INSTRUCTIONS FOR PLAGIARISM CHECK Start using Urkund – a web-based system to detect and check for plagiarism 1. The first step to start using Urkund is to send a request for a user account to the Library at the Faculty of Medicine ([email protected]) 2. Urkund support will then send you your user account – i.e. the email address that your students will use to send their work – and relevant information. 3. The next step is to inform the student about Urkund and which file formats that are accepted in the system (DOC. DOCX. SXW. PPT. PPTX. PDF. TXT. RTF. Html. Htm. WPS. ODT) and then to send them the email address provided by Urkund. 4. The student should attach the texts to the email message and send it to the address provided by the supervisor. 5. Urkund will send a confirmation email to the student that the texts have been received. 6. When the analysis has been completed by Urkund, the supervisor will receive an email with the message that the results are available in their inbox in Urkund 7. When logging into the system (with the log-in information provided initially by Urkund), there is an inbox. In the inbox you will find the results from the analysis. 8. When logging in, the display page looks like the picture 1 below, with a list of different analyses. 9. When clicking on the results you will access the analyses of that specific text (see display page, picture 2). There are both colorcoding and a percentage representing the level of overlap between the submitted text and the reference texts that Urkund uses, which are texts from the web, published material, and also Urkund´s own text archive.

10. In the left side of the display page is the text from the student. The passages with overlaps are highlighted and the percentage of overlap is specified. In the right side of the display page is the reference texts from Urkund, to which the student´s text overlap. The source of the text is also stated.

When analyzing the results from Urkund, note the following:  Urkund does not show what is plagiarized – it is the supervisor’s task to interpret the analysis. There can be other reasons for a match between the student’s text and other texts than plagiarism (for instance citations made with indention, methods etc can show a match).  There is no specific percentage level that equals to plagiarism. The supervisor has to look into the passages that are highlighted in the analysis and go through them in order to determine why there is an overlap.  There is a policy at Lund University about plagiarism which can be found here: http://lgdata.s3-website-us-east1.amazonaws.com/docs/647/956457/Guidelines_regulation s_on_plagiarism_deceitful_plagiarism.pdf You can also find guides and manuals Urkund´s support website: http://www.urkund.com/en/support  If you wish to send the results of the analysis to someone else, for instance a co-supervisor, there is a choice on the display page to “send”.  Intentional and deceitful plagiarism is very unusual. However, if there is any concern that plagiarism has occurred, the supervisor can contact the Research Studies Board for advice. When submitting texts to Urkund, note the following:  Since Urkund saves the texts submitted to Urkund in an archive, there could be a problem if a text is submitted twice, since it will show a 100 % overlap. There are two ways to avoid archiving the submitted texts:  If the student submits the text several times to the same analyses account (i.e. using the same email address provided by the supervisor) and sending the mail from the same email address, then there will be no duplications of texts.

 The supervisor also has the possibility to click in a box in the analyses display page “remove primary source”.  If you do not want others to be able to digitally download the text submitted to Urkund, you can choose an option called “opt-out”.
