If you have submitted a request to make a change, but have not yet received a ticket number, you may choose to follow the above process for new change requests. 2.) If you have submitted a request to make a change and have received a ticket number, but you haven’t yet tried to submit the file, you may choose to follow the above process for new change requests. Please be sure to provide your ticket number to Laura Quimby ([email protected]), so that they can ask DLM to close that ticket. 3.) ISA User Accounts •

An email regarding activating User Accounts in the ISBE Assessment Delivery System was sent on Tuesday, April 12, 2016, from [email protected]



ISBE pulled district and school level administrator data from ISBE’s Entity Profile System (EPS) to capture at least one district and building level person



ISBE exported all PAN users with roles of LEA or District Technology Coordinator and loaded them into ISBE Teach as District Organization Administrators

ISA Common Mistakes

• • • •

This error occurs if the user is already in the system. You can’t add the e-mail address again. If you can’t access the account then reset the password using page 5 of the System Users Guide. If you need to add another school to the account, edit the account using page 15 of the System Users Guide. If you need another role, use another email account and create it using page 11 of the System Users Guide. 8

ISA Common Mistakes •



Usually received when trying to upload users – this means the Organization Identifier column has not been formatted properly and your 15 digit RCDTS code has converted to scientific notation (this is a standard for Excel) Format the column to TEXT prior to typing in your 15 digit RCDTS code and it won’t convert to scientific notation when uploading your file.

To avoid using the wrong RCDTS code use ISBE’s RCDTS lookup Choose District Name in drop down menu next to District Name Click the Show Quick Results button. The next screen will provide the 15 digit RCDTS code for all schools within the district. 10

Receive an error stating that “Role Not Valid”. The role will be shown in mixed (example - Test Administrator in not valid). As noted in the graphic above (from page 12 in the System Users Guide) the only cells that should be in mixed case are First name and Last name. Remaining cells need to remain in lower case.

Finishing PARCC Assessments • Pages 47-53 in the Test Coordinator Manual have information on steps test coordinators need to take after testing is complete.

PARCC Test Irregularity Reports School staff has 5 business days to submit a test irregularity form to the Student Assessment Division at the Illinois State Board of Education. Please provide details of the incident and what steps school staff took to correct the incident. School staff do not need to report minor technology issues that staff are able to resolve and continue with student testing (e.g., students not initially assigned the correct test accommodations in the online test format). If you have questions, please contact the Student Assessment Division at 1-866-317-6034.

Student Mobility After March 4 •

Student Information System (SIS) and PearsonAccessNext (PAN): – SIS stopped automatically sending student update transmissions to PAN after the weekend of March 4, 2016. – Districts should continue to enroll new students in SIS and, beginning on March 7, must carefully enter new students directly into PAN for testing, as needed. – See “STUDENT REGISTRATION/PERSONAL NEEDS PROFILE TRAINING MODULE” for guidance, linked from https://parcc.tms.pearson.com/, or contact PARCC Support at 1-888493-9888. – If your district has a significant number of students to transmit to PAN on or after March 7, contact the SIS Helpdesk for assistance at 217558-3600, option 3. – PARCC Mobility Guidance Document is posted now. 19

Assessment Correction •

Make sure the Test Window for your school is accurate in SIS (Pre-ID Step 2)



You enter a RNVTA code AFTER your test window is over in SIS in the Assessment Correction file. (See the complete list here: http://www.isbe.net/sis/pdf/reason-novalid-test-attmpt.pdf)



Review each student listed in your Assessment Correction file-every student must have either a scale score or a reason for no valid test attempt.



Your local records must advise you who completed testing or not. If not, your school should know why (moved away, absent, refused, etc.)



Once you account for all the students who did NOT test, then when scores come in, you should do one more check to see that all students you thought tested actually have scale scores. If not, then check the “unassigned” test results list or call ISBE for help.



Note: if you enter a “reason for no valid test attempt” and a scale score DOES come in, the “reason for no valid test attempt” will be removed since it’s not needed. 21

Reason for No Valid Test Attempt (RNVTA) • RNVTA definitions are posted here: http://www.isbe.net/sis/pdf/reason-no-valid-test-attmpt.pdf • Test Window is entered in SIS at the school level. Each school’s Assessment Correction Report in SIS is built from this data. • AFTER your test window is complete (based on the test window entered in SIS by school), you may enter the RNVTA codes in SIS (NOT in PAN) in the Assessment Correction report. • When score data arrive, all students must have either a contentarea scale score or RNVTA code in the Assessment Score report. 22

Rejected Student Tests (PARCC PAPER ONLY) Three Categories: • Demographic Mismatch: Gridded information does not completely match information in PAN. Edit data on screen to match what’s in PAN. • Failed Validations: Make sure student is set to “Paper” under “Setup” --> “Students” under the task “Manage Student Tests” and that all accommodations/accessibility features are applicable to paper. • Student Not Found: The student must be added to PAN and assigned a paper test. 24
