not able to speak within the room. These people are purely observers of the ongoing conversation. For example, you might want to set up a conference room for a debate between three individuals. While many people would be able to view the debate, only the three participants could actually enter messages. Observers have an eyeglass conferencing room.

Participants Participants can join the room and are able to speak within the room. Generally, you can participate in rooms without being a member of the room. Moderators If room moderation has been enabled for a room, the room's owners and administrators can grant moderator privileges to room participants. In addition to basic conference room activities, such as chatting, inviting, changing the subject and so on, moderators can remove participants and observers from the room. They can also grant and revoke voice, which is the ability for a participant to send messages to the room (voice). If an occupant has no voice, he or she cannot chat in the room. Moderators are indicated by a gavel the text conferencing room.

Members of a Room When you become a member of a room, your affiliation is a permanently associated with the room until you remove your membership or an owner or administrator removes your membership. Members Room members are the most basic participants in a room. Many people find it convenient to become a member of rooms that they regularly visit. When you register and become a member of a room, your nickname is reserved for that room. Open registration rooms allow anyone to register and become a member and to also remove their membership. Close registration rooms require a room owner or administrator to add you to a membership list and to remove your membership. Owners When you create a conference room, you are that room's owner; you may also become the owner of a room if the current owner grants you ownership. As a room owner, you can configure the room's options; you can also manage the room's membership list by adding and removing people on it. You can assign room administrators, moderators, and other room owners. Only the room owner can delete a permanent room. Administrators Room owners can grant administrative privileges to room occupants. In addition to the actions that moderators can perform, room administrators can ban occupants from a room; they can also add and remove membership privileges, and grant and revoke moderator privileges.

Managing Your Membership You can manage your membership in conference rooms that have been configured for open registration. Open registration means that anyone can register to become a member of the room. Managing room membership includes: Becoming a member of a room Editing your membership information Removing your membership from a room To become a member of a room: You can register and become a member of an open registration room when you join by selecting the Automatically become a member option. However if you have joined a room without becoming a member, you can become a member later if desired. 1. Select the Text Conferencing tab. 2. Select a room in the Active Rooms list. 3. From the Actions menu, click Become a Member or right-click the room and choose Become a Member on the shortcut menu. The Room Registration window opens. 4. Enter your information in the window. (Your Jabber administrator specifies the boxes that you see.) If you enter a nickname, the nickname is reserved for you. 5. Click OK. For information on joining a room, see the Joining Rooms topic. To edit your membership information: 1. Select the Text Conferencing tab. 2. Select the room in the Membership list. 3. From the Actions menu, click Edit Membership or right-click the room and choose Edit Membership on the shortcut menu. The Edit Room Membership window opens with your membership information. 4. Modify your information in the window as desired. 5. Click OK. To remove your membership from a room: 1. Select the Text Conferencing tab. 2. Select the room in the Membership list.

Invitations to Conference Rooms When someone sends you an invitation to a conference room, a conference room invitation window opens on your desktop. Click Accept to enter the room. Click Decline if you are not interested in joining the room, and enter your reason for declining. Click Ignore if you do not want to accept or decline. The invite closes and does not reappear. A password displays if the conference room is password protected. Make a note of the password for use later when entering the room. If you are a room owner, or if a room is open so that anyone can enter without being a member, you can invite others to join a conference room. To invite people to a conference room: 1. Select a room within the Active Rooms list. 2. From the Actions menu, click Invite to room or right-click on the room and click Invite to room on the shortcut menu. 3. Select the checkbox next to the name of people you want to invite to the room. To invite an entire group, select the checkbox next to the group name. 4. If desired, enter a message in the Invitation Message box. 5. Click OK. An invitation to the room is sent to everyone selected.

Joining Conference Rooms Note: Text Conferencing is available only if your Jabber Administrator has installed and configured this feature. Text Conference rooms enable you to chat with a number of people at once. When tab and shows up as a tab in you join a room, it is listed in the Text Conferencing the center pane of your client. When you click on the tab for a conference room, it comes to the front of the window and you can enter your messages into it. You can join existing conference rooms that are open and unrestricted. If a room has been configured for members only, you must be a room member before you can join (contact the room's owner or administrator, see the Managing Your Membership topic for more information). If a room is password protected, you must know the password in order to join. There are two paths to take when joining rooms: Specify a particular room to join Search for a room to join To join a conference room: tab so that it is active. 1. Select the Text Conferencing 2. From the main toolbar, click the Join a Room button or right-click Active Rooms and choose Join a Room menu. 3. Select the server where the text conferencing room is located from the Text Conference Server drop-down list. 4. Select the Specify a room to join radio button. 5. Click Next. The Room Information window appears. 6. Enter the name of the room you want to join in the Room text box. 7. Enter the name you want to use for yourself within the room in the Nickname text box. 8. Select the Automatically become a member checkbox if you want to become a member of the room and your Nickname becomes reserved. Some rooms are configured so that only members can enter them. 9. Select the Add to favorites checkbox to bookmark the room in your Favorites list on the Text Conferencing tab. 10. Select the Join on startup checkbox if you always want to enter the room when you start Jabber Messenger. Note that this option is associated with the Add to Favorites option. The Add to Favorites option must be checked to select this option. 11. Click Next. You will be notified if you do not have permission to enter the room, if there is a conflict with your nickname, if the room does not exist or if you are required to enter a password before entering the room. Answer any additional prompts as needed. 49

Click Finish to exit the status window. To search for a room and join it: tab 1. Select the Text Conferencing 2. From the main toolbar, click the Join a Room button or right-click Active Rooms and choose Join a Room menu. 3. Select the server where the text conferencing room is located from the Text Conferencing Server drop-down list. 4. Select the Find one or more rooms to join radio button. 5. Click Next. The Select Room window appears. It may take a moment for the list of rooms to appear within this window. 6. Select a room type from the Room Type drop-down list. When Permanent is selected, only permanent rooms show in the list. When Temporary is selected, only temporary rooms show in the list. Select All to view all available rooms. 7. Enter part of a room name in Room Name text box. For example, pro. Entering less information usually enables the search to return more results. You can leave this text box blank to get all room names. Wildcards are NOT supported. 8. Select one or more rooms to join in the Select Rooms list. You can use the Shift key to select more than one room or use the Ctrl key to append to the selection. 9. Click Next. The Join a Room wizard lists the selected rooms. 10. Enter the name you want to use for yourself within the room in the Nickname text box. 11. Select the Automatically become a member checkbox if you want to become a member of the room and your Nickname becomes reserved. Some rooms are configured so that only members can enter them. 12. Select the Add to favorites checkbox to bookmark the room in your Favorites list on the Text Conferencing tab. 13. Creating Conference Rooms From the Text Conferencing tab, you can create new temporary and permanent rooms. You can also specify options for the rooms you create, or simply use the system defaults set by the Jabber administrator. To create a conference room: 1. Select the Text Conferencing tab. 2. From the main toolbar, click New. 3. Select the text conferencing server where you want to create the room from the Text Conference Server drop-down list. 4. Enter a name for the new room in the Room text box. 5. Enter the name that you want to use for yourself in the room in the Your Nickname in the Room text box. 6. Enter the subject matter to be discussed in the room in the Room Subject text box. This text box is optional. 7. Select the Invite others to room when finished? checkbox if you want to send invitations to people after the room has been created. 8. Select the Add to Favorites checkbox if you want this room to be in your list of favorite rooms. 9. Select the Join on startup checkbox if you always want to enter the room when you start Jabber Messenger. Note that this option is associated with the Add to Favorites option. The Add to Favorites option must be checked to use this option. 10. If you want to use the default configuration for the room, click Finish, or click Next. Enter settings for the remaining configuration options as needed. Depending on how your Jabber administrator has configured the system, a number of different options can appear. Click Finish. To invite people to your conference room: 1. Select the room you want to invite people to under the Active Rooms list. 2. Chatting in Conference Rooms While you are participating in a conference room, everyone in the room sees the messages that you send. You can also send a private message to an occupant in the room, and you can change the subject of the room if you have the privileges to do so. Note: The ability to chat, send private messages, change your nickname and change the subject are options that may be set by the system administrator or room owner. If you are unable to perform any of these actions in a conference room, it is because you do not have the privileges to do so. Actions associated with chatting in a conference room include: Chatting publicly in the room Changing the subject Changing your nickname Sending a private message To chat publicly in a conference room: 1. Inviting Contacts to Conference Rooms You can invite contacts to join a conference room if the room has been configured to allow this and you have the privileges to do so. To invite contacts to a conference room: 1. Select a room within the Active Rooms list. 2. From the Actions menu, click Invite to room or right-click on the room and choose Invite to room on the shortcut menu. The Invite to Room window opens. 3. In the left pane of the window, select the contacts that you want to invite. To select all of the contacts in a group, click the group's name. 4. Type an invitation message if desired. 5. Click OK. The invitation is sent to the contacts you selected.

Adding a Room Occupant to contact list If you want, you can add a room occupant of a text conferencing room to your contact list. Adding occupants to your contact list enables you to have access to their presence information whenever they are logged on. To add a room occupant to your contact list: 1. Locate the room occupant in the right-pane of room. 2. Select the room occupant. 3. From the Actions menu, click Add to Contact List or right-click on the room occupant and choose Add to Contact List on the shortcut menu. The contact's Jabber ID and Display Name display in the Contact Details window. 4. Change the display name for the contact if desired. The contact will appear in your contact list under this name. 5. Favorite Rooms The Text Conferencing tab contains a Favorites heading that contains any rooms you have bookmarked. You may want to bookmark rooms that interest you or that you access frequently. If it is a room that you visit every time you open Jabber Messenger, you may prefer to add this room to Favorites and to join this room on startup. If you bookmark a temporary room, you need to remove the bookmark from your Favorites list when the temporary room goes away. You can add a room to your Favorites list when you first enter the room. Alternately, you can bookmark any room in the Active Rooms list. To bookmark a room: 1. Locate the room you want to add to the Favorites list in the Active Rooms list. 2. From the Actions menu, click Add to Favorites or right-click the room and choose Add to Favorites on the shortcut menu. To remove a bookmark room from Favorites: 1. Changing the room subject Text conferencing rooms usually contain a "Subject" that displays at the top of the room's tab. Whenever the subject is changed, the new subject displays within the room. The Room Owner determines who has the authority to change the subject. In some rooms, anyone can change it; in others, this feature is limited to specific occupants. You must be in a room in order to access this feature. To change the room subject: 1. Select a room in the Active Rooms list. 2. From the Actions menu, click Change Subject or right-click the room and choose Change Subject on the shortcut menu. You can also click the Subject: link that appears at the top of the room' s tab. If you do not have permission to change the subject, the menus commands are unavailable and you cannot access the Subject: link. 3. Enter the new subject in the dialog box. 4. Click OK.

Working with Transcripts The messages that are sent back and forth during a conferencing session are displayed in the chat pane of the Text Conferencing window. These messages form the transcript of the conference session. While you are present in a text conferencing room, you can email, print, or save the transcript of the current session. Actions associated with transcripts include: • • •

Saving a transcript Sending a transcript via email Printing a transcript

Note: Transcripts that are sent via email should not be considered legal transcripts of conversations. If you require copies of a chat conversation for legal purposes, please contact your Jabber administrator for information about message archiving. To save a transcript: 1. Select the room tab of the desired room to bring it to the top of the centerpane. 2. Click within the message part of the room. 3. From the File menu, click Save As or right-click and choose Save As on the shortcut menu. 4. Select the location where you want to save the transcript. 5. Type a File name for the transcript. 6. Click Save. The transcript is saved as an HTML file. To send the transcript via email: 1. Select the Chat tab of the desired room to bring it to the top of the window. 2. Click within the message part of the room. 3. From the Actions menu, click Email Transcript or right-click and choose Email Transcript on the shortcut menu. The Email Transcript Composer dialog box appears. 4. Enter the email address or addresses in the To text box. 5. Enter a Subject that will appear in the subject line of the email. This is optional. 6. Enter a Message if desired. It will appear in the body of the email above the chat transcript. 7. Click the Send button. To print a transcript: 1. Filtering conference rooms You can create filters that alert you when certain events happen in conference rooms. The custom Enabled Filters that you create are displayed as tabs on the center-pane of the Text Conferencing window along with your rooms. When a filter is triggered, an icon appears on its tab to indicate that an event occurred. Click the filter's tab to display information about the event in the active pane. In addition, when you filter a room, you have no role within the room and do not appear on the members list in the right-pane. Actions associated with filters include: Creating filters Modifying filters Disabling filters Enabling filters Removing filters To create a filter: 1. On the toolbar, click the arrow next to New and choose Room Filter. The Room Filter wizard appears. You can also: Select Enabled Filters in the Text Conferencing

From the Actions menu, click New Room Filter or right-click and choose New Room Filter on the shortcut menu. The Room Filter wizard appears. 2. Enter a name for the filter in the Filter Name text box. 3. Enter the name of the room to filter in the Room text box and click Add. If you need assistance finding the room's name, click Find. Select a server from the Text Conference Server list. Click Next. Select the room type from the Room Type list. Enter part of a room name in Room Name text box. For example, entering pro would select rooms like "home improvement and "projects." Entering less information usually enables the search to return more results. You can leave this text box blank to get all room names. Wildcards are NOT supported. 61

Jabber Messenger Online Help Click Next. Select one or more rooms to filter on. Click Finish. 4. When you have added all the rooms you want to filter, click Next. 5. In the Keyword tab, type a word in the Keyword text box, and click Add. The filter will alert you when the words are entered in the room(s). You can add multiple words to a filter. 6. In the Nickname tab, type a nickname in the Nickname text box, such as jsmith and click Add. Note: Nicknames used by room occupants are independent of the occupant's Jabber ID and the Jabber ID ([email protected]) cannot be used for a nickname. The filter will alert you when the room occupant with the specified nickname sends a message in the specified room(s). You can add multiple nicknames to a filter. If you add both keywords and nicknames to your room filter, the room filter will alert you only when the specified word is entered by the specified contact. 7. Click Finish. The room filter is added to the Enabled Filters list in the Text Conferencing tab. To modify a filter: 1. Select the room filter you want to modify in the Enable Filter or Disable Filter list. 2. From the Actions menu, click Modify or right-click the filter and choose Modify on the shortcut menu. The Room Filter wizard appears. 3. To add new rooms, nicknames, and keywords to the filter, follow the instructions starting with step 4 above. 4. To remove rooms, nicknames, and keywords, select the item in the list on the corresponding tab, and click Remove. 5. When you have finished editing the room filter, click Finish to exit the Room Filter wizard. To disable a filter: 1. Select the room filter you want to disable in the Enable Filter list. 2. From the Actions menu, click Disable or right-click the room filter and choose Disable on the shortcut menu. The room filter is moved to the Disabled Filters list, and is no longer active. To enable a filter: 1. Select the room filter you want to enable in the Enable Filter list.

Room administration Overview The Room Administration topics describe the actions that you can perform if you are the owner, administrator, or moderator of a text conference room. Only room owners can modify room configuration options and delete permanent conference rooms. Room administrators and moderators can perform a subset of the owner actions related to managing the occupants of a room. Managing room members As the owner or administrator of a room, you can use the Manage Members window to set who is a member of the room and what privileges each member enjoys within the room. The level of privileges granted to each room member is determined by their "affiliation". The following affiliations are available: Banned This person is banned from entering the room. None This person has no membership in the room, but can enter and view the room as desired. If the room is configured for "members-only", then people with their affiliation set to "none" cannot enter the room. Member Members are registered members of a room. They can enter and exit the room, and chat within it. Administrator In addition to all Member privileges, Administrators enjoy additional abilities to edit the member- and moderator-lists, to remove occupants from a room, and to ban occupants from a room. They may change the affiliation of other occupants as desired, with the exception that they cannot grant people the "owner" affiliation. Owner Owners have complete authority within the room to change others' affiliations, remove and ban room members. To modify permissions:

Modifying room options If you are an owner of a room, you can modify the options that were specified when the room was created. Note: Room users are not notified of a password change through the room interface. If you change the room's password, you must notify the users through other means. To modify a room's options: tab. 1. Select a room in the Active Rooms list in the Text Conferencing 2. Right-click the room name and choose Configure. 3. Modify the options as desired in the Room Configuration window. The available options depend entirely on how the Jabber administrator has configured your server. 4. Click OK.

Moderating room occupant As a room owner, administrator, or moderator, you can moderate room occupants by granting and revoking certain privileges, and by kicking or banning occupants from the room. The actions you can perform depend on your association with the room. Room moderation actions include: Removing an occupant - Removes the occupant from the room. Banning an occupant - Removes the occupant from the room, and prevents them from joining the room again. Granting and revoking voice - Grants or revokes an occupant's ability to communicate in the room. Voice, in this context, refers to the ability to chat online in conference rooms. Only occupants with voice can chat in the room. Granting and revoking moderator privileges - Grants or revokes an occupant's status as a room moderator. Moderators can grant and revoke voice (except from room owners and administrators), and can remove other occupants from the room. However, moderators cannot grant and revoke moderator privileges. To moderate a room occupant: 1. Select an affected occupant's ID in the right-pane of the conference room. 2. Right-click and choose an option on the shortcut menu. Only the options you are allowed to perform are available.

Deleting permanent rooms A rooms' owner can delete a permanent conference room. When the room is deleted, all occupants in it are removed, and the room is deleted (no longer exists on the server). To delete a permanent conference room: tab, select a room in the Active Rooms or 1. On the Text Conferencing Membership list. 2. Right-click the room name and select Delete. 3. Enter an explanation for the room's deletion in the available text box. 4. Click OK to confirm that you want the room removed. Users who have been removed from the room are notified that the room has been deleted and are removed from the room immediately.

Dynamic content Using Dynamic Content The Dynamic Content tab contains HTML-based content, such as the company's Intranet and search engines. Your Jabber Administrator sets up the dynamic content that displays. To show content on startup: The Show on Startup option is available if your Jabber Administrator has configured this option. If you select the Show on Startup option, the Dynamic Content opens after you log in. 1. Select the Dynamic Content tab. 2. Select the content you want to display on startup. 3. You must already have an account established with the service and know your user name and password before you can proceed with the registration. Warning: After registering with the IM service, all of its communication must pass through Jabber Messenger. Customizing your client What are Options (Preferences)? Jabber Messenger offers a number of options for customizing your software. Setting your preferences can save you a great deal of time when using Jabber Messenger. Your preferences are saved so that your client looks the same each time you log in. Session Preferences The Session preferences allow you to configure settings for how your client connects to the server. To configure the Session preferences: 1. From the Tools menu, click Options. 2. Select the Session tab. 3. Select the Automatically reconnect if session ends unexpectedly checkbox if desired. When enabled, Jabber Messenger attempts to reconnect to the server if you are disconnected. If you select to log off or close the client, you are not logged back in automatically; this feature is only activated by unexpected disconnects. 4. Click OK to save your changes and to close this window.

Text Conferencing Preferences The text conferencing preferences enable you to control what default options are selected when you enter text conferencing rooms. To set the Text Conferencing preferences: 1. From the Tools menu, click Options. 2. Select the Text Conferencing tab. 3. To automatically become a member when joining rooms as a member that you enter, select the When entering rooms, become a member by default checkbox. When selected, you can still choose not to join a room on a case-by-case basis as you enter rooms. 4. To automatically add rooms to your Favorites list when joining rooms, select the When entering rooms, add to favorites by default checkbox. When selected, you can still choose not to add a room to your Favorites list on a case-by-case basis as you enter rooms. 5. To view the Jabber ID of users in rooms that are not anonymous, select the Show Jabber IDs in non-anonymous rooms checkbox. Each user's Jabber ID appears in parenthesis next to their nickname when this option is enabled. 6. To view a message each time someone enters or exits a room, select the Show entry, exit and presence change messages in rooms checkbox. A message will display within the room stating "x has entered the room" or "x has left the room". 7. To change the font and color used for the room history date separators, click the Select button. When you scroll through a room that has been open for more than one day, the different days are divided by a date indicator including users joining or exiting and changes to users status in the room. The default setting is Extra Small, Tahoma, Bold, Underline, Red. 8. To change the font and color used for room occupant presence messages, click the Select button. Each time an occupant's presence changes, you will see a message in this font and color. The default setting is Extra Small, Tahoma, Bold, Green. 9. To change the font and color used for room system messages, click the Select button. System messages are notifications of a server event that are sent by the server including affiliation changes to users status within the room. The default setting is Extra Small, Tahoma, Bold, Red. 10. To change the font and color for room subject changes, click the Select button. Each time a subject changes, you will see a message in this font and color. The default setting is Extra Small, Tahoma, Bold, Red. 11. Click OK to save your changes and to close this window.

Application Preferences The Application preferences enable you to configure miscellaneous preferences that impact the entire application. To configure the Application preferences: 1. From the Tools menu, click Options. 2. Select the Application tab. 3. To add Jabber Messenger to your start-up sequence, select the Launch application when computer starts checkbox. Each time you turn on your computer, Jabber Messenger will also be turned on. 4. To have Jabber Messenger minimized to your system tray when it starts, select the Start application minimized to system tray checkbox. 5. Message History Preferences You may keep a history of your chat sessions so that you can review them at a later date. Message history is recorded by date. When enabled, all chat messages sent to and received from a specific contact are recorded in the history for that date. To view messages from a previous day, click the date in the History pane and scroll through the messages that appear in the chat pane. To set message history preferences: 1. From the Tools menu, click Options. The Options window appears. 2. Select the Message History tab. 3. Select the Save Messages checkbox to have Jabber Messenger save all chat messages sent and received. 4. Enter the location of where the message history is to be saved in the button Location to store message history text box. Click the Ellipsis to find a location. 5. Select the Encrypt saved messages checkbox to encrypt your message history within the file. When disabled, your messages are recorded in plain text. Encryption prevents applications other than Jabber Messenger from being able to display your messages or contacts. 6. Enter the maximum file size for your history file in the Maximum disk space in MB for message history text box. When the maximum file size is reached, you will be notified to increase the size of the message history file and future messages will not be saved. 7. Presence Preferences The Presence Preferences window allows you to configure what text status messages display to indicate your current presence. There are three possible categories that you can use for your presence: Available Indicates that you are currently online and at your computer. Away Indicates that you are online, but are not at your computer. Do Not Disturb Indicates that you are online and at your computer, but that you do not currently want to chat with anyone. Within these presence categories, you can set a number of status messages to provide more detailed information about your current situation. For example, even though your presence may be Available, you might want to specify "Available to Chat" or "On the Phone". Note that you cannot edit an existing text status message. However, you can remove it and add a new text status message. To set your presence preferences: 1. From the Tools menu, click Options. 2. Select the Presence tab. 3. Click the Add button for the category (Available, Away, and DND) you want to add a new status. 4. Enter your new status message in the text box and click OK. 5. To remove a status message, select it and click Remove. 6. Click OK to save your changes and to close this window. Your new status messages are available the next time you click the Status button on the main window of Jabber Messenger.

Auto-Away Preferences The Auto-Away preferences configure when Jabber Messenger should automatically change your presence to "away" or "extended away". You may also configure what message should display to people who are subscribed to your presence information. Auto-Away Indicates that your system has been idle for a while, and that your presence information was automatically changed by Jabber Messenger. Auto-Extended Away (XA) Indicates that your system has been idle for a longer time, and that your presence was automatically changed by Jabber Messenger. To configure the Auto-Away preferences: 1. From the Tools menu, click Options. 2. Select the Auto-Away tab. 3. To allow Jabber Messenger to automatically change your presence when your computer is idle for a while, select the Enable Auto-away checkbox. Enter the number of minutes that your computer should be idle before Jabber Messenger automatically changes your presence. Jabber Messenger changes your status message after the number of minutes specified has passed without any activity on your computer. Enter the status message that Jabber Messenger should use when changing your presence to Auto-Away. 4. To allow Jabber Messenger to automatically change your presence when your computer is idle for an extended amount of time, select the Enable AutoExtend Away checkbox. Enter the number of minutes that you computer should be idle before Jabber Messenger automatically changes your presence to extendedaway. Jabber Messenger changes your status message after the number of minutes specified has passed without any activity on your computer. Enter the status message that Jabber Messenger should use when changing your presence to Auto-Extended Away. 5. Click OK to save your changes and to close this window.

Contacts Preferences Your subscribed contacts appear in your Contacts tab in the left-pane of the Jabber Messenger client. The Contacts Preferences window contains options for changing how your contacts display in the contact list. You may also change these preferences on-the-fly through the View menu. To set the contact list preferences: 1. From the Tools menu, click Options. The Preferences window appears. tab. 2. Select the Contacts 3. Enter the name of the group where you want unfiled contacts to appear. Unfiled contacts are contacts that you have not specifically placed in a group. The default is Unfiled Contacts. 4. To see offline contacts in your contact list, select the Show offline contacts checkbox. When selected, contacts that are offline appear in your contact list. 5. To view observers in your contact list, select the Show observers checkbox. Observers are contacts who are subscribed to your presence, but you are not subscribed to view their presence. See What is a subscription? for more information on observers. 6. To see contacts' text status, select the Show text status for contacts checkbox. When selected, a text description of each contact's status appears in parenthesis next to the contact's name. 7. To view new contacts' profile information, select the Identify users from profile information checkbox. When selected, new contacts always are identified by their official profile information stored on the server. 8. Click OK to save your changes and to close this window.

Subscription Preferences The Subscription tab enables you to control how Jabber Messenger handles subscription requests by default. Refer to the What is a subscription? topic for more information about subscriptions. To set subscription preferences: 1. From the Tools menu, click Options. The Preferences window appears. 2. Select the Subscriptions tab. 3. For the When someone requests to put me on their contact list box, select one of the following options from the drop-down list. Ask me on all requests Jabber Messenger will prompt you each time someone attempts to subscribe to your presence. You may accept or deny their requests on a case-by-case basis. Deny all requests Jabber Messenger will automatically deny subscription requests. No one can subscribe to your presence or add you to their contact list. Accept requests from users already in my contact list, ask on all other requests Jabber Messenger will automatically accept requests from people who are already in your contact list. Otherwise, it will prompt you to accept or deny requests. Accept all requests Jabber Messenger will automatically accept requests from anyone who wants to subscribe to your presence and adds them to your contact list. 4. If you select the Automatically Subscribe when Accepting checkbox, Jabber Messenger will send a subscription request to anyone you allow to subscribe to you. Select a group from the drop-down list. Jabber Messenger will place all new contacts within the selected group if they are automatically added to your contact list. If you do not see a group in the list, create it using the New Group button and return to this Subscription preference to select it. 5. Click OK to save your changes and close this window.

Notification Preferences The Notification Preferences window enables you to configure when you want to be notified by Jabber Messenger of activity, and what form you want the notice to take. Notifications can take any or all of the following forms depending on your configuration: Display Toast A small window pops up in the right hand corner to notify you of the event. The window retracts after a set amount of time specified. Play a Sound A sound is played. Flash the Taskbar Jabber Messenger flashes in the Windows taskbar. Bring Window To Front Jabber Messenger pops to the front of your screen when the notification is received. To configure notifications: 1. From the Tools menu, click Options. 2. Select the Notifications tab. 3. For each possible activity in Jabber Messenger select how you want to be notified of the event. Jabber Messenger can notify you of the following events: When a contact goes online (that is, when a contact logs in). When you receive a chat message When there is activity in one of your text conferencing rooms When there is activity that relates to one of your room filters. When you receive a Broadcast message. 4. Click OK to save your changes and to close this window.

Toast Preferences Jabber Messenger can alert you to important events by using sounds, toast messages, or pop-up messages. For example, it may pop up a toast message each time you receive a chat message. On the Toast window, you can indicate the duration for which the toast should remain on your screen. To set the preference for whether or not you want toast messages to appear, please refer to the Notifications preferences. To set Toast preferences: 1. From the Tools menu, click Options. 2. Select the Toast tab. 3. In the Seconds to show toast messages text box, enter a number of seconds. Jabber Messenger uses this value to ensure that the toast messages do not linger for an excessive amount of time on your screen. 4. If you always want to view toast notifications, select the Always display toast, whether the application is in the background or foreground checkbox. Some users prefer not to see toast notifications when they are in Jabber Messenger. 5. Click OK to save your changes and to close this window.

Sounds Preferences Jabber Messenger can alert you to events by using sounds, toast messages, or popup messages. For example, it may play a tone each time you receive a chat message. On the Sounds tab, you can replace the default sounds with your own sounds that you want to associate with specific events. To set the preference for whether or not you want the sound to be played, please refer to the Notifications preferences. To set Sounds preferences: 1. From the Tools menu, click Options. 2. Select the Sounds tab. 3. In the Seconds to wait between playing sounds text box, enter a number of seconds. Jabber Messenger uses this field to ensure that you are not overwhelmed with noise. If two events occur within the number of seconds specified here, only one tone will sound. 4. The next several fields display the current sound file associated with different and browse for events. To change the sound, click the ellipsis button other sound files (.wav) on your hard drive. You may associate sounds with the following events: Broadcast message received: This sound plays each time you receive a broadcast message. Chat received: This sound plays each time you receive a regular chat message. New activity for a room filter: This sound plays each time there is activity in a text conferencing rooms that matches a room filter you created. A room has activity: This sound plays each time there is activity in one of your text conferencing rooms. Contact goes online: This sound plays each time a person in your tab comes online. Contact 5. Click OK to save your changes and to close this window. Note: If default sounds are changed, you can restore the default sounds but only manually. Chat Preferences The Chat preferences configure how you send and receive chat messages. Specifically, you can indicate how much extra information (for example, timestamps) you want to receive with each message. Additionally, you can modify the appearance of the chat window. To set chat preferences: 1. From the Tools menu, click Options. 2. To view the right-pane of the navigator, select the Show message history navigator by default checkbox. When enabled, the history browser appears on the far right of the navigator each time you open a chat window. This option only controls the display of the history pane. See Message History preferences for other options. Note: You can quickly turn the chat history pane on and off: From the View menu, click Message History. 3. To have timestamps display in the chat window, select the Show timestamps in chat checkbox. When disabled, the timestamp associated with each message does not appear in the chat window. It is, however, still recorded in message history and will appear if you decide to select this checkbox later. 4. To see an icon at the top of the chat tab when your contact is replying to your message, select the Display 'is replying' events checkbox. 5. Click OK to save your changes and to close this window.

Email Preferences The Email preferences allow you to have offline messages redirected to an email account. Offline messages are chat messages that are sent to you while you are not online. Preference Troubleshooting A few Jabber Messenger users may find that some of their preferences are not saved between their sessions. That is, when they log off and log back in, their preferences have reverted to the default settings. This occurs for one of two reasons: Your system administrator has "locked" your computer such that you cannot write data to the hard drive. Some administrators do this to prevent users from accidentally installing viruses or unlicensed applications. Jabber Messenger cannot save the local preferences when the computer is configured in this way. You are using Jabber Messenger over a network. If your copy of Jabber Messenger is installed on a server somewhere instead of on your local computer, Jabber Messenger cannot save your local preferences on your local system. In either case, it is only local preferences that are impacted. The majority of your preferences are saved on the Jabber server rather than your local system and are not affected. Local preferences include: Window position The location on your computer screen where you positioned Jabber Messenger. Window size The size of the window containing Jabber Messenger, and the size of each part of the window. Connection settings Your user name, password, port setting, host setting, and others. The autologin feature is also included.
