EASL GOVERNING BOARD EASL is an association driven by Governing Board members dedicated to the pursuit of excellence in liver research, in the clinical practice of liver disorders, and in providing education to all those interested in Hepatology. The EASL Governing Board is composed of 12 experts (the Secretary General, Vice-Secretary, Treasurer, Executive Director, 5 Scientific Committee members, the EU Policy Councillor, and 2 Educational
Councillors). The Governing Board’s role is to progressively take EASL and liver disease research into the future. HISTORY OF EASL The European Association for the Study of the Liver (EASL) was founded in Marburg, Germany on 23-25 April 1966. More than 70 participants from 15 European countries attended the first Congress of European specialists in liver disease organized by Prof. Gustav-Adolf Martini. The name of the new society, EASL, was inspired from the already existing International Association for the Study of the Liver (IASL). It was agreed that the new society should be a loose association of physicians and scientists with an interest in liver research and should have neither fixed membership nor a board of directors. It was agreed that the Congress should be held annually with the venue rotating through different European countries. The rapidly increasing number of participants and abstracts submitted for presentation at the Congress developed the formerly «loose» association to a more official frame of organization with solicitors, scientific committee and set congress structure within a couple of years. The number of abstracts submitted for presentation at the first Congress in 1966 was 45. It increased in the year 2002, to over 500 presented abstracts with an acceptance rate from 40-50%. In 2012, 2300 regular abstracts were submitted together with 95 late-breakers and the acceptance rate has remained between 4050% to guarantee a high standard scientific program.
In 1985 Journal of Hepatology became the official journal of EASL. Under the first editorin-chief, Dame Sheila Sherlock and her successors, Prof. Jean-Pierre Benhamou, Prof. Gustav Paumgartner, Prof. Juan Rodés, Prof. Massimo Colombo, Prof. Didier Samuel and Prof. Rajiv Jalan together with associate editors and the editorial board, the journal has continued to develop as one of the leading journals in Hepatology with an ever increasing scientific impact factor. EASL has become an influential and major international organization not only within Europe, but indeed worldwide. The International Liver Congress™ currently attracts over 10,000 participants from all over the world; all European countries, the Americas, the Middle East, Japan and China. Over the past 50 years, the Congress has been held in over 20 different European countries. Today EASL is a large society with over 4,500 members. The Association remains dedicated to the pursuit of excellence in liver research and in the clinical practice of liver disorders and has given rise to a large number of international clinical trials and research collaborations in liver disease for the benefit of patients all over the world.
The submitted and accepted abstracts of The International Liver Congress™ have also been published in various journals such as Digestion, Liver, and Italian Journal of Gastroenterology.

BMI INDUSTRY BOARD The BMI Board, composed of The International Liver Congress™ Sponsors, meets two times a year. Once at The International Liver Congress™ for a meeting debrief, once in the spring before the following Congress at the forthcoming venue site visit. The ultimate aims of this collaboration are as follows: To organise and plan The International Liver Congress™ ensuring that the available budget from the commercial companies is used to provide the basis for the best scientific content to be organised in line with the EASL Constitution and the Code of Practice. To ensure that The International Liver Congress™ is of high scientific value, professionally organised and planned, thereby generating a reasonable financial surplus to support all the costs involved in the organisation of such a Congress. To provide the means for regular dialogue between the EASL and the commercial companies, and thereby to promote a clear understanding of mutual problems to avoid potential conflicts.
To jointly contribute towards creating and maintaining a positive and professional public image of The International Liver Congress™. To ensure that no major sponsors or other exhibitors at The International Liver Congress™ organise social or other events which does not conflict with the Congress Programme, Postgraduate Course, official activities or Satellite Symposia. Representatives of commercial companies in this context are also deemed to be responsible for the activities of their local affiliates.
** T he commercial companies reserve the right within the daily schedules of The International Liver Congress™ to hold company staff Meetings, symposium slide previews involving company staff and invited speakers only, and a clinical trial investigator Congress, provided that attendance is restricted to a limited number of investigators (up to 75 pax maximum). Should the latter involve a large number of investigators; the commercial companies agree that these be held outside the scheduled hours of The International Liver Congress™.

The Exhibition will be held in the RAI Amsterdam for The International Liver Congress™ 2017, close to all other activities such as lecture halls, posters and/or E-Posters, registration and meeting rooms. The floor plan will be designated to maximize exhibitors’ exposure to the delegates and all coffee and lunch breaks will be held in the exhibition area. Spaces related to major sponsorship packages will be allocated using the ballot system. All further spaces will be allocated based on the reservations received, on a first-come, first-served basis. However, EASL reserves the rights to allocate booths of under 27 sqm in the exhibition hall, depending on logistical constraints.

EXHIBITION GUIDELINES EXHIBITION ORGANISER The EASL Office is the main exhibition contact during The International Liver Congress™ 2017 in the RAI Amsterdam.
CONDITIONS OF PAYMENT Conditions of payment mentioned on the invoice / confirmation are valid. In any case, payment has to be made before opening of the exhibition; if not, the participation cannot be guaranteed and the rental fee remains due. All published prices are in Euro (€). EASL is registered in The Netherlands under VAT no. : (to be released at a later stage).
ASSIGNMENT OF SPACE / ELIGIBILITY FOR EXHIBITING Exhibit space will be assigned on a ‘first come – first served’ basis except for Platinum, Gold and Silver sponsors whose spaces are allocated by ballot. Orders for technical installations and exhibition services are only accepted when confirmed in writing. For the application to be accepted, only products and services in direct connection to the topic of the congress are allowed to be presented. The exhibition organiser reserves the right to make changes of exhibit space after consulting the exhibitor involved. The booths may be used only for exhibiting and advertising the exhibitors’ own products in accordance with the host country’s applicable laws and regulations.
CANCELLATION When an exhibit space confirmed in writing has to be cancelled, the rental fee still has to be paid before the opening of the exhibition. In case the exhibit space can be let again, a cancellation fee of 20% is to be paid. If only
parts of the cancelled space can be let again, a 20% cancellation fee for the part let again and full price for the rest is due. When a confirmed order of furniture or technical supplies has to be cancelled two weeks before the congress, a handling fee of 50% of the order value will be applied (min. EUR 20 per order). Any cancellations after this deadline and onsite will be charged in full price.
HOUSE RULES The rules of the RAI Amsterdam Venue, do apply and are binding to all exhibitors. Whoever does not follow these regulations will be excluded from the exhibition after a first warning. Copies of these regulations can be provided upon request. Material safety and fire certificates of all stand materials must be available for controls during build-up. Representatives of the Dutch public authorities as well as the RAI Amsterdam Venue technical staff must be allowed access to your stands at all times. Smoking is prohibited in the buildings of the RAI Amsterdam Venue.
DAMAGES / SAFETY / INSURANCE Exhibitors are entirely liable for damages to third parties’ stands, properties, health (be injury or death). To this extent EASL, its staff and providers as well as the Fira de Barcelona – Gran Via are to be considered third parties. Exhibitors’ liabilities are extended to their personnel and / or other people working under their control. Since neither EASL, and its staff nor the Fira de Barcelona – Gran Via are liable for any damages and/ or loss suffered by the exhibitors during the exhibition, including installation and dismantling – it is strongly recommended to arrange insurance accordingly.

EXHIBITOR CODE OF CONDUCT The following are basic rules that all sponsors/exhibitors commit to. Inspired by a number of sources, including EFPIA, these have been developed in the best interest of the Congress, the delegates and sponsors/ exhibitors. Abiding to these fundamental «fair play» rules will ultimately promote a more successful event for all participants. 1 Advertising Advertising is permitted only on the stand space (aisles excluded). Displays of printed matter or advertising outside this area but on the premises of the Congress are not allowed. No flyers, posters, handouts, etc. can be left on tables, in conference hotels, on buses, etc. unless it is explicitly agreed by the relevant operators. However, there are a number of sponsoring activities that offer selected opportunities to promote a brand or service beyond the exhibition hall. In addition, sponsors/exhibitors must comply with all applicable national and international rules and regulations related to advertising and promotion of all products and services as part of their stand. EASL bears no responsibility for non-compliance by the Sponsor/Exhibitor. 2 Audio Activity on Stand Sponsors/exhibitors using audio devices must ensure that sound does not carry beyond their assigned space. EASL reserves the right to determine what constitutes an acceptable sound level and may request the Sponsor/ Exhibitor to take action to bring it to that level. 3 Compliance While EASL will provide as much guidance as possible, it is the Exhibitor’s responsibility to comply with the local authority’s regulations,

as well as others such as EFPIA (European Federation of Pharmaceuticals Industries & Associations) www.efpia.org and IFMPA (International Federation of Pharmaceutical Manufacturers & Associations) www.ifpma. org Code of Practice on the Promotion of Medicines. Please also refer to the event website to access the applicable Dutch compliance rules and regulations. 4 Disposal of Waste It is the responsibility of the Sponsor/Exhibitor to ensure that all waste material from stand construction (including boxes for packaging) are completely removed from the exhibition area prior to the opening of the exhibition and at the end of the Congress. Waste cleared by EASL will be charged to the Sponsor/ Exhibitor. 5 Gifts and Handouts Items may be given out to delegates only within the limits of the assigned stand space only. The exhibitor must ensure that these are compliant before being submitted to EASL for final approval. 6 Lotteries, Games and Prizes While lotteries and other luck-based activities are not permitted, knowledge or skill-based games may however be organised with prior written approval from EASL, both for the nature of the activity and the planned reward(s). At any rate, these must be low-key activities limited to the stand area. 7 Overflow of Activity All stand activity must be held on the stand. Any activity taking place outside of the allocated stand space will be reported and shall be made to cease immediately.

EASL reserves the right to take any action on site necessary to correct any activity or behavior that is felt inappropriate or that creates prejudice to EASL, delegates or other exhibitors, including but not limited to the cancellation of the Agreement without refund.
9 Surveys Surveys/market research conducted by sponsors/exhibitors must be confined to the assigned stand space.
GENERAL TERMS & CONDITIONS APPLICATION TO PARTICIPATE Application to participate will be considered only if submitted on the appropriate forms, duly completed, signed and accompanied by the necessary payment. Applicants will be informed in writing of the acceptance or refusal of their application. In case of refusal, all payments shall be fully refunded.
OBLIGATIONS AND RIGHTS THE EXHIBITOR/SPONSOR
OF
Registration implies full acceptance by the Terms and Conditions. Any infringement of these regulations may lead to immediate withdrawal of the right to participate in the ILC without compensation or refund of sums already paid, and without prejudice to the Exhibitor/Sponsor. By submitting an application to participate, the Exhibitor makes a final and irrevocable commitment to occupy the space allocated and to maintain his/her installation until the date and time fixed for closure of the exhibition. The Exhibitor may only present on his/her stand or space the materials, products or services described in the application to participate. No advertising on behalf of firms not exhibiting is permitted in any form whatsoever. Transfer or subletting of all or part of the allocated spaces is prohibited.
OBLIGATION AND RIGHTS OF ORGANISER The Organiser undertakes to allocate exhibition space as far as possible on the basis of the preference expressed by applicants. Application will be considered in order of receipt of application forms accompanied by payment. The Organiser reserves the right, in case of absolute necessity, to modify the positioning of stands, with no obligation to provide compensation to Exhibitors. The Organiser reserves the right to offer to a different firm any stand or space that has not been occupied by the eve of the opening of the exhibition, with no obligation to provide compensation to the defaulting Exhibitor.
CHILDREN/GUESTS No children or guests are allowed at the Congress Center.
LIABILITY INSURANCE The Organiser provides general guard service and third party insurance at the exhibition site. Equipment and all related display materials installed by Exhibitors are not insured by the Organiser, and they will under no circumstances be liable for any loss, damage or destruction caused to equipment, goods or property belonging to Exhibitors. The Exhibitor agrees to be responsible for his

property and person and for the property and persons of his employees and agents through full and comprehensive insurance, and shall hold harmless the Organiser for any and all damage claims arising from theft and those perils usually covered by a fire and extendedcoverage policy.
SMOKING
PHOTOGRAPHY AND OTHER IMAGE CAPTURING
COMPANY EVENTS
Filming and photography is regulated as follows: Photographs, as well as audio and video recordings, are not permitted at the ILC official meeting sessions. This regulation does not apply to industry sponsored satellite symposia or stands in the exhibition area (exhibitors may only take pictures of their own stands for documentation purposes). Photography and filming will be allowed during official EASL press events for journalists only. Furthermore, exhibitors/sponsors are allowed to film their exhibition booth only (no aerial shorts of the exhibition hall as an example), symposia, and media education activity. All filming must be done during the congress opening times. It is not permitted to film the following: Within or around the congress area outside an events/booth Photos and videos must not include the EASL logo in any format Press events, scientific presentations or workshops

The International Liver Congress™ is a nonsmoking event and smoking is prohibited throughout the venue, including the exhibition hall. SMOKING IS ALSO PROHIBITED DURING SET-UP AND DISMANTLING.
Company events and other activities must comply with the Code of Practice and are in any case are not permitted during the Congress “blackout times”.
FORCE MAJEURE If the event is abandoned, cancelled or suspended in whole or in part by reason of war, fire, national emergency, labour dispute, strike, lock-out, civil disturbance, inevitable accident, the non-availability of the event premises or any other cause not within the control of the Organisers, the Organisers may at their entire discretion repay the delegate fee or Service Charge paid by the Delegate or Exhibitor, or part thereof, but shall be under no obligation to repay the whole or part of such Delegate fee or Service Charge, and shall be under no liability to the Delegate or Exhibitor in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the Delegate or Exhibitor, as the result of the happening of any such event.
AMENDMENT TO RULES Any matters not specifically covered by the preceding rules shall be subject solely to the decision of the organiser. These rules may be amended at any time by the organiser and all

amendments so made shall be equally binding on exhibitors with the foregoing rules and regulations. Place of Legal Performance and Venue. Should the parties involved disagree on any point, they are subject to the official courts of Geneva, Switzerland, thus Swiss law will be applied.
EXCLUSION OF LIABILITY EASL does not undertake to safeguard exhibits and excludes, for its staff as well, all liability for damage to these, for theft of these, or loss, except in cases of intention or gross negligence. This exclusion from liability also applies if exhibits are seized and stored by EASL due to infringement of the present conditions of participation. Furthermore, EASL explicitly excludes all liability for any disadvantage or damage incurred to sponsor/ exhibitor due to erroneous details on space
allocation, stand construction, catalogue entries or other errors in ancillary services. Property of the Sponsor/Exhibitor and of third parties shall remain on the premises at their own risk and peril. EASL will not be responsible for the insurance of such items. EASL shall not be liable for any injury or damage howsoever caused to goods and/or persons in the building and/or the adjacent sites.
GOVERNING LAW & JURISDICTION This Agreement, including the jurisdiction clause, shall be governed by, interpreted and construed in accordance with the substantive laws of Switzerland. Exclusive juridiction for all disputes arising out of or in connection with this agreement related to the ILC shall be with the ordinary courts of Geneva, Switzerland.

Once a Sponsorship / Exhibition Booking request is received a confirmation will be mailed to you with an accompanying invoice. The contract has to be signed within 7 days after reception.

PLATINUM, GOLD & SILVER SPONSORS BALLOT A ballot system is used to allocate Satellite Symposia (time slots), other sponsorship items and hotel blocks. The ballot takes place during the BMI (Business Meeting with Industry) the year preceding The International Liver Congress™ with representatives of all Sponsors present. A designated member of the EASL Governing board chairs the ballot.
SATELLITE SYMPOSIA GUIDELINES Please refer to the EASL Code of Practice for full regulations between EASL and commercial companies, on page 37 of this document.
CONTRACTS & CONFIRMATION Once a Sponsorship Booking Form is received, a contract will be sent to you for signature with an accompanying invoice. This contract should be signed and returned with a 60% deposit payment. Upon receipt of the Sponsorship Booking Form the organiser will reserve the items listed on it. Completion of the Booking Form by the Sponsor shall be considered as a commitment to purchase the items indicated.
GUIDELINES a. Organisation Satellite symposia are organised and entirely supported by the Industry. They are part of the regular Scientific Programme of EASL. Their nature, including the selection of topics, must be educational and not promotional.
b. Symposium title and description No commercial names may appear in the titles of the symposia or in the topics of the individual presentations. In symposia titles, only class names are allowed. Non-proprietary names of individual compounds are permitted in titles of individual presentations. Likewise, diagnostic material or procedures may not be called by their commercial names. c. Symposium speakers General The sponsoring company for the Satellite Symposia may select speakers and topics. Slides must be prepared by the speakers and not by the sponsoring companies. No company logos and brand names are allowed as part of the design. ‘Manicured’ presentations bearing the same design for all speakers are not welcome. Rehearsals are only allowed to coordinate the presentations but not to exert influence on the speakers towards biased presentations. EASL Governing Board From the EASL policy, no EASL Governing Board members is allowed to participate in any sponsored public activities during The International Liver Congress™. Sponsoring company speakers A maximum of one speaker belonging to the sponsoring company is allowed.

Speaker’s involvement in multiple programmes Any speaker may not be involved in more than two industry symposia. Each company will be notified should one of their selected speakers be already booked in two other programmes. Invitations to the speakers may only be sent out, upon approval of the Industry Symposia programme by the EASL Governing Board. Speaker expenses EASL shall not contribute to any expenses of industry faculty, even if they are also contributing to the EASL Scientific Programme. d. Catering Organising companies are allowed to host an F&B reception for participants for a maximum of 30 minutes prior to the start of the symposium. e. Printed materials and signage The sponsor is allowed to produce printed matter (posters, programme, abstracts or proceedings). This material must be submitted for approval to the organizer at the latest 4 weeks before the start of The International Liver Congress™ 2017 and must mention: integrated symposium of The International Liver Congress™ 2017, 52nd Annual Meeting of the European Association for the Study of the Liver. The sponsor is responsible for getting the speakers’ authorisation. Post-congress publications (in print or electronic) are subject to the same rule. Printed matters can be mailed in advance and/or distributed at the sponsor’s exhibition booth, at the entrance of the lecture hall 30 minutes before the symposium, and in the sponsor’s assigned hotel. A sign with the title of the symposium and the logo of the sponsoring company at the lectern is allowed. Beyond that no posters, signs or distribution of material is allowed in and around the congress center.

f. Programme content and approval The sponsoring organisation must submit a full symposium proposal to the EASL Office before November 28, 2016. While signing the contract, the exact title and the complete programme of the symposium must be determined. The final decision on the programme schedule however resides with the EASL Governing Board who is responsible for a balanced programme of all symposia. Topics, speakers and chairs of integrated symposia must be approved the Governing Board by Mid-December 2016 at the latest. In the case where the Governing Board disapproves with the Satellite Symposia programme, each party will be entitled to cancel the Satellite Symposia booking without paying any penalty for the cancellation or for any damages caused by the cancellation to the other party. Accordingly, upon such cancellation, neither of the parties will have any claims, demands or lawsuits towards the other. Approved speakers and the industry chairperson are to be invited by the organising company, which should also cover the registration fee, hotel accommodation and travel expenses in addition to the symposium fee. This applies also if the speakers/ chairperson are invited delegates of the official congress programme. As per the Code of Practice, each company must ensure that industry symposium speakers make a maximum of two appearances in industry symposia during The International Liver Congress™. Presence by video or other electronic means also counts as an appearance. Note that invitations to the speakers of the industry symposia should only be sent once the programmes have been approved by the EASL Governing Board.

At all times, companies participating in The International Liver Congress™ 2017 as Sponsors or Exhibitors must do everything in their power to avoid their actions being contrary to the EASL constitution, exhibition and sponsorship guidelines as well as this Code of Practice.
PURPOSE OF DOCUMENT 1. To serve as a means of regulating and defining participation, contribution, privileges and obligations of commercial companies at The International Liver Congress™. 2. To define a Code of Practice which reflects the mutual understanding and commitment of commercial companies and EASL to support and organise an International Liver Congress™ of high scientific value. 3. OBLIGATIONS OF EASL 1. To organise and plan the EASL The International Liver Congress™ ensuring that the available budget from the commercial companies is used by EASL to provide the basis for the best scientific content which will be organized in line with the EASL Constitution and Guidelines document. 2. To ensure that The International Liver Congress™ is of high scientific value, professionally organised and planned in order to generate a reasonable financial surplus to support all the costs involved in the organisation of such meetings and to fund research grants, fellowships, travel bursaries and educational and scientific activities in line with the principles of the EASL Constitution and Charity Status.

3. To create and maintain a positive and professional public image of The International Liver Congress™ worldwide and expand the awareness of the event internationally and to new audiences. 4. To observe the highest principles of responsibility that protect against unethical behaviour. 5. To develop a schedule for The International Liver Congress™ to maximize attendee participation. 6. To invest in new technologies, tools, formats, etc… to provide dynamic delivery of educational content. 7. To offer opportunities to commercial companies to exhibit, hold industry symposia and provide access to maximum visibility during The ILC™ (in compliance with the European and National regulations) 8. To ensure that no sponsors or other exhibitors at The International Liver Congress™ organise other events which conflict with the official EASL Scientific Programme, Post-Graduate Course, President’s dinner or satellite symposia. Representatives of commercial companies, in this context, are also deemed to be responsible for the activities of their local affiliates. (Please refer to the black-out times). 9. To determine and enforce respect of blackout times for the overall benefit of all involved parties. 10. To ensure the content of the framework of activities provided during The International Liver Congress™ are compliant with national and European regulations. 11. To control and regulate the practices of any outsourced to ensure transparent

and appropriate use of funds as laid down in the EASL Constitution. 12. To provide the means for regular dialogue between EASL and the commercial companies, thereby promoting a clear understanding of mutual problems and enabling conflicts to be avoided. 13. To provide sponsors and exhibitors with the relevant EASL liaison officers and organisational contacts for the various elements of The International Liver Congress™ as well as advise of any change in manpower in good and reasonable time.
OBLIGATIONS OF COMMERCIAL COMPANIES (SPONSORS AND EXHIBITORS) 1. To ensure that the company, its national or other branches, its agencies and any appointed suppliers and/or representatives adhere to the content of this Code of practice, as well as all the EASL guidelines and constitution. 2. To ensure all events planned at the congress venue including pre and post symposia receptions are provided in good time to EASL for approval and must comply with the applicable codes, laws and regulations. 3. To sign contracts within given deadline and ensure payments are made on time according to agreed schedules. 4. To send industry programmes (titles and speakers) for review by the EASL Governing Board by November 28, 2016. 5. BUSINESS CONDUCT 1. Companies are expected to conduct themselves in a way compatible with highest standards of business practices with respect to all aspects of their participation in the Congress. For example, Company employees or others acting on their behalf should not raise questions or otherwise intervene in satellite symposia sponsored by other companies with the intent of enhancing their own company products or making negative comments about competitor products. 2. Companies are expected to comply with all the applicable codes, laws and regulations that apply to their activities at the Congress and to behave in a proper and ethical manner. Companies should put in place procedures that aim to ensure compliance and guard against inappropriate behaviour including review and approval systems. They should also ensure that all relevant personnel receive appropriate training concerning compliance with applicable rules. 3. Companies will be responsible for the behaviour of the employees, affiliates, agents and contracted suppliers working on their behalf.
CONGRESS PLANNING 1. EASL will keep all participating commercial companies informed of plans and preparation for each International Liver Congress™. Although commercial companies are welcome to express their opinion on the suitability of congress venues, it is accepted that the final

The standard format of The International Liver Congress™ is provided in the Appendix. The design, format and content of The International Liver Congress™ is developed by the EASL Governing Board as specified in the EASL Constitution. The present format cannot be extensively altered unless approved by the EASL Governing Board.
3. Two BMI meetings per year dedicated to The International Liver Congress™ activity will be held between the Sponsors and EASL representatives. One meeting will take place during The International Liver Congress™ for a meeting debrief, one meeting will take place in the Spring before the following Congress and include a site inspection of the forthcoming International Liver Congress™ Venue. 4. EASL shall provide the opportunity for regular communication with its Sponsors to address any and all questions related to The International Liver Congress™.
SPONSORS PRIVILEGES When choosing a Sponsor package, the contributions paid by a Sponsor will entitle them to exhibition space, a satellite symposium time slot and/or other benefits as described in the Exhibitor and Sponsor Prospectus. No Sponsor shall be allocated a Sunday morning slot in two consecutive years. Satellite symposia time slots must be kept free of any commercial or social activity.

EXHIBITION GUIDELINES 1.
The commercial companies recommend that an adequate net exhibition space be provided. Individual stand space allocation may be variable, but a minimum of 9m² of exhibition space will be sold by EASL. Various amounts of space is included in sponsor packages and are set out in the Exhibitor and Sponsorship Prospectus.

Any additional booth (not included in the package) booked by a Sponsor will be charged at the standard exhibition price less the specified discount.
GUIDELINES FAQ Use of logos The use of EASL’s and The International Liver Congress™ name and logo are strictly subject to approval by the EASL Governing Board. Any request to use the EASL or The International Liver Congress™ name and logo should be directed to the EASL Office. Use of name Organisers of approve Satellite Symposia may use the phrase “Satellite Symposium of The International Liver Congress™ 2017” in their written and visual communications in relation with the event.
WEBCASTING Live webcasting is not permitted at The International Liver Congress™ 2017 by EASL. Any symposium and other industry sponsored meetings which a sponsoring company wishes to webcast needs to be approved by EASL. Furthermore, EASL reserves its rights to use the company Multilearning as the exclusive partner for the symposia webcasts.
ONSITE MARKETING ACTIVITIES Onsite marketing activities for affiliate/exhibitor events by the commercial organisation are restricted to the sponsor’s exhibition booth.

to a limited number of investigators (less than 75) within the daily schedule of The International Liver Congress™ Should the meetings involve a large number of investigators commercial companies are required to hold these outside the scheduled hours of the congress. 4. Explicitly excluded are any officially approved Industry Satellite Symposia. All these types of events are required to go through the EASL scientific approval process. Any decisions regarding programme approval by EASL is final. Appeals should be made in writing via The International Liver Congress™ secretariat. Any meeting that has not received prior approval from EASL taking place in the venue or in the neighbouring area is not permitted. 5. All events planned at the congress venue including pre and post symposia receptions must be approved by EASL and must comply with the applicable codes, laws and regulations.
COMPLIANCE WITH CODES, LAWS AND REGULATION 1. Companies are responsible for compliance with all applicable codes, laws and regulations. They will be held responsible under those rules for the actions of their employees, affiliates and agents/contracted suppliers working on their behalf. Codes and regulations include various responsibilities for approval, certification and reporting for which companies are responsible. 2. Companies should take appropriate steps to ensure compliance with all applicable codes, laws and regulations and that their actions are representative of ethical and professional interactions between commercial enterprises and
healthcare professionals. Companies are advised to put appropriate training in place so that their activities are compliant with the applicable codes, laws and regulations. 3.
For pharmaceutical companies, the EFPIA (European Federation of Pharmaceutical Industries and Associations) codes of practice (www.efpia.eu) identify the ‘applicable codes’ for international events. In addition the EFPIA codes identify the country code in which the company organising their participation is legally set up as an additional ‘applicable code’. For the 2017 Congress held in Amsterdam, the Dutch code of conduct is an applicable code National codes and regulations may apply requirements related to the home country of sponsored delegates and speakers. Pharmaceutical companies are responsible for checking the requirements of all applicable codes, laws and regulations.
4. The EFPIA also established the HCP/ HCO DISCLOSURE CODE 5. The UEMS dedicated to continuing medical education and certification (EACCME) also provides guidelines on permissible practices. 6. Similarly, Medical Device companies should refer to the EUCOMED code (www.eucomed.be) and the Dutch Affiliate. 7. Compliance with one code will not necessarily ensure compliance with the requirements of other applicable codes, laws and regulations. While EASL will take every step to keep up to date with these, each company participating in The International Liver Congress™ need to ensure that the activities they engage in are compliant.

BUDGET AND FINANCE 1.
Both EASL and participating commercial companies expect financial transparency on budget planning as well as access to relevant reports in relation to The International Liver Congress™. Financial plans for The International Liver Congress™ income must be based on contribution guidelines as mutually agreed upon by the commercial companies’ representatives and EASL Governing Board Member representatives. The commercial companies agree to comply with the agreed schedule of payments.
2. EASL recognises that companies are increasingly subject to reporting responsibilities with respect to their support for medical events and delegate sponsorship. These responsibilities vary between countries and companies may have different internal policies. EASL supports transparency and will attempt to accommodate company requests for assistance in providing relevant information given sufficient advance warning and subject to the practicalities of providing such information. The final decision whether to provide information rests with the EASL Governing Board.
HANDLING OF DISPUTES, CLAIMS 1. No agreement can foresee all eventualities or problems which may occur. Consequently it is accepted that continued dialogue will take place between commercial companies and EASL with regards to participation at The International Liver Congress™. Any dispute, controversy or claim arising out of or relating to this agreed code of practice shall be settled by EASL’s arbitration committee. EASL will decide on appropriate actions if necessary. In the first instance, any problems arising

in connection with the organisation of The International Liver Congress™, or participation at any EASL meeting may be discussed and resolved by the appointed representatives of the commercial companies for the particular EASL meeting with representatives of the EASL Governing Board. 2. At all times, each commercial company will respect the guidelines and indications of the EASL Governing Board with the scope of creating qualitatively excellent annual events, which take account of the requirements, contributions and expectations of all participants. EASL will, through its processes ensure financial transparency of congress budgets and accounts.
APPENDIXE THE INTERNATIONAL LIVER CONGRESS™ – EMBARGO POLICY (SUBJECT TO CHANGE) The International Liver Congress™ 2017 abstracts (title, authors, and institution names) will be made publicly available on the congress website two weeks in advance of the congress. A large number of these abstracts will also have their corresponding data sets made available online and these abstracts are NOT under embargo. A small number of abstracts are to be selected and retained for use during official EASL Press Office activities and/or in official EASL Press Office materials, and data sets related to their presentation, will be under embargo until the date and time stipulated by the EASL Governing Board. The exact time and date that these abstracts will made publicly available will be posted on the congress website in the weeks preceding The International Liver Congress™.

Industry may issue a press release announcing that their abstract has been selected for inclusion in official EASL Press Office activity or in official EASL Press Office materials (abstract title only). Industry must not issue press releases, even under embargo, covering the data contained in abstracts selected to be highlighted during official EASL Press Office activities or in official EASL Press Office materials until he individual embargo for each data set lifts.
EASL MEDIA CENTRE
Media must not issue coverage of the data contained in abstracts selected to be highlighted during official EASL Press Office activities or in official EASL Press Office materials until the individual embargo for each data set lifts.
1. Press activities may be conducted onsite at the Media Centre, available for accredited media representatives.
Journalists, industry, investigators and/or study sponsors must abide by the embargo times set by EASL. Violation of the embargo will be taken seriously. Individuals and/or sponsors who violate EASL’s embargo policies may face sanctions relating to current and future abstract submissions, presentations and visibility at EASL Congresses. The EASL Governing Board is at liberty to ban attendance and/or retract data. Copyright for abstracts (both oral and poster) on the website and as made available during The International Liver Congress™ 2017 shall reside with the respective authors. No reproduction, re-use or transcription for any commercial purpose or use of the content is permitted without the written permission of the authors. Permission for re-use must be obtained directly from the author.
The official EASL media centre is open to registered and accredited media representatives only. Media representatives will be notified about the location of the media centre at the time of their arrival and registration at the congress centre. Media representatives will be able to pick up press releases issued by EASL from the media centre.
2. There will be computers, laptop connections and printing facilities provided in the Media Centre for members of the media. 3. A member of staff dedicated to the Media Centre will be available throughout the congress period. This staff member will be responsible for badge-checking, the general upkeep of the room and answering press enquiries. This staff member will not be responsible for press related tasks, such as photocopying or secretarial duties. 4.
Coffee and refreshments will be provided in the Media Centre at no extra charge for the sole use of accredited media representatives.

Media representatives wishing to arrange interviews with EASL spokespersons or investigators whose abstracts were selected for presentation at the official EASL press conference should check in onsite with EASL press officers.
EASL PRESS EVENTS EASL will hold at least one official Press Conference during The International Liver Congress™ 2017 in Amsterdam. Additional media activities may also be organised during the congress. The date and time of the official EASL International Liver Congress™ 2017 Press Conference is yet to be defined.

Industry press packs and/or promotional material can only be displayed in the dedicated area clearly marked ‘Industry Media Information’, situated outside the EASL Media Centre. Material placed in other locations around the congress centre will be removed. PRESS REGISTRATION Press may register for The International Liver Congress™ 2017 free of charge. In order to validate media registration, the congress organisers request proof of the journalist’s professional affiliation.
PHOTOGRAPHS, AUDIO AND VIDEO RECORDING Photographs, as well as audio and video recordings, are not permitted at the EASL official meeting sessions. This regulation does not apply to industry sponsored satellite symposia or stands in the exhibition area (exhibitors may only take pictures of their own stands for documentation purposes). Photography and filming will be allowed during official EASL press events.
