Edington Street Café Octavia serves breakfast and offers a range of daily specials, sandwiches, salads and soup in addition to tea, fresh coffee, snacks, pastries and homemade cakes.

Weekly Call Sheet & Communications

Elmbank Crescent A microwave and fridge are available for your use in the kitchen. Tea and Coffee are available to staff and guest artists. There is a garage just outside the main entrance and cafes, take-aways and Tesco Express within a 5 minute walk.

The weekly call sheet is issued each Friday for the following week and is available from Reception at Elmbank Crescent and Edington Street. The call sheet is distributed by email unless you specifically request a postal copy. Please ensure that Company Management has your active email address and up-to-date contact numbers and postal address.

Theatre Royal The theatre is situated only a few minutes walk from the city centre shopping area. Self-service tea and coffee are available in the Green Room. There are vending machines for hot and cold drinks, crisps and chocolate. Vanilla Black at the Theatre, situated in the theatre foyer, serves delicious fresh cakes and sandwiches. Scottish Opera Company members are entitled to a 20% discount. Discount cards are available from Company Management or Scottish Opera Reception.

Please make sure that Company Management know how to contact you at all times throughout the period of your contract, both in Glasgow and on tour, as well as in between performances. If you expect to be out of contact or phone range at any time, please let us know. For information regarding N/As please see page 3.

Accommodation

Wireless Internet

Company Management can give you information regarding accommodation available in Glasgow and on tour and are happy to help you identify somewhere to suit your needs and budget. Please advise us of lodgings once confirmed.

Wifi is available in Café Octavia at Edington Street and Reception at Elmbank Crescent. You can obtain the wireless codes from Reception. Please note that Scottish Opera does not provide computers.

Travel

Scores

Artists are expected to book their own rail travel. You will be reimbursed for a standard off-peak fare. Flights should be booked by or in consultation with Company Management.

Artists are welcome to borrow vocal scores from Scottish Opera’s library for the duration of their stay. The Library is situated on the top floor of Elmbank Crescent. Scores must be signed in and out with the Librarian.

Illness

In the event of sickness or other emergency, the Artists (or someone on their behalf) must advise Company Management as soon as possible:

Please note that all scores must be returned to the Librarian, either in person or by post, before your last performance. Please do not return them via Stage Door, Company Management or Stage Management. Artists will be charged the full replacement cost for unreturned scores.

Pets

Pets are not allowed on the premises at Elmbank Crescent, Edington Street, the Theatre Royal Glasgow or any of the theatres we visit. (Animals participating in productions are licensed and accompanied by a licensed handler.)

As a self-employed contractor you understand and agree that you are not eligible for payment of statutory sick pay or occupational sick pay. Please note that covers are not normally resident in Glasgow after the first night of the production, and transport links to the performing venues may not always be straightforward.

CONTRACTS, N/As and FINANCE Contracts

Passport Copies

For Guest Singers and Conductors, all contracts and financial matters should be raised with the Artists’ Manager.

UK Immigration Law requires Scottish Opera to check “The Right to Work” in the United Kingdom of all incoming employees regardless of nationality. Even if you have worked for Scottish Opera previously, you are required to send the Artists’ Manager a photocopy of your passport prior to starting your contract.

For Guest Actors, Dancers and Children, all contracts and financial matters should be raised with Company Management.

On the first day of rehearsals Company Management will request to see the original document.

N/As

Non-availability requests from singers and conductors should be made to the Artists’ Manager. N/A requests from actors, dancers and children should be made to Company Management. N/A requests should not be made directly to the Director, Conductor or Staff Director.

VAT

The Artist is responsible for complying with all the provisions and regulations of the Value Added Tax Act 1994 with the registration provision and observing the related regulations and notices issued by HM Customs and Excise. If the Artist fails to fulfil these obligations the Artist will be responsible for any VAT or other costs, and claims and liabilities, including legal costs.

N/As will stipulate the start and finish of your period of N/A and travel must be booked in accordance with these details. If you wish to go away for personal reasons, for example to take a weekend at home, please clear this with the Artists’ Manager/Company Management before making any travel arrangements, remembering that schedules are always subject to change!

VAT Invoices

VAT registered Artists should submit invoices to Scottish Opera. These will be settled at the end of the run of performances.

Withholding Tax

Finance

Overseas Artists are required by the Inland Revenue to pay Withholding Tax. Please check your position with your agent. A form is sent out with the contract and should be completed with details of anticipated income and expenditure and must be submitted to the Inland Revenue no less than 30 days before the commencement of the contract otherwise the full rate of tax will be deducted. Where an Artist does not have an agent, explanations can be given by the Artists’ Manager in advance of the engagement.

You will have received a form requesting bank details with your contract and this must be returned before and payment can be made. All payments and contracted expenses/subsistence payments will be paid directly into this bank account via BACS each Thursday. Fees are usually paid one week in arrears. Standard Equity rehearsal and subsistence payments are paid one week in advance. Please note that no cash or cash cheques can be issued to Artists. A letter of remittance is given to the Artist. Copies can be sent to the Agent if the Artist requests and authorises this.

Foreign Bank Accounts

Please note that there are charges for transfers to accounts outside the UK. These costs are recharged to Artists. The cost for transfers into an EU bank account is approximately £5 - £19.50 per transaction. Paying into accounts outside the EU costs £20 - £30 per transaction depending on your banking provider.

REHEARSALS

Musical Preparation Artists must have their roles fully prepared musically and have undertaken sufficient preparation work before the start of rehearsals to enable them to participate in music and production rehearsals with minimum recourse to the vocal score.

Rehearsal Venues Elmbank Crescent There are two main rehearsal rooms at Elmbank Crescent: the Rankine Hall on the 2nd floor and the Weir Hall on the 1st floor. On occasion E3 may be available to use as a warm-up room; it is on the 1st floor next to the Music Department. Company Office, Planning Department and Library are also located at Elmbank Crescent. Opening Hours: Monday to Friday 09:00 – 18:30 (unless evening or weekend rehearsals are scheduled) Receptionist: Monday to Friday 08:30 – 17:30 Entry to the building is by pressing the buzzer. All visitors must sign in and out at Reception.

Edington Street The Opera Rehearsal Room (ORR), 3 studios, Wardrobe and Education Departments and our workshops are at Edington Street Production Studios, off Garscube Road. Opening Hours: Monday to Friday 09:00 – 19:00 (unless evening or weekend rehearsals are scheduled) Receptionist: Monday to Friday 09:00 – 17:30 The building is entered by pressing the buzzer. All visitors must sign in and out at Reception. On first arrival please ask the Receptionist for a security code that will allow you to access the main Rehearsal Room. If you need access to Wardrobe or the coaching rooms upstairs ask the Receptionist to let you through the security door. All Visitors and Company Members are required to sign in and out when working on Scottish Opera premises.

During Rehearsals If you would like to book any of the studios at Edington Street or E3 at Elmbank Crescent, please ask Reception for assistance. All rehearsals are closed, except to members of the Company and Artists connected with the production. There is no admittance to rehearsals by friends, family, singing teachers, agents or others. Occasionally students from the Royal Conservatoire of Scotland, Glasgow University, Glasgow School of Art or students of opera-related projects may be invited to attend rehearsals. Please take care of your personal belonging at all times. Scottish Opera cannot be held responsible for damaged or lost items.

Mobile Phones, ipods, Laptops etc All electronic equipment should be completely switched off for the duration of rehearsals.

PERFORMANCES

Please advise Company Management of your accommodation arrangements well in advance. Artists should be aware that in all circumstances the Company reserves the right to insist on the normal contractual requirement to be resident in Edinburgh, Aberdeen or Inverness by 22:00 the night before the performance.

Performance Times At most venues evening performances begin at 19:15 and Sunday matinees begin at 16:00, unless otherwise stated. Please note: Aberdeen performances start at 19:30. On the day of a performance, Artists should sign in at the theatre stage door no later than the half, i.e. 35 minutes before the start of the performance, unless another arrival time has been agreed or scheduled on the Weekly Call Sheet. (i.e.: wigs, make-up, balance or recit call etc)

TICKETS Comps Principal Artists are entitled to 2 complimentary tickets during the run of Glasgow performances only.

Signing In Artists are contracted to confirm their arrival in the city of performance by telephoning, texting or emailing Company Management by 22:00 the preceding evening, earlier if a brush-up rehearsal has been called. Company Management on duty is detailed on the Weekly Call Sheet.

The Agency responsible for Artist contract negotiations may also request one complimentary ticket. Any additional tickets must be paid for.

Backstage Visitors

Licensing regulations mean that Artists are not permitted to stand at the back of any of the theatres to watch performances.

Complimentary tickets are subject to availability and unless otherwise advised must be booked 2 weeks in advance through Company Management.

All visitors wishing to see Artists backstage should report first to the Stage Door to sign in and out. Visitors are not permitted backstage from the halfhour call until curtain down. No visitors are permitted in the Green Room before or during breaks in stage rehearsals or in intervals during performance.

Company Standby Tickets At most venues, subject to availability, Scottish Opera is able to offer Artists the opportunity to purchase two Company Standby tickets on the day of the performance from the theatre Box Office. If available, Company Management will email you with details. The cost is currently £8.50 per seat.

Covers Covers must be contactable by phone on the day of performances. Covers are on call until at least 13:00 on the day of a performance. It is vital that Company Management has accurate contact numbers, and is aware of your whereabouts during the performance period. It is the responsibility of the Artist to provide this information. Be aware that covers can be called at any time during the cover period, particularly if complex journeys are necessary to ensure covers can reach performance venues in sufficient time.

Dress Rehearsals Dress Rehearsals are usually open to Artists’ guests and Company members and a max of two tickets each can be requested from Company Management. Tickets should be collected in your name from the theatre foyer half an hour before the start of the Dress Rehearsal. Entrance to the Dress Rehearsal is via the main foyer and not through Stage Door. Please be aware that Dress Rehearsals may not always be open.

Edinburgh, Aberdeen & Inverness Performances

First Night Parties

Edinburgh Artists staying in Edinburgh may sign in at the theatre at the half as normal, i.e. 35 minutes before the scheduled start of the performance.

A First Night party is normally held following the opening of each production in Glasgow. All guest Artists working with the Company are invited to attend, as are Artists’ guests, by arrangement with Company Management.

PRESS AND PUBLICITY

Office will provide instructions regarding viewing and purchasing production photographs as soon as possible after opening night. Audio and Visual Recordings of rehearsals and performances Unfortunately it is not possible for you to record any part of your engagement with us, nor to let you have our own recorded audio or video footage due to Union Agreements in place which allow use solely for archive and Scottish Opera’s own publicity purposes.

Publicity Requirements Contact with the media regarding Scottish Opera productions will be arranged through the Press Office. Artists should not deal with the media directly. Artists will be contacted on an ad-hoc basis by the Press Office to assist with press and publicity for productions. It is expected that Artists will co-operate as much as is reasonably possible to accommodate such requests, which may include radio, television and newspaper interviews, as well as photo calls. The Press Office will always contact Artists to discuss any requests before agreeing to them.

Confidentiality Artists and their Agents should not refer to the engagement in the public domain prior to the Company publicly announcing the season during which the engagement occurs, and without notification from the Artists’ Manager that it is possible to do so.

No additional fees are offered in relation to press and publicity obligations. A member of the Press Office will usually accompany Artists and pay for all travel expenses incurred or arrange to reimburse reasonable travel expenses on production of valid receipts.

Any confidential information concerning Scottish Opera or any related party, which includes the Company’s business, finances, affairs, proposals, productions, patrons and staff, must be held in the strictest confidence and may not be used or divulged by Artists to unauthorised parties or anywhere in the public domain.

Provision of Articles and Reviews The UK Copyright Designs & Patents Act 1988 prevents the Company from reproducing published material and so the Company is legally unable to provide photocopies of articles or reviews. The Press Office (located at Elmbank Crescent) keeps an archive copy of reviews and articles and Artists are welcome to peruse them there.

Likewise, Artists must not share information in the public domain which could be construed as confidential and remains the responsibility of Scottish Opera to circulate, such as cast changes, cast illnesses and other information. The term ‘public domain’ includes biographies in programmes, personal or Agent websites, press interviews, social media sites such as Twitter and Facebook, and all other print or online media.

Photography It is not permitted for Artists to take or publish photos of rehearsals or performances, including on smartphones. If Artists wish to take informal photographs outside of scheduled rehearsals whilst working on a production, permission must be gained from those involved beforehand. If wishing to publish these photographs (either online or elsewhere), Artists must seek permission from those involved as well as the Press Office before doing so. The Press Office will engage a photographer to take production shots at both the Pre-General and Dress Rehearsals, and occasionally at production rehearsals in the studio. The Company has permission to use these photographs to promote the production and the Company, however, copyright remains with the photographer. As such, Artists wishing to obtain and use production photographs must purchase them from the commissioned photographer. The Press 6
