INFocus – Discipline by Month with IDV Chart

About this Report This report will show discipline by month for a selected academic session(s) with the Interactive Data View (IDV) chart with grouped drill-down option.

Report Setup •

Log in to InformationNOW. Go to Reports | InFocus.



Click Shared Reports.



Select Add and then Report.

Select Tabular Report with Export and click OK.



On the Select or Modify Data Source screen, select Discipline, Student and Academic Session. By selecting these data objects above the user will have the option to select any column available in the Discipline, Student and Academic Session views.

(Date/Time) button. Select Click the Calculated Columns tab. Click the Month Name. This tab allows the user to create a new column for the report based on data selected. In this example, the report will show the Month Name instead of the Number of the Month; i.e., March instead of 3.)

On the Month Name screen, select Incident Date.



Click OK.



Give the calculated column a name such as Infraction Month.



Click Save.



Click OK.

Sorting To set sorting options, perform the following steps. •

Click the Sort tab.



Click Add a Column. Adding a column here will allow the user to select the sort order when generating the report. In this example, the report will sort by the Academic Session first, then by Infraction Month and then by School.



Select Discipline.Academic Session from the Column drop-down list. Leave Direction set to Ascending.



Click Add a Column.



Select Calculated Columns.Infraction Month from the Column drop-down list. Leave Direction set to Ascending.



Click Add a Column.



Select Student.School from the Column drop-down list. Leave Direction set to Ascending.

Filtering To insert filtering options, perform the following steps: •

Click the Filter tab.



Click Add a Parameter. Here the user may filter data based on the parameter(s) added. In the example below, the report will filter data based on the Academic Session selected by the user.



Select the following: o

Column: Discipline Academic Session

o

Operator: In List. The sample report using In List will provide the list of default values used for the Academic Session for selections in the report.

o

Default Values: Click the magnifying glass and highlight all academic years from which the user may choose when generating the report. Click OK next to the selected academic years.

o

Ask in Report: Check the box. The sample report will ask the user to select from a list of default values to preview the report.

o

Caption: This is the question provided onscreen to prompt the user for data entry; for example, What year(s)?

o

Control Type: Leave set to List (multi-select).

o

Display this parameter: Select In A New Line.



Click OK.



Click OK on the Filter screen.

Selecting Columns to Display On Report To select the columns of data that will be included on the report perform the following steps: •

The Table Columns window will display next. This screen allows the user to choose the columns to display in the report preview.



Select by double-clicking, highlighting or highlighting while holding the Ctrl key to choose more than one column. Then click the right arrow at center to move the following to the Assigned Columns list: Note: Columns will display in the order they are selected. Use the ^ and v arrows on the right to rearrange the columns to the desired order. o

Calculated Columns.Infraction Month

o

Student.School, Student.Grade Level, Student.Name

o

Discipline.Incident Description, Discipline.Incident Discipline Location, Discipline.Infraction, Discipline.Infraction Date, Discipline.Infraction Note

o

Discipline.Disposition Date, Discipline.Disposition,

o

Discipline.Action, Discipline.Action Date, Discipline.Action Note, Discipline.Administrator, Discipline.Teacher, Discipline.Period

Note: If the wrong column is selected, simply highlight it in the Assigned Columns list and click the right arrow to move it to the Available Columns list.

Saving To save the report, click the Save icon at the top or click the File tab and select the Save As icon. •

Report Name: Give the report a name (ex. Discipline By Month With IDV Chart).



Report Description: Describe what the report exports.



Report Expiration Date: Add a date as of which the report will no longer be available for users. This may be changed at any time.



Destination Folder: Select from the drop-down list to save in a folder Shared, Personal or All Reports (or select specific items from the list of folders).

Click OK.

Column Configuration Click the Column Configuration tab. This tab is used to set up several options in the report: •

Column: Drag and drop any column(s) to change the order in which the columns show on the report.



Header: Change the header label for the preview report.



Sortable: Select individual (or all) column(s) that may be used to sort the report data. The report will use the selected sorts from the Modify Data Source Sort tab by default first, but this allows the user to sort any other column selected as sortable.



Summary: Click the summary icons to add summary rows to the report. This option is used to set counts, sums, maximum and minimum of the column(s) selected.



Format: Select from the drop-down list to change the format of the column.



Visualization: Allows numeric fields to be displayed with a colored indicator such as a bar, color slider (background), color slider (circle) or color slider (square).



Width: Enter the width of the column in pixels according to monitor settings.

Alignment: Select from the drop-down list to change the alignment of the column, such as centered or left-justified.



Style: Select the style icon to add color or highlights to the report if they meet set criteria or conditions. Here the user may select one or more columns for which to add a condition or criteria so that if the value is satisfied, the selected style will change the look of the column selected. For example: If the Disposition is equal to Out of School Suspension, the user may select to show that column in red.



Click Save at the top.

Grouping Click the Grouping tab. This allows the user to group by one or several columns and to group by Not Grouped, Grouped Flat-Table or Grouped Drill-Down. Select Group Drill-Down for this example. •

Not Grouped: No grouping on the export.



Grouped Flat-Table: Allows grouping on one or more column.



Group Drill-Down: Allows grouping by a column, then drill down for detailed information.

Click Add Grouping Layer. Select Calculated Columns.Infraction Month from the Available Columns list by double-clicking or by highlighting and selecting the left arrow at center to move to the Grouped Columns. Grouping using the Group Drill-Down, as in this example, will show a summary report by Infraction Month as a hyperlink to allow the user to drill down the report for more detail.



Click Add an Aggregate Column. Note: If the Add an Aggregate Column option is not visible, click Show All Attributes. o

Column: Calculated Columns.Infraction Month

o

Aggregate function: Count (By selecting count the report will count the number of Infractions for each month.)

o

Header: Name of the column header; for example: Monthly Count.



Select Grouping/ Aggregate column (drill-down enabled): Calculated Columns.Infraction Month. This will preview the column header as Infraction Month instead of a header #Rows.



Click OK.

Exporting Options Click the Exporting Options tab. •

Select the options to export the report by checking any of the following options: Searchable report, Printable Paging, Export to Excel (Excel does not support Flash, so some charts will not show in Excel), Export to Word, Export to PDF, Export to CSV, Export to XML, Send report by email (then select the format option for the email: PDF, Excel, Word or CSV.



Click Save.



Click Preview to preview the export.

Additional Options Style •

Click the Settings tab.



Click Style to change the style of the report.



Select the desired style from the drop-down list the preview will display for the style selected.



Click OK to save the style selected.



Click Preview to preview the export.

Click Save.

Header •

To add a header to the report, click the Insert tab.



Click Header. This will preview the date and time the report was processed.



Click the Header Information tab o

Date: Check the box to include the date in the header of the report.

o

Time: Check the box to include the time in the header of the report.



Click Preview to preview the export.



Click Save.

Chart •

To add a chart, click the Insert tab:



Then click IDV chart. This will add the chart to the bottom of the report. To move the chart to the top of the report, click the chart in the preview pane on the left of the screen and then drag it to the top of the report.



This will add a new tab called Chart Settings.

Chart Setup •

Title: Give the chart a title. Note: If the Add an Aggregate Column button is not visible click Show All Attributes at the top of the screen.





Label Column (x-axis): o

Column: Select Calculated Columns.Infraction Month from the drop-down list.

o

Caption: Type the caption for the column header (ex. Infraction Month).

Data Column (y-axis): o

Column: Select Discipline.Infraction from the drop-down list.

o

Caption: Type the caption for the column header (Infraction).

o

Format: Allows the user to change the format of the y-axis from the drop-down list (none).

o

Aggregate: Allows the user to select what calculation to use for the y-axis (Count).

Crosstab Column: o

Column: Select Discipline. Dispostion from the drop-down list.

o

Data View Type: Select Line from the drop-down list.

Style: o

Size: Allows the user to change the size of the chart (Custom).

o

3D: Select this option for the chart to show in 3D (check).

o

Width: Allows the user to change the width of the chart in pixels (650).

o

Height: Allows the user to change the height of the chart in pixels (500).



Click Save.



Click Preview to preview the export.



The IDV chart will allow the user to change the way the IDV chart is viewed, the chart type or the calculation used by the chart.

Click View to change the IDV chart as a viewable Chart only, Table only, both Chart & Table or click to Change the order of the view by Transpose XY axis, Reverse Columns or the Original Ordering.



Click Chart Type to view the options to change the chart to a Line, Cluster Bar, Stacked Bar, Stacked Area or Pie chart. An option is also provided to make any selected charts appear as 3D.



Click Calculate to view several options of how the chart will calculate.
