Installing a Networked Printer Preamble: Most printers at Humber are networked. As such, staff can send print jobs to almost any campus printer. It is simply a matter of adding the right printer to a workstation’s configuration and routing jobs appropriately. This document outlines the procedure for adding a networked printer, setting the right default printer, and selectively routing print jobs. Adding a Networked Printer Step 1: To get started, click the Start button, point to Settings, and click on Printers and Faxes. When the Printers and Faxes window finishes opening, double-click the Add Printer shortcut.

Note: There are many ways to add a networked printer. This tip sheet makes use of a wizard, which is generally the quickest and easiest way. Note: Although the second screenshot comes from a workstation without any printers, the steps shown work equally well for subsequent printers. Note: For ease of use, it is recommended you keep your installed printers to a minimum. Two or three printers should suffice.

Step 2: Click the Next button when the Welcome screen of the Add Printer Wizard appears. Then, on the next screen, click on the lower of the two radio buttons. Click the Next button to continue.

Step 3: Make sure that the uppermost radio button is selected and click the Next button. Then, in the Find Printers dialog box, make sure Entire Directory appears in the dropdown box and click the Find Now button.

Note: It may take a moment to completely search the directory.

Step 4: Upon finishing its search, the Find Printers dialog box will expand to show the printers it found. Click the header of the Name column to sort the printer names in alphabetical order.

Note: Printers are named by Information & Technology Services according to where they are physically located. The first part of the name is the room number. The second part is the campus. Printers are then numbered starting at P1.

Step 5: Using the scroll bars as needed, locate the printer you want to install in the list and click on it. Then, right-click the printer and click the Select option. Wait for Windows to finish installing the printer.

Step 6: The wizard will eventually ask if this should be the default printer. Click the Yes radio button if this will be your everyday printer. Click on No if you will only print here occasionally. Click the Next button.

Step 7: After a few moments, Windows will let you know that the new printer has been installed. Click the Finish button to close the wizard.

Changing the Default Printer One computer can have many printers. The default printer is the one that automatically responds when Print is clicked in the File menu of Windows-based programs. Users can change the default printer at will. Step 1: Click the Start button, point to Settings, and click on Printers and Faxes. Note the default printer by the tiny black checkmark.

Step 2: Right-click on the new default printer and select the Set as Default Printer option. Watch as the black checkmark moves from the original default printer to the new default printer.

Note: Where there are two or more convenient printers, select the one with the lowest costs.

Printing to Other Printers Most applications can print to any installed printer. It is simply a matter of selecting the right printer in the Print dialog box. As an example, the dialog box below routes a Word document to a printer other than the default. All installed printers appear in the Name dropdown box.
