Introduction WELCOME TO THE BEST WESTERN BUCKINGHAM HOTEL The Best Western Buckingham Hotel offers a stylish and contemporary venue for your Wedding day or civil partnership celebrations, accommodating up to 100 people for a seated wedding breakfast and up to 120 people for your evening party. From your initial enquiry through to the day itself, our experienced staff are on hand to ensure everything runs smoothly, making your wedding celebrations at the Best Western Buckingham Hotel one of the best days of your life. Any of your guests who wish to book accommodation for the Wedding, can take advantage of especially reduced rates. In addition, all of our hotel guests have unlimited use of ‘ Revival’ our onsite Health & Leisure Club, which has 2 well equipped gyms, swimming pool, Jacuzzi, steam room and sauna. We have put together some menus and details for you to consider, however these are only suggestions and we would be delighted to tailor a package to suit your specific needs. Our Wedding Rooms THE CLAYDON SUITE The Claydon Suite, which has been solemnised for both Weddings and Civil Partnerships is a flexible and modern room, which can accommodate both large events or small and intimate gatherings. The décor is deliberately understated, to allow your wedding theme to shine and our wedding coordinator will work closely with you or your Wedding Stylist to ensure that your wedding decorations are placed with greatest impact. Complimentary white linen is provided, including chair covers and sashes and we can provide colour accents with paper serviettes. We can also provide coloured linen and sashes at a small charge. The Claydon Suite can accommodate up to 100 people for a traditional wedding breakfast and up to 120 people for the evening reception.

RESTAURANT CHARDONNAY This contemporary and stylish restaurant provides a light and airy space for day time celebrations for up to 40 people. The restaurant is available between 12.00pm – 6.00pm. Your Wedding guests can choose from our al a carte menu or alternatively we can offer a set 3 course menu priced at £19.50 per head. Please discuss your requirements with us. The tables will be dressed with fine white linen; however we can supply table décor and coloured linen, should you require this, at a small additional charge.

Accommodations GUEST ACCOMMODATION The Best Western Buckingham Hotel is delighted to offer special accommodation rates for guests who are attending your wedding reception and wish to stay over night. All our guest rooms are well appointed & attractively decorated and all rooms have flat screen TV’s and free WIFI access. In addition, our guests enjoy complimentary use of the on site Revival Health and Leisure Club.

CHANGING ROOM Many guests will ask for early check –in to their rooms on the morning of the wedding & while we endeavour to help, it is not always possible. We can make a changing room available for your guests at a charge of £80.00. This room would be reserved the night before the wedding and will be made available to your guest up to 7.00pm on the day of your wedding.

REVIVAL HEALTH & LEISURE CLUB On our site Health & Leisure Club is available for any of your Guests who are staying at the Hotel during your Wedding Celebrations. Revival provides the perfect place for you and your guest to relax, with a steam and sauna room, large Jacuzzi and pool. It also has two well equipped gyms and our trained staff are on hand to answer any queries that you may have. Towels are provided for your guests’ convenience.

Directions The Best Western Buckingham Hotel is ideally placed on the outskirts of historic and picturesque Buckingham, the County Town M1 Northbound (approx 16 miles/30mins journey time) Exit at Junction 13 & follow the signs for Milton Keynes/Buckingham on the A421.At the roundabout take the 3rd exit, onto the A421. Carry on over all roundabouts, staying on the A421. On the outskirts of Buckingham, the sign will change to A421 Bicester, please follow this road. The Hotel is approximately ½ mile on the left hand side, well sign posted as the Best Western Buckingham Hotel. M1 Southbound (approx 15 miles/30mins journey time) Exit at junction 15 & follow the signs for Milton Keynes/Buckingham on the A508. Go over the first roundabout & at the next round about take the 3rd exit on to the A422, signposted Deanshanger /Buckingham. At the next roundabout, go straight ahead, & at the next roundabout take the 1st exit on to the A413. Go over the next roundabout and at the next roundabout take the A421 towards Bicester. The hotel is approximately ½ mile on the left hand side, well signposted as the Best Western Buckingham Hotel. M40 Junction 9 (approx 10 miles/20mins journey time) Follow the signs for Bicester on the A4421. Continue through Bicester Town, following the signs for Buckingham. At the large roundabout, take the 3rd Exit on to the A421 (Tingewick Bypass) Go straight over the round about and continue towards Buckingham on the A421. The Hotel is located just past the Buckingham Garden Centre on the right hand side of the road & is well signposted as The Best Western Buckingham Hotel. Please use the dedicated turning lane to turn right into the hotel.

Booking Terms & Conditions APPLICABLE TERMS All bookings made by any firm, company, group, individual or other organisation whatever type (the guest) are subject to these terms and conditions. FORMATION OF CONTRACT A booking will not constitute a legal contract until it has been confirmed in writing by both the guest and the operating company of the hotel (the Hotel), and until any deposit or payment in advance requested by the hotel has been paid and a receipt for the same issued to the guest and until these Terms and Conditions have been signed by the guest and returned to the Hotel. The hotel may cancel any booking, which has not been confirmed by the guest within a period of 14 days from the date on which the original booking was made. Every attempt will be made by the hotel to contact the guest prior to effecting such a cancellation, but notice by letter to the guest’s last known postal address shall be considered adequate. The Hotel may cancel at any stage any function of whatever nature if it believes that to allow the function to proceed would contravene the law. In such case any contract shall be null and void and the Hotel’s liability will be limited to the return of any deposits(s) paid. DEPOSIT REQUIRED Upon confirming the date Exclusive use

INDEMNITY The guest will indemnify the hotel against loss or damage caused by the guest, or any other person attending the function, to any part of the hotel, or its fixtures or equipment, or to any property belonging to third parties. INTEREST The hotel reserves the right to charge interest on overdue accounts at a compound rate of 2% per calendar month or part thereof. LAW These conditions and the contract of which they form a part shall be governed by English Law and the parties to the contract herby submit to the exclusive jurisdictions of the courts of England. FORCE MAJEURE The hotel shall not be liable for any breach of its obligations under this agreement resulting from causes beyond its reasonable control, including but not limited to fires, strikes, riots, embargoes, inability to obtain supplies, or regulations of civil or military authority. WHOLE AGREEMENT This agreement contains the entire understanding of the parties and supersedes all prior written or verbal agreements or representatives. No variations will be binding unless in writing and signed by an authorised representative of the hotel. ENGAGEMENT OF EXTERNAL CONTRACTORS Should the guest wish to employ the services of an external contractor, the guest will confirm such arrangement with the hotel, and the hotel reserves the right in its absolute discretion to refuse such a request. If the request is accepted, the guest herby undertakes to indemnity the hotel against any claims made against it resulting from any act or default by such external contractor. All external contractors shall be in the possession of an up-to-date Public Liability Insurance.

The deposit is non-refundable and non-transferable CANCELLATION OR POSTPONEMENT BY THE GUEST The guest must give at least 20 weeks notice in writing to cancel or postpone a function. Failure to meet this requirement will result in a charge being made as follows. NOTICE CHARGE Over 16 weeks Deposit Lost Less than 16, but more than 10 weeks 50% of estimated total Less than 10, but more than 4 weeks 90% of estimated total Less than 4 weeks Full Charge If the hotel is able to sell the dates for a function equal to or greater than the value then any deposits so far paid will be refunded, once the replacement function has taken place. If the date is resold for a function of lesser value the above cancellation charges will apply, subject to a rebate of a proportion of any value of the new function, such rebate to be decided by the hotel. The hotel strongly recommends that you take out an insurance cover to protect yourself against cancellation. NUMBER OF GUESTS An approximate number of persons attending the function should be given at the time of booking. A more accurate estimate must be given 6 weeks prior to the function, and final numbers 14 days prior. The hotel will charge for the actual number of guests attending if this is greater. The hotel cannot guarantee to be able to accommodate numbers greater than the final number advised 14 days prior to the function, although every effort will be made to accommodate any such requirements.

DECORATIONS The guest shall not fix any materials to walls or ceilings of the hotel by use of nail, screws, pins or any adhesive tape of any kind without prior permission from the hotel. CONDUCT The guest shall be responsible for the orderly conduct of the function and shall ensure that nothing will be done which constitutes a breach of the law or in any way cause a nuisance or infringe any licensing laws or illegal gaming or betting laws. CORKAGE Alcohol is not allowed to be brought in to the hotel by the guests. In the circumstances that clients are permitted to bring their own wine or champagne, corkage is charged at £15.00 for champagne or sparkling wine and £10.00 for wine. KEY POINTS •

Your wedding is only finally confirmed upon receipt of a signed copy of our terms and conditions.



We can provisionally hold a date for you up to two weeks at no costs.



Six weeks before your wedding we will arrange an appointment to finalise the numbers, menus, evening buffet choices and other details. Based on this information your pro-forma invoice will be issued for remainder of the outstanding balance along with confirmation of your wedding details, which must be signed and returned to the hotel. The pro-forma invoice must be paid no later 28 days prior to your wedding day.



While our entertainment licence extends to midnight, we reserve the right to control the level of sound should the volume be excessive.



The use of confetti bombs and party poppers is not allowed. Any other decoration must be confined to the function suite. Confetti after a ceremony is permitted at the bottom of the entrance steps only.



Cancellation; you will be responsible for any associated costs such as DJs etc. Any form of entertainment, musical or otherwise, must produce a copy of their Liability Insurance to the wedding co-ordinator 1 month prior to the wedding date, or they will not be allowed to perform. We advise the consideration of wedding insurance.



Unless hiring the hotel under our exclusive policy, the hotel bar and restaurant is open to residents and the general public. We reserve the right to hold smaller parties/functions in our restaurant, which may include entertainment.

PART REDUCTION IN NUMBERS The hotel reserves the right to allocate an alternative function room to that originally booked if the number of guests falls below 25% or more of the original numbers advised at the time of booking. CHARGES All prices are liable to fluctuate and specific charges will only be guaranteed for a period of 6 months prior to the function. Any prices quoted, whether in writing or otherwise, shall be liable to amendment in the case of a change in the rate of Value Added Tax, or any other tax directly affecting the charges quoted. LIABILITY Save as contained in statute the hotel will not be liable or responsible for any loss, damage or any inconvenience of any type or kind. LOSS OF OR DAMAGE TO PROPERTY The hotel will not be liable for any loss of, damage to, the property of any guest or other persons in the hotel except as defined in the Hotel Proprietors Act 1956 or as otherwise stated by statute.
