Introduction Welcome to the Department of Physics, Chemistry and Pharmacy - called FKF for short. This guide is principally addressed to newcomers at the department, i.e. all new employees, visitors, PhD students, master and bachelor students. Approximately 67 faculty members, approximately 35 technical / administrative staff members and approximately 28 PhD fellows are employed at The Department of Physics, Chemistry and Pharmacy. The Department of Physics, Chemistry and Pharmacy is one of SDU's four largest departments. In addition to the tenured staff members, there are a varying number of non-tenured faculty members, visiting researchers, PhD, and M.Sc. students.

Absence All employees must write on the boards at the secretariat when they are absent (departmental staff members, paid PhD students and externally funded employees), e.g. conferences, study tours, research visits, days off, holidays etc. (see also the paragraph on Holidays). Then it can be seen that you are absent from the department. The secretaries will write on the board if you are absent because of illness.

you access to SDU outside the opening hours (evenings and week-ends). Immediately after having received your SDU card, please go to one of the electronic card readers placed near one of the outer doors. It is important that you immediately create a PIN code of your own choice at the card reader. A card without a PIN code can be used by anyone who finds it! If you have forgotten your PIN code or if you lose your card, please contact the secretariat during the opening hours, Monday - Friday 09.00 - 13.00.

Annual University Festival The Annual University Festival for all employees and students is held on the last Friday in October at campus Odense. The university closes at 12 o'clock this day.

Care days For children born after 1 October 2005 a parent gets 2 care days per year up to and including the calendar year of the child 's 7th birthday (i.e. for the child's first 8 years), a maximum of 16 care days. Days not taken will be annulled at the end of the calendar year (though it is possible to transfer care days from 1st to 2nd year) and the days cannot be taken as 7 or 8 weeks before childbirth. Child's first and second day of illness The law regarding child's first and second day of illness states that: The employer can give the employee full or partial leave of absence to take care of a sick child on the child's first and second day of illness when:    

Consideration for the child's needs makes it necessary Conditions at the workplace allow it The child is younger than 18 and The child is staying at home

The law further states: The second day of illness is the day in immediate succession to the child's first sick day, whether or not this is a working day or a day off. First and second sick day can be held independently of each other, i.e. the employee can take child's second day of illness even if they did not take child's first day of illness. Contact Persons / Next of Kin All employees must send the names of two contact persons to Karen Cauthery ([email protected]). The contact persons will only be contacted in case of emergency.

Danish language lessons The University Personnel Department offers Danish courses for foreign employees and their spouses. To register for a Danish language course please send an e-mail to department administrator Karen Cauthery - [email protected].

Days off Besides the normal Danish Public holidays SDU is closed on the day before Christmas (December 24), the day of New Year's Eve (December 31) and on the Danish Constitution Day (June 5). On the day of the annual university festival, SDU closes at 12 o'clock. Electronic business card Every university employee gets an electronic business card on www.sdu.dk and also on the intranet. On this business card the individual employee is presented by e.g. name, title, place of employment and maybe photograph. The electronic business card draws its information from PDS (personnel information) and PU:RE (Publication and Research Platform). Email On their first day at the department all new employees/guests will receive an e-mail address. In case of problems please send an e-mail to the IT-Service Help-Desk: [email protected] or phone extension no. 2990. On leaving the department your e-mail address and login will be closed one month after the end of employment though for PhD students the account will be closed three months after the end of employment.

Email mailing lists The department has an array of mailing lists. When you start your employment with the department, you will be registered on the ‘everyone’ mailing list as well as the mailing list for your employment category. The mailing lists are named DL-NAT-FKF-xxxxx and can only be accessed through Microsoft Outlook (Global address list). If you wish to be registered on any of the other lists, please contact the secretariat.

E-mail signature E-mail signature is generated automatically based on the information in the university telephone directory. Employee development interviews (MUS - medarbejder udviklingssamtale) Employee development interviews (MUS) take place once a year between the individual employee and a representative of the management. It is meant as a supplement to the daily work related and personal contact between an employee and the manager. It can e.g. deal with competence development, the individual tasks, and/or how the employee sees the work place. Sometimes the interviews involve an entire group of employees. Employee gift fund Employees are urged to join the FKF Employee gift fund which is administered by the FKFsecretariat. 200 DKK is collected by the secretariat approximately once every 18-24 months and is used for gifts for the members' round-number birthdays (50 and upwards), weddings, anniversaries, retirement etc.

FKF calendar The FKF-Calendar in Outlook is open for all staff. To view calendar, open Shared calendar: Institut for Fysik, Kemi og Farmaci. Meetings, holidays etc. are entered by the employees.

Holidays Relevant to permanent and temporary academic staff, technical-administrative staff, paid PhD students, including staff in all categories financed by external funds. You accrue 2.08 days of ordinary holiday and 0,42 days of special holiday per month's employment during the calendar year (1 January – 31 December). These days can be used during the holiday year (1 May – 30 April). If you have a vacation card from your previous work place, this must be filled out and given to Karen Cauthery. You will then get a reduction of salary when you take days of holiday, until you have earned vacation days at SDU. If you do not have a vacation card from a previous work place and thus have not earned any vacation days, you will get a reduction of salary every time you take vacation days until you have earned some vacation days at SDU. On the other hand you will receive a vacation card with your earned vacation days/money when you leave SDU, so the money that is drawn in your salary when you have vacation during the first year, will be paid back to you when you leave. If you have questions concerning holidays, please ask Karen Cauthery. Every year in March the following vacation year starting on 1May is planned – and you must send your vacation wishes to Karen Cauthery. mail box, which you must fill out and return to the department secretary on your first day back at work. If a period of illness exceeds 14 days, you will be asked to attend an interview with the head of Department.

International Club The University of Southern Denmark International Club is dedicated to bringing together cultures from all over the world, in particular those represented at SDU, by means of various cultural events. Keys Employees: An N-key is handed out at the secretariat (Ø11-510b-2). You have to sign for your key and it must be returned together with your SDU admission card and headset, if such has been issued to you when you leave. Students: To obtain a key all students have to pay a deposit of 300 DKK. Contact the FKF secretariat for further information. KIK Every Thursday the Department of Physics, Chemistry and Pharmacy' secretariat publishes a weekly newsletter KIK (Danish abbreviation for 'Communication for Department of Physics, Chemistry and Pharmacy'). Editor: Associate Professor Hans Jørgen Aa. Jensen. KIK addresses everyone at the department. It is mainly in Danish, but part of it will often be in English too. It contains agendas and minutes of meetings in the management team, FKF Forum, FKF's working environment committee, FKF's educational committee etc. as well as notifications of   9

Library To get access to the SDU Library you need a library card. This can be obtained at the library if you bring a copy of your employment letter and some ID (your SDU admission card). Lunch room and kitchen The departments main kitchen and 3 smaller kitchens are all equipped with refrigerators, microwave oven, coffee machines among other things. Please use the kitchens and lunch rooms, but remember to clean up after yourself!

Mail You will get a post box with your name on it for receiving external and internal mail at the department. Employees at CP3 will find their mail boxes in centre secretary Lone Charlotte Nielsen's office. Employees at Memphys and SPSE will find their mail boxes in centre secretary Ulla Lauritsen's office.

Meeting room facilities and the department The department has a meeting room and a colloquia room. Both rooms may be used for talks, meetings etc. and generally not for teaching purposes. The rooms may be reserved via the calendars in the mail room.

Personal Data system (PDS) All employees will be included in PDS, after that it will be the employee's own responsibility to update the information. All employees are encouraged to enter their tasks, titles, research areas, and their CV, both in English and in Danish. Additionally, the information entered into PU:RE (see later paragraph) by the scientific personnel will also be available on their PDS site. Travel - Official information When traveling abroad, your tickets must be booked through the travel agents VIA EGENCIA phone no. 7070 8120. Remember to give the department number (FKF = 305) as well as the FKF EAN number: 5798000423091 Immediately after each official travel - and no later than 8 days - you must fill in an official travel accounting form via the TEM system (see below). Please remember to save your boarding passes and other receipts as documentation of actual expense. Travel accounting forms are available in the mail room. For FLinT employees: please contact the Center Administrator who will book the tickets - at least 5 days prior to the planned travel date. TEM/Electronic Travel Claim SDU introduced the electronic Travel Expense Management system (TEM) 2. 5 years ago. The http://SDUnet.dk states the requirements for the use of TEM as TEM must be used by all SDU's employees for travel in Denmark and abroad. The original tickets and receipts must be scanned and attached in the TEM system, and kept until the travel expenses have been refunded. If at a later stage you want to move the travel expense to an EU project, you must keep the receipts. For EU projects the original tickets and receipts must be forwarded to the Travel Office (Rejsekontoret). TEM can only be used by employees using a Windows-login.   13

Guests and external examiners with a travel claim to be covered by SDU must use a paper travel form which can be found in the mail room or from the centre secretaries. After entering all the travel information you must check that you have entered all your expenses and that scanned copies of the receipts are enclosed. Remember to record which project number you wish the expenses to be drawn from. You must now forward your claim to a controller. You need to have an insurance card, which you can order from the University Travel Office (Rejsekontoret). Please note that when a work related trip is combined with a leisure trip (before or after), the employee must have his/her own travel insurance to cover both leisure and work related travel inside and outside Europe, as the Blue Health Insurance card does not cover on such combination travels. At the Department of Physics, Chemistry and Pharmacy we share a number of basic functions. This has quite obvious advantages, e.g. economizing resources and utilizing facilities optimally. However, to make the system work, it is essential that the rules described in this guide are followed by the users. The workshop has mechanics section (Ø11-511b-1 as well as one electronics section (Ø11-511a-1). The workshop carries out ordinary repair work as well as development and modification work, provides or replaces office furniture and equipment. You also contact the workshop in case of problems with the heating or the fixed technical installations. Gases in pressure cylinders and pressure reducing valves must be ordered through the workshop. Gases for reactions must be ordered via Sanne L. Hedemann (Ø11-5121b-2) who is in charge of ordering chemicals. When you hand in laboratory equipment for repair at the workshop it must be cleaned in advance. If not, the workshop will refuse to take care of the matter.
